However, we make a plan & get over it or disguise it with a lovely pot plant
(metaphorically speaking and with your permission of course).

COMPEX HIRING
Our lending library
Compex Hiring, more commonly known as our lending library, was established way
back in 2007 when an urgent need (at a tradeshow) for 16 bar stools came knocking
at our door. Being the people pleasers we are, we were left with no choice, but
to make a plan and save the day. We jumped into our bakkie (a small truck with
an open body and low sides) and zoomed off to purchase the 16 black bar stools.
And so, our hiring story began, and has subsequently grown to include over 4500
furniture pieces, event infrastructure, fun and practical accessories, audio-visual
equipment, electrical items and signage solutions.
At this point, you may (or may not) have asked yourself, why do they call this
department the lending library. Quite simply, we felt that it positioned exactly
what it says.
Lending, you see, is defined as:
“Granting someone the use of something with the understanding that it will be
returned, alternatively, it can also mean to accommodate or adapt oneself".
And a library, is defined as:
“A building or room containing collections of books for use or borrowing by the
public usually for an agreed upon rate.”.
Now we know we’re not in the business of books, but for this purpose perhaps
think of it as a collection of fabulous items, housed in a massive warehouse
that is overflowing with goodies to make your event, exhibition or conference
sophisticated, yet practical and comfortable.

The lighting and sound at any event plays an important role in
the type of experience, atmosphere and appearance created.
Our audio-visual and electrical departments provide clients with
hiring options from lighting and sound equipment to on-site setup
and technical support for any event.

We can install a simple plug point on your exhibition stand or ensure that your whole event
or tradeshow is intricately powered. Some of the items you may find of interest in this section
include LCD Screens of various sizes, spotlights, floodlights, LED strip lights, fluorescent lights,
plug points, dB Board single phase, dB Board 3 phase and exhibitor connections.

When it comes to electrics, we know that safety awareness is crucial, this is why every job we
work on gets a Certificate of Compliance (COC) issued.

Please note: Audio Visual (AV) items are charged at a per day rate.

We often overlook event infrastructure, but ultimately it’s the
nuts and bolts behind any event or exhibition. Items such as air
conditioners, portable toilets, dustbins, fridges, picket fences and
generators all have a crucial role behind the scenes, and if they
are not there, people notice regardless of how pretty your set-up
or décor may be.

One lesson we have learnt and continue to learn is that it’s essential to not only understand
the brief but also interpret it and look beyond the norm. More often than not it’s the small
details that make the difference or the engagement activities that make you ‘stand’ out from
the other exhibitors. It may be as simple as watercooler or a brochure rack to help share who
you are & what you do, or a popcorn machine that fills the air with an aroma that ensures
guests ‘pop’ in for a visit.

FURNITURE
I’M NOT SURE WHAT WILL WORK AT MY EVENT OR ON MY EXHIBITION STAND.
If you are unsure what to put on your stand or what furniture to use at your
event, you can browse through our catalogue and look at how other companies
have incorporated our furniture. You can also view our furniture package pages.
Alternatively our project managers or sales staff will be happy to discuss your needs
with you and recommend different options that are available.
HOW FAR IN ADVANCE DO I HAVE TO ORDER MY FURNITURE?
For events that we, as Compex, are the official infrastructure contractor, all Service
Order Forms must reach us on or before the deadline date stipulated in the exhibitors
manual. If we are not the official infrastructure contractor, but you are using our
furniture on your exhibition stand or at your upcoming event our project manager or
sales team will let you know exactly when your order should be in by – usually it’s a
week prior to the event.
CAN I ORDER FURNITURE THE DAY BEFORE A SHOW OR EVENT?
Yes. You will need to call us to make sure we have the stock available and vehicles
ready for delivery. It’s important to note that for a show in particular, any orders
received after the deadline date as stipulated either in the exhibitor manual or with
the sales representative, will be subject to a R 200 (excluding VAT) late order fee.

I'M ON SITE BUT HAVE REALISED THAT I DIDN’T ORDER ENOUGH, WHAT DO I DO NOW?
You will need to call us or chat to us on-site to make sure we have the stock available
and vehicles ready for delivery. It’s important to note that any orders received on-
site, and providing we can supply these orders, will be subject to a late on-site fee of
R 650 (excluding VAT).
I’M A SHOW ORGANISER, CAN YOU ASSIST ME WITH ALL THE FURNITURE?
Our lending library team works with many organisers through-out South Africa
and even into Africa, furnishing conference & meeting rooms, exhibitor stands,
organisers offices, registration desks and providing branding solutions. We have
worked on and built many large shows as the official furniture and infrastructure
supplier. We have a dedicated team for this and always do our utmost to ensure
the furniture side of the show runs flawlessly. To make your life as the organiser
a little easier you can call us on +27(0)11 234 0604 and ask for the sales team or
alternatively email us at exhibit@compex.co.za.
IF I ORDER TOO MUCH CAN I SEND IT BACK?
Yes. Upon delivery, ask us to lay the furniture out, and if you feel it’s too much, you
can send items back. As these items have been cleaned, packaged and delivered, we
can not give refunds but can gladly remove them for you.
CAN I COLLECT MY OWN ORDER?
We are always open to suggestions, although we do not recommend this, as a lot
of factors such as transport and packaging need to be taken into account. In our
experience the general movement of furniture and event infrastructure is where the
most damage takes place.
I HAVE SOMETHING PARTICULAR IN MIND, BUT CAN'T FIND IT IN YOUR CATALOGUE!
If there is something not in our catalogue that you want, let us know. We have a
great team of carpenters who can make most things and have great relationships
with other furniture providers, so we can source almost anything!
AUDIO-VISUAL
WHAT HAPPENS IF THE WEATHER DOESN’T PLAY FAIR ON THE DAY OF OUR EVENT?
Unfortunately there are some dynamics we can’t control and since safety is always top
of mind we will always take the environment in which we operate into consideration.
If adverse weather conditions or health and safety concerns prevents us from
erecting equipment and you insist on installation, you will be held accountable for
any damages to the equipment or additional costs.
DO I STILL NEED TO PAY YOU IF THE WEATHER IS AN ISSUE?
Should Compex decline to install equipment due to weather conditions or health and
safety concerns, you will remain liable for the full payment as quoted, these items
have been cleaned, packaged and delivered, we can not give refunds but can gladly
remove them for you.
DO YOU PROVIDE SUITABLE ELECTRICAL SERVICES?
You, the organiser, is responsible to ensure that an adequate and suitable electrical
supply is available in the required positions. If it is necessary to install electrical
equipment, cabling or similar, all such amounts are for your account and will be
included in your quotation.
HOW DO I CLEAN THE THINGS I HIRE?
We always ensure that the items you have hired from us, are properly cleaned upon
delivery. We would suggest that you have a soft cloth on site to wipe furniture at the
beginning of each day – usually there are a lot of people walking around and dust or
little or large fingerprints can be left on some surfaces.
CAN I PURCHASE THE FURNITURE?
Our lending library team will consider selling stock as ex-rental. You will need to
email exhibit@compex.co.za for quotations as they are not the same price as the
rental prices. We can also quote for us to deliver, courier or its free if you wish to
collect. All sold items will be cleaned and packaged prior to despatch.
SOUND IS SO IMPORTANT AT AN EVENT. HOW CAN I ENSURE AS FAR AS POSSIBLE
THAT THE EVENT GOES WELL?
In the interest of playing it safe we always recommend our clients to ensure
that any necessary sound checks are performed within sufficient time. We also
suggest that your presentations are sent to us prior to the event and organised in
the correct order. Please always remember to let us know when sound is required
in your presentations.
WILL YOU INSTALL AND TRANSPORT MY EQUIPMENT FOR ME?
We’re all about making our client’s life easier, but accidents can and do happen,
therefore we only take responsibility for the installation and transport of our own
equipment.

CAN I VISIT YOUR WAREHOUSE?
Yes anytime, but we do prefer to have these scheduled so the right people from our

The rules of the game!
These terms and conditions relate to goods which you choose to hire from Compex
(Pty) Ltd. Please read these 20 simple terms and conditions (believe us when we
say we tried to slim these down as far as possible), which govern your use of our
furniture and infrastructure and our supply to you of any goods which you elect
to hire through our ordering facilities. If there is anything you do not understand,

OUR HIRING CATALOGUE IS FOR USE BY EXHIBITORS PARTICIPATING IN EXHIBITIONS
FOR WHICH COMPEX HAS BEEN APPOINTED AS THE EXHIBITION SUPPLIER.
− Please request a specific cost quotation for events that we, as Compex, are not the official
infrastructure contractor. For these events additional fees, for example transportation may
be applicable. We will, however, notify the hirer of this, prior to the confirmation of order.
− For events that we, as Compex, are the official infrastructure contractor, all Service Order
Forms must reach us on or before the deadline date stipulated in the exhibitors manual.
− Please note that all items are supplied on a hire basis only, and remain the property of
Compex and their respective suppliers.
− The pictures we use in this hiring catalogue are for illustrative purposes only, we reserve
the option to provide a suitable alternative depending upon our stock availability. We will,
however, notify the hirer of this, prior to the confirmation of order.
− Upon delivery of hired goods to a site, the hirer will need to sign a Compex acknowledgment
of good condition form.
− All hired items should be treated with care.
− OCTANORM infill panels & carpet tiles are not to be damaged or altered in any way.
− All hired items are the responsibility of the hirer until collected by Compex or our
appointed supplier.
− The hirer is responsible for the full replacement costs for any damage or loss, irrespective
of how such damage or loss is incurred.
− Prices are quoted for the period of five days or less, except for audio-visual items which are
calculated on a per day basis.
− For all goods, there may be an additional transportation fee. We will, however, notify the
hirer of this, prior to the confirmation of order.
− We can offer a full refund if you cancel 2 weeks prior to the delivery date.
− If we have delivered your goods & you decide to cancel, no refund is possible as we have
cleaned, packaged and transported your furniture to site.
− If you decide to cancel your furniture half way through an exhibition or event where we
are not present, a collection charge may be applicable, and no refund will be given to the
hirer.
− Any orders received after the deadline date as stipulated in the exhibitor manual will be
subject to a R 200 (excluding VAT) late order fee.
− Any orders received on-site, and providing we can supply these orders, will be subject to a
late on-site fee of R 650 (excluding VAT).
− Payment is due on presentation of invoice, but no later than the commencement of the
event or exhibition build-up. Ordered items will not be installed/delivered until full payment
has been received by Compex. Please send proof of payment to accounts@compex.co.za.
− All designs, drawings, renderings, pictures and plans are the property of Compex and
all copyright and intellectual property rights therein vest exclusively in Compex. Any
unauthorised copying, adapting, use, transmission, reproduction or reverse engineering
thereof, for whatever purpose and by whatever means, whether in full or in part, without
prior written consent of Compex is prohibited. Anyone who uses, distributes or makes
infringing copies of our designs will also be guilty of an infringement of copyright.
− Completion of any of the Service Order Forms implies agreement to and understanding of
the above Terms & Conditions of Hire.
− OH….in the interest of ensuring everyone is on the same page, we also have more detailed
T’s &C’s for our exhibition and audio-visual build-ups, but don’t sweat we’ll ensure you have
these when you need them.
