IV General Body Meeting

Agenda/Discussion and Decision Taken


MERWA has called for a General Body Meeting to assess the Issues, Resolutions,
Requirements, Estimations, and New Initiatives for the needs of Apartment.

Agenda:

1. Borewell Status
2. Financial Status
3. Inclusion of Water Tanker Bills in Maintenance
4. Party Hall Usage Policy
5. New Association Formation Announcement

Discussion Summary:

1. Borewell Status - Association have explained the status of all 3 Borewells and
mentioned to the flatmates that all the borewells are showing dry, hence all the
borewell motors have been shut down and to meet our daily needs association have
arranged\ordered the tankers from the beginning of the February 2024 and it will be
continued till we get sufficient water levels in the borewells and the same have been
agreed by all the flatmates.
2. Financial Status – Association have explained the current financial status and the
amount spent approx. 90K to purchase and install the new borewell motor and sump
motor to make borewell and sump operational. Association have proposed to fill in
the used corpus amount so that the same can be used for emergency needs in future
and it’s been clarified that the collected maintenance amount Rs.3000 per flat is only
sufficient for our fixed expenses like AMC’s, Security salaries, housekeeping salaries,
Diesel, Garbage collection. All the flatmates have agreed to refill the used corpus
amount and the same will be included in the monthly maintenance.
3. Water Tanker Bills – Knowing the status of the borewells, Association have ordered
the water tankers at a rate of Rs.550 for a capacity of 5000 litres tanker, currently
the need of water is 4-5 tankers in a day. Association proposed to include the water
bill in the monthly maintenance and agreed by the Owners.
4. Maintenance Amount – Considering all the above-mentioned importance, needs
and essentials Association proposed to collect the maintenance amount of Rs.5000
per flat including Water tanker bill and the same have been agreed by the Owners.
5. Party Hall Usage Policy – The party hall booking (on the account of New year eve)
amount Rs.500 have been waived off by the Association after discussing in the GBM
based on the request made by the concerned committee member and further
Association proposed to regularize and continue to charge all the party hall bookings
of Individuals and committee bookings except the Association Funded & Organized
Events and the same have been agreed by the Owners.

6. New Association Formation Announcement – As the current Association tenure is


commencing to the end by Mar2024, an announcement made to the Owners to
come forward and express the interest or nominate to form part of MERWA
Association. The nomination or interest can be communicated through the email
before 15th March 2024.
