Introduction
This service is intended to aid Vilore’s
management and sales teams by executing
day to day business development activities. It
requires a calibration period of 30 days, in
which the scheduling, planning, sales and
admin processes are established.

Project objective
The main objective is to increase and optimize sales and management activity generating calls,
emails, follow-ups, scheduling meetings, performing market research and data entry, using
productivity software like MS Excel, Hubspot, MS Outlook, MS PowerPoint and computer software
in general. In this period administrative tasks and duties will be assigned to the virtual assistant.

Service description
A BPO Innovations Project Manager defines the requirements for the support figure through two
appointments of approximately 2 hours each. He/she reviews the sales/admin processes, defines
roles, sales cycle flow, technology used, data collection, reports, tasks and KPIs. Subsequently
he/she sets a go-live date, training of staff, support material and defines processes finally
assigning a virtual assistant to support the account.

Virtual Assistant Tasks and Processes

Each virtual assistant can perform the following tasks and activities:
 Answer and make phone calls
 Answer and write emails
 Schedule and confirm meetings
 Take notes in meetings and send meeting minutes
 Manage contact lists and or CRM databases
 Schedule reminders
 Create spreadsheets and documents
 Perform market research
 Perform data entry to CRM

Support Team

During the service execution, support is provided with the following team structure:

o Project Manager (Direct support to the assistant in daily activities)


o 1 virtual assistant (direct support)
o 1 backup assistant

* The virtual assistant service is measured by units of time consumed during the day. A unit of time is equal
to two and a half hours of virtual assistance per day (55 hours maximum per month). Support hours: Monday
through Friday from 8:00 AM to 5:00 PM (CST).

GENERAL CONDITIONS

● Prices do not include VAT or any other tax withholding outside of Guatemala.
● Invoiced monthly during the first 5 days of the month (30 days net).
● Minimum 3 month contract.
● Payments can be performed through international wire transfers or through credit card
(VISA, MasterCard or AMEX).
