Science”, Chapter 29: The Power of Big Data
29.1 The Importance of data
We can say that data accompany us throughout our lives. Then what is
data? Many people think that data is just some numbers. For example,
experimental data and statistical data that we commonly speak of are
presented in the form of numbers. However, these are only data in a narrow
sense. Some people think that data can also include information and
intelligence. For instance, a word that we often mention, database, is the
amalgamation of data that follows a certain format. The data in a database
could be the basic information about people in the organization, such as name,
gender, age, contact information, education, and resume. Most of these data are
in number form. Some people also think that the definition of data can be even
broader to include information of any format, such as the content on the internet,
archival materials, design blueprint, medical records, videos, and images, etc.
This is data from a broad view.
To some extent, human civilization and progress are accomplished
through gathering, processing, and utilizing data. In prehistorical times, our
ancestors had already been using data before tools for recording information
where invented. In ancient Chinese legends, there is the story of Fu Xi inventing
the bagua (see image below). Fu Xi was one of the three prehistorical emperors
in Chinese legends who reigned earlier the Yan and Huang emperors. Some
people say that Fu Xi was a tribe instead of a person, but this is not important,
According to the ancient Chinese mythology, the bagua or the eight trigrams he
invented could be used to predict the future.
We will not comment on whether Fu Xi’s bagua work or not but this story
demonstrated that in prehistorical times, people already knew how to use
different conditions (which are in fact input data) to classify good and bad lucks
in the future into an 8 or 64 categories (output data). How could they categorize
the future like this and convince so many people? This is because many people
believe that what they have heard and seen in the past (data) can improve the
accuracy of this kind of categorization.
What is It

Methods of input
Every one of us should perform a few substantial engagements to provide
input information. Several devices and techniques have been established to
allow this.

1. Keyboard input

This is by far the most common way of inputting data into a computer.
An application or program needs to be running to accept the keystrokes, for
example, a word-processing application or perhaps a command-line interface
for instructing the operating system.

The user may be entering unprompted data, or the computer might have
made a specific request for information.

2. Natural Language

This method involves speaking into a microphone connected to the


computer. An application running on the machine takes in the output signal
from the sound card and interprets it into digital data. This data may be
commands for the computer, or they may be direct data to be stored in a file.

For example, a voice-activated computer as found in some cars will obey


a specific set of commands (e.g. "Radio On"). Also, applications such as
speech-to-text dictation will accept the spoken word and format it into a text
file.

The main disadvantage of natural language is that it is still not very


accurate especially in the presence of high background noise. It also takes
practice to avoid, 'Ums' and 'Ahs' when voice dictating.

3. Touch

The simplest kind of touch interface has been the touch-sensitive


button. But this method has come into its own recently. For many years touch
was limited to using a finger to select items on devices such as public
information kiosks or through-the-window selection screens at estate agents.

But now tablet computers, smartphones, and interactive desk surfaces


are making sophisticated use of touch technology. For example, placing a
finger over a displayed item then skidding it across the screen by simply
sliding your finger. Or using two fingers moving away from each other to zoom
in on a displayed object.

4. Pointer

The classic pointing device is the mouse. Although there are other
devices such as light pens which are also used as a pointing device.

A pointing device is mainly used to select items on the screen.

A graphical user interface makes extensive use of the mouse as a


pointing device.
Additional Information:

Movement

The joystick has been the mainstay of movement control, but recently
far more sophisticated movement sensors have become popular as a game
interface. Holding one of these devices in your hand allows the computer to
sense arm swings and other movements. The arm swings are used to control
a game or other entertainment applications. There are now computer
interfaces that detect arm and leg movements directly without any need to
hold a sensor

Ways of Inputting Data Into Computer

Starting and Exiting Word 2016

To open Word 2016:

1. On the Start screen, look for Microsoft Word, then click it. OR
2. Click Search, type in Microsoft Word 2016 and click it.

To Exit Word 2016

1. Click the File tab then click Exit; OR


2. Press Alt+F+X or Alt +F4 function key.

To Create a Blank Document

1. Click the File tab on the Ribbon.


2. Click New in the left pane.
3. Under Available Templates, choose the Blank document.
4. Click the Create button in the right pane. AND THEN a new blank
document opens in a new window.
Note: Upon opening a blank document, the cursor, a blinking vertical line in
the upper-left corner of the page, signals where the next character you will
encode appears.

Starting and Exiting Excel 2016


To open Microsoft Excel 2016:

1. On the Start screen, look for Microsoft Excel, then click it. OR
2. Click Search, type in Microsoft Excel 2016, then click it.
Ways to exit Microsoft Excel 2016

1. Click the File tab, and then click Exit.OR


2. Press Alt+F+X or the Alt+F4 function key. OR
3. Click the Close button (X) in the upper right-hand corner of the Excel
program WINDOW.

Inputting and Editing Data

Inputting data in Excel means entering data into cells. It recognizes


three different types of data entry namely: text, numbers, and formulas.

To enter data in Microsoft Excel 2016, you must select a cell first.

How to encode or enter data:

• Using the active cell


a. Choose a cell by clicking on it and begin encoding your data.
b. As you encode characters from the keyboard, an insertion point
will appear in the cell. The characters will appear both in the cell
and in the formula bar.
c. Press enter when finished inputting.

• Using the formula bar


a. Click on the cell where you want to encode the data.
b. Navigate your cursor to the Formula bar and click it.
c. Encode your data.
d. Press Enter when finished.

Methods of Checking the Accuracy of Information


1. Validation
A check that is performed by the computer as the data is being entered.
It tries to prevent the entry of any data that does not conform to pre-set rules.
Validation does not stop incorrect data from being entered, however; it does
ensure that data is: sensible, reasonable, within acceptable boundaries,
and complete.

Checks that can be applied fall into several categories: Range, type,
presence, length, lookup, picture, and check digit.

Range Checks

Sets an upper and lower boundary for the data, data entered must lie
between these two boundaries.

E.g. Years 7-13


Type Check

Make sure that all the data entered is the correct type, including
numeric, string, Boolean, and date/time. Type checks will not allow you
to enter the wrong type of data.

E.g. Word entered into a numeric field will be rejected.

Length Check

Any data entered into a computer has a length, length ensures


that the data cannot be more than a set number of characters.

Lookup Check

Where data is cross-referenced against a list to make sure that it


is valid and acceptable – Cross-referencing may give additional
information. Lookup validation is not a search, it is a comparison
against known data.

Picture Check

Also known as a format check, some data entries might be a


combination of numbers and letters, therefore you cannot apply a type
check.

Check Digit

Check digit is calculated using a set of numbers and added to the


end of them. When the code is created, the check digit is created and
added to the code. Before the code is then processed, the check digit is
recalculated and compared with the one in the code. If they are the
same, processing continues. If they are not, an error has occurred, and
the code value needs to be re-entered.

2. Verification

Data collected from a form will eventually need to be entered into a


computer giving you two copies, paper-based and digital. The paper-based
is known as the source document and digital copy, object document.
Verification is making sure that the information on the source document
is the same as the object document. Two main methods of verification:
double entry and manual verification.
Double entry

Entering the data twice, the computer compares the two sets of
data, and differences are informed to the user to make the appropriate
changes. The password is one method of double-entry that you will
come across.

The main problem with a double entry is that if the same error is
made both times, then the computer will not find a difference.

Manual entry

Manual verification is essentially proofreading the data. This


involves comparing the source data with the entry typed into the
computer. It relies on the person being able to follow two sets of data. It
is not very reliable, as it is difficult to transfer attention between screen
and paper.

Common errors

Two most common errors are caused when entering data into a computer

are transcription and transposition errors.

Transcription errors- Mistakes made when copying the data.

E.g. Spelling Error

Transposition errors- Mistake of swapping two letters in a word.

Media Storage
Storage keeps data, information, and instructions for use in the future.
All computers use storage to keep the software that makes the hardware work.
As a user, you store a variety of data and information on your computer or
storage media. Storage media are the physical materials on which data,
information, and instructions are kept. When a user saves information or data
to a storage medium, he or she is storing a file, and this process is called
writing. When the file is opened the process is called reading.
Common storage media are:

1. Hard Drive: This storage medium which looks like the one below, is a
hard drive. This medium comes with a computer and is always inside the
computer. It stores all the programs that the computer needs to work.
Besides, users store their data and information on the hard drive.

3. CD & DVD: These types of storage media hold much more information than
the floppy disk before. They are also considered portable storage. These types
of storage media come in different forms. This means that there are CDs and
DVDs that you can only save information on but you cannot erase the
information. Also, some can both save information on and erase the
information you have saved.

4.USB or Flash Drive: This is a storage medium that is very easy to carry
around and it also holds more data than an outdated floppy disk. As you can
see from the picture below it is very small when compared with the others.
Ways to Store Inputted Data

The succeeding information deals with the basic ways of saving inputted
data since this will be comprehensively discussed in Module 8. Let this serve
as an introduction to module 8 activities instead.

Save using a toolbar

All programs with toolbars have a Save icon resembling any of the below
icons which are of a floppy diskette. Clicking the save icon in the toolbar opens
the save window for new files or save changes to the existing file if it already
exists.

Save using the keyboard shortcut

To save a file using a shortcut, press either Ctrl+S on a PC or


Command+S on an Apple computer. If supported, the program either saves
the file as its existing name or opens a save window for a new file.
Save using the file menu

Most programs also support the option of saving the file through
the file menu. Clicking File at the top of the program window or screen gives
you a menu to Save the document.

Understanding how Save works

When you are working on a new file and use either of the above options
to save the file, a save window opens. You can name the file and select where
to save the file on your computer using that save window. After this
information is entered and you click the Save button, the file is saved. If you
make changes to the file and save it again later, the file name and location of
the file on the computer remains the same.

If you have opened an existing file or want to change the file name or
file location, you need to choose the Save As option. The Save As option
provides the save window and allows you to change the file name and file
location. If this information is changed, and you continue to work on the file,
the file is subsequently saved to the new file name and location.

Note:

If you use the Save As option and change the file name or location,
you'll have two copies of the file. Unless you are doing this as a method of
backup, you can save yourself from confusion by deleting the old file from
the computer. Otherwise, you will realize you have two files on the computer
that resemble each other, but they are not the same.

How to Name the File


Today, almost all programs support long file names, and the file name
can contain any alphanumeric character and many special characters, except
those shown below. It is a good idea to name the file as something that relates
to the file. It's also a good idea to put the current year in the file name, so you
know at a glance when the document was created.

So, if you want to name your file "Tax Information," consider naming it
"Tax Information 2019," for example.

Tip:

If your file has multiple revisions, we recommend you include the month
and date of the file in the file name. For example, if you named the file "2006-
03-resume" and you had multiple résumés from different years and months,
you can sort the files and find the version you wanted.

Ten Steps to Help You Decide on What Will be a Good


Ergonomic Design for Your Situation

1. How will the computer be used?

• Who will be using the computer?


If the computer will only be used by one person then the arrangement
can be optimized for that person's size and shape, and features such as
an adjustable height chair may be unnecessary. If it's going to be used
by several people, you will need to create an arrangement that most
closely satisfies the needs of the extremes, which is the smallest and
tallest, thinnest, and broadest persons, as well as those in between
these extremes.

• How long will people be using the computer?


If it's a few minutes a day, then ergonomic issues may not be a high
priority. If it's more than 1 hour per day you should create an
ergonomic arrangement. If it's more than 4 hours, then you should
consider implementing an ergonomic arrangement.

2. What kind of computer will be used?

Many ergonomic guidelines for workstation arrangements assume that


you will be using a desktop system where the computer screen is separate
from the keyboard.

For sustained use, you should consider purchasing an external monitor


and external keyboard, preferably with a negative-tilt keyboard, both, and
arranging your workspace to create a good workstation layout.
3. What furniture will you use?

Make sure that the computer (monitor, keyboard, mouse) is placed on


a stable working surface (nothing that wobbles) with adequate room for proper
arrangement. If the work surface is going to be used for writing on paper and
computer use, the flat surface should be between 28 to 30 inches above the
floor (suitable for most adults).

Choose a system that is height adjustable, that allows you to tilt the
keyboard down away from you slightly for better wrist posture (negative tilt),
and that allows you to use the mouse with your upper arms relaxed and as
close to the body as possible and with your wrist in a comfortable and neutral
position.

4. What chair will be used?

Choose a comfortable chair for the user to sit in. If only one person is
using this, then the chair can even be at a fixed height providing that it is
comfortable to sit on and has a good backrest that provides lumbar support.
If more than one person will be using the computer, consider buying a chair
with several ergonomic features.

5. What kind of work will the computer be used for?

Try to anticipate what type of software will be used most often.

• Word processing: arranging the best keyboard/mouse position is a


high priority.

• Surfing the net: arranging the best mouse position is a high priority.

• Data entry: arranging the best numeric keypad/keyboard is a high


priority.

• Games: arranging the best keyboard/mouse/gamepad is a high


priority.

6. What can you see?

Make sure that any paper documents that you are reading are placed
as close to the computer monitor as possible and that these are at a similar
angle - use a document holder when possible.

The computer monitor should be placed:

• Directly in front of you and facing you, not angled to the left or right.
This helps eliminate too much neck twisting. Also, whatever the user is
working with, encourage him/her to use the screen scroll bars to ensure
that what is being viewed most is in the center of the monitor rather
than at the top or bottom of the screen.
• Center the monitor on the user so that the body and/or neck isn't
twisted when looking at the screen.

• Put the monitor at a comfortable height that doesn't make the user
tilt their head up to see it or bend their neck down to see it. When seated
comfortably, the user's eyes should be in line with a point on the screen
about 2-3 inches below the top of the monitor casing.

7. Posture, posture!

Good posture is the basis of good workstation ergonomics. Good posture


is the best way to avoid a computer-related injury. To ensure good user
posture:

• Make sure that the user can reach the keyboard keys with their wrists
as flat as possible (not bent up or down) and straight (not bent left or
right).

• Make sure that the user's elbow angle (the angle between the inner
surface of the upper arm and the forearm) is at or greater than 90
degrees to avoid nerve compression at the elbow.

• Make sure that the upper arm and elbow are as close to the body and
as relaxed as possible for mouse use - avoid overreaching. Also, make
sure that the wrist is as straight as possible when the mouse is being
used.

• Make sure the user sits back in the chair and has good back support.
Also, check that the feet can be placed flat on the floor or a footrest.

• Make sure the head and neck are as straight as possible.

• Make sure the posture feels relaxed for the user.

8. Keep it close!

• Make sure that those things the user uses most frequently are placed
closest to the user so that they can be conveniently and comfortably
reached.

• Make sure that the user is centered on the alphanumeric keyboard.


Most modern keyboards are asymmetrical in design (the alphanumeric
keyboard is to the left and a numeric keypad to the right). If the outer
edges of the keyboard are used as landmarks for centering the keyboard
and monitor, the user’s hands will deviate because the alphanumeric
keys will be to the left of the user's midline. Move the keyboard so that

• Make sure that the phone is also close to you if you frequently use it.

9. A good workstation ergonomic arrangement

This will allow any computer user to work in a neutral, relaxed, ideal
typing posture that will minimize the risk of developing any injury. An ideal
keyboard arrangement is to place this on a height-adjustable negative-
tilt tray. An ideal mouse arrangement is for this to be on a flat surface
that's 1-2 inches above the keyboard and moveable over the numeric
keypad.

10. Where will the computer be used?

Think about the following environmental conditions where the


computer will be used:

• Lighting - make sure that the lighting isn't too bright. You shouldn't
see any bright light glare on the computer screen. If you do, move the
screen, lower the light level, use a good quality, glass anti-glare screen.
Also, make sure that the computer monitor screen isn't backed to a
bright window or facing a bright window so that there's the screen looks
washed out (use a shade or drapes to control window brightness).

• Ventilation - make sure that you use your computer somewhere that
has adequate fresh-air ventilation and that has adequate heating or
cooling so that you feel comfortable when you're working.

• Noise - noise can cause stress and that tenses your muscles which can
increase injury risks. Try to choose a quiet place for your workstation,
and use low volume music, preferably light classical, to mask the hum
of any fans or other sound sources.
