Chapter I
THE PROBLEM AND ITS BACKGROUND
Introduction
In the busy heart of Ormoc City lies the Ormoc City Superdome, an admired institution

known for hosting a countless of events that enrich the lives of its residents. However, the

passage of time has underscored the pressing need for improved efficiency in the management of

these events, revealing a complex web of challenges that demand our attention.

The Ormoc City Superdome, a foundation of our community, faces various challenges in

efficient event management. These challenges encompass resource allocation, scheduling,

communication, and customer experience. Event organizers, and the dedicated Superdome staff

grapple with these complexities, and their resolution forms the core of our capstone project.

This capstone will examine the difficulties the Ormoc City Superdome currently has in

managing its events and the possibilities for technologically based remedies to these issues. We

will delve into the complexities of event management, looking at the essential elements that

make events successful and how technology may be used to streamline and improve these

procedures. The importance of tackling these issues goes far beyond the actual boundaries of the

Superdome. Effective event management boosts Ormoc City's appeal as a destination for

interesting and successful events and increases the Superdome's image as a premium event

facility. It also has real economic advantages, bringing in additional people and events and

boosting the economy of nearby businesses.

Ineffective event management has a local impact on the neighborhood. It has an impact

on the Superdome's capacity to host a variety of events, which affects cultural enlightenment and
neighborhood involvement. In addition, it has an impact on the livelihoods of nearby retailers,

companies, and service providers whose income is derived from Superdome events.

Project Context

In the heart of Ormoc City lies the renowned Ormoc City Superdome, a central hub for a

diverse range of events, from sports tournaments and concerts to conferences and exhibitions.

Both the Superdome's managers and the residents of Ormoc City who depend on the venue for

various events have faced major difficulties because of the growing complexity of event

management within the venue. This capstone project, titled "Efficient Event Management:

Developing the Ormoc City Superdome Event Management System," aims to develop a game-

changing solution to tackle these problems.

Both the facility's managers and the Ormoc City residents who use it hope to gain a lot

from the Ormoc City Superdome Event Management System. The technology will improve

administrative effectiveness for administrators by giving them tools for easy event planning and

management. Administrators will be able to run the Superdome more efficiently thanks to the

simplification of event scheduling, ticketing, resource allocation, and security coordination.

Additionally, the technology will make attending events in the Superdome more user-friendly for

the residents of Ormoc City. It will make buying tickets easier, make entrance processes more

efficient, and improve the whole event experience. The goal of this capstone project is to provide

administrators greater authority and enhance the event-going experience for Ormoc City

residents, strengthening the Superdome's connection to the neighborhood.

Objectives

The Ormoc Superdome Management System has several key objectives. It aims to

simplify event planning by making scheduling and management hassle-free, offers a

straightforward ticketing system for easy booking, and engages attendees through event updates.

The system ensures secure financial transactions and provides powerful reporting for financial

management, optimizing Superdome resources for events.

This capstone project aims to:

This capstone project aims to:

 to boosts event promotion effectiveness.

 to provide administrators greater authority and enhance the event-going experience for

Ormoc City residents.

 To reduce administrative burdens and enhance the Superdome’s operational efficiency,

leading to cost savings and improved event management processes.

 It streamlines the allocation of resources within the Ormoc City Superdome, ensuring

efficient utilization of personnel, equipment, and facilities, while minimizing waste and

delays.

 Avoid redundancy and inconsistency of records.

 Provide an efficient way of storing, retrieving, and monitoring of the data.

Scope and Limitations
The Ormoc Superdome Event Management System is designed to be a comprehensive

and efficient platform for organizing events and activities at the Ormoc Superdome. It offers a

range of features, including event scheduling, ticketing, attendee registration, seating

arrangements, and event promotion, making it a versatile tool suitable for various types of

events, from sports tournaments to concerts and conventions. One of its key strengths is

providing real-time reporting and analytics to help event organizers make informed decisions and

enhance the overall experience for both organizers and attendees, ensuring smooth event

execution.

However, the system faces several notable limitations. Firstly, it heavily depends on the

availability of a stable technical infrastructure, such as reliable internet connectivity and

hardware at the Ormoc Superdome. In regions with inconsistent or limited access to such

infrastructure, the system's functionality may be compromised. User adoption is also a challenge,

requiring comprehensive training and user-friendly interfaces for event organizers, staff, and

attendees. Data security is of paramount concern, demanding robust cybersecurity measures to

safeguard sensitive information. Additionally, the system must be scalable to accommodate

events of varying sizes and handle high traffic during popular events without system overload.

Lastly, integrating the system with existing ticketing and payment systems, as well as third-party

event promotion

Purpose and Description

Our capstone project's main goal is to create, build, and deploy a cutting-edge Event

Management System (EMS) that is especially suited to the Ormoc City Superdome's particular

needs. The Superdome's administration and the Ormoc City citizens who routinely utilize the
venue will both gain from this EMS's ability to revolutionize event planning, logistics, and

security coordination. We want to give the Superdome's administrators the tools they need to

handle events smoothly and improve the overall experience for visitors by developing a user-

friendly and effective system. In the end, this initiative hopes to close the gap between

community expectations and administrative requirements by integrating the Superdome into

Ormoc City's thriving event scene.

The People of Ormoc City – it provides the people of Ormoc City with a more organized,

convenient, and efficient system for managing events at the Superdome. This system aims to

enhance the overall event experience for attendees and streamline event planning for organizers.

The Employees/Staff – for the employees and staff of the Ormoc City Superdome is to

streamline event planning and management, reduce administrative workload, improve

operational efficiency, enhance transparency, and provide a tool for data-driven decision-making.

It aims to make their jobs easier and more efficient, ultimately leading to a better event

experience for both attendees and the staff.

The Proponents – This project helps the proponents in improving the technical skills, creativity,

knowledge, and techniques in developing a project.

Future Researchers – They would be able to use these data for them to get the ideas and
references if they are planning to conduct the same study.
