NEW HIRE CHECKLIST

Actions Notes
Recruitment process
 Requisition form is submitted to HR with all respective signatures
 Position is opened in 3 working days
 Review all applicants and send to HM for review
 HM provided interview guide for final candidate to HR
 Interview Notes(star interview) of HM and HR (when necessary)
 Application Form/ID Card-HR interview
 Check previous experience in EMAS
 Final candidate is invited to interview with GT /Hotel Manager/DHR (if needed)
 Reference check (hourly min of 2, managerial min of 3)
 Ask candidate to send copy of the labor book
 Offer Letter
 Send necessary documents need to be provided to HR (first can be sent picture)
 Medical check-up (International #2 and inform HSE if obligate group)
 Inform Training Manager regarding orientation/onboarding training
Required documents
 Labor book (When applicable. Labor Book registration book is signed)
 Diploma (High School Certificate / Bachelor / Master Diploma / Reference Letter
from the university if still studying)
 Military certificate (males only)
 Driving license (when applicable)
 Covid 19 vaccine passport
 2 passport pictures – (3x4 size)
 Marriage or birth certificate of children if applicable
 ID Card
Before arrival
 Announcement in CTQ
 Prepare welcome package/name tag/simcard (if needed)
 Note with employee picture sent to the # LP Team, #Guidance Team, #IT Team,
#Finance Team and #HOD (#Laundry team if needed)
 Create employee profile in 1C
 Prepare Employment Order, Employment Agreement, Full-Liability Agreement, JD
are prepared/signed/stamped before arrival
 Updated all reports (ES, BD, vacation, insurance, emergency)
Hiring day
 Welcome employee in the entrance
 Provide welcome package, name tag, all other prepared documents
 Take a picture of the employee for ID Card
 Create Employee File
 File Labor Book and registration book
 Orientation/Onboarding
 Ask HOD to greet employee
 Send e-mail to paymaster with employee info (name/position/hire date/phone
number, email) and offer, ID for ordering salary card
 Create new staff unit
 Hire in EMAS
 Hire in Mhub
 Send EID to HOD for activation
 Send ID Management tool if needed
 Mandatory Insurance approval on ISB.AZ (next day after 10am) / backup with
signature provide to finance
