CONFIRMATION CUT OFF & CANCELLATION POLICY,

The reservation cut-off date shall be on 13 March 2023 We would appreciate your approval and confirmation by signing
the space provided below and returning the copy of this letter by the latest on 13 March 2023 Should the hotel have
not received the confirmation on the date mentioned, Hotel reserves the night to release the booking for sale.

Room Reservation Procedure

The Parties will direct booking to the Company which includes names, arrival/departure details and type of
accommodation required by the parties and send to reservation of Meruorah Komodo Labuan Bajo Hotel at
least fourteen (14) days prior to group arrival date.
Early Arrival and Extensions
The group rate will apply two (2) days prior to arrival date and two (2) days after the group’s departure date
base on subject to availability.

Check In / Check Out Time

Check in time is on the day of arrival is at 15.00 WITA (Labuan Bajo time) and check out time on the day of
departure is at 12:00 WITA (Labuan Bajo time).
Should the parties arrive before the check in time and/or plan to depart late, then the early check in and/or
late checked out charge will be applied which subject to availability
Up to Three (3) hours prior to check in time, 50% early check in will applied
Up to Three (3) hours after check out time, 50% late check out will applied

More than Three (3) hours prior to check in time, 100% early check in will applied
More than Three (3) hours after check out time, 100% late check out will applied

Room Occupancy
The rates are per room per night based on single or double occupancy, maximum of 2 persons

Room Charges
The Exhibitors will be treated as a personal account, meanwhile for the Committee we will require a 100%
deposit by bank transfer based on the estimated total revenue the latest on 13 March 2023 and outstanding
balance occurred during the stay and/or event will be settled by cash at front desk on 15 March 2023 Please
make the FULL AMOUNT payment direct to:

Payment Arrangement
a. Full amount payment of total revenue or IDR 46.350.000,-- required by 15 March 2023
b. Any additional expenses occurred during the group stay and/or event have to settled upon departure date.

It is agreed upon that if the company fails to settle the accounts within the agreed credit period, the Hotel will have
the right to demand immediate payment on the outstanding account and an interest of 2% per month will be
charged on all overdue accounts.

Cancellation Policy
Under the terms of this agreement, the Hotel has reserved the Client rooms and function space required by your good
self. Cancellation of this Group in its entirety will cause the Hotel to suffer significant financial loss.
Therefore, you agree to the following statements of,
a. Cancellation must be obtained by giving the hotel a written letter with official letterhead from the company
and/or emailed statement from the Company and/or contact person maximum 7 (seven) days before arrival.
Should the hotel not receive your confirmation, we will precede the information as a definite cancellation and
the cancellation policy will be applied.
b. If the cancellation received after confirmation date, the Company/contact person agrees to pay a cancellation
fee as charge of deposit received, and Notification of Cancellation
 Period prior to arrival Cancellation Fee
After seven (7) days before arrival date One (1) night cancellation fee
After three (3) days before arrival date Full charges as per period of stay
c. In case of room and/or event was No-Show, the expenses will be charged at full and all payment received by
the hotel cannot refunded and non-transferable

Early Departure
If the stay is shortened, the hotel has the right to charge the full length of stay as an early departure fee from
the original booking date.

Release Period
● Up to 14 days before arrival: With the updated rooming list, we would require the rooming list of the
balance of the rooms blocked. If we have not received the rooming list of rooms without names, all of the
balance of the rooms blocked without a rooming list will be released for sales.
● The hotel will continue to accept reservations if guest room space is available at agreed rates even after
the unused rooms have been returned to the hotel.

Non-Compliance
If the required guarantee deposit or payment is not received by the date indicated, regrettably the reservation
for the group may be subject to cancellation without prior notice. Reinstatement of the reservations can only
be made upon receipt of payment and in the event that rooms are then still available.

Damage
Should there be any damage to our hotel property during your stay, we will charge your company for any repair
costs incurred by the hotel.

Exclusion of Liability
The hotel will not be held responsible for failure to execute obligations specified herein directly or indirectly
occasioned by or through or in consequence of war, change of status of the Indonesian Government, strikes,
riots and acts of God or conditions beyond control of the hotel. In the event of Non-performance due to the
above reasons, the Hotel shall refund in full the deposits received for this group booking.

let us know. Currently, your reservation is held on a tentative basis and we would appreciate your approval and
confirmation by signing the space provided below and returning the copy of this letter by 13 March 2023 in order for
us to hold your tentative reservations on a definite basis. We will then contact you to finalize all other outstanding
details.
