Event Space Terms and Conditions

The Banquet & other event spaces at Lodha developments are world class and are created to
enable our residents to avail of a 5-star setting at affordable rates, with the convenience of
these being at their doorstep. Generally, events shall only be allowed to be used in designated
event spaces which are chosen by HPM taking into account resident needs and to ensure that
the lives of non-participating residents are not disturbed. In select cases, use of non-designated
public spaces as event spaces is permissible (see Annexure 1).

However, we need to maintain a balance between the emotions of the member celebrating a
happy/ memorable occasion and the sentiments and comfort of the larger community. The
Event Space facility is provided at very nominal rates and hence there will be constraints in
terms of what is allowed, such that the community at large is not inconvenienced.

This Standard Event Space Terms & Conditions policy is written with the intent of providing a
guideline on how to ensure an Event Space event does not disrupt the daily routine of other
members and also that our asset is well maintained.

STANDARD EVENT SPACE TERMS & CONDITIONS

Terms & Conditions

The following terms & conditions have has been agreed upon between

Event date: 3rd Feb 2024 (4:30 pm to 6:30 PM) 2hours only

1. A signed copy of this document must be shared with the Hospitality & Property
Management team a minimum of 1 week prior to the event along with a returnable
Security Deposit cheque (signed undated cheque drawn in favour of Macrotech
Developers Limited). In case of any damage or non-adherence to the regulations, the
same shall be adjusted with the Security Deposit.

2. The Member agrees that all invites to the event and vendor staff will adhere to the rules
laid down with reference to property damage and privacy and safety of other residents.

3. Ensuring that event space is not used in a manner which makes life unpleasant for other
residents:
i. In any outdoor area (including lawn):
a. No usage of loudspeaker/equivalent other than following times: 10:00 am -
2:00pm and 5:00 pm to 10:00 pm.
b. Maximum DB level at source shall not exceed permissible limit (110 DB) at any
time. If HPM finds that this level is exceeded (when complaint is received and/or
during its own check), HPM shall immediately stop the music (including if
required, by removing power supply) in the first instance for 15 min and if there
is a second violation, then for the entire duration of the event. This applies to
event as well as Baraat / equivalent.
c. Lights / projections which go into any resident’s window / deck are not
permissible.
d. No fire crackers are permissible to be used during such events.
e. Baarat will be allowed for upto 30 minutes at a designated area (max. distance
of 100 mtrs). To prevent traffic disruption, baarat procession will NOT be
allowed to move from point A to point B inside the premises.

ii. In indoor areas:


a. Maximum DB level at source at the entry to the space shall not exceed
permissible limit (110 DB)at any time. If HPM finds that this level is exceeded
(when complaint is received and/or during its own check), HPM shall
immediately stop the music (including if required, by removing power supply) in
the first instance for 15 min and if there is a second violation, then for the entire
duration of the event.
b. Lights / projections which go into any resident’s window / deck are not
permissible.
c. No fire crackers are permissible to be used during such events.

4. Community Privacy and Safety Considerations:


i. The Member agrees that the event will not inconvenience or cause disruption to
the other members of the community.
ii. The Event Space charges are nominal being a residential community and this
means that the normal routine and lifestyle of the other members has to be
respected.
iii. Invitees and vendor staff will be restricted to the Event Space areas only since
all facilities such as the Swimming Pool, Gym, Games, etc. will be operational;
no photographs will be allowed in these areas.
iv. The entire common area is a “No smoking” zone
v. No lights / projections which may disturb resident’s windows are permissible.
vi. Post set-up, for the safety and privacy of our residents, only essential staff will
be allowed in the venue and they must not loiter in residential areas.
vii. Adequate Valet staff to be arranged as per guidelines defined by the Hospitality
& Property Management team. Accurate number of external invitees must be
shared prior so that there is no inconvenience to other residents.
viii. All payments to be collected from the member/ resident making the booking by
cheque/ CC in advance for the fixed charges e.g. venue rental, valet, etc. Any
additional charges for additional venue rental, etc. only may be collected later.
No cash transactions allowed.
ix. Vendor staff must clean up the area and loading bay, clear garbage prior to
moving from the premises.
x. All set up material will be brought in using only the service entrance or as
advised as per the regulations laid down by the HPM Team. Preferred time for
material delivery is 10 AM to 06 pm. In case of large set-up, material must be
brought in smaller pieces and then assembled at the venue. The vendor must
first unfold a protective sheet before work is started on erecting stage/ any
other structures.
xi. All contract labour to carry their I. D. Cards and name of Main Vendor must
feature in the pre-approved list submitted by the Member.

PROPERTY PROTECTION:

5. We request the event company to kindly check all the panels / walls / carpet for any
pre-existing damages before they start their set up. The same should be pointed out by
the event company team member to Hospitality & Property Management team. Any
damage seen at end of the event would be billed to the Member’s Security deposit.

6. All equipment to be kept covered with a tarpaulin to protect carpet/ floor from any
damage. All the loose wires to be properly covered with black tape or cloth. Truss to
have a protection at base before placement to avoid any damage to the carpet.

7. Workers transporting set up material through the property must be appropriately


dressed. They are expected to wear closed footwear (no slippers) at all times. Harnesses
to be used for any installation / truss above 4 ft. Good quality ladders must be used.

8. All equipment will be carried in and out only on trolleys by personnel of the exhibitors /
organizers, ensuring no damage to property flooring / carpets.

9. Helium/ CO2 gases/ cylinders are not permissible in the venues.

10. Please ensure the technicians on site carry the Supervisory license issues by the Local
Government Electrical Department.

11. Electrical safety - No loose or temporary connections will be allowed. Correct plug must
be used for all electrical connections.

12. All contractors/workers to use designated staff washrooms only.

13. All service entrances / fire exit doors and CCTV cameras must be kept clear (without any
blockages) as per fire safety regulations/ requirements.

14. Any standees / banners must be placed within the dedicated Event Space allotted. All
banners to have self – supporting stands. Use of nails, pins and Double-sided tape/ Duct
tape on the walls is not permitted. Carpentry/ painting work will not be allowed inside
the halls.

15. The power supply arrangement has to be done by organiser by submitting form to
Torrent power and get sub meter installed for the same.
16. Please note that no LIVE FLAMES are permissible in the venues.

17. For any set-up work, the vendor team will ensure that noise levels will be kept to a
minimum, so as not to cause any disturbance to residents. In the event of any
disturbance, work that is causing noise will be stopped.

18. All vendors are advised to clear their equipment / material from the premises
immediately after the function is over. At the close of event, all material present in the
hall will be solely at the risk and cost of the organizer. The Hospitality & Property
Management team will not in any way be responsible for the material.

19. Labourers, staff, workers coming for the event set up should not be found smoking, or
sleeping. Non adherence to this clause will attract a penalty.

The organizer is expected to convey the above to all sub-contractors and participants in order to
avoid any inconvenience/ deviation from the above said rules.
