Dear the CEO of HCPS,

In the name of Desiree Roland Consultants SA, I am writing this e-mail to inform you that the research
and the analysis have been completed and we found out serious communication problems within your
company that I am going to briefly describe them then outline the actions that should be taken.

Starting with the problems, you are having an organization problem. Actually, the employees don’t
know each other and managers are confused about who they should report to. Added to that, you are
having bad customer relations since the explanations are complicated for them to understand.
Furthermore, having normal hours of working is distracting employees because they can not balance
between their work and their families’ duties anymore.

These were the main communication problems in your company that will affect your employee’s
motivation to work and that’s why we suggest you the following action plan.

First of all, you should have immediately a meeting to get to know each other and to discuss the
appropriate re-organization for your company. This meeting will be a good opportunity to start having
team building sessions. Secondly, keep it simple for your customers all they need it a clear explanation
to find what goes the best with their needs. Finally, “flexitime” is important in order to have well-
focused employees and by time this flexible time will keep them motivated to work and innovate.

To conclude, I would like to mention that good communication is the key to a motivated staff and a
successful company.
