INTRODUCTION

The ICP software produced by SBM, hereinafter referred to as “ICP” for simplicity, is part of SBM medical
devices and must be used on a computer.
The software installation and configuration process involve the installation of the software files, through the
appropriate Setup provided by the distributing company.

MINIMUM HARDWARE REQUIREMENTS TO RUN THE SOFTWARE

The software has some minimum requirement for the system.

Processor Intel® Core™ i7


Hard Drive SSD Drive - Suggested minimum 512 GB
RAM 8 GB RAM
Minimum screen resolution 1600x900
Number of available USB ports 1 or 2 depending on the instrument
Operating system Microsoft® Windows® 8, 10 Professional (Pro)

SOFTWARE INSTALLATION

To install the software, execute the installer file provided in the USB stick or downloaded from the producer
website.

Before setup
Wait for Setup to load.

Choose your preferred language.

Automatically the “System status tester” will check your system

Please verify all elements in case of something show in red. It may suggest that your system is not compatible
with the software or requires some setup / improvement. You can proceed with the setup anyway, but the
device may not work properly.
If some tests were not successfully consider using another computer or fixing the issue detected. If you want,
you can proceed anyway.

Setup procedure
Press next in the first screen of setup procedure

In the second screen accept the license agreement and press next.

In the third screen of the setup procedure select the folder in which the software will be installed.

In the next step you can select the name of the start menu folder that will be created.

In the last step you can select if you want the procedure to create a link to the software on your desktop.
This is recommended.

The next screen will list all options selected and will ask you to press install button to start the automatic setup
procedure.

Just before installing all files, the setup will ask you if you want tutorial video files to be installed on your system.
The size of the files is quite big, so if you do not have enough space or you do not need them to be accessible
offline you can skip them.

Please wait to procedure to be automatically completed.

Intallation of USB device controller drivers
At the end of the setup procedure the drivers installation will start automatically:

Press extract and follow the procedure by pressing next in the following screens and by accepting the license
agreement.

Wait till the end of the procedure and press Finish.

Completing the installation
After the driver installation the main setup is completed, and you can close it by pressing Finish button.

Opening the software


If you selected to create the desktop icon, double click on it to start the Software, otherwise open Windows
Start Menu and find the program group.

After selecting the program icon, the loading screen will appear.

REGISTERING THE SOFTWARE

When running the software for the first time it needs to be registered. You must be connected to internet to
activate the software.
The registration procedure will automatically show up.

In the first step you have two options:


1. If you already registered another software with the same procedure and you noted down email and password,
you can use it by selecting “Already registered” option and entering the data in the next screen.

2. If this is the first time you register with this procedure select “New registration” and in the next screen enter
all your data:

Once the new registration has been made, it is important to KEEP the ID and PASSWORD entered in the
procedure described above, to activate other applications purchased from the supplier.
After entering all your data accept all license agreement and press submit.

Last step of the registration is to enter an activation code.

This code is provided with the instrument in paper format or in a PDF inside the USB stick provided with the
instrument. This code can be also provided by the distributor. If you need to move the software activation from
another computer, find the procedure in the section “MOVE LICENSE TO ANOTHER COMPUTER”.
After Entering the Code press Enter to submit.

If the procedure is completed correctly a confirmation message will appear.

Completing first run of the software
After activating the software some messages will appear to set first options of the system.

Set the archive location

At the first start, the software let you choose the desired archive location. The options to choose are:
• All computer users use the same archive – choose this in case of multiple Windows users to allow sharing
the database between them.
• Each computer user uses a different archive – choose this in case each Windows user want to keep their
database separated from the others.
Using the “Advanced” button you can select the desired archive path.

Change archive location after first run


If necessary, you can change the archive store location through the software settings panel. It is possible to
change the archive settings in “Database” section.
From the ICP main screen press “Settings” button to open settings panel.

In settings section press “Database” button to view database settings.

In the Database settings screen select “Advanced” button.

Setting background elaboration and evaluation
If background processing of exams is enabled, it allows you to process exams in background while the user
performs other operations at the same time. This feature requires a fast computer, if this option makes the
system too slow and difficult user experience disable it from settings.
Background exam evaluation: If enabled, it automatically saves the result of background exam processing (it
can only be enabled if background processing is enabled).

Camera drivers intallation


When running the software for the first time, if the USB camera cable is connected to the computer, the
software will suggest that some software component must be installed. This test will be repeated each time
you open the software and if video drivers are missing the installation will be suggested.

We strongly suggest pressing OK and install the drivers otherwise it will be impossible to operate with the digital
camera.
The download procedure will start, it is very fast because the size of the installer is small.

The drivers setup is very easy and requires you to just press Next and then finish.

At the end of the procedure the system will confirm the operation was completed successfully.

SOFTWARE PIN CODE

For security purpose, you can set a code that you enter each time you sign in the application, preventing use
by unauthorized personnel.
WARNING: Keep the code safe, if lost you will no longer have access to your data.

Setting pin code


To set the Pin code for your software you must open settings section by pressing Settings button.

In Settings section find the “App Pass Code” section and press “Set” button.

The Pin settings procedure consists in two steps where first you must set the pin code and then to confirm it.

If you prefer to continue without a set code, just leave it empty and press “OK” this will disable the feature and
confirm your choice.

Editing or deleting pin code


Open the “Settings” screen, find “App pass code” and press “Set” to change the code.
Press “Delete” button to disable security code.

PERSONALIZED PROTOCOLS
In the software, it is called “protocol” a system or algorithm capable of suggesting pathologies of the patient
and the related therapy based on the values of the exams results.
In the customized protocols section it is possible to create diagnosis and therapy protocols at the discretion of
the system user. In fact, the doctor can create a diagnostic / therapeutic protocol by entering the parameters
of the examinations, performed with the device, in which the specific types of pathology fall.

Pressing the new protocol button, a screen will appear that allows you to choose a name for the protocol
and to insert “cases”. Each case describes and defines a different pathology or a different patient condition
requiring a special therapy (“Evaporative dry eye”, “Severe evaporative dry eye”, etc.).

Each case in the protocol must be characterized by some triggering conditions identified by the patient’s
examinations. The conditions are defined by the resulting values of the tests. In the section below it is
necessary to select from the list on the left which tests have to be considered and which values fall into the
case.

Once the values relating to the specific case have been entered, in the central section at the bottom it is
possible to indicate the therapy to suggest, chosen from those previously entered in the treatments section
or by adding new ones.

By entering only the second value, the system will consider all lower values below that threshold. By entering
only the first value, the system will consider all values above that threshold. By inserting both values, all values
included in the interval between the first value and the second will be considered.

A PRACTICAL EXAMPLE ON HOW TO CREATE A CUSTOM PROTOCOL

In this section, we will introduce you how to create a custom protocol.


Warning: this section is to be considered only for demonstration purposes and the personalized protocol
suggested in following pages has no scientific foundations and we do not suggest its use except if the doctor
responsible for the configuration and use of the system for the diagnosis of the dry eye agrees with the data
and values entered.

Creation of the different cases


The sample protocol is divided into four different cases:
• Evaporative dry eye (E.D.E.)
• Severe evaporative dry eye
• Water deficiency
• Severe water deficiency
Let us now explain how individual cases were created

Evaporative Dry Eye (E.D.E.)


This case occurs when the patient suffers from poor or absent lipid layer and moderate instability.
The sample parameters for configuring this case are therefore as follows:
Interferometry between 0nm and 75nm
NIBUT or Stability Test between 6 seconds and 10 seconds
In this case it can be suggested, for example, a therapy based on liposomes and hyaluronic acid with the
possibility of suggesting the patient to massage the eyelids to reactivate the Meibomian glands.

Severe evaporative dry eye


This case occurs when the patient suffers from poor or absent lipid layer and severe instability.
The sample parameters for configuring this case are therefore as follows:
Interferometry between 0nm and 75nm
NIBUT or Stability Test between 0 seconds and 6 seconds
In this case it may be suggested a therapy that treats the Meibomian glands such as IPL in combination with
liposomes, hyaluronic acid, and eyelid massages as in the previous point.

Water deficiency
This case occurs when the patient suffers from instability and moderate aqueous deficiency, this means that
the tear gland is characterized by poor production. The sample parameter for configuring this case is therefore
as follows:
Tear meniscus between 0.1mm and 0.2mm
NIBUT or Stability Test between 0 seconds and 10 seconds
In this case it can be suggested the use of drops or supplement for aqueous deficiency like eye drops.

Severe water deficiency


This case occurs when the patient suffers from instability and severe aqueous deficiency, this means that the
tear gland is characterized by very poor or absent production. The sample parameter for configuring this case
is therefore as follows:
Tear meniscus between 0.0mm and 0.1mm
NIBUT or Stability Test between 0 seconds and 10 seconds
In this case it can be suggested the use of drops or supplements for aqueous deficiency like eye drops as in the
previous case and in addition you can suggest the use of Punctum Plug.

MOVE LICENSE TO ANOTHER COMPUTER

To move the license on another computer you have two options.


Please note that by proceeding with this operation the old license will be deactivated and will no longer work.

Reach move license procedure from ICP


To move the license on another computer you can autonomously proceed from a procedure included in ICP.
If you have no access to ICP installation, please refer to next chapter.
Open ICP installation you need to move and press Settings button.

In General section please find Move license section and press Move license button.

A confirmation message will appear.

Press OK and follow the procedure explained in following chapter “MOVE LICENSE PROCEDURE”.

Reach move license procedure from online service


If you have no access to the previous installation of ICP, to move the license on another computer you can
autonomously use the online service. First, navigate to the following address:

https://secure.sbmsistemi.com/

In the page enter e-mail and password that you set during software registration.

After the login you will get to the list of your licenses.

Click on the license you want to move and then click on the link “If you want to move the license to another
device click here”.

Move license procedure


In the screen that will appear you will be asked to enter an email address where you want to receive the
activation code.

After submitting, the license will be deactivated and the new activation code for the new device will be shown
on screen and will be as well sent to the provided email address.

USING ICP AS A VIEWER

Mapping network drive


To use ICP as a viewer to open a database located on the local network the first step is to Map a network drive
on the computer where the viewer is installed. This drive will be usually named like “Z:” or another letter that
will be linked to the network shared folder containing the database of ICP.
The system needs a Network drive to be mapped as the database system is not compatible with network paths
(like “\\computer_name”).

Configuring ICP
After the network drive is mapped, you can configure ICP to use it.
From ICP main screen press “Settings” button to open settings panel.

In settings section press “Database” button to view database settings.

In the Database settings screen select “Advanced” button.

Now you will be able to see the advanced database options.

Here you can press “Select” button, then browse inside the network drive to the folder of the ICP database
you want to access and then accept. When you will be done press Save button in the upper right corner of the
screen and after close ICP and open it again.

XML EHR/EMR CONNECTION

EHR / EMR software is a computer system that helps healthcare providers manage patient medical records and
automate clinical workflows.
ICP is compatible with Patient-XML File importation from most EHR / EMR software.
The automation works as follows: the EHR / EMR creates an XML file and runs ICP, in case ICP is already opened
it will show up automatically.
ICP scans a folder for new XML that will be deleted after importation.
If the patient described in XML file is not present in the database, it will be added. If the patient is already present
in the database, it will be selected and in case some of the patient detail is different the user will be prompted
to update or not patient details.

Configuring ICP
From ICP main screen press “Settings” button to open settings panel.

From the menu on the left select “Advanced” section.

On the Right side you can find the options available for XML importation.

It is possible select the folder where the software should scan for XML files created by the external software. By
pressing reset button, it will clear the folder text box and consequently stop the scan.
The files are normally with XML extension but in case of different extension you can personalize the “XML
search pattern”.
We suggest setting XML date format according to your regional settings of the EHR / EMR software.

OTHER ICP SETTINGS

Configuring ICP
From ICP main screen press “Settings” button to open settings panel.

In this section, you can access the following settings and features:
Photo property and video Capture (video compression, NIBUT cutoffs, Image quality),
Create sample patients and exams.
Set the complete details and address of the practice/hospital/company.
From the menu on the left side of the screen you can choose the Language.

The “Company” section offers the possibility to enter company/study/hospital data (address, telephone number,
etc.) to save and print them in the report header.

Move license: this button start a procedure which allows the user to disable the current software license and
to obtain a new activation code to be used to register another installation. Please refer to the chapter “MOVE
LICENSE TO ANOTHER COMPUTER”.
Security PIN: Please refer to the chapter “Data Protection Code”.
Sample exams: allows you to download into the database sample patients with videos and photos to view
and elaborate.
Video settings: in case the videos are shown in small format or meniscus from video (screenshot) procedure
not working, pressing “Restore” a procedure will start to return videos to the correct view.
Connectivity Status: By pressing the “Verify” button, the software will check the functionality of the system’s
Internet connection.
News: Pressing “Show What’s New” will show you a screen with all the new features of the current version.
Updates: Gives information about the software version (if the version is not updated, a warning message will
appear).
Disable install component verification: If disabled, the software will skip checking the required libraries at
startup.
Keep tutorials offline: if enabled, the software will download the tutorial files making them accessible to the
user even without an Internet connection.
Select Pedal Action: If the user uses a USB pedal, select which action should be performed when the pedal is
pressed. By selecting Video, when you press the pedal, the user will start and stop the video recording.
By selecting Photo, when you press the pedal, the system takes a photo. This option applies only if both
image and video buttons are available for the selected exam. For exams with only one of the two buttons,
the pedal will work accordingly.
Disable backup request: If disabled the software will not show the backup request when the software is
closed.
Show bars in daily report: If enabled, the user will find colored bars as indicators in the daily report instead of
hand marks.
Hide blank page in treatment report: if enabled, the software will hide the treatments page in case it is empty.

Enable speech synthesis: If enabled, the software will provide suggestions during exams using voice.
Disable updates: If disabled, the software will skip searching for updates when it opens. (Be careful, disabling
this option your system will not be automatically updated).
Disables the control of lost exams: if disabled the software will skip the verification of the exams lost when it is
opened. Default view for 3D meibography: Allows the user to select which 3D representation will be displayed
first when 3D meibography is opened.
The automation section allows you to manage software automations:
Disable tear meniscus request: if disabled it allows you to hide the request to create the tear meniscus exam,
after processing a NIBUT video.
Disable request for winking exam: if disabled it allows you to hide the request to create the tear meniscus
exam, after processing an Interferometry video.
Enable immediate processing of the exam: if enabled it allows access to the processing of the exam
immediately after recording a video or taking a photo.
Automatic eyelid detection: if enabled, it allows the automatic detection of eyelids during the processing of
Meibography.
Automatic sclera detection: if enabled it allows to automatically detect the sclera during the bulbar redness
exam. Check the exposure during the Interferometry exam: if enabled it allows the automatic management
of brightness during the video capture of the Interferometry exam.
Allow background processing of exams: if enabled it allows you to process registered exams (e.g. Interferometry,
Eye Blink, NIBUT, Meibography) in a hidden way while the user performs other operations at the same time.
Background exam evaluation: If enabled, it automatically saves the result of background exam processing (it
can only be enabled if background processing is enabled).
Wizard: In this section, the user can choose the exams to run during the wizard.

The “Archive” section allows you to choose which user can use the same database. To use the software as a
viewer to open a localized database on your local network, read the “Use software as Viewer” section below.
The “Devices” screen provides technical information about the device.

SBM SISTEMI S.r.l. will be responsible for the conformity of the appliance to the Community Directive 93/42 /
EEC, therefore for its performance, safety, and reliability.
SBM SISTEMI S.r.l. specifies that all the components of the devices of its production are covered by a warranty
for 12 (twelve) months.

However, SBM SISTEMI S.r.l. declines such responsibility if:


• The installation and commissioning operations have not been carried out in compliance with the indications
and precautions contained in this manual;
• The appliance is not used in accordance with the instructions and precautions contained in this manual;
• Accessories or spare parts not supplied by SBM SISTEMI S.r.l. are used. or recommended by it;
• Repairs and safety checks are not carried out by competent, qualified, trained, and authorized personnel by
SBM SISTEMI S.r.l.

SBM SISTEMI S.r.l. also declines all responsibility for direct or indirect consequences or damage to property or
