6.1 Organizational Interfaces
1.0 PURPOSE
This procedure is structured to define technical and commercial interfaces between INSTRUTECH and
all parties involved in a project. Also, to establish firm control over all Contract interfaces during all the
project phases, the procedure provides for the control and exchange of information for critical project
elements such as work authorizations, scope of work, cost, schedule and technical data. That would help
to achieve defined project goals in terms of quality, time and cost.
2.0 SCOPE
This scope is designed to anticipate, resolve and eliminate problems such as:
• Items being inadvertently omitted by the client, subcontractor and other agents from a
project.
• Misunderstanding of Communication between the various parties.
• Resultant delays.
The procedure will avert these problems by proper management coordination.
Hence, the scope covers the followings:
Technical Interface between INSTRUTECH, CLIENT and SUB-CONTRACTOR.
Commercial/internal interface between personnel i.e Project Support Engineer, Logistics Coordinator,
Procurement Engineer, Subcontractor Rep, Commercial and Legal Adviser.

5.0 RESPONSIBILITIES
(a) Project Manager
1) Shall be the focal point of contact with client on project matters.
2) Establishment of project execution plan.
3) Manages subcontract interfaces.
4) Selects and prepares of work items for subcontract.
5) Manages any other Interface.
6) Makes project business decisions, manages the administration of the contract,
acquires and maintains the necessary resources for the project.
(b) Coordinators
1) Execution of the project manager’s decision and supervision of interface management.
6.0 PROCEDURE
Organizational interfaces occur whenever two or more organizations meet and need to describe
who does what, how it is done and the communication flows.

For each inter-company interface lead contact will be identified as the responsible personnel for
development and administering the interface.
Project Management
The Project management team members believe strongly in teamwork to achieve defined goals
in terms of quality, time and cost. In addition to the engagement of experienced personnel, there
are clearly defined responsibilities and communication lines. Appreciation and understanding of
all aspects of the work is necessary. Project Management personnel combine these with the
proven ability to lead multi-disciplined project teams and achieve the goal, which is completing
the project to the satisfaction of the client and company management.
The key personnel for the project shall be selected in such a way to ensure that an optimum
combination of design and construction-engineering experience is achieved. This will enable the
Project team to maximize engineering continuity in the team throughout the contract period.
All correspondence to from INSTRUTECH to: CLIENT (Company)
representative: All Correspondences from CLIENT to INSTRUTECH Project
Manager.
• Identifying the subcontractors for the tendering (See Corporate Procurement and
Materials Management Manual).
• Evaluation of quotations/tenders by construction and procurement manager.
• Establishment of contract between INSTRUTECH and successful bid.
• Identifying the relevant section that interfaces with subcontractor during execution.
• Monitoring execution of work in line with contract requirement using designated
personnel.
The INSTRUTECH Document Controller shall receive all correspondence from the client, date-
stamp and distribute to the relevant project personnel by the Document controller. Additionally,
each piece of correspondence shall be recorded on a project specific spreadsheet, detailing the
source, the date, reference number, subject and the recipients of that correspondence.
All letters, e-mails and faxes between INSTRUTECH and subcontractor shall be between the
respective project representatives and numbered sequentially.

Resultant delays.
Interface Management is therefore designed to foresee and resolve these problems.
Interface Management shall be the responsibility of each and every person on the project but
more closely monitored by the respective line coordinators.
Each line manager will be responsible for the identification and execution of its individual
interface activities and will liaise with any other line managers as required by the project Quality
and Safety plans.
Project engineering representatives will maintain contact with the respective sites to form part of
the Management Team for the sites during the entire period of the project.
Direct communication links shall be maintained with the Subcontractor at all times.
