Online Reporting System Instructions for Adding Associates 1. Ifyou need to add a Room Attendant, fist click onthe button onthe top named Configuration, Then select Configure Specalis. 2, Fist move your arrow over the fist blank cell right underneath the column named ‘ype. Then a drop down screen will appear and you wil select the type of attendant you are entering. Select based on what they do most often. You are Sil going to have to select them as a Slayover of Dapadure evenysay they Work, ‘3. Then cick on the cel underneath te column named First Name and ype tne ‘Then click on the cell underneath the column named Last Name and type the Ifyou need to enter more than one associate, then repeat the steps. Make sure you double check everyone's name because after you click save, you ¢ ‘can't make changes fo someone's name. The only way to change its to delete ‘and re-enter them, ‘Once you are done, you can click the save button onthe bottom right. ‘Then you can click onthe cose button to ext this area, ‘You can't delete someone who you have already entered information fo. The system will otal you to. So let's say one of your associates leave and you need {o,emove them, you would highlight the associate in this section and then cick inactivate on the bottom right. This wil keep the associate from showing up on ‘new calculators but will keep them in the history. 410,After the fst ime you add the names in the system, the names will only appear ‘eutomaticaly 2 days into the future 11. 1fyou need to add an individual for cutent or past days, then do so manual. 12. You wil go to the calculator. Scroll down to the fist empty row. 13.Click inthe box that has name 14, crop down box will appear that wl allow you to scroll and look forthe name you want to add. 15.See picture below. Se Instructions for Daily Input of Boards 1, First find the name cf the individual's board you are entering. 2. Then you wil elect the Attendant Type. 3. I selected as a Stayover Specialist, the associate has stayover rooms ony or & mixed boar. 4, If selected as a Departure Expert, the associate has departure rooms only. 53. Once the Attendant Type is selected, input the number of assigned rooms. 66. Assigned Rooms ae llthe rooms that were assigned whether in the moming or uring the afternoon. Basically they are all the rooms assigned to the indridual throughout the day, doth stayovers and departures. 7, Next we are going to input the actual number of serviced or cleaned rooms (both, stayovers and departures). 8. So for the Serviced Stayovers, subtract any no service, do not disturb and early Checkout rooms from the assigned stayovers from the beginning ofthe dey. £0 ‘enter the fla! amount of actual serviced stayover rooms, 9. Then in the next column named Serviced Departures input the actual number of departures cleaned for the day. This number should equal the number of assigned departures or could be potentially higher if one of the stayover rooms. was an early departure and it was cleaned by the individual. Allthe hours from the Room Attendants that hit your P&L Room Attendant ine ‘should be accounted far onthe calculator. 2, Imorder to measure an associate's true productivity, we only want to have their _ctual time worked cleaning rooms in ther individual ime. {3 The Training Hours associate isto be used when there are actual training hours, new hire hours, meeting time, associate functions, etc for an individual. tis important that if you can code the hours elsewhere, then you do so. Buf you ‘can, then you will manually subtract out the hours from the Total Payroll Time: ‘or each person and you will cumblatively add the hours tothe Training Hours associate 4. Then in order to add notes and keep track of al the training hours forthe month you wll have to input some additional information else winere onthe calculator. Next you wlinput the comments wher it says DPR CommentsINotes for Productivity Variances. So you will use this when you have to make notes for training hours, commerts of notes forthe day to explain variances in your productivity number. 10,Next to keap a running total of the hours for the month ofthese hours, you wil input them where it says Hours Included on the DPR, © 11.The only tine you wil input Hours Excluded on the DPR would be if you need a place to keep track of hours during a renovation lets say. So these hours would not be included on the calculator, but just here so that you would keep track of ‘the hours with an explanation. Only use this if you need somewhere 0 Keep track ‘of renovationconsituction hours. Then ensure you click the eave buton Wni= Instructions for Inputting Inspection Scores 4 lick the inspection Stoves button on te bolt el 2. This wil take you to a separate window. 3. Here is where you wil enteral the scored inspections forthe specific day the calculator was on. 4. On the left is where you enter all he inspection scores for Stayovers. On the Fight is for Departures. '5. There is room to enter up to 4 scored inspections per associate that worked that spect day. 6. Enter the scores in order from 1 to 4 7. Ifyou need to delete an inspection, you must delete the score or scores in reverse order, 4 f {8 Once all the scores are entered forthe day, click the save button on the bottom right ‘8. You are to enter your Brand Housekeeping Quality Score according to how often you are paying out your incentives. Soi you are paying out your inceriives weekly, you wil enter the score weekiy. If you are paying out your incentives monthly, you wil enter the score monthly. ‘Pick onthe Button anit wil ake you toa different screen. Find the date associate for your specific timeframe. Enter your Housekeeping Brand Quality Score It allows up to one decimal point tobe entered (Once the score is entered on the appropriate date, click the save button on the bottom right. 7. To exit, click on the close buon on the bottom right. c c c ¢ 3. S00 below, Instructions for Incentive Button 1. The Incentive Button is used to find out the suggested payout amounts for your associates. Then you wil enter how much you pay them out “You will nly need too ino this based on your ncentive payout schedule, |When you are ready to payout, click on the button, ‘You wil then have to select the incentive period you want to see. You will only have access fo no more than 1 month inthe past '5, Once you select the appropriate date, the incentives will automatically populate, Both the suggested payouts for Stayovers and Departures will be presen, 6. You must just enter the actual amount you are paying out 7. The system is designed to round up on the numbers. So for example if an ‘associate's time for stayovers is at 13,03, the system will suggest a payout ‘amount based on 14.00. The purpose ofthis is for you to contol the rounding It you deem it necessary to round down, then just enter the payout amount ‘based on the 13,00 minutes, 8. To see 8 copy of your current incentive grid click onthe button on the bottom lef entitled Current Payment Levels, You will not be able to change anything ‘on the grid. fan adjustment is necessary on the gic, please contact your PDA Directo: ¢ 8. Once you have inputted al he information forthe day, you can alck the save ‘button down onthe bottom right and you wil be fnished forthe day. 2, Theres no information to email to POG Viewing Reports Now there are several reports available fo you to review both individual productivity and ‘overall productivity. As you might notice, there are @ few buttons on the top. There isthe QT, IPT and DPR. Under the IT and IPT, there are several reports under each one. Instructions for IQT Reports Viewing 1. There are two reports under ths button, The Inspection Quality Tracking Report and the Inspection Qualty Tracking Summary Report. 2. The Inspection Quality Tracking Repor wil low you to see the all inspection scores for Stayovers or Departures during an incentive period. 3, The Inspection Quality Summary Repor will alow you to see a summary ofa inspections scores compared to Brand Quality Scores for Stayovers or Departures during an incentive period 4, To view the Inspection Quality Repor, cick on the IQT button on the top. Select Inspection Quality Report 5. A separate screen will appear. You will have to first select the incentive period. ‘You must select th start date ofthe incentive period you want to View, 6. The IPT Report, IPT Summary Report, ‘layover Procucivily and Incentive Tracking Repo and the Departure Productivity and incentive Tracking Report 2, The IPT Report wil alow you to see the Individual pruductvily uf an assuciate ‘based on Stayowors and Departures during a spect time frame 3. The IPT Summary Report wil allow you to see all associates productivity together and summarized based on Stayovers and Departures during a specific time fame. 4, The Stayover Productivity and Incentive Tracking Report will basically combine the IPT Summary for Stayovers with thelr Stayover Incentive irformation during a specific incentive time frame. '5, The Departure Produciviy and Incentive Tracking Repor wil basicaly combine the IPT Summar/ for Departures with thei Departure incentive information ring a speciicincentve time frame, 6, To view the IPT Report, click onthe IPT button on the top. Selact IPT Report 7. separate screen will appear. You will have to fist selec the start date and then the end date ofthe period you wish to view: 8, You can enter the date i you know it or you can cick on the ealandar and then Glick on the dateto enter inthe specific area. 9.
