School’s academic partners and institutional linkages require information of students who
undergo work immersion, training, or study for the processing of application and evaluation of
training.

10. Different departments and offices of LVCS that process students’ personal information relevant
to their operation such as but not limited to Registrar’s Office, Student Affairs and Services
Office, Library, Accounting and Finance Office, Guidance Office, Student Discipline Office,
Administration Office, etc. that may need students’ information.

11. Confidential information may be disclosed in exceptional circumstances such as when a student
may harm himself/herself or other individuals, and when a student’s life is in danger or his/her
health and safety is threatened.

12. There are CCTV cameras located in strategic places within LVCS premises for security
purposes. Images captured by these cameras shall be utilized in investigating matters that
require investigation and in answering legal inquiries in case a crime is committed in the area, or
for clarification of certain incidents that happened within the area covered by the CCTV.

13. The Office of Student Affairs and Services and other LVCS departments post images on LVCS
website, official school paper, social media, tarpaulins, and other publication or materials. These
images are taken during school activities, trainings, seminars, competitions, awarding, and
recognition ceremonies. In line with this, students’ and parents’ Consent Form are signed during
opening of classes to allow LVCS to capture, post and use students’ photos for official school
publications and other legitimate purposes.

14. The Office of Student Affairs and Services regularly conducts random surprise inspections in
classrooms to ensure students’ safety as well as compliance to different school policies
pertaining to chewing gums, deadly weapons, drugs, cigarettes, gadgets, cellular phones, etc.
Surprise inspection may include but not limited to checking of students’ belongings including
bags and pockets. Confiscation of prohibited items is part of the penalty. Student violators are
reported to the Office of the Discipline Officer for proper investigation.

15. LVCS maintains relevant data beyond students’ period of study in school. Such are used in
providing information to those whom students had given consent to access data including
different agencies and offices that need to verify students’ information upon application for
work. The LVCC Alumni Affairs Office will also need students’ data to keep alumni informed of
homecoming schedules and activities.

16. Changes in LVCS Data Privacy Policy involving privacy statements, policies, and practices are
given due credence to comply with government’s regulatory requirements, to adapt to new
technologies and protocols, to align with existing industry practices, and for other legitimate
purposes.

17. For queries, complaints, and suggestions regarding Data Privacy Statement and Data Privacy
Policy, please communicate with the LVCS Data Protection Officer.

STUDENT’S RESPONSIBILITY ON DATA PRIVACY

1. Students’ data that are processed and used by the school are based only on information given by
students and thus, LVCS cannot be held responsible for errors in school documents due to
erroneous data supplied by students. These errors cannot be changed unless students furnish
LVCS with the correct and updated information. It is the student’s responsibility to update and
correct his/her information and provide the necessary supporting documents if needed.

2. LVCS will allow students to access their personal data once they have submitted the complete
documentary requirements upon admission or their previous school had provided LVCS with

necessary credentials. A written request for the release of student’s data record must be coursed
to the Registrar’s Office and a fee corresponding to it must be paid at the Cashier.
3. Students conducting research who need to process other student’s data shall be subjected to
LVCS Privacy Policy and the Data Privacy Act of 2012.

primary information that you gave us during enrollment. And as you continue your studies, the record of
your academic performance, grades, and awards will be added to your personal information. We are
mandated by the Department of Education to encode students’ basic information in the Learner’s
Information System (LIS) and give consolidated report including the list and number of enrollees, so
that the government can monitor the status of education delivery in the country. (Kailangang kulektahin

Registrar’s Office and Admission Department – This office is in-charge of keeping your
academic records. They make sure that the storage of your academic records is safe and
accessed by authorized personnel only. (Ang tanggapang ito ang nagtatago ng inyong academic
records. Sinisigurado nila na ang kinatataguan ng inyong academic records ay ligtas at naa-
access lamang ng mga awtorisadong tauhan.)

Office of Student Affairs and Services (OSAS) – This office is responsible for work
immersion and student activities. For the work immersion, students are asked to give personal
information to the company where they will undergo on-the-job training while there are school
activities that may require posting of student’s photo and personal information on the school’s

official Facebook page and other social media accounts. (Ang tanggapang ito ang
nangangasiwa sa work immersion at student activities. Para sa work immersion, nagbibigay
ang mga mag-aaral ng personal na impormasyon sa kumpanya kung saan sila magkakaroon ng
on-the- job training samantalang may mga school activities naman na maaaring
mangailangang mag-post ng larawan at personal na impormasyon ng mag-aaral sa opisyal na
Facebook pages ng paaralan at sa iba pang social media accounts.)

Accounting Office – This office is in-charge of all financial matters in school. Your statement of
account is being kept in this office. (Ang tanggapang ito ang namamahala sa lahat ng mga
bagay na may kaugnayan sa pananalapi sa paaralan. Ang inyong statement of account ay
iniingatan sa tanggapang ito.)

Guidance Office – This office is in-charge of everything that concerns students’ behavior. It
works hand in hand with the Discipline Office in handling students with behavioral problems to
provide them necessary counseling services. Records of offenses and violation of school rules
and regulations are being kept in this office. (Ang tanggapang ito ang namamahala sa lahat ng

Faculty – The faculty members or teachers retain and keep track of all academic records of each
student enrolled in the subject within one school year. All grades obtained by the student are also

Library – This department supports the instructional program of La Verdad Christian School,
Inc. (LVCS) by providing relevant learning resources for every curricular, informational and
recreational reading needs of students, faculty and personnel. This department keeps record of
books borrowed by students and other activities done inside the library. It accesses students’
personal information for the issuance of Library Card. (Ang kagawarang ito ay tumutulong sa
mga programang pang-instruksiyonal ng La Verdad Christian School, Inc. (LVCS) sa
pamamagitan ng pagkakaroon ng mga aklat at makabuluhang babasahin para sa bawat
curricular, informational at recreational reading needs ng mga mag-aaral, mga guro at mga

Administration Office – The administration office must have access to student’s records of
behavior and academic performance so it can fairly decide who should continue to avail of the
scholarship grant of the institution. (Kinakailangang magkaroon ng access ang Tanggapan ng

mapagpasyahan nito nang makatarungan kung sino ang karapatdapat na manatili bilang

LVCS Official Facebook Page – The official Facebook page of La Verdad Christian School,
Inc. is being used to post important announcements, events and activities that were held in
school and therefore it is inevitable that personal information of students including their photos
and videos may be posted whenever activities such as fun run, academic competition, sports
fest, gatherings, Press Conference, awarding ceremonies, and other school related activities are

IV. Where do we store your personal information and until when do we retain it? (Saan namin

Your personal information is stored in different offices mentioned above until the time of your
graduation from La Verdad Christian School, Inc. (Ang inyong personal na impormasyon ay itinatago sa
iba’t ibang tanggapang nabanggit sa itaas hanggang sa panahon ng inyong pagtatapos sa La Verdad
Christian School, Inc.)

School Clinic – The school clinic is responsible for keeping students’ health records and
issuance of Medical Certificate to players joining sports competitions and students undergoing
work immersion. It has access to students’ personal information that are stated on their health
records. (Ang klinika ng paaralan ang nangangasiwa sa pagtatago ng mga health record ng
mga mag-aaral at nagkakaloob ng Medical Certificate sa mga manlalaro na lumalahok sa mga
paligsahang pang-palakasan at sa mga mag-aaral na sumasailalim ng work immersion. Ito ay
may access sa mga personal na impormasyon na nakatala sa health record ng mga mag-aaral.)

Discipline Office – This office works hand in hand with the Guidance Office in handling
students with behavioral problems. It is in-charge of investigation and imposition of corrective
measures and penalties for offenses committed against school rules and regulations. This office
keeps records of students’ offenses and the sanctions given to them because of the offense. (Ang
tanggapang ito ay kaagapay ng Guidance Office sa pagharap sa mga mag-aaral na may
suliranin sa paguugali. Ito rin ang nagsisiyasat at gumagawa ng kaukulang hakbang upang
magtuwid at magbigay-parusa sa mga paglabag laban sa mga batas at palatuntunan ng
paaralan. Ang tanggapang ito ay nagiingat ng ulat ng paglabag ng mga mag-aaral at ng
parusang iginawad sa kanila dahil sa paglabag.)

The Library, School Clinic and Accounting Office shall keep records of your personal
information until the day of your graduation. After you graduate, all documents that contain
your personal information shall be shredded and disposed in accordance with the said offices’
document retention and disposal policies. (Iingatan sa Library, School Clinic at Accounting
Office ang record ng inyong personal na impormasyon hanggang sa araw ng inyong pagtatapos
sa paaralan. Kapag nakapagtapos na kayo ng pag-aaral ay gugupitin at aalisin na ang lahat ng

and disposal policies ng mga nasabing tanggapan.)

The Office of Student Affairs and Services (OSAS) shall keep records of your personal
information for one to five (1-5) years, depending on the information form, except for a
document that was labeled OSAS-041 (Student Anecdotal and Achievement Report) which shall
be retained until five (5) years after the student’s graduation from LVCS. Thereafter, all
documents that contain your personal information shall be shredded and disposed in accordance
with the said office’s document retention and disposal policy. (Iingatan sa Office of Student

hanggang limang (1-5) taon, depende sa information form, maliban sa dokumentong may label

The Guidance Office and Discipline Office shall keep records of your personal information
within five (5) years from the day of your graduation or exclusion from school. After five (5)
years, all documents that contain your personal information shall be shredded and disposed in
accordance with the said offices’ document retention and disposal policies. (Iingatan sa

The Registrar’s Office keeps many records of your personal and academic information.
Original documents that were submitted during enrollment such as, Student Permanent Record
(Form 137), Transcript of Records, Good Moral Certificate, Transfer Credential, and Honorable
Dismissal including xerox copy of PSA/NSO Birth Certificate and Diploma are perpetually
retained in this office for future reference. Other documents that contain your personal
information have a definite retention period in the Registrar’s Office depending on the needs.
After this period, all documents that will not be perpetually kept will be shredded and disposed
of in accordance with the said office document retention and disposal policy. (Ang Tanggapan
ng Registrar ay nagiingat ng maraming record ng inyong personal na impormasyon. Ang mga
orihinal na dokumentong isinumite sa panahon ng pagpapatala gaya ng Permanenteng Talaan

may tiyak na panahon lamang nang pananatili sa Tanggapan ng Registrar batay sa

Your personal information is being shared with concerned government agencies like the Department of
Education (DepEd), Commission on Higher Education ( CHED), Technical Education and Skills
Development Authority (TESDA and Fund for Assistance to Private Education (FAPE)-Private
Education Assistance Committee (PEAC). These government agency has mandated us to submit reports
on students’ enrollment, academic grades and scholarship subsidy within the school year. These reports
contain personal information like student’s name, grade level, courses/strand, section, address, contact
information, academic status/achievement, etc. (Ang inyong personal na impormasyon ay ibinabahagi
sa kaukulang sangay ng pamahalaan gaya ng Kagawaran ng Edukasyon (DepEd), Komisyon sa Mataas
na Edukasyon (CHED), Pangasiwaan sa Edukasyong Teknikal at Pagpapaunlad ng Kasanayan
(TESDA), at Fund for Assistance to Private Education (FAPE)-Private Education Assistance Committee

The particular office that deals with all the data privacy concerns of La Verdad Christian School and
College, Inc. (LVCS/LVCC) is called Data Protection Office, which is headed by the School
Principal/Administrator and the Data Protection Officer (DPO) who was duly registered with the
National Privacy Commission. To safeguard your personal information, we are strictly implementing
privacy management programs together with our general policies. (Ang partikular na tanggapang

GUIDELINES ON THE USE OF SOCIAL MEDIA

The social media is a powerful means of communication and information dissemination. Anybody can
connect with anyone around the globe through the worldwide web also known as the Internet. La Verdad
Christian School, Inc. (LVCS) is using the Internet for instruction and communication. The use of social
media has a lot of benefits, but it also carries with it a lot of risks. Thus, the following guidelines are
formulated to provide guidance to all LVCS students and employees on the use of social media and at
the same time safeguard the reputation and welfare of the institution as well as its students and
employees.

1. Know and follow the policies on data privacy. All posts must be in accordance with the
provisions of Data Privacy Act of 2012 otherwise known as RA 10173.
2. Use the social media wisely. Do not expose yourself to danger by disclosing all your
personal information. Avoid talking about your personal schedules and situation on social
media.
3. Always be confidential. Do not publish, post, or release information that is considered
confidential and private. Always remember that online conversations are not private.
4. To ensure your safety, be cautious about the type and amount of personal information you
provide in any website such as ID, birth date, address, cellular phone number, bank
account, credit card number, etc.
5. Do not share or transmit the personal information of students, parents, faculty, staff or
colleagues online. Always respect the privacy of all the members of the school community.
6. Always treat others in a respectful, positive and considerate manner. Avoid using words
that may hold you criminally liable.
7. Always be responsible and ethical. Post, share, comment and interact only in a manner that
will enhance your reputation and other people’s reputation rather than damage them.
8. Always behave in a way that will make LVCS proud of you because anything that you post
on social media might affect the institution’s good reputation.
9. Use good judgment in all situations. Do not comment on any critical issue unless you have
full knowledge about it. As much as possible avoid commenting on matters that are beyond
your capacity or area of responsibility.
10. Always be accurate with everything that you post. Check your grammar and spelling
before posting to avoid mistakes. It is better to use the language that you know best rather
than English if you are not sure with your grammar.
11. Never repost a link without looking at the content first to prevent erroneous and malicious
information from spreading.
12. Do not hesitate to apologize for a mistake you have committed on social media if the
situation warrants it.

proper steps could be taken to control it or minimize its effect.

LVCS/LVCC ONLINE CLASS POLICIES AND GUIDELINES
La Verdad Christian School and College adheres with the National Privacy Commission (NPC)
Advisory Bulletin No.16, that in order to ensure and protect the safety of our student, all
institutions that are conducting Online Classes are mandated to create guidelines and procedures
that will facilitate the protection of student’s data privacy during and after online class such as
online decorum, learning management systems, online productivity platforms, social media,
storage of personal data, webcams and recording videos of discussions, and proctoring.
LVCS/LVCC always consider the privacy, equity, & peculiarity among students when conducting
online classes and so promulgating the following guidelines such as:

A. Students
Must Do
• Creating strong passwords when signing up on e-learning platforms. Passwords should be at
least 12 characters containing upper- and lower-case letters, numbers, and, if possible,
symbols.
• Staying alert during online classes, especially when sharing videos, photos, and files.
• Using customized backgrounds to avoid accidental disclosure of personal information.
• Installing and regularly updating an anti-virus program.
• Muting the microphone and turning off the camera by default, especially when not speaking
or reciting.
• Turning off the microphone and camera when leaving one’s station for, say, bathroom
breaks.

Must Not Do
• Connecting phones, laptops, and other gadgets to free or public Wi-Fi networks. (In
unavoidable circumstances, ensure that the public network has a password and is not
accessible to everyone.)
• Sharing submissions for an unlimited time. (When the content no longer needs to be shared,
delete it.)
• Sending assignments, projects and other requirements to teachers via social media.
• Taking screenshots of the video feed of teachers and classmates.
• Spamming the chat.
• Giving out online links and their passwords to people who should not be in the class.

B. Parents
Must Do
• Helping the child or ward check and customize privacy settings of the device or
application for online learning.
• Teaching them basic online security (e.g. enabling two-factor authentication and
avoiding sharing homework, passwords, and other personal information even with
friends).
• Taking a moment to peruse the school’s privacy policy.
Ensuring that your consent is obtained for the recording of classes. Consider being
present during these sessions, especially if the student is a minor.

Must Not Do
• Leaving the child, especially minors, unsupervised during the conduct of online learning.
• Parents are encouraged to promote and implement proper netiquettes to be observed by
children under their supervision.
