assist you?

CONTENTS
Front office- as defined in the financial dictionary provided by Wall Street Oasis (WSO), is a business
term that pertains to the client-facing part of the firm and focuses on working with guests.
The front office of a hotel, aside from welcoming the guests, generally performs several basic
services such as processing advance reservation, registering guests, room guests, handling guest’s
luggage, issuing room keys, providing information, handling guest’s mail and parcel, administering
telephone service accounting(making payments and billings), and checking out guest.
In other words,the front office can be called the “show case window” of the hotel because it is
where all the information and messages are communicated to the different departments and personnel.
The guest cycle consists of all the activities that each guest undergoes from the moment he or
she calls for a reservation inquiry until he or she departs from the hotel. In fact, the guest cycle
encompasses four different stages and these are the pre-arrival, arrival, occupancy, and departure. In
doing these, knowledge on the use of front office tools, equipment, and paraphernalia should be
effectively exhibited.

Front Office Tools


1. A credit card voucher holder is used to hold the credit card during business transactions to make
it easier and organized.
2. A currency detector is used to determine whether bills or coins are genuine or counterfeit.
3. Sundry stationary items are used to process and manage documents during clerical functions.
4. Credit card imprinter is used to process credit card payment transactions of hotel guests in lieu
of cash payments.
5. A calculator is used in financial computations for amounts of expenses, charges, commissions,
etc.

Front Office Equipment


1. A computer set is used for the digital monitoring of accounts and profiling of guests.
2. A printer prints the hard copies of documents on dot matrix, ink jet, lazers prints, or combined
printer.
3. A cash register is used to record and record sales transactions.
4. A surveillance camera is used to record all the actions, movements, sounds, and all other daily
incidents of the business for safety and security purposes.
5. A telephone is used for front and inter-office communications like inquiries and reservations of
guests.
6. A fax machine is used to reproduce a printed document by electronically scanning and
transmitting it via telephone line to another fax machine.
Front Office Paraphernalia
1. A key rack is used to hold the room keys of the hotel for safekeeping and proper organization.
2. A safety deposit box is used to store valuable processions like money and other important
documents of guests.
3. A lapel microphone is used for public speaking applications to allow hands free of operations.
4. A filing cabinet is used to store, maintain, and protect hard copies of both internal and external
use documents.
5. Two-way-walkie-talkies are used by the security personnel to communicate with each other
during their rounds in and around hotel premises.

1. Logbook is used to record information about daily activities in the front office.
2. A room key/card is used to provide access to hotel rooms to avoid potential theft activity.
3. A corkboard is used to display public information such as guidelines, notices, and promotions
about related hotel services to guests.
4. A guest folio rack is used to manually maintain the hotel folios of the front office.
5. A room rack is used to assist the front desk officer in accessing registration forms containing all
guest names and room numbers.
6. Empty envelopes used to hold hotel written documents for staff or guests’ use.
7. A luggage tag is used to identify guest’s bags and their other personal belongings.
8. A complaints register form is used to note all guests’ complaints while staying in the hotel.
9. A guest folio form is used to record guests’ cash and credit transactions in the hotel.
10. A daily running sheet is used as a checklist of duties to be completed on a particular shift in the
front office.
11. An errand card is used to track guests’ luggage movements in the hotel for check-in and check-
outs stay.

Proper Use of Tools, Equipment, and Paraphernalia


A. Turning on the computer
1. Make sure all power cables are connected to electricity.
2. Turn on the central processing unit (CPU) by pressing the power button on the casing.
3. Turn on the monitor by pressing its power button.
4. Wait until the boot is completed and the screen menu appears.
B. Shutting Down the computer
1. Click the start button located on the taskbar.
2. Display appears showing three options: Standby, turn off, and restart.
3. Click the turn off option on the menu.
C. How to use the Fax Machine
1. Check the fax machine power supply and make sure that the telephone cord is plugged into a
phone or jack.
2. Insert the document that you wish to send into the outgoing fax tray.
3. Dial the fax number to which you wish to send the document and request to fax tone.
4. Wait for the receiving end to give tone either automatically or manually.
5. Press the start button to send your fax.
6. Look at the fax machine display console and see if the transmission was successful.
7. Stock your fax machine with plenty of paper in the incoming fax tray.
8. Note whether your fax machine has its own dedicated line. If none, press start to process an
incoming fax.

D. General Tips for the proper Use of Tools and Equipment


1. Read and understand the manual operation for each equipment.
2. Be sure that all equipment is not defective or damaged.
3. Use the equipment for their intended purpose only.
4. Handle all electrical tools and equipment with care and caution.
5. All equipment must be turned off when unattended or not in use.
6. All power tools must be properly grounded before they are used.
7. Clean the equipment after use and store them properly and always keep them dry.
8. Use appropriate personal protective equipment (PPE) for specific job requirements.
