2. Don’t expect that all presentations are compatible on different computers.
Video card requirement, MS Office Version, full disk space, low memory and
many other factors can spoil a presentation.
3. Check that the projector’s color resolution is the same with the computer
where the presentation was developed. This is to avoid destroying the slide
formatting and other color display problems.
4. Turn off the screen saver. Don’t allow the screen saver to interrupt the
presentation. Keep the audience focused on the content of the presentation.
5. Ask the audience to hold questions until the end of the presentation.
Questions are good indicator that the audience are engaged and interested in
the subject matter.
6. Avoid moving the pointer unconsciously. If not using the pointer, remove your
hand from the mouse. This helps to refrain from moving the pointer
unconsciously, which can be distracting.
7. No need to memorize the presentation. Practice the presentation to speak
from bullet points.
8. Stay on time. If there is no time limit, take less time rather than more to
ensure that people stay engaged.
9. Monitor the audience behavior. Monitor if the audience’s behavior is too much
distracted. Most likely the slides contain too much data or confusing and
distracting in some other way. Use the information learned each time to
improve future presentations.

Insert Picture from File
The Insert tab helps the user to insert pictures, music and videos. In addition,
look for pictures from other sources and download it from the internet to insert them
in the presentations. PowerPoint contains features that simplify the process of
adding media to presentation slides.

Editing Pictures
When adding pictures to the presentation, another tab appears in the ribbon.
The Format tab permits the user to format and edit the pictures and graphics. This
tab has four groups:
Adding Shapes
To insert Shapes in PowerPoint:
1. Go to the Insert tab and click the Shapes button.
2. Click the needed shape.
3. Draw it on the slide by dragging.

Inserting SmartArt
SmartArt graphics allows the user choose from available graphics including
flow charts, lists, cycles, and processes. To add SmartArt:

Inserting Table
To create a table:
1. Place the cursor on the page where the table
must be placed.
2. Click the Insert tab of the Ribbon.
3. Click the Table button on the Tables group.
The user can create a table in four ways:
a. Highlight the number of row and columns.
b. Click Insert Table and enter the number of
rows and columns.
c. Click Draw Table and then create the
table by drawing the rows and columns.
d. Click Excel Spreadsheet. Place the
cursor in the cell where to enter the
information and begin typing.
Inserting Charts
A chart, also known as a graph, represents levels of number data, exhibits
qualitative structures and present accurate information. PowerPoint offers many
types of charts including: Column, Line, Pie, Bar, Area, Scatter, and more that
allows the user to present information in
a graphic format.
To create a chart:

1. Click the Insert tab on the ribbon and choose Chart from the Illustrations
group.
2. Click the type of chart to be created and click OK.
3. A table will appear. Insert the data and labels.
Chart Tools
The Chart Tools that shows on the Ribbon and when the user clicks on the
inserted chart, it displays three tabs – Design, Layout and Format.
In Design tab, the user can control the chart type, layout, styles and location.
In Format tab, the user can adjust the fill colors and word styles.

1. Inside the presentation slide, click the audio clip (speaker) icon.
2. In the Playback tab, go to Audio Options group.
On the Start list option, select one of the following:
Automatically- to start the audio clip automatically, when the user
starts the slide presentation.
On Click- to start manually the audio clip when the user starts the slide
presentation and manually clicks the slide.
Play Across Slides option- once selected the audio clip will be played across
to all different slides in the presentation.
Loop Until Stopped option- audio clip will play continuously until the user
click the slide to stop.
Hide During Show- in this option, audio clip icon will be hidden when the
presentation starts to play.
Rewind after Playing – restart the audio after it is done playing.

Here are the following video clip’s playback options:
1. Inside the presentation slide, click the Play button on the Video clip.
2. In the Playback tab, go to Video Options group.
On the Start list option, select either one of the following:
Automatically- play the video clip automatically when the user
starts the slide show.
On click- to play manually the Video clip when the user click the
play button of the video inside the current slide.
Loop until Stopped option- Video clip will play continuously until the
user click the stop button of the video inside a slide.
Hide While Not Playing- video will be hidden while it is not yet playing.
Rewind after Playing- restart the video after it is done playing.
