Proposal Submission and Defense

1. Introduction:
The name of our project is FitManage Hub (Gym Management System). It
is a web-based application that aims to reducing paperwork in gym industry and
hence improving its efficiency and speeding up of all processes. It highlights the
key functionalities, including customer information management, subscription
tracking, and facility/equipment management which ultimately results in improved
efficiency, accurate record-keeping, and enhanced member experience.

2. Problem Statement:
Current gym management practices often rely on outdated manual systems,
presenting significant challenges in record-keeping and operational efficiency. The
following points highlight the key issues faced by many gyms in managing
customer information:
 Customer records, progress reports and training plans in many gyms are
traditionally stored in physical registers or files.

3. Objective:
The main objectives of my system include:
 To implement a digital customer database for storing and managing
customer records, progress reports and training plans.

4. Methodology:
This system will undergo all the stages of system development lifecycle
(SDLC). According to the nature of this system and the data collected, a waterfall
methodology will be used to develop this system. This methodology includes the
following stages:
i) Requirement analysis and specification
ii) Design
iii) Implementation
iv) Verification or testing
v) Deployment and Maintenance

Each phase required a different amount of effort and every phase had a well-defined
starting and point. Every phase has to be completed before beginning the next stage.

Why Waterfall Method?

The waterfall methodology was worthwhile because this approach produced a


complete quality system and error-free system due to the fact that every phase had
to be completed before the next one began thus leaving no phase unattended.
However, according to the data collected on the user requirements, there was a clear
understanding of the user requirement hence no doubt on what was to be developed.
Similarly, the approach was also less costly since there was no repeating of a process
once completed and thus minimized wastage of resources as compared to other
approaches such as the rapid prototyping methods.

4.1. Requirement Identification:


4.1.1. Study of Existing System:
In the gym management system, if we take the current system and
compare it with the proposed it is far behind. Every work in the existing is
manual and done on paper. There might be a computer used somewhere for
the work but it’s is not doing exactly what it’s is supposed which is reducing
the manual work.
Some major drawbacks of the existing system:
 Required a lot of paperwork and the process takes time.

 Everything is done on paper and these are highly prone to damages
and require a good amount of security and space to store.
 Lack of proper way to track progress of trainees.

4.1.2. Requirement Collection:


For the implementation of our system, the following requirements
are collected:
Functional Requirements:
 Adding, updating, and retrieving customer information.
 Who can access the system: member, staff and administrator.

Non-Functional Requirements:
 Performance: system should be able to handle number of users at the
same time.
 Security: Member login has been secured by user ID and password.
Accessibility is also restricted upon the user levels throughout the
application.

4.2. Feasibility Study:


a) Schedule Feasibility:
We've set up a clear project timeline, breaking down tasks into
manageable phases. A Gantt chart visually guides us, and we've made sure
our resources, including time and team members, are allocated efficiently.

b) Operational Feasibility:
To make sure that everybody can use the new system, we’re
designing user-friendly program that’s easy to understand. This ensures a
smooth experience for staffs and members of the gym.

c) Economic Feasibility:
The purpose of the economic feasibility assessment was to
determine the positive economic benefits to the organization that the
proposed system had to provide. It included quantification and
identification of all the benefits expected everybody can easily access it
through any web browser and also it is very easy to adopt by reading its
simple guidelines. Therefore, this system is economically feasible.

d) Technical Feasibility:
We've assessed our technical needs and made sure our chosen
technologies are both reliable and scalable. Since FitManage Hub is very
light weight and browser-based web app it doesn’t require high level
devices. Neither it requires huge manpower nor huge space to setup.

5. Expected Outcome:
The outcome will be a proper working gym management system which can
replace the traditional methods of recording customer’s information in the gym and
also bringing new facilities to help make the management of the gym more efficient
at keeping record of the members, staffs and gym equipment.
