Dear Exhibitors,

Thank you for exhibiting at the SPE ME Drilling & Technology Conference & Exhibition (MEDT). Enclosed in
this Exhibitor Service Manual (ESM) you will find information, guidelines and exhibitor order forms that will
help you carry on with the final stage of your event logistics and operations.

1. Form 1 - Exhibitor Profile: Please complete this form in the way you would like your company
profile, products and services to be listed in the on-site conference programme. Deadline of
submission 16 December 2016
2. Form 2 - Advertising in the Conference Programme: Fill in the form if you wish to place an
advertisement in the official conference programme. Full page advert costs USD 1200, however,
MEDT exhibitors get USD 300 off, so do not miss out on this opportunity to maximise on your
marketing initiatives and build brand awareness at the event. Deadline for submission of
Advertisement Form and artwork design is 16 December 2016
3. Form 3 - Fascia Board Signage (for shell scheme stand only): Please complete this form in the way
your company name should appear on the fascia board of your exhibition stand. The contractor
will print all fascia signs in one unified color and font. Company logos are not permitted on the
fascia board. Deadline of submission of form is on 16 December 2016
4. Form 4 – Furniture/AV Requirements: Last date for placing your request is 17 December 2016
5. Form 5 - Electrical Fittings & Main Supply Requirements Form:: Last date of placing your request
is on 17 December 2016
6. Form 6 - Stand Approval Form (for space stand only): Last date of placing your request is 16
December 2016 Only pre-approved stand designs will be allowed to proceed for build-up at the
venue. Height limited to 3 meters.
7. Form 7 – Complimentary Passes - Last date for placing your request is 16 December 2016
8. Catering, Floral Requirements, Hotel Reservations and Visa: Detailed information on pp 18-19.
9. Visitor Passes: You will be sent a soft copy of visitor invitations by email soon. These passes can be
handed over to your prospective clients or customers to invite them to your exhibition stand at
MEDT. Invitation can be brought and register on site.
ALL DEADLINE DATES SHOULD BE OBSERVED VERY STRICTLY.
SPE DOES NOT GUARANTEE PROCESSING ANY LATE ORDERS RECEIVED AFTER THE DEADLINE DATES.
LATE SUBMISSION WILL BE SUBJECT TO SURCHARGES AS PER THE STAND CONTRACTORS POLICY.

HOTEL: The official hotel for MEDT 2016 is the Jumeirah at Etihad Towers Abu Dhabi. All events will take
place under one roof and we do recommend that you book your accommodation at the same hotel.
Deadline for hotel bookings is 17 December 2015 after which rooms and rates will be subject to availability.

exhibitor delegate will receive a copy of the official Conference Programme. The conference programme
will have the full and final agenda of the event.

board of your stand. Only a maximum 30 letters are allowed (including punctuation marks, space
breaks or symbols). Addresses will not be included and ‘Company, Limited etc’ will be abbreviated.

The Contractor will print all the fascia signs in one unified colour and font for all exhibitors. No
exceptions will be made. Placing of logos or other corporate identification signs on the stand’s fascia
is prohibited.

Please note that space with carpet will be provided for you on build-up. Stand designs need to be
restricted to a height of 3m.The maximum load capacity of the flooring (wooden platform with
carpet) inside the tent is 500kg per sqm. The contractor needs to send this form and the stand
design for approval by December 16, 2015 to ccarandang@spe.org ; cc: zhussein@spe.org

Electricity Supply

Please note that only space will be provided for you to build-up. For the electric supply your
appointed contractor should bring their own distribution box and inform SPE on the required supply
in amperes during the submission of the stand design. Appointed contractors should also be
informed to bring required length of 32 Amp / 64 Amp power cords with additional male/female
pins for power supply from the venue. SPE recommends that the contractors do a site visit for the
same before the event.

*Only pre-approved stand designs will be allowed to proceed for build-up at the venue. To apply for an appropriate main power
supply please refer below for options and fill in Form 5 on the previous page.

All Exhibitors will receive additional Passes and Invitations as per the suggested sliding scale:

Each complimentary Conference Registration gives the individual access to the whole event. Each
complementary Booth Personnel Pass gives access to the opening ceremony, closing ceremony,
poster sessions, exhibition area, luncheons and coffee breaks only. To claim these complimentary
passes, please fill the separate form and send it back on or before December 16, 2015.
Should you require additional Booth Personnel passes to man your stand please fill out the exhibitor
registration form and a confirmation with invoice will be sent to the email address mentioned.
Please note that each additional Booth Personnel Pass is USD 300.
Each exhibitor is also entitled for free visitor invitations (will be emailed to you soon) which can be
used to invite peers, suppliers, customers and/or their contacts to the These passes give the holder
access to the opening ceremony, exhibition, coffee breaks, poster sessions and the closing
ceremony.
The deadline for pre-registering all above passes is 11 January 2016. Badges will be ready for pick-
up onsite at the registration counters. Please see Schedule of Events on page 6 for more
information.

Catering and Floral Requirements

Jumeirah at Etihad Towers, Abu Dhabi is more than happy to help you out with your catering and floral
requirements if orders are placed by December 16, 2015. Please note that SPE will not take any
responsibility for orders made. Please obtain confirmation for your requirements by December 16, 2015

Hotel Reservations

The official hotel for MEDT 2016 is Jumeirah at Etihad Towers, Abu Dhabi. All events will be run under one
roof and we recommend that you book your accommodation at the same hotel.

Please be advised that SPE has blocked a number of rooms at the Hotel at negotiated rates. Kindly note that
the reservation request must be received by the hotel no later than December 17, 2015 after which
reservations will be subject to availability and rate.

Visa Information
The following nationalities can obtain visa upon arrival at the any of the airports in the United Arab Emirates.

Europe: United Kingdom, France, Italy, Germany, Holland, Belgium, Luxembourg, Switzerland, Austria,
Sweden, Norway, Denmark, Portugal, Ireland, Greece, Finland, Spain, Monaco, Vatican City, Iceland, Andorra,
San Marino, Liechtenstein.

America: USA and Canada.

Oceania: Australia and New Zealand.

Asia: Japan, Brunei, Singapore, Malaysia, Hong Kong, South Korea.

Gulf Cooperation Council Countries (GCC): Saudi Arabia, Qatar, Oman, Kuwait and Bahrain.

AGCC Residents: AGCC expatriate residents who meet certain conditions may obtain a non-renewable 30-day
visa upon arrival at the approved ports of entry; they may be businessmen, company managers or
representatives, auditors, accountants, doctors and engineers. AGCC residents visas should be at least 3
months valid before its expiration date and passport expiration date should not be less than 6 months.

*Note: The list of the countries mentioned above is subject to change as per the rules of the government of
United Arab Emirates. If in doubt regarding visa on arrival possibilities, please get in touch with the UAE
embassy in your respective location.

*Please feel free to email ccarandang@spe.org regarding any invitation letter you may require for visa
processing at your nearest UAE Embassy. SPE Middle East, North Africa and India will assist in providing visa
invitation letter, upon request in writing, to confirm registrants after receiving full payment of registration
fees. Visa invitation letters take five days to issue from date of the request and it is the delegate’s
responsibility to obtain their own visa. SPE cannot issue the visa nor can guarantee it will be obtained.

would be able to provide you with visas against your hotel booking:
