WHICH ASSESSMENTS SHOULD MY CHILD COMPLETE?
Tests and examinations should be completed from Grades 4 to 12, as they form an integral part of any learner’s annual
assessment. Therefore, tests and examinations should be conducted in a manner that ensures the credibility of the learner’s
assessment results during and at the end of their education.

Grade 10 to 12 learners will require Impaq-approved invigilators to oversee all tests and examinations in the FET Phase, apart
from the final Grade 12 NSC examination (administrated by the assessment body, SACAI.) Learners in the FET Phase are also
required to complete other assessment components, including tasks, PATs, and orals (where relevant per subject).

WHERE TO START
The Optimi Learning Portal (OLP) should be your starting point every day. OLP includes a helpful lesson screen to help
you with your planning – simply click on Lessons and select any of the subjects. These lessons include references to your
facilitator’s guide and show you exactly which content should be worked through.

The very first lesson for each subject is your Welcome Lesson. Here, you can meet your subject specialist and get an overview
of the subject, find the assessment plan, the format and structure of tests and exams, year plans, and more! This lesson also
contains an overview of how to use OLP and important information in terms of PATs and orals. Click here for more information
on logging in to OLP.

WHERE CAN I FIND THE ASSESSMENTS AND MEMORANDUMS?

Learners in Grades 10 to 12 must complete summative assessment activities (formal tests, tasks and examinations) every
term, as well as a year-end assessment (examination). All assessment components (tasks, tests, and examinations) will be
made available only in electronic format via the Optimi Learning Portal. Note that tests and examinations will only be made
available to Impaq-approved invigilators shortly before the start of a test/examination session.

Please note: learners may not receive tests or examinations prior to the scheduled time of the session. Question papers must
always be stored in a secure place. The facilitator is responsible for ensuring that the question papers and answer sheets
are handled securely. Answer sheets may be made available to learners only for the duration of the test or examination and
may under no circumstances be left in unsecured areas or distributed to other parties. Strict rules and regulations apply, and
any suspected misconduct will be investigated by the Impaq Irregularity Committee.

How to download assessment components (other than tests and examinations) and memorandums:

1. Log in to the Optimi Learning Portal (OLP)

4. Select the relevant subject
5. Download assessments and/or memorandums from this screen by clicking on the download button (arrow) next to the
relevant assessment or memorandum.

WHO MARKS THE ASSESSMENTS, TESTS, AND EXAMINATIONS? (1/3)

The table below provides an overview of who should mark which component, and for which grade. Please note that certain
subjects have special requirements. Please refer to the document Subject Requirements for FET Learners, as well as the
section below on invigilators and assessors for more information.

PAT, oral and task submission deadlines can be found on the Impaq calendar and on the Assessment screen on OLP. You will
see two sets of dates: suggested completion dates as well as the final submission dates. The suggested completion dates
are given as a guideline, however, the final submission date must always be adhered to.

It is vitally important that the invigilator ensures that all tests and examinations take place at the prescribed time and
on the prescribed date and that, where applicable, the answer sheets are uploaded to the electronic portal daily by the
submission deadline.

Manual submission of tests and exams is only permitted for EGD and practical papers for CAT, Dramatic Arts and Visual
Arts. Any other manual submissions received will be charged at R120 per paper.

Facilitators for Grade 10 and 11 learners may request that the formal assessments such as tasks and PATs be marked by
Impaq. Please note that Impaq accepts no responsibility for any assessment components lost either in the mail, via courier
or during assessment or moderation. Therefore, it is critical to keep a copy of each component that has been submitted to
Impaq. This will enable you to resubmit the assessment component, if necessary.

WHAT ARE THE ROLES AND RESPONSIBILITIES OF AN INVIGILATOR?

Apart from the Grade 12 final NSC examination (which is conducted by the assessment body, SACAI), all tests and
examinations for Grade 10, 11, and 12 must be conducted under the supervision of an Impaq-approved invigilator as per
Impaq’s requirements. Any individual who is over the age of 18, not a direct family member of the guardian and/or learner,
who has successfully completed the online invigilator training as supplied by Impaq, may act as an invigilator if pre-
approved by Impaq. It is the responsibility of the parent/guardian to recruit and nominate an invigilator, and to ensure that
the Impaq-approved invigilator is linked to the learner’s profile for the following tests and examinations:

• All term tests


• Grade 10, 11, and 12 June examination
• Grade 12 preliminary examination
• Grade 10 and 11 November examination

The fee for services rendered by the invigilator (including data, printing, and courier costs for deliveries to Impaq) must
be agreed upon between the parent/legal guardian and the invigilator. It is the parent/legal guardian’s responsibility to
ensure that the invigilator fulfils all the necessary duties. Impaq cannot be held responsible for negligence on the part of the
parent/legal guardian or the invigilator.

Please note:
• Immediate family members of the learner may not act as invigilators, even if listed as a tutor.
• Qualified assessors may not invigilate in the subjects they tutor/teach.
• Impaq does not provide a list of approved invigilators. Invigilator applications must be submitted by the account holder/
guardian. No applications submitted by invigilators will be accepted.
• For learners linked to a tutor: the tutor will automatically act as the chief invigilator for all Grade 10 to 12 learners linked to
the tutor's profile.

WHAT ARE THE ROLES AND RESPONSIBILITIES OF AN ASSESSOR?

An assessor is a qualified teacher who has a valid SACE number and the relevant experience to assess a Practical Assessment
Task (PAT) or oral for subjects in the FET Phase with practical components. It is the parent/guardian’s responsibility to ensure
that the necessary arrangements are in place and that an assessor is linked to the learner’s profile where applicable.

An Impaq-approved assessor is an assessor who is approved by Impaq. The assessor(s), as well as the process, venue, and
date, must be approved before the assessment takes place. The assessor should apply to Impaq for approval by providing
Impaq with their CV and proof of qualifications. Impaq-approved assessors are required for the assessment of:

• Grade 12 orals
• Grade 12 Dramatic Arts PATs
• Grade 12 Visual Arts PATs
• Grade 10 to 12 Consumer Studies PATs
• Grade 10 to 12 Hospitality Studies PATs

A competent assessor must adhere to the subject specifications as contained in this document, as well as the guidelines
in terms of the practical task that the learner must complete. Arranging a competent assessor is the responsibility of the
parent/guardian. Competent assessors do not have to be pre-approved by Impaq. Competent assessors are required for
the assessment of:

• Grade 10 & 11 orals


• Grade 10 & 11 Dramatic Arts PATs
• Grade 10 & 11 Visual Arts PATs
• Grade 10 to 12 Agricultural Management Practices (must be a farmer or veterinarian).

Learners/parents may arrange the assessment themselves, subject to the external examination board’s requirements and
approval, but may also make use of Impaq’s assessment events where possible. The cost for Impaq events and/or private
assessment will be for the parent/guardian’s account.

Zoom assessments are approved by the assessment body, SACAI, on a year-to-year basis. Please note that it cannot
be guaranteed that SACAI will approve Zoom assessments for any particular year; however, should this be the case, the
relevant guidelines will be communicated.

WHAT ARE THE REQUIREMENTS FOR AN ASSESSOR?

Further to the role and responsibilities of an assessor, a competent and/or Impaq-approved assessor must meet the
requirements per subject, as stated below. Please note that more in-depth requirements for each subject are made available

DOES IMPAQ ARRANGE FORMAL ASSESSMENT DAYS FOR PATS AND ORALS?

Impaq arranges dates, times, venues, and qualified assessors in certain areas to assess these components. Please consult
your calendar for details. Should the learner choose this option, Impaq must be notified. The cost for this option, as well as
the cost of the materials needed, will vary per subject. Invitations to these events are sent to learners in the FET Phase. Keep
an eye on the Optimi Plus online store (www.optimiplus.com), where tickets for these events may be purchased.

WHERE DO I CAPTURE MARKS FOR THE COMPONENTS I CAN MARK (GRADE 10 & 11)?

Impaq marks all Grade 10 and 11 tests and exams. Marks for assessment components that may be captured by the facilitator
must be captured on the Optimi Learning Portal. Alternatively, facilitators may submit the mark sheets to Impaq via email
(info@impaq.co.za), registered post, or in person.

Please refer to the section "How do I submit Assessment Components to Impaq" for more information in terms of assessment
components marked by Impaq.
Follow the steps below to capture a learner’s marks:

1. Log in to the Optimi Learning Portal (OLP)


2. If you have more than one learner registered with Impaq, select the relevant learner.
3. Navigate to the Assessment screen.
4. Select the relevant subject.
5. Capture the learner’s marks in the space provided.

HOW DO I SUBMIT ASSESSMENT COMPONENTS TO IMPAQ?


Manual submissions will only be accepted for EGD and the practical test and exam papers for CAT, Visual Arts, and
Dramatic Arts.

When submitting assessment components to Impaq manually, the following guidelines apply:
1. Complete the assessment task on folio paper, or as per the requirements of the assignment in the portfolio book.
2. Complete the appropriate barcoded cover page relevant to Grade 10, 11, and 12. Include the learner’s name, surname,
ID number, student number, and the date. Sign the declaration to confirm that the learner completed the work themselves.
3. Ensure that the learner’s information, e.g. name, student number, subject and task number, is also written on each folio
page of the task, test, or examination.
4. Staple the barcoded front page, as well as the assessment page (rubric), to the assessment component. Remember to
staple each assessment component and front page separately. It is critically important to use the correct barcoded cover
page for each assessment component to ensure that we identify it correctly.
5. Send the assessment component to Impaq. It may be sent via registered mail, courier, or delivered by hand.
6. In the case of CAT, each practical assessment must be submitted on a separate USB.

Please note: Assessment components must be submitted to Impaq electronically unless explicitly stated otherwise.
Manual submissions of tests or examinations (where applicable) must be submitted to Impaq in person or via courier on
the day of the relevant test/examination session.

HOW DO I SUBMIT ASSESSMENT COMPONENTS ONLINE?

All Grade 10 to 12 tests and examinations must be submitted electronically, apart from EGD and the practical tests/examinations for
CAT, Dramatic Arts and Visual Arts, which must be manually submitted to Impaq. Any other manual submissions received for tests and
exams other than those subjects specified will be charged at R120 per paper.

Grade 12 tasks must also be submitted online, with the exception of the practical components of the abovementioned subjects to be
manually submitted.

Benefits of electronic submissions:

• Save costs: you should save on fuel and courier costs even after subtracting the cost of data to upload the assessments.
• Save time: the time between uploading the document and receiving the marks will be less compared to mailing the hard
copy to Impaq.
• Reduce risk: documents will not get lost in the process.

What is needed?

• A device to scan handwritten documents.


• A scanner. This option is strongly recommended since it eases the task of scanning significantly. Furthermore, it will
ease the task of scanning if the scanner can scan both sides of the answer sheet. Scans can be in greyscale
(preferably), or black and white.
• Smartphone app. Install one of the many scanning apps that are available on smartphones. The app will require
you to take photos of each page of the answer sheet with your cellphone. The app will then convert the photos to PDF
documents. An example of such an app is CamScanner, which is free of charge.
• Access to the internet (and the Optimi Learning Portal) with enough data to upload PDF documents (approximately
5 MB per scanned examination paper should be enough).
• Invigilators will require access to OLP in order to electronically submit test and examination answer sheets.

How to upload assessment components (excluding tests and examinations):


1. Log in to the Optimi Learning Portal (OLP)
2. Navigate to the Assessment screen.
3. Select the relevant subject and filter per term.
4. Upload the assessment by clicking on the Upload button and following the steps provided.

SHOULD I KEEP COPIES OF THE COMPLETED ASSESSMENTS?

Yes, please keep copies of all Grade 10 and 11 assessments for at least three years. For Grade 12, please keep these copies for at least
18 months. Also, have recordings of orals available. In the FET Phase, copies of assessments may be required for moderation purposes.

CAN I RESUBMIT AN ASSESSMENT COMPONENT?

Impaq allows Grade 10, 11 and 12 learners to resubmit assessment components only under the following circumstances:

• The assessment piece was lost in the mail (proof of submission of the original component via registered post is required. A copy
of the component must be submitted with the proof).
• The learner received incorrect information from Impaq, and Impaq rectified it and notified all learners.
• Resubmissions must comply with the submission deadlines as published by Impaq.

HOW DO I GET A REPORT CARD FOR MY CHILD?

The Optimi Learning Portal allows parents and facilitators to gain online access to a learner’s marks and progress status, and
ultimately enables them to manage several key educational components online. A learner’s marks may be captured directly on
the system where applicable, and all the reports below may be generated on, and downloaded from, OLP. Since the facilitator
may enter marks throughout the year (Grades 10 – 12), it is important that the term or final report cards are generated only once
all of the assessments have been completed, and all marks have been captured correctly.

Once the final report is generated, no further upload, changes of marks, etc. can be done.

who are not registered schools (and therefore do not have an EMIS number as provided by the Department of Education), or are

(orals and practical tasks) that form part of the final mark. If a learner does not complete these components, their marks will be
incomplete. The assessment components are weighted and combined, as determined by CAPS, to calculate the final year mark.

WHAT HAPPENS IF WE CANNOT SUBMIT A PIECE ON TIME?
The following conditions apply to late submissions:

10 and 11 Tests and examinations must be completed and submitted on specified dates.
Mark capturing of the remaining SBA elements (excluding tests and examinations) must be done
before 2 December of the current academic year.
Failing to submit PAT and oral components on time will result in the learner having to reregister for
the grade in the following academic year.

12 Grade 12 learners cannot submit any component late and must submit all components by the
given deadlines.

CAN A GRADE 12 CANDIDATE APPLY FOR SUPPLEMENTARY EXAMINATIONS?

As of 2022, there will be no supplementary NSC examinations. However, SACAI will offer a full NSC examination annually in June/July as
well as in October/November. This option is available to learners with valid SBA/PAT/oral marks. Should you need more information in
this regard, please contact SACAI’s Examination Department (examnsc@sacailibrary.org.za).

HOW DO I CAPTURE MARKS FROM A REPORT CARD FOR THE PREVIOUS TERM(S) AT A MAINSTREAM SCHOOL?

These marks cannot be uploaded to the Optimi Learning Portal, because all report systems are different. We would prefer that
you send the report card via email to info@impaq.co.za, clearly indicating the student number so that we can keep a record of
the card.

CAN I APPLY FOR ACADEMIC ACCOMMODATIONS/CONCESSIONS?

Grade 10 to 12 learners may apply for academic accommodations/exemptions if needed. Note that strict application deadlines
