Problem Statement

Cabadbaran City National High School currently faces challenges

related to fragmented information dissemination and manual attendance
tracking. The absence of a centralized platform often leads to inefficiencies
in communication, making it challenging for students, teachers, and
parents to access the attendance information seamlessly. Additionally, the
traditional manual methods of attendance monitoring are resource-
intensive, prone to errors, and do not provide timely insights into student
attendance patterns.

I – BRIEF CONTEXT AND OBJECTIVES

Introduction

In the ever-evolving landscape of education, it is crucial for

educational institutions to adapt and embrace technological advancements
to enhance the learning experience. One such innovation is the
implementation of an Integrated Attendance Monitoring System, which aims
to revolutionize the traditional attendance monitoring at Cabadbaran City
National High School (CCNHS). This system serves as a centralized platform
for tracking and monitoring student’s attendance.

Manual attendance methods are inefficient and do not meet the

requirements of today’s technology-driven era. The researchers are
proposing this project because of the need for a more advanced system that
could collect and analyze attendance data in a real-time and scientific
manner. The integration of a student portal and attendance monitoring
system would address these challenges and provide a more efficient and
accurate solution.
Objectives

The primary objective of implementing an Integrated Attendance

Monitoring System or ENTANA is to develop an effective system for tracking
and monitoring student attendance. This system aims to create an efficient,
secure, and technologically advanced educational environment. The specific
objectives of the system include:

 Developing a system that is user-friendly.

 Implement an automated attendance system to streamline tracking,
reduce manual effort, and provide real-time attendance data for timely
interventions.
 Utilize ENTANA to gather and analyze data related to attendance.

Scope

The scope of ENTANA primarily revolves around the development of an

automated system for tracking and monitoring student attendance. The core
functionalities of the system include student information encoding, and the
collection and gathering of attendance records. The intended users of the
system are students and school faculty, who will benefit from its features
and capabilities.

Literature Review

The integration of technology in education has reshaped the

landscape of teaching and learning, with a focus on enhancing educational
monitoring and student engagement. During the pandemic, similar to what
we are trying to provide, teachers have been using “Educational Monitoring
Systems” during online learning, it was truly effective in a student’s
academic progression amidst the pandemic which helped in continuing
education. After the pandemic, DEPED has abandoned “Educational
Monitoring Systems” and has returned to the old ways of teaching, which
really is a downgrade as to how effective it was. Even though people were
complaining of how online learning was difficult, with such hindrances
produced by COVID, people has disregarded the fact of how effective it was.

In the context of CCNHS, the implementation of an integrated student

portal and attendance monitoring system seeks to empower education by
providing a centralized platform for students, teachers, and administrators
to collaborate, monitor progress, and improve overall educational outcomes.
Educational Monitoring systems are instrumental in tracking student
performance, identifying areas for improvement, and enhancing overall
learning outcomes. These systems enable educators to gain valuable
insights into student progress, thereby informing instructional strategies
and interventions.

A. Elements of Monitoring Systems

Research has consistently demonstrated the positive impact of

educational monitoring systems on student achievement, engagement, and
retention. By leveraging data-driven insights, educators can tailor
interventions to address individual student needs, ultimately contributing to
improved academic outcomes. Student portals serve as a central hub for
students to access academic resources, monitor their progress, and
communicate with teachers and peers. The design and functionality of
student portals are crucial in promoting self-directed learning and fostering
a sense of ownership over one's education. Existing literature underscores
the role of student portals in promoting student engagement, self-regulated
learning, and seamless access to educational resources. Moreover, these
platforms facilitate effective communication between students and teachers,
thereby strengthening the student-teacher partnership in the learning
process.

B. Integration of Attendance Monitoring Systems

The integration of attendance monitoring systems with student portals

represents a significant advancement in educational technology. By
centralizing data collection, analysis, and reporting, integrated systems
provide educators and administrators with comprehensive insights into
student performance and learning patterns. Studies have highlighted the
potential of integrated monitoring systems in facilitating personalized
learning pathways, early intervention for struggling students, and data-
informed decision-making at the institutional level. The seamless integration
of attendance monitoring tools within the student portal fosters a holistic
approach to educational monitoring and intervention. The successful design
and implementation of an integrated student portal and attendance
monitoring system requires careful consideration of various factors. These
include user-friendly interface design, robust data security measures, and
stakeholder engagement to ensure system usability and acceptance. Best
practices in system design and implementation encompass iterative user
testing, customizable features to accommodate diverse user needs, and
ongoing professional development for educators to maximize system
utilization. Additionally, considerations for scalability and interoperability
with existing educational technologies are pivotal in ensuring the long-term
viability of the system.

C. A System of Change

Numerous case studies and success stories in the literature showcase

the transformative impact of integrated student portals and monitoring
systems in educational settings. These examples illustrate improved student
outcomes, streamlined administrative processes, and enhanced
collaboration among stakeholders. By examining these case studies,
valuable insights can be gleaned regarding the implementation challenges,
strategies for overcoming resistance to change, and the sustained benefits of
integrated educational monitoring systems.
II – PROJECT HIGHLIGHTS

ENTANA is a database-driven system designed to automate the

process of tracking and monitoring student attendance. It offers several
advantages and key features, including:

Automated Tracking and Monitoring

The system simplifies the task of tracking and monitoring student

attendance for teachers. By automating the process, it reduces manual
effort and provides real-time insights into student’s attendance.

Records Management

The system digitizes student records, making them electronic, safe,

accurate, reliable, and easily accessible. This ensures efficient management
of attendance and eliminates the risk of data loss or human errors.

Report Generation

The Integrated Student Portal and Monitoring System automatically

generates comprehensive reports on student attendance. These reports
provide valuable insights through graphical representations and tables,
facilitating a deeper understanding of student progress.
III – METHODS

Human Resources

At the beginning of this project, we propose to proactively extend a

collaborative invitation, seeking to engage the technical expertise of the
Information and Communications Technology (ICT) and Computer Servicing
Systems (CSS) students. This partnership will strive to create a dynamic
synergy, increasing the project’s efficiency and creativity.

Proposed Methodology

The main purpose of this project is to develop an effective system to track

and monitor students’ academic performance. The specific objectives of the
project are the following:

1. The system will be responsible for tracking and monitoring

attendance.

2. The system will produce accurate and reliable information.

3. The system will let monitoring of attendance hassle-free.

Project Monitoring

For the Project Monitoring, we'll have Mat Corvera take charge in
overseeing and optimizing the direction of our project and will be assisted by
his aides, AJ Carloto and David Tagalo. As the Monitoring Leader, his
responsibilities include tracking of project deadlines, resource allocations,
and performance indicators to ensure alignment with strategic objectives. As
the monitoring leader, he will negotiate hurdles and promote continual
improvement to ensure that the project run smoothly from start to finish.
