1 July 26-28, 2023 During the first week of my internship at Philippine


Airlines Express, I had the opportunity to acquaint
myself with various aspects of the organization.
The week was filled with orientation and getting
acquainted with the operations of the Flight
Operation Department.

Day 1: I commenced my journey by visiting the


medical department to submit my medical
clearance, ensuring that I was fit for my role.
Following that, I underwent an orientation session,
where I familiarized myself with the security
policies of the airline, understanding the do's and
don’ts to ensure a safe and secure working
environment.

Day 2: The HR team took me under their wing and


led me to the Flight Operation Department, where I
would be designated during my internship. I was
introduced to my supervisor Ms. Lea Bartolome,
who would guide me throughout the program.

Day 3: I had a comprehensive briefing with my


supervisor, which provided a clear instruction of
what my responsibilities would entail during my
time with the Flight Operation Department.
Additionally, I began my training to understand the
intricate details of the department's operations.

Most of my time was spent distributing Pershing


caps to pilots in both the Q400 and Airbus Pilots.
This task allowed me to engage with the pilots
directly and understand their needs and
preferences.

2 July 31 - August 4, In the second week of my internship, my task and


2023 responsibilities continued to revolve around
providing support to the flight crews.
Days 1-4: I continued the task of distributing
Pershing caps to pilots in the Q400 and Airbus
pilots, ensuring that each pilot received their
Pershing caps and was ready for their upcoming
flights.

Day 5: I assisted the Cabin Crews by providing


them with the necessary items for their uniforms,
including pins with their names, gloves, and crew
lists that they will be using during the flight. This
experience allowed me to appreciate the
teamwork and coordination involved in ensuring
the smooth functioning of airline operations.

During this week, my task remained on supporting


the pilots with their uniform and equipment needs.

August 7-11, 2023 Days 1-4: I continued to distribute items of the
pilot's Pershing caps, including jackets, vests, and
luggage. This task required attention to detail and
organizational skills to ensure all pilots were
equipped for their duties.

4 August 14-18, 2023 My internship involved various tasks, including


communication with pilots and data analysis.

Days 1 and 2: I used Microsoft Teams to message


the pilots, informing them about the availability of
their new uniforms and facilitating their claims or
pickups. This task allowed me to enhance my
communication skills.

Days 3-5: I was responsible for preparing a


Production Report and using software like Merlot
and Excel to calculate and compile flight hours for
both cabin crew and pilots during the month of
July. This information is essential for determining
their respective salaries. This task was crucial in
ensuring accurate records for the airline's
operations.

The tasks performed throughout the weeks involve


managing and distributing uniforms and related
items to pilots and cabin crew, as well as
administrative tasks such as record-keeping and
communication through Microsoft Teams.
Additionally, the use of productivity tools like
Merlot and Excel to track flight hours for salary
calculations demonstrates attention to detail and
precision in financial matters.

5 August 22-24, 2023 During this period, the primary tasks involved
using Merlot and Excel to calculate the flight
hours of the cabin crew members who underwent
regularization in the middle of July. Additionally,
the report outlines the task of packing Personal
Protective Equipment (PPE) for the pilots.

Task 1: Calculating Flight Hours Regularization in


the middle of July for Cabin Crew

One of the key tasks during this week involved


using Merlot and Excel to calculate the flight
hours of the cabin crew members who had
undergone regularization in the middle of July. The
Excel file used for this purpose was named "CC
Regularization in the middle of July." The objective
was to ensure that the flight hours for the cabin
crew were accurately recorded and tracked. This
is a crucial step in managing crew schedules and
ensuring compliance with regulations.

Accomplishments:

- Successfully accessed and processed the "CC


Regularization in the middle of July" Excel file.

- Employed Merlot and Excel to extract and


calculate the flight hours of the cabin crew.

- Verified the accuracy of the calculations and


cross-checked the data to avoid any
discrepancies.

- Generated a comprehensive report detailing the


flight hours for each cabin crew member who
underwent regularization in July.

Task 2: Packing Personal Protective Equipment


(PPE) for Pilots

Another important task during this week was the


preparation and packing of Personal Protective
Equipment (PPE) for the pilots. The safety and
well-being of our pilots are of paramount
importance, and ensuring they have access to the
necessary protective gear is essential, especially
in the current global health situation.

Accomplishments:

- Assessed the inventory of PPE items, including


masks, gloves, face shields, and sanitizers.

- Organized the packing process to ensure that all


pilots would receive complete PPE kits.

- Checked the quality and condition of each PPE


item, replacing any items that did not meet safety
standards.

- Completed the packing of PPE kits for all pilots,


ensuring that they are well-equipped to protect
themselves and others during their duties.

6 August 29-30 During the past week, I encountered an


unexpected challenge as I had to deal with an
unexpected illness. Due to contracting the flu, I
was compelled to stay at home for 1 week.
However, I utilized this time effectively to recover
and took a swab test to confirm that I was no
longer a health risk.

In addition to my health-related endeavors, I also


had the opportunity to manage and organize a
significant aspect of aviation equipment.
Specifically, I received two different types of
headsets for pilots - one for the Q400 and another
for the Airbus aircraft. It is noteworthy that these
headsets have a different feature, with the Q400
headset having two jacks and the Airbus headset
incorporating six dots.

To ensure proper inventory management and


confirm the completeness of the delivery, I
embarked on the task of inventorying these
headsets. I confirmed that the Q400 headset
delivery consisted of 100 items, while the Airbus
headset delivery included 200 items. Thankfully,
my inventory check revealed that the items
received and delivered to the Flight Operations
Department were accurate.

Following the inventory process, I initiated another


crucial task. I meticulously labeled each headset
with its respective Serial number and FOD (Flight
Operations Department) Headset control number,
which I obtained from the Flight Operation Tech.
For clarity and efficient identification, I tagged
both the Q400 and Airbus headsets with blue tags,
each displaying the FOD Headset control number.

Once the labeling was complete, I diligently


organized the headsets in the stock room, where
various supplies for our pilots are stored. I made
sure to segregate the headsets, creating separate
sections for the Q400, Airbus, and the seconded
pilots of the Philippine Airlines Express.

Speaking of the seconded pilots, it's important to


note that these individuals, although employed by
Philippine Airlines, have been temporarily
"borrowed" by Philippine Airlines Express to cover
specific flight requirements. After their contract
period, they will return to their original company,
Philippine Airlines.

In conclusion, during these two days, I


successfully managed the inventory of pilot
headsets, ensuring the correct quantities and
proper labeling. This endeavor was a testament to
my attention to detail and commitment to
maintaining the aviation equipment at the highest
standards, even in challenging circumstances.

7 September 4-8, This weekly accomplishment report details my


2023 tasks and activities during the week, primarily
focused on the distribution of headsets to pilots
and ensuring the completion of accountability
forms for different pilot groups, including Q400,
Airbus, and Seconded Pilots. This report outlines
the steps I took to fulfill these responsibilities and
highlights the importance of effective
communication with the pilots for additional
support and supply needs.

Day 1: My supervisor, Ma'am Lea Bartolome,


provided me with the accountability form via
Outlook for the distribution of headsets to pilots.
To streamline the process, I printed and xeroxed
multiple copies of this form. Following this, I
meticulously wrote the Serial number and FOD
control number on each accountability form for the
Q400 and Airbus pilots. This approach aimed to
simplify the task for the pilots, reducing the time
and effort required to fill out the forms accurately.
The completed accountability forms were then
placed in the respective boxes containing
headsets, ensuring that the forms were readily
available to pilots upon headset collection.

Day 2: I dedicated my efforts to creating


accountability forms tailored to the Seconded
Pilots. Their forms differed because they are
temporary pilots for Philippine Airlines Express.
Since they are temporarily "borrowed" by
Philippine Airlines Express to cover specific flight
requirements. After their contract period, they will
return to their original company, Philippine
Airlines. Unlike the other groups, Seconded Pilots
were required to return the headsets to Philippine
Airlines Express upon completing their contract,
as they are associated with the primary airline.
Customizing the forms was crucial to accurately
track the return of headsets for this specific
group.

Day 3-5: Over the course of three days, I initiated


the distribution of headsets to Q400, Airbus, and
Seconded Pilots. This involved coordinating with
pilots to facilitate the collection of their headsets.
I ensured that each pilot signed the distribution
list, which served as a record of who had received
their headsets. This meticulous record-keeping
was essential for the department to track the
distribution process accurately and efficiently.

Additionally, during the week, I capitalized on the


opportunity to communicate with the pilots. This
interaction allowed me to address any additional
needs or concerns they might have had regarding
the headsets or other supplies. Effective
communication with the pilots not only served to
address their requirements but also fostered a
positive and supportive relationship between the
department and the pilots.

This week, my primary responsibility was to


manage the distribution of headsets to different
pilot groups while ensuring that accountability
forms were appropriately completed. The process
involved careful organization, communication, and
record-keeping. I also used this opportunity to
engage with the pilots to understand and address
any of their additional needs. This report highlights
the successful completion of these tasks and the
value of effective communication in supporting our
pilots.

8 September 11-15, This week, my primary task was the distribution of


2023 headsets to pilots and assisting them with various
related tasks. The key highlights of my activities
during this week are as follows:

1. Headset Distribution: My primary task for the


week was to distribute headsets to pilots. This is a
crucial part of ensuring that pilots have the
necessary equipment for their flights. Several
pilots came to collect their headsets, which are
essential for communication during flights. I
ensured that the distribution process was smooth
and efficient.

2. Uniform Accessories Distribution: In addition to


headsets, pilots also needed to collect their wings
and bars for their uniforms. These accessories are
an important part of their attire, and I made sure
that pilots received them in a timely manner. This
ensured that they were well-prepared before their
flights.

3. Navbag Replacement: I also assisted pilots who


needed to replace their navbags. Some of these
navbags had become damaged and required
replacement. I accompanied the pilots to the
dispatch room where they could exchange their
old navbags for repaired ones. This ensured that
pilots had reliable navigation equipment for their
flights.

3. Navbag Stock Situation: I noted that there was


no new stock of navbags available this year. To
address this, I communicated to the pilots that the
requirement for replacing their navbags with a
brand-new stock navbag was a minimum of 2
years. This information was important to manage
their expectations and ensure that they
understood the current situation regarding the
availability of new equipment.

In conclusion, this week was primarily focused on


equipment distribution and ensuring that pilots
had everything they needed for their flights. It also
involved managing the situation with the navbags
due to the lack of new stock. Overall, I believe
that the tasks were accomplished effectively, and
I look forward to continuing to support the pilots in
the coming weeks.

9 September 18-21, During the week of September 18-21, 2023, I was


2023 assigned the task of preparing a Production Report
again for the month of August. This report involved
using Merlot and Excel to calculate the flight
hours of the cabin crew and pilots for the month of
August. These flight hours served as the basis for
determining their salaries. To achieve this, I
accessed the Merlot portal to obtain individual
summary reports, allowing me to compile and
analyze the required data.

The primary task for the week was to create a


Production Report detailing the flight hours of
cabin crew and pilots for the month of August.
This report is essential for the salary calculations,
as flight hours directly impact on their
compensation. The process involved the following
steps:
Accessing Merlot Portal:

I initiated the task by logging into the Merlot


portal, which serves as the central hub for all
flight-related data. This portal is crucial for
obtaining detailed information about each flight
crew member's activities, including flight hours.

Retrieving Individual Summary Reports: I accessed


individual summary reports for all cabin crew and
pilots. These reports contained comprehensive
data on their flight hours, including the number of
flights, flight duration, and other relevant details.
This data was critical for the subsequent
calculations.

Data Analysis and Compilation: Using Microsoft


Excel, my supervisor sent me the excel file format
that I will be using to insert, organize and
calculate the flight hours for each crew member.
The data extracted from Merlot was input into
Excel, allowing for accurate calculations. This
step required attention to detail to ensure precise
and error-free results.

Calculation of Monthly Flight Hours: I meticulously


calculated the total flight hours for each cabin
crew member and pilot for the entire month of
August.

Report Generation: With the flight hour data now


accurately compiled and calculated, I proceeded
to create the Production Report. The report
included individual flight hour summaries for each
crew member and pilots, ensuring transparency
and fairness in salary calculations.

Supervisor Review: I forwarded the completed


report to my supervisor for review and validation.
My supervisor will inspect the report to ensure
that the calculations are accurate and that there
are no errors in the data.

10 September 25-29, During this period, the primary tasks involved


2023 using Merlot and Excel to calculate again the flight
hours of the cabin crew members who underwent
regularization in the middle of August.

Calculating Flight Hours Regularization in the


middle of July for Cabin Crew

One of the key tasks during this week involved


using Merlot and Excel to calculate the flight
hours of the cabin crew members who had
undergone regularization in the middle of July. The
Excel file used for this purpose was named "CC
Regularization in the middle of August." The
objective was to ensure that the flight hours for
the cabin crew were accurately recorded and
tracked. This is a crucial step in managing crew
schedules and ensuring compliance with
regulations.

On September 29, 2023, we had a unique and


invaluable opportunity in our On-the-Job Training
(OJT) experience as Sir Buggie, a prominent figure
in the Cabin Crew Operations Department, asked
us to join with them. The highlight of the day was
our visit to a Philippine Airlines Express Airbus
aircraft. This visit was intended to provide us with
a practical understanding of the cabin crew's
responsibilities and the intricacies of their role.
Our day started with an exciting visit to the Airbus
aircraft, where Sir Buggie and Ma’am Carol, who
teaches the cabin crew trainees, guided us
through the aircraft's various compartments and
provided insights into the daily routine of cabin
crew members. This hands-on experience was
essential for us as aspiring cabin crew trainees, as
it allowed us to grasp the complexities and
demands of the profession.

Throughout the visit, we had the opportunity to


watch, listen, and closely observe how the cabin
crew familiarized themselves with the aircraft's
layout. We learned about the importance of
knowing every nook and cranny of the aircraft,
ensuring the safety and comfort of passengers
during flights. Sir Buggie's expertise and guidance
were invaluable as he explained the specific roles
and responsibilities of cabin crew members.

A significant part of our training involved an in-


depth understanding of the safety procedures that
cabin crew must demonstrate during their flights.
We observed the crew's meticulous pre-flight
checks, emergency exits, and safety equipment.
This exposure was enlightening as it emphasized
the critical nature of ensuring passengers' safety
while maintaining a calm and professional
demeanor.

In addition to the practical experience and


knowledge gained during our visit, we were
encouraged to document our experience. We took
pictures and notes to create a comprehensive
record of our learning journey. These records will
serve as valuable resources for our ongoing
training and for future reference.

In conclusion, our visit to the Philippine Airlines


Express Airbus aircraft with Sir Buggie and Ma’am
Carol was an exceptional and enriching
experience. It provided us with a real-world
perspective on the role of cabin crew members
and their dedication to ensuring the safety and
comfort of passengers. We are grateful for the
opportunity and look forward to applying the
knowledge and skills gained on this insightful day
in our future endeavors as cabin crew trainees.

11 October 2-6, 2023 During the week of October 2-6, 2023, I achieved
several significant milestones in my role at the
Flight Operations Department. These
accomplishments reflect my dedication to
improving processes, fostering teamwork, and
embracing unique opportunities.

October 2-4: Uniform Sample Distribution and


Measurements

I took on the essential task of receiving and


distributing prototype uniform samples for the
cabin crew. This included ensuring the correct
sizing for uniforms to be ordered, encompassing
small, medium, and large sizes. The cabin crew
took measurements in the lounge during a flight-
free period to confirm the prototype's accuracy. As
part of the process, I also underwent
measurements, determining that the uniform size
extra small is accurate to the prototype sample
uniform.
October 5: Volunteering for PAL Fun Run Kit
Organization

On October 5, I eagerly volunteered to organize


race kits for the Philippine Airline Express and
Philippine Airlines Fun Run. Together with Ma'am
Ella from the HR department, we visited the PAL
sport center. There, she provided guidance and
instructions, and we worked diligently to pack
race kits for the participants. Upon completing the
packing, we conducted an inventory to ensure that
the number and packing of race kits per
department were accurate. Subsequently, we
distributed these kits to various departments
within Philippine Airlines Express.

October 6: Distributing Race Kits and Participating


in PAL Fun Run

At the Flight Operations Department, I took charge


of distributing the race kits, using a prepared
distribution list for new participants in the PAL
run. I also utilized Microsoft Teams to notify
participants that they could collect their kits at
the FOD office.

The highlight of the week came on this day when


Ma'am Ella from the HR department informed me
that I had been selected to participate in the
ongoing "PAL run," an exciting event taking place
at Bluebay Macapagal Blvd. The following day,
which is saturday, I joined the fun run, which
turned out to be a fantastic opportunity. I
experienced one of the best events hosted by PAL
and PAL Express. This event was exclusively for
employees, and it was an exceptional privilege to
be a part of it. The race kits even included a
voucher for food, and I enjoyed meals at Bonchon
and Burger King. During the run, I completed a
5km route and received a well-deserved
certificate. The event truly embodied the PAL run's
tagline, "Mind, Body, and Wings: Embracing
Wellness and Togetherness."

In summary, my accomplishments during this


week demonstrate my commitment to contributing
to the Flight Operations Department and my
enthusiasm for engaging in meaningful
experiences within the organization. These
activities have allowed me to grow both personally
and professionally, and I look forward to
continuing to contribute to the success of the
team in the future.

12 October 9-13, 2023 I was assigned the task of preparing a Production


Report again for the month of September. This
report involved using Merlot and Excel to calculate
the flight hours of the cabin crew and pilots for the
month of August. These flight hours served as the
basis for determining their salaries. To achieve
this, I accessed the Merlot portal to obtain
individual summary reports, allowing me to
compile and analyze the required data.

13 October 16-20, Using Merlot and Excel to calculate again the


2023 flight hours of the cabin crew members who
underwent regularization in the middle of August.

One of the key tasks during this week involved


using Merlot and Excel to calculate the flight
hours of the cabin crew members who had
undergone regularization in the middle of July. The
Excel file used for this purpose was named "CC
Regularization in the middle of August." The
objective was to ensure that the flight hours for
the cabin crew were accurately recorded and
tracked. This is a crucial step in managing crew
schedules and ensuring compliance with
regulations.

One of my key accomplishments was facilitating


communication with the pilots via Microsoft
Teams. I successfully sent out message reminders
to all pilots regarding the deadline for claiming
their uniform supplies and amenities. To make this
communication even more effective, we attached
a visual aid in the form of a picture that clearly
illustrates the deadline date.

We acknowledge that the pilots have diverse


schedules and commitments that may
occasionally hinder their ability to promptly claim
their supplies. To address this concern, we have
taken the initiative to urge our pilots to inform us
in case they foresee any delays in claiming their
supplies. This proactive communication will
enable us to make the necessary adjustments and
arrangements to ensure that their needs are met.

14 October 23-27, This week was an eventful and fulfilling one, filled
2023 with diverse tasks and engaging activities.

Material Procurement for Philippine Airlines Event:


Collaborating with fellow interns in my
department, we were entrusted with the
responsibility of purchasing materials online for
the upcoming Philippine Airlines and Philippine
Airline Express Halloween event. Our role involved
sourcing designs for our booth and procuring
additional necessary materials.

Food Tasting and Evaluation: Participated in food


tasting sessions, my responsibility included
heating food and provided feedback on flight
meals for enhancement. Assessing and rating the
food quality was part of our responsibilities.

Candy Packing & Event Preparation: Together with


a co-intern, we packed over 400 loot bags filled
with candy corner candies generously sponsored
by Vice President Captain Raffy Andres. These
bags were prepared for children attending the
Halloween event on October 25, which involved
meticulous care and effort over two days.

Halloween Event Execution: On October 25, the


culmination of our preparations took place at the
Philippine Airlines sports center. Alongside my
fellow interns, we set up our themed booth
centered around Flight Operations, with a 'Buzz
Lightyear' theme. Dressing up as Jessie from Toy
Story, we created an engaging atmosphere for the
children and employees who attended the event.
Dressing up as Jessie from Toy Story added flair to
our department's participation, with other
employees joining in the cowboy/cowgirl theme.

Crew Mustahan Participation: Attending the Crew


Mustahan event, themed as a bingo night and
dining with catering, was an enriching experience.
Assisting in ushering and supporting the event, I
had the pleasure of participating in a unique bingo
game, themed around PALex domestic flights
using IATA codes, and even won a prize of one
thousand pesos along with a certificate.

Overall, it was a week filled with teamwork,


creativity, and successful execution of tasks
contributing to the success of various events and
initiatives within Philippine Airlines and PALex.

15 November 6 - 11, During this week, I handled various essential tasks


2023 to ensure smooth operations and support for our
pilots and cabin crew:

November 6: Managed the delivery and inventory


of Pershing caps for pilots, ensuring accurate
records and distribution to the intended recipients
based in Cebu.

November 7: Distributed necessary supplies to


pilots and offered assistance to ensure they had
everything required for their duties.

November 8: Rectified discrepancies in the


Production Report concerning flight hours due to
Flight Operations scheduling issues to Merlot site.
Generated the 2nd Adjusted Production Report for
September, ensuring accurate records.

November 9: Continued the process of adjusting


the Production Report for September.

November 10: Completed the second adjusted


Production report for September for pilots,
meticulously accounting for adjusted flight hours
to ensure accurate salary computations for the
following month.

My position and department at the Philippine Airlines Express is

in the Flight Operations Department. The Flight Operations Department

serves as the cornerstone of PALex's operational efficiency. This

department is responsible for overseeing flight planning, scheduling,

crew coordination, and ensuring adherence to aviation regulations and

safety protocols. As an intern within this department, I had the

invaluable opportunity to observe and contribute to the intricate

workings of flight operations, gaining firsthand experience in the

software to manage and order supplies crucial for the cabin crew

and pilots, ensuring inventory availability and efficient procurement

processes. Engaging in the end-to-end process of procurement,

from requisition to order placement and supply tracking, ensuring

timely and accurate delivery.

 Meal Preparation and Quality Assessment: Food Tasting

Preparation assisting in preparing meals heating and assembling.

Prepare and assemble meals according to established procedures,

which might involve heating food in microwaves or assembling

Interns from distant departments might receive less monitoring,

impacting their overall experience. Ensuring equitable attention

across departments would enhance the internship program's

 In my role as an intern, utilizing my supervisor's Microsoft Teams

and Outlook account is a crucial aspect of our workflow. However,

accessing this account requires authentication via an approval

process from a line administrator. This procedure often leads to

delays in approval, impacting our productivity due to the time spent

waiting for access confirmation.

 Another aspect that could benefit from enhancement is the conflict

resolution system. While the company is open to addressing

conflicts, there might be room for improvement in expediting


resolutions, the process to ensure quicker resolution, especially

concerning internships or OJTs onboarded with the company.

C. Feasible Courses of Action

 Implementing Intern Benefits, introducing a structured intern

benefits program that includes allowances for transportation or

meals would not only motivate interns but also ensure our well-

being during our internship. Consider establishing an intern support

fund aimed at providing financial assistance to cover transportation

expenses or meals for interns. This could be implemented through

a structured application process to ensure equitable distribution

based on genuine need.

 Implementing a structured monitoring system that uniformly caters

to all interns, regardless of department locations, would ensure an

equitable learning environment. Consistency in providing

experiences will significantly contribute to the interns'

development and the company's growth as a reputable training

establishment.

complete with user authentication accessible via mobile devices.

This solution would enable immediate commencement of tasks

without the delay of awaiting approval from a line administrator for

access.

could be explored. Although this involves technicalities and legal

implications, devising an alternative process could benefit both the

company and the interns. Implementing alternatives that

legal requirements, would be advantageous for both the company

and the interns' needs.
