The primary challenge of project management is to achieve all of the project goals and objectives while honoring the preconceived project constraints. Typical constraints are scope, time, and budget. Primavera helps in doing this and more. It is available to all projects across the enterprise and supports centralized project and resource management. These calendars define the available work hours in each calendar day. You can also specify national holidays, your organization's holidays, project-specific work/nor work days, and resource vacation days. Calendar assignments are used for activity Scheduling, tracking, and resource leveling. Whether an activity uses its assigned calendar or the calendar of an assigned resource depends on the activity type you specify Three calendar pools are defined: Global, Resource, and Project. The global calendar pool contains calendars that apply to all projects. The project calendar pool is a separate pool of calendars for each project. The resource calendar pool can be a separate pool of calendars for each resource. Adding a Project A project is a set of activities and their associated information that constitutes a plan for creating a product or service. A project has a start and finish date, work breakdown structure (WBS), and any number of activities, relationships, baselines, expenses, risks, issues, thresholds, and work products/documents 3.2.1. Project Detail Tabs The Project Detail tabs are located in the bottom layout of the Projects window. They can be used to define the project properties and defaults that will be applied throughout the selected project. 3.3.4 General Tab The General tab enables you to view or modify general information about the selected project. The project ID, project name and responsible manager can be set when you create the project. If necessary, you can change them here. The remaining fieids are set by default. Relevant project level settings are discussed below + Project ID — short, unique identifier for the project. The project !D needs to be unique for planning, tracking and reporting purposes. You can enter a value between Very High and Very Low; the default is Medium + Leveling Priority - user-defined rank of the project among all other projects, considering its importance to the organization's strategy in completing their mission. You can enter a value between 1 and 100; the default is 10 © Checkout Status — indicates whether the project is checked in or checked out. The planned start and must finish dates can be set when you create the project. Notebook Items are project notes, such as the project's purpose, core requirements, or any other project-specific details. * Notebook Topic — list of topics assigned to the selected node/project + Detail — user-defined description of the selected topic. You can use HTML editing features, including formatting text, inserting pictures, copying, pasting, and adding hyperlinks. Click the Assign button. 3.4 Work Breakdown Structure (WBS) The WBS is a hierarchical arrangement of the products and services produced during and by a project. It can be divided into top and bottom layout. They are the lowest level of a work breakdown structure (WBS) and, as such, are the smallest subdivision of a project that directly concerns the project manager. Although you can divide activities Into steps, an activity's primary resource is typically responsible for managing and tracking the progress of an activity's steps, while the project manager is typically responsible for managing and tracking the progress of the overall activity 3.5.2 Activity Types 4. Task Dependent = Typically used when the work needs to be accomplished in a given time frame, regardless of the assigned resources’ availability. * The activity's resources are scheduled to work according to the activity calendar. This chapter describes resources, roles, and resource codes. + Resources Overview You can develop a resource plan that integrates resources, costs, and the schedule so you can effectively control your projects. Begin by defining a list of all the resources necessary to complete the projects included in your enterprise project structure (EPS). For each resource, set availability limits, unit prices, and a calendar to define its standard worktime and nonworktime. Define shifts and apply one or more of the shifts to the resources to whom they apply. An activity is delayed if too few resources are available at any time during the activity’s duration. Expenses are not included when leveling resources You can select the resources to be leveled, and you can add leveling priorities that specify which project or activity is leveled first when a conflict occurs. The maximum amount of work that a resource is capable of performing for a given time period is defined by the resource’s Max Units/Time in the Units & Prices tab in the Resources window. Organizations using Primavera ProjectLink cannot level resources for Microsoft Project (MSP)-managed projects in the Project Management module. For more information on Primavera ProjectLink, refer to the Primavera ProjectLink Help in Microsoft Project (available only if Primavera ProjectLink is installed). You can access the help by clicking the Help button on any ProjectLink screen Level resources Open the projects that contain the resources you want to level. Choose Tools, Level Resources. You can set several resource leveling options to meet your requirements. Click Level after you make your selections. Mark to automatically level resources each time you schedule a project. Mark to delay activities with resource conflicts only up to their late finish dates, then type the Minimum amount of total float and specify the maximum percentage by which the resource availability can be increased. Mark to level all resources, or clear and click Select Resources to specify the resources to be leveled. Mark to recalculate all resource and role assignment costs after you level resources. For example, if resources are assigned across multiple projects, you can determine Whether to consider the resource assignments in other projects when leveling. A leveling priority number is assigned to each project when you add the project (in the Projects Details General tab.) In the Level Resources dialog box, mark the checkbox to consider assignments in other projects and specify the priority value you want to consider. If you mark the Preserve Scheduled Early and Late Dates checkbox, the projects current early dates are retained before leveling. Wipro Limited 60 WIPRO 6 Project Monitoring 6.1 Baseline The final step in the project planning process is to create a copy of your project plan, called a baseline project. You can compare a baseline to the current project to evaluate progress. Over the life of a project, you may create one, two, or more baseline plans. Customizing a Layout 6.1.1 Benefits of Baselines Baselines provide a target against which a project manager can track a project's cost schedule, and resource performance What-if baselines enable you to enter different scenarios to analyze how they would affect the current schedule. (Create a copy of the project: make its status What-f, and Convert it to a baseline of the current project.) 6.1.2 Creating a Baseline In order to create a baseline for a project, that project must be open. If more than one project is open, the Baseline dialog box displays group title bands for each one, with any existing baselines beneath their related projects. Wipro Limited Pn 6.2 Customization 6.2.1 Grouping Organize activities by grouping one or more data items, including phase, department, responsible person, dates, total float, custom user field, and others Grouping data enables you to focus on activities that have something in common Various hierarchies are available for viewing project data, including the EPS, OBS. dnd WBS. You can further organize a hierarchical view of data by grouping and Sorting activities. In addition, some fields available for grouping may also have a hierarchy (or number of levels) associated with them. For example, cost accounts may contain several levels of codes. You can specify the number of levels to display in the layout when you group by a hierarchical code. You can further organize your layout by using sorting to arrange the order of activities. If you use both grouping and sorting to organize your layout, the items are grouped first and then sorted Grouping/Sorting can be done in Projects, Activities and Resources window. 4) To organize the activities activate View /Group & Sort menu. 2) Group the Activities based on the requirement (eg. WBS and Activities Codes) 3) Sort the activities under each group by activating Sort menu, 4) Click ‘Apply’ > OK. For example, you can view active projects or activities scheduled to start during the next three weeks. Use the filters supplied or create your own. Apply one or more filters to the layout at any time. Steps to apply a filter: 4. Choose Project, Activities, then choose View, Filters 2. Mark the checkbox next to the filter you want to apply 3. To preview your changes, click Apply. Update progress for all activities and resources as whole, update activities and resources individually, update progress from timesheets, or use a combination of these methods * If your project is progressing exactly as planned, or if you only need to estimate progress, simply specify the data date or “as-of' date and allow the module to determine which activities have progressed and how much, calculate the remaining durations of activities that have started, and set the remaining durations of activities that have completed to zero * If your project is not progressing as planned-many activities are starting out-of sequence, activities are taking more or less time to complete than originally planned, actual resource use is exceeding planned use update activities and resources individually. This will help you forecast the effects of unforeseen circumstances, so that you can take appropriate corrective action. * . Most projects contain some activities that progress as planned and some which do not. In this case, combine the two updating methods. Calculate your project as if it is progressing exactly as planned, and then individually update those activities and resources that have deviated from the plan Once you update a project, choose File, Commit Changes, to save your changes and update the database immediately. Closing also automatically commits data changes. Manually Applying Actual 1) Activities, which are not progressing as per plan, can be statused separately from Activity Details. 2) Select the activity to be statused and activate activity details from Display options. 3) Activate Status tab from activity detail and give Start Date and Finish Date if activity is 100% complete. 4) Give Start Date and Percentage completion if the activity is in progress. 5) Schedule the project by giving the Data Date, the date up to which progress of project is recorded 6) Compare the current project schedule with the baseline project Wipro Limited 69
