INTRANETFAX FUNCTION: OVERVIEW
1.

This chapter gives an overview of the IntranetFax function.

IntranetFax Function ................................................................................................6

1 INTRANETFAX FUNCTION: OVERVIEW

IntranetFax Function
“The IntranetFax (Direct SMTP)”, hereafter called “the IntranetFax”, is a function that enables a
direct InternetFax communication between MFPs without a mail server. Since there are some
restrictions on this function, such as the necessity of including the IP address of the receiving
MFP in its Email address, this function is suitable for InternetFax transmission within the Intra-
net.

y IntranetFax compatible MFP -> IntranetFax compatible MFP

Intranet

InternetFax Transmission
LAN

The IntranetFax function has the following characteristics:

y You will not need to access a mail server when receiving IntranetFaxes because they are
directly sent from the sending MFP to the receiving MFP.
y You can clearly confirm on the sending MFP if the sent IntranetFax has been received
because the transmission “finishes” upon reception by the receiving MFP. Transmission will
be retried when the IntranetFax has not been received in cases such as when the power of
the receiving MFP was not ON.
y The Email address of the receiving MFP must include its IP address. For details, see P.13
“Email Address Format”.
y In the IntranetFax function, transmission is performed for a number of destinations, namely,
it may take a longer time than transmission by the InternetFax through a mail server.

6 IntranetFax Function
y For the e-STUDIO165/205 and the e-STUDIO167/207/237, the IntranetFax function is avail-
able only when the following options are installed:
Network Printer Kit
Scanner Upgrade Kit
External Keyboard
Fax Kit
y For the e-STUDIO202L/232/282, the e-STUDIO352/452 and the e-STUDIO520/600/720/
850, the IntranetFax function is available only when the following options are installed:
Scanner Kit
Printer/Scanner Kit
y When the IntranetFax function is enabled, the onramp gateway, offramp gateway, network
Fax and Address Book Viewer are disabled.
y When an IntranetFax is being sent, SSL communication and SMTP authentication are dis-
abled. For details, see P.11 “Setting up the SMTP client”.

3 SENDING/RECEIVING INTRANETFAXES

Precautions about Sending/Receiving IntranetFaxes

IntranetFax communication differs from InternetFax communication through a mail server as fol-
lows:
y In the IntranetFax function, transmission is performed for a number of destinations. Journals
for transmission results will be printed out when all the transmissions are finished.
y In the InternetFax Received Forward function, an InternetFax agent and an Email agent can
forward the IntranetFax to MFPs which can receive IntranetFaxes. For how to set destination
Email addresses, follow the instructions in P.13 “Email Address Format”.

y To use an Email agent, a mail server is required.

y The InternetFax Received Forward function is disabled on the e-STUDIO165/205 and
the e-STUDIO167/207/237 when the IntranetFax function is enabled.

y Up to 6 MB of IntranetFaxes can be sent from and up to 8 MB of IntranetFaxes can be

received at the e-STUDIO165/205 and the e-STUDIO167/207/237.
y Up to 30 MB of IntranetFaxes can be sent from or received at the e-STUDIO281c/351c/
451c, the e-STUDIO202L/232/282, the e-STUDIO352/452 and the e-STUDIO520/600/720/
850.

16 Precautions about Sending/Receiving IntranetFaxes

Sending/Receiving Procedure
For the procedures for sending and receiving IntranetFaxes, see the following manuals:
For the e-STUDIO165/205 and the e-STUDIO167/207/237
Scanning Guide – “Transmitting InternetFax” in “6. INTERNETFAX”

the e-STUDIO520/600/720/850
Scanning Guide – “How to Perform Internet Fax” in “7. Internet Fax”

IntranetFaxes are received automatically, meaning that no particular operation is required for
their reception.
The IntranetFax setting differs from the InternetFax setting as follows:
Maximum IntranetFax Size
Originals larger than A4 or LT can be sent as they are. B series are not supported either in the e-
STUDIO165/205 or in the eSTUDIO167/207/237.

Resolution
You can specify the desired resolution level among “STANDARD” (200 x 100 dpi), “FINE” (200 x
200 dpi) and “U-FINE (ULTRA FINE)” (400 x 400 dpi) for retrieving IntranetFax data.

Sending/Receiving Procedure 17
TROUBLESHOOTING
4.

This chapter describes troubleshooting for the IntranetFax functions.

Troubleshooting......................................................................................................20
4 TROUBLESHOOTING

Troubleshooting
Unable to send an IntranetFax
y Is the power of the receiving MFP ON?
y Is the LAN cable of the sending or receiving MFP disconnected?
- IntranetFaxes are sent directly to the receiving MFP. If a transmission fails, it will be
retried according to the retry setting until the receiving MFP receives it. Therefore a
transmission error occurs when the power of the receiving MFP is OFF or any of the LAN
cables is disconnected. Make sure that the power of the receiving MFP is ON and also
that the LAN cables are securely connected.

y Is the destination Email address correctly set?

- In the IntranetFax function, destination Email addresses must be set in the SMTP server
settings in the TopAccess Administrator Mode on the receiving MFP, according to the
instructions on P.13 “Email Address Format”. On the other hand, the sending MFP
must have the same Email address as the one specified at the receiving MFP noted
above. If these Email addresses are different, the IntranetFax will not be received and
thus an error will occur.

y Is the receiving MFP receiving another IntranetFax?

- A transmission error may occur when the receiving MFP is receiving another IntranetFax.

Unable to receive an IntranetFax

y Is “Memory overflow” displayed on the LCD screen of the control panel?
- Lower the resolution level at the sending MFP or reduce the number of pages of the orig-
inal to be sent in one go, then retry the transmission.

Unable to perform scanning functions after sending an IntranetFax

y Is the IntranetFax transmission finished?
- On the e-STUDIO165/205 and the e-STUDIO167/207/237, scanning functions cannot be
performed unless all the IntranetFax transmissions are finished.

[What to do]
When the Primary and Secondary LoginName and Password in DDNS session are changed in TopAccess, it is necessary to turn the power OFF and then back ON or to
change HostName, DomainName and (Primary/Secondary) DNS Server Address.

Restriction on using DHCPv6 Option

[Phenomenon]
When "Manual" and "Stateless" are selected for DHCPv6 Option, if the power is turned OFF and then back ON, no access to DNS can be made.

[What to do]
To use DHCPv6 Option, select "UseDHCPv6 Server for Options" in "UseStatefulAddress" regardless of the setting of "Manual" and "AutoConfiguration" in TopAccess.

Restriction on performing Ping/Traceroute

[Phenomenon]
When Ping/Traceroute is performed, the SMB address registered in Remote 1 or Remote 2 of "Save As File Setting" cannot be selected directly.

[What to do]
To check the connection of NetworkPath with SMB selected by Remote 1 or Remote 2 in "Save As File Setting", enter IPAddress or HostName with "Manual Input".

-7-
[Authentication]

Restriction in connecting Windows OS when SMB Signing

[Phenomenon]
The SMB Signing operation varies depending on the combination of the equipment and each Windows OS as shown in the table.
The SMB connection can be done with any version of Windows OS if the value of the SMB Signing in equipment is set as the default. However, if users change it, the SMB
connection may not be possible.

[What to do]
It is recommended to perform the communication with the default "SMB Signing" setting (If client agrees, digital signature is done for the communication./If server agrees,
digital signature is done for the communication.).
When users change the setting of "SMB Signing", specify the valid combinations for the SMB communication (A or B) as shown in “SMB Client vs Windows OS
Server.pdf”.

Restriction on making failure of "Card Authentication" or "RoleBasedAccess"

[Phenomenon]
When "Card Authentication" or "RoleBased Access" is set, it is necessary to register the LDAP server ("Administration" -> "Maintenance" -> "Directory Service"). If the user
name is set to "Domain Users" in the Windows Server, the "Card Authentication" or "RoleBased Access" fails.

[What to do]
To use the Windows Server as an authentication server, set a user name that belongs to a group of "Domain Admins" or "Account Operator".

Restriction for Web Service Scan when "User Authentication" is set to "Enable" and "e-Filing", "File" and "Email" are set to "Disable"

[Phenomenon]
When the "User Authentication" is set to "Enable" and "e-Filing", "File" and "Email" are set to "Disable", Web Service Scan cannot be carried out except when the
authentication is done while the scan LED on the MFP is lit, since the screen does not go into the Scan menu.

[What to do]
When you want to use "Web Service Scan" on the MFP under the above conditions, press the SCAN hard key before authentication.

-8-
[TopAccess]

User data import with TopAccess may take extremely long time

[Phenomenon]
Importing user data which have many items registered in TopAccess or which include long user names or long domain names sometimes take an extremely long time. When
importing is in progress, "NOW SERVICING" is appearing and it cannot be canceled in the middle.

<Time required>
User name: 20-24 letters, domain name: 20 letters
1000 items: 2 minutes
3000 items: 6 minutes
5000 items: 26 minutes
10000 items: 2 hours and 20 minutes

[What to do]
There is no workaround.

e-STUDIO850 Series T390SY0*221 or earlier versions

[Phenomenon]
When a template is backed up in the above applicable version, the setting of JPEG compression ratio is not saved.
Therefore, if the backed up file is restored, the template in which the JPEG compression ratio is not set is registered.
If this unset template is used, scanning with a high compression ratio (low image quality) will inevitably result.

[What to do]
After restoring the backed up file, open the editing screen of this template, set the JPEG compression ratio and register the template again.

Restriction on JPEG compression ratio of Scan template in the "Useful Template" e-STUDIO850/451cSeries only

[Applicable SYS version]

e-STUDIO451c Series T410SY0*221 or earlier versions
e-STUDIO850 Series T390SY0*221 or earlier versions

[Phenomenon]
When version upgrading is performed from the above applicable version or earlier to this SYS version, the JPEG compression ratio of Scan template in the "Useful
Template" is not set.

<Condition>
At a version upgrade to this SYS version, if 08-690 (HDD initialization) or 08-684 (DB initialization) is not performed

[What to do]
After performing the version upgrade, recall the scan template in the "Useful Template", set the JPEG compression ratio again.

If this unset template is used, scanning with a high compression ratio (low image quality) will inevitably result.
