DEFINITION OF DOCUMENT
ANALYSIS
Document or Documentary analysis is a social research method and is
an important research tool in its own right and is an invaluable part of
most schemes of triangulation. It refers to the various procedures
involved in analyzing and interpreting data generated from the
examination of documents and records relevant to a particular study. In
other words, documentary work involves reading lots of written
material (it helps to scan the documents onto a computer and use a
qualitative analysis package). A document is something that we can
read and which relates to some aspect of the social world. Official
documents are intended to be read as objective statements of fact but
they are themselves socially produced.
PURPOSE OF DOCUMENT ANALYSIS:

• Extracting information: Identifying key

details, facts, and insights from
documents
• Understanding context: Gaining a
deeper understanding of the
circumstances surrounding the creation
of the document
• Identifying patterns: Recognizing
recurring themes, trends, or issues within
a collection of documents
STEPS IN DOCUMENT ANALYSIS: 5

analysis
• Document review: Reading and comprehending the content of
the documents
• Document coding: Assigning codes or labels to different parts
of the document for easier analysis
• Data extraction: Identifying and extracting relevant data points
from the documents
• Data interpretation: Analyzing and making sense of the
extracted data
• Reporting: Presenting the findings and conclusions derived
from the analysis
TECHNIQUES FOR DOCUMENT ANALYSIS 6

• CONTENT ANALYSIS: EXAMINING THE TEXT OF

DOCUMENTS TO IDENTIFY THEMES, KEYWORDS, OR
PATTERNS
• TEXT MINING: USING COMPUTATIONAL METHODS TO
EXTRACT INFORMATION AND INSIGHTS FROM LARGE
AMOUNTS OF TEXT DATA
• HISTORICAL ANALYSIS: INVESTIGATING THE HISTORICAL
CONTEXT AND SIGNIFICANCE OF DOCUMENTS
• DISCOURSE ANALYSIS: ANALYZING THE LANGUAGE AND
STRUCTURE OF DOCUMENTS TO UNDERSTAND
UNDERLYING MEANINGS AND IDEOLOGIES

CHALLENGES IN DOCUMENT ANALYSIS

• BIAS AND SUBJECTIVITY: INTERPRETATION OF

DOCUMENTS CAN BE INFLUENCED BY PERSONAL
BIASES AND PERSPECTIVES
• INCOMPLETE OR MISSING INFORMATION: DOCUMENTS
MAY LACK CRUCIAL DETAILS OR BE UNAVAILABLE FOR
ANALYSIS
• DOCUMENT AUTHENTICITY: ENSURING THE
RELIABILITY AND AUTHENTICITY OF DOCUMENTS TO
AVOID MISINFORMATION OR MISINTERPRETATION
APPLICATIONS OF DOCUMENT ANALYSIS 8

• LEGAL INVESTIGATIONS: ANALYZING LEGAL DOCUMENTS,

CONTRACTS, AND TESTIMONIES FOR EVIDENCE
• BUSINESS INTELLIGENCE: EXTRACTING INSIGHTS FROM
FINANCIAL REPORTS, MARKET RESEARCH, AND
CUSTOMER FEEDBACK
• HISTORICAL RESEARCH: EXAMINING HISTORICAL
DOCUMENTS TO UNDERSTAND PAST EVENTS AND
SOCIETAL TRENDS
• FRAUD DETECTION: IDENTIFYING FRAUDULENT ACTIVITIES
THROUGH THE ANALYSIS OF FINANCIAL RECORDS AND

BEST PRACTICES FOR
9

DOCUMENT ANALYSIS

thorough and consistent analysis
• Consider multiple perspectives: Avoid confirmation bias by
considering various interpretations of the documents
• Collaborate and seek expert input: Engage with others in the
field to validate findings and gain additional insights
CONCLUSION 10

•RECAP THE IMPORTANCE OF DOCUMENT ANALYSIS

FOR EXTRACTING VALUABLE INFORMATION
•EMPHASIZE THE NEED FOR CAREFUL AND
THOROUGH ANALYSIS TECHNIQUES
•HIGHLIGHT THE WIDE RANGE OF APPLICATIONS
ACROSS DIFFERENT DOMAINS
