Archives Management Information System (AMIS)

Is a unified data and knowledge infrastructure that collect/retrieve, process, store, and
dispense information to Supports decision making and control. It focuses on the
organization and its environment; captures all the stakeholders, customers, suppliers, etc.;
Regulatory agencies also interact in the AMIS of firms,

Domains of AMIS: Organizational; Management; Technological, But IS has to fit into

the organization’s culture, IS cannot replace creativity of the manager.

AMIS supports Management with information for: Operations, Administration, and

Decision making. The foundation of AMIS is databases, Today’s AMIS is a
computerized processing system, AMIS is used to analyze information, facilitates
strategic and operational activities.

Components of AMIS
Input, processing, and output, and a feedback system
• Input - captures or collects raw data
• Processing - converts raw input into a meaningful form.
• Output - transfers the processed information the users.
The feedback is output returned by the users; supports evaluation at the input stage

The five primary components of AMIS: Hardware, Software, Data (information for
decision making), Procedures (design, development and documentation), People
(individuals, groups, or organizations), Raw facts representing events, Data is organized
in standard formats or databases, Databases ease understanding and use, AMIS is
founded on databases.

THE ROLE OF MIS IN AN ORGANIZATION

Automation and reprography have come to play an important role in many aspects of
records management

The savings and cost avoidance attributable to records management systems and services
that are perhaps the easiest to identify and quantify are those that may be achieved
through comprehensive records retention and disposition scheduling, timely records
disposal, and maximum use of records centres for the storage and retrieval of semi-
current and inactive records
a properly designed and maintained vital records programme has the potential for
inestimable savings, not only of funds and material resources, but of human life itself, in
the event ofa major disaster.

Substantial improvements in administrative order and discipline, hence greater efficiency

and economy, can be achieved through the conscious and consistent management of the
whole process of records creation controls over the design, generation and distribution of
forms, reports, directives and correspondence as well as in the design of filing and
retrieval systems, files management and office copy machine management.
An enhanced level of responsiveness, both within government and to the public served by
government, may be achieved through effective filing and retrieval systems, well-
designed management information systems, correspondence management, and mail and
telecommunications management. Systems analysis has significant potential for process
improvement the saving of time and money in the processing and delivery of products
and services, and the qualitative improvement of end products and services.

AMIS in the heart while information is the blood (lifeline) of an organization , which
works through a variety of systems, such as Query Systems, Analysis Systems, Modeling
Systems and, Decision Support Systems.
• operational data and Strategic Planning
• Management Control,
• Operational scheduling and control
• Transaction Processing.
• Supports information generation and communication.
• Aids problem identification and sound decision making
• supports the business information value chain, adds value
by providing problem-solving

Factors responsible for success of AMIS

• Operational feasibility – design of the MIS is operationally
feasible.
• Goal oriented – intended result known and failures
explainable.
• Focused – information processing executed without noise.
• Human sensitive - Put up human aspects of the management
process.
• User friendly – usable with very minimal learning.
• Need oriented - Serve the organization’s information needs
