Comments on Organization Structure

A successful organizational structure aligns with the company’s objectives and promotes effective
communication and collaboration. A hierarchical structure might be suitable for a large corporation,
ensuring clear reporting lines and accountability. In contrast, a startup might benefit, flatter structure
fostering innovation and flexibility.

The adaptability of an organizational structure is crucial in the ever evolving business landscape.
Companies that regularly reviews and adjust their structure based on internal and external factors
demonstrates a proactive approach to staying competitive.

Mahmood Group of Industries (MAG) really have a great organization structure. Everything is in
under control of CEO and Managing Director and furthermore General Managers & Assistants.

I worked in the accounts department of the Mahmood Agro Group of Industries in which they carried all
the information about their inventory, stock, credit sales, net sales, credit purchase, net purchase and all
the activities like this. I worked under the three accountants (Mr. Tahir who keeps the bank records & Mr.
Umair who makes sale invoices, cash receipt and cash payment voucher and Mr. Zeesahan who makes
the purchase invoices and salary sheets ) of unit 06 (Snacks and Confectionary) as an assistant. There is
also many other accountant who are keeping the record of other units like Ghee unit, Feed and Tea etc.
after making a final report, they have to take a print and submit it accounts head, then, accounts head
discuss it with the CEO.

 Detail of the tasks assigned to me

In the 1st week, they give me a task to file their previous different documents (cash payment voucher,
bank payment vouchers, Sale Invoices, Purchase Invoices, Cash receipt voucher and journal voucher). I
simply have to arrange the documents in ascending or descending order with their description, pick up
the new file and put them into the file and place the file at their place. They have different block for each
type of file like all the Cash payment are placed in one block and all cash receipt voucher are placed in
the other block.

Then, in the 2nd week, they give me a permission to sit with Mr. Tahir who is keeping the information
regarding bank accounts. He has the information that who is sending money to whom, when he is
sending money. He has to make an excel sheet to conform the daily payments or give its record to the
accounts head. After conformation, he put these entries into the companies ledger. He also make a bank
reconciliation statement for company after every 15 days as per the orders of the company. I simply have
to sit with him and recheck the payments either, is there any single mistake here or not.

Then in the 3rd week, I become able to make the excel sheet and can check the records of daily payments.
I have to open the companies payments group and check the daily base information, then write down it &
give it to my senior to check it either it contains some mistakes or not. He recheck it and send it to the
accounts head

In the 4th week they allow me to sit with another accountant Mr. Umair who makes Cash Payment/receipt
voucher, Sale invoices etc. he told me how to make these vouchers. The company have their self made
software. We have to enter the code of product in that software, place the quantity of the product

7
according to the order received from our party and take 2 prints of the invoice, one is sended to the store
room for fulfilling the order and other is to keep the record.

In the 5th week I learned how to make the cash receipt and payments voucher, we simply have to enter
the party code in the software and then enter the amount received or paid to them then simply take print
and place the print in the file after conformation.

I learned how to make the salary sheets and purchase invoices from Mr. Zeeshan. It is also simple, we
open excel sheet and add main heads into it like monthly salary, allowances, taxes etc. then we have to
add the allowances of deduct the taxes form their salary. Then, take a print and give it to the accounts
head for conformation. After salary sheets I used to learn how to make a purchase invoice, enter the code
of the all product into the software that you need, check it and sent it to the purchase manager, if he allow
to purchase then the sales process continues otherwise it stops at that place.

In the 6th week, the last week of my internship I practiced how to make salary sheets and purchase

Critical Analysis

My internship is much more related to the course of Accounting and Management. I have done internship
in the accounts department of Mahmood Agro Group of Industries, so most of the activities is related to
my accounting course. I studied the concept of Debit, Credit, ledger which really helps me in that field.
After this, I studied Bank Reconciliation in my course. This one thing is also helpful for me.

13
The course of business communication is also helpful for me. It told me how to communicate with your
seniors or superior ones. It also help me how to make my report. Then the course of organizational
behavior also help me that how to behave in an organization. My senior also told me that you have to
learn the about the behavior of organization.

These courses plays the major role in my internship program. I come to realize that, Our courses contains
just 40% part of our practical work remaining 60% a person learn from the environment and the behavior of
subordinates.

SWOT Analysis

Strength

 Easy availability of raw material due to location in agriculture country.

 High quality of finish goods (oil etc) due to application of modern technology.
 High demand for organization product in the market.
 Compatible prices generated high sales volume.
 Minimal expenditure on marketing strategies and sales promotion.
 Customer confidence due to quality of good approved by Pakistan standard.

Weaknesses

 Limitation in creativity of production due to high tax bracket.

 Disturb production schedule due to unannounced power cuts by electric supply company.
 Lack of branding and verity of goods offered by utilities producing unit.
 Unimpressive presents of utility goods in market.
 Outdated marketing policies.

Opportunities

 Opportunity for expansion of business in other provinces.

 Less restriction on international trade gives the organization an opportunity to import its raw material in
case of local shortage.
 Exporting the finish goods would give the company an opportunity of ground breaking in the international
syndicate of oil manufacturers/suppliers.
 Ongoing business environment in the region gives company an opportunity to look into the production of
more utilities products.

14
 Increased offering of consumer and utilities product would give company a chance to emerge as a rising
star on the horizon of dynamic utility offering entities.

Threats

 Presence of much larger, advance, aggressive competitors pose a massive threat to the revenue
generating capabilities of the firm.
 Ongoing political and government debacles risk the integrity of the working environment of the firm.
 High tax rates on oil manufacturers discourage the capability of the firm to give reasonable rate of return
on investment made by the stakeholders.

Unprofessional behavior of labor and work force can cripple the efficiency and effectiveness of the
company’s procedures and system.

Conclusion

To summarise, all three processes (SWOT, PEST, and 4 P's) have had an impact on our strategy and
marketing decisions. The SWOT analysis has assisted us in recognising and comprehending our
shortcomings, which will be beneficial since now that we know our vulnerabilities, all we need to do is
find a means to eradicate them. The PEST study has alerted us to the external influences that may have
an impact on the products.

As a result, the criteria discovered will be considered when making marketing selections. The
Competition Audit has shown us where MAG Limited rivals are (what level they are on), which is also
beneficial since it allows us to know what we are up against, what we need to do to move ahead, and
whether we are disadvantaged in any way. This is critical in a competitive setting because, as a
competitor, you cannot allow competitors to get an edge in any manner. This internship was quite
beneficial to me. I gained a lot of information as well as practical experience. It was my first encounter,
and it was definitely difficult, but it will be really valuable to me in the future. Overall, MAG Limited is
an excellent place to work, although there are some areas that may be improved. It is surviving in the
industry with certain advantages and disadvantages. I believe that if MAG Limited management wants to
achieve the same results in the future, it must make some decisions ahead of time, because in the
twentyfirst century, only those organisations can survive that use their human and material resources with
prudent planning and wisdom.

In the Northern and Southern markets, MAG Limited has a highly positive reputation. They employ a
variety of marketing methods. Because of efficient and effective marketing techniques, they are highly

15
successful in meeting their objectives. Despite this, their television marketing is subpar. The message
and attractive element are deemed inadequate. As a result, they must prioritise this as quickly as feasible.
Their ambition is also pretty astounding; if they are successful, their brand will become a national brand.

Recommendation

Activities at the Kiosk:

In bazaars such as Itwar Bazaar, stalls are rented. When you buy a little box of Hoor Ghee from one of
these vendors, you get a wall clock, cooking utensils, and a cup, among other things.

Special Events Activities include free Pakowra stalls in crowded bazaars during Ramadan. These shops
are advertisements in crowded bazaars.

Hoor Cooking Competition: They visit female schools, colleges, and universities to encourage students
to make a variety of meals.

These kids are given all of the things they need to prepare, including Hoor Ghee. Then rewards are
offered to the best cooks.
