THE CONSTITUTION OF MATISI REFORMED YOUTH

2.0. OBJECTIVES

 To unite the community


 To make peace in the community
 To enhance developing projects
 To uplift social culture and economic welfare
 To help hospital bills and in funerals the group is non-political

2.1. ACTIVITIES

 Table banking
 Business
 Merry-go-round

NB registration for new members is Ksh500 non refundable

3.1. CEASING OF MEMBERSHIP

A member ceases to become a member when;


a. He/she dies- the group may pay back the deceased savings through next of
kin after 60 days
b. He/she voluntarily withdraws 3 months
c. Becomes insane
d. He/she behaves in a manner that the group is likely to suffer and is expelled
by committee

Any member can be expelled because of the following reasons;

 Theft of group funds


 Decline to pay loan
 Showing disrespect to group/members
 Being inactive in group activities

3.2. RIGHTS OF MEMBERS

1. All members have the right to vote and to be vote for any position
2. All members have the right to participate in group undertakings
3. All members who wish to leave the group due to illness or other reasons
have that right
4. Every member has a right to inspect the books of account
5. Every member has a right to take part in decision making
6. All members are entitled to equal contributions of capital.

3.3. DUTIES OF MEMBERS

1. To pay all monthly contributions on time


2. To attend all group meetings
3. To be active in managing group projects
4. To abide by the group regulations
5. To conduct themselves well according to the societal values.

4.0. MEETINGS
The meetings will be held quarterly. However, special meeting may be held if
requisitioned for by members for a specific purposes by order in writing.

The quorum for the meeting shall be 75% of the members and resolutions shall be
passed by simple voting by a show of hands or social media votes.

Annual general meeting shall be held at the end of every financial year.

5.0. OFFICE BEARERS

The office bearers of the group shall be;

1. Chairperson
2. Secretary
3. Treasure
4. Secretary general

NB- We should be having voting/ choosing of new leaders after 1 year

5.1. DUTIES OF THE CHAIRPERSON


 To chair meetings.
 The spokesperson of the group.
 Shall , in liaison with the secretary, treasurer and secretary general, make
emergency decisions then seek approval from the members as soon as
possible.
 He/she shall give the agenda of the meeting and sign minutes
 He/she shall make sure all group projects are managed effectively
5.2. DUTIES OF THE SECRETARY
 Keeping all records of the group
 Shall write and keep all minutes of the group meetings
 Shall be incharge of all correspondence between group members
5.3. DUTIES OF TREASURER
 Shall keep proper books of accounts which will be made available for
inspection on demand.
 Shall ensure that group monies are used for the intended purpose
approved by members
 Shall at all time be called upon to give the financial standings of the group.
 Banking of the group monies and keep proper books of account.
 He/she shall be group a bank signatory.
5.4. DUTIES OF THE SECRETARY GENERAL
 Will oversee all the work of Chairperson, Secretary and treasurer
 Will be part of the plan for every meetings and group function
 Shall be in charge of all correspondence between group members
 Maintaining effective records and administration
 Shall be communication officer

5.5. GROUP FUNDS
1. Members contributions
2. Fines and penalties
3. Group savings
4. Interest from the banks
5. Any income generating activity from the group.

The finance of the group shall be used to;

 Invest as appropriate to generate further finances for the group.


 Purchase movable and immovable assets for the group.
 Pay for the services of the group employees if any
 Miscellaneous expenses such as stationary, furniture, maintenance and
transport.
5.6. CUSTODY OF FUNDS
1. All the group funds shall be kept in the group bank account. The authority
to withdraw group money shall rest within the group member’s decision.
2. The treasurer must be a signatory to the bank account together with
chairperson and secretary.

The group shall keep the following boos,

 Minutes books
 Members register
The above books of account and members register must be available for
inspection to all members at any time.

RULES OF THE GROUP

Lateness /absenteeism without apology –Ksh20

Absent without apology – Ksh50

AMENDMENT OF THE CONSTITUTION

The constitution is subject to amendments as circumstance demands and the


resolution can only be passed by 2/3 of the members.

Any members can propose amendment to constitution.

DISSOLUTION OF THE GROUP

The group can dissolved by agreement, if 2/3 of the members vote for such
resolution ad upon dissolution,

The group assets and liabilities will be distributed amongst the members equally.

Notice of the dissolution of the group shall be given to all members of the group
atleast 21 days before the date of the meeting.

Members shall be jointly and severally liable for the liabilities of the group.
