Great inspiration always leads to success in any kind of work done. I would wish to
express my sincere gratitude to everyone who contributed to the successful
completion of my attachment period at National Health Insurance Fund(KNH
BRANCH). I extend my deepest appreciation to Susan Bosire, Meshack Kipruto,
Rachel Agunda for providing valuable guidance,support and encouragement
throughout the attachment period.Your insights and expertise have been
instrumental in shaping my skills and experience in my area of study. I am grateful to

SECTION ONE
1.1 INTRODUCTION
The industrial attachment training is an essential component of the curriculum of
Jomo Kenyatta University Of Agriculture And Technology and therefore no
graduation without the industrial attachment. The attachment period is usually a
maximum of eight weeks, during which the student is expected to acquire additional
practical experience to supplement , their course of study in the university.They are
also exposed to the real world of work and its challenges which will prepare them
towards their future careers.
1.1 OBJECTIVES OF ATTACHMENT.
Some of the important objectives of the industrial attachment are as follows:
 To assess the interest of the student in the occupation he/she plans to
undertake.
 To expose the students to work methods not taught in the university and to
provide access to products equipment not normally available in the environment
of the university.
 To provide the students with an opportunity to apply knowledge in real work
situation thereby closing the gap between university work and the actual
practice.
 To make the transition from school to the world of work smoothly and to
enhance student contacts for job placement.
 To enlist and strengthen employers involvement in institutional activities and in
the entire educational process of preparing the students for employment in
industry.
 To enhance industry”s satisfaction with the graduate of the faculty in particular
and the university at large.

1.BENEFITS TO STUDENTS.
The industrial attachment seeks to offer students a practical translation of the theory
they have been taught. It has also got individual benefit of liaising the university to
the industries,hence brightening the employment chances of the students in the
university.Through this attachment, I have generated a good interpersonal
relationship through my interaction with supervisors and colleagues. This has
assisted me to interact confidently with people irrespective of the position.

1.2 MORAL EDUCATION.


Working in the university exposes me to various learning environment or conditions.
It has thereby inculcated in me sympathy for the poor and above all the will to
acquire myself from improving my practical knowledge.
SECTION TWO.

2.0 Description Of National Health Insurance Funds(NHIF).

PERSONAL LINES INSURANCE COVERS.

 GENERAL INSURANCE-Domestic Insurance,Travel Insurance, Personal Accident


Cover, Professional Indemnity.
 MEDICAL INSURANCE-Accident Hospitalization Cover,Overseas Medical Cover,
Inpatient medical cover.
 LIFE-Group Life Cover, Group Mortgage Assurance, Group Credit Life Assurance
 STUDENT HEALTH INSURANCE COVER-Edu afya program.
 AMBULANCE SERVICES- covers ambulance charges incase of accidents when a
patient is being referred to another hospital under critical and unconcious
condition.
 PENSIONS- Defined benefit administration.

2.1 Mission, vision and core values


NHIF was issued with a certificate for ISO 15489:2001 0n may 2015. Until 21 may
2018 and was to remain valid subject to satisfactory surveillance audits.
The scope this certificate was 36 sites spread across the country.
NHIF is now due for recertification and is in the process of transiting from ISO
15489:2001 to ISO 154489:2016.
The scope of the new standard has increased from 35 to 65 sites across the country.

2.1.1 Vision
The vision of NHIF is to lead in the promotion of economic growth by providing the
insuring public with secure, dynamic and professional services through the
elimination of heavy
burdens of hospital bills.

2.1.2 Mission
NHIF is committed to providing security and stability to shareholders through
responsive professional service, prudent ethical practice, and respecting social
values.

2.1.3Core Values
The Value Logistics service offering has been developed with the core focus being
placed on divisional expertise, highly skilled labor, advanced monitoring systems, IT
interfaces and a national distribution framework, therefore ensuring a fully
integrated supply chain service offering.

2.2Organizational structure
NHIF is organized into hierarchy with top, middle and operational management. The
company has various departments which assist in the delivery of quality services to
the clients.
Human Resource Department
This department carries out the recruitment, rewards management, learning and
development, employee communications and administration
Marketing department
This department is responsible for the image maintenance of the institution where
they ensure the company has a good representation.
Finance department
This department involves financial policy and management including cash
management, financial accounting, system and budgetary control. It also deals with
controlling of cash around the organization.
Legal department
Legal department is in charge of all legal activities of the company and responsible
for representing the organization in court issues.
Underwriting department
Department in charge of issuing policy, printing renewal notices raising endorsement
and debiting.
Claims department
Insurance claims handlers make sure that claims are handled efficiently and that
payment for valid claims is made to policyholders
Medical department
Department in charge of health insurance that is insurance that covers the whole or
a part of the risk of a person incurring medical expenses.
Actuarial department
Actuarial department determines the reserves needed for liabilities.
ICT department
This is department is responsible for all technological issues within the organization
and as well as ensure the smooth running of services needed by the workers and
staff
respectively.

2.3General activities under taken during the attachment.


General activities I under carried include the following;
1.Data capturing.
That is
 Capturing claims into the system
 Checking overlap claims
 capturing Biometric data of the clients into the system (finger prints)
2.Dealt with adding members phone number into the nhif system.
3.Customer care of personnel who had nhif covers.
4.Processing of outpatient claims.
5.Registering individuals into the nhif system,ie for those that are opening nhif for
the first time or for those that are adding dependants into their system.
6.Receiving and directing clients to different departments in
the organization.
7.Helped members to pay for their nhif card those who were experiencing difficulties
when paying. I also helped those who had penalties and showed them how to pay
for their penalties.
8.Checking the validity of client’s account and confirming
the packages that they are subjected to them.

2.4Specific activities undertaken during the attachment


Authorization of claims.
I dealt with inpatient claims authorization and outpatient claims authorization. The
inpatient claims are for those patients who are admitted. The outpatient claims are
for those patients who after they receive there services go home.I learnt the
packages offered to both and and their amounts and authorized accordingly.
Filing of Documents.
After those documents were brought into the office for individuals first registration,
or for those who were adding dependants into their nhif cover were already used. I
was tasked with filing them in order for them to be used for future purposes or for
auditing purposes.
Approval of Claims.
I was introduced to the concept of Letter Of Undertaking or LOU’s. These are issued
at the hospital after approval of requests are done. Here I approved for various
medical problems such as MRI, CT SCAN and some minor surgeries.
Accounts Payable.
On e-claim , I progressed the outpatient and in patient claims that I had authorized
earlier to accounts payable where they would be ready for payment.
Checking if the amounts in e-claim and those in teraterm balanced.
I checked and compared the two account details both in e-claim and tera-term as to
whether they are balancing. Incase they did not balance, I would again check where
the problem was.
Creating voucher numbers of each batch both for inpatient and outpatient.
I used tera-term and created voucher numbers of each batch. T hew voucher
number makes the batches eligible for payments.
Transferring the created voucher numbers to EFT(Electronic Fund Transfer).
I had to transfer the vouchers to EFT for the money to be transferred from the nhif
to Kenyatta National Hospital accounts.

2.5 SKILLS AND COMPETENCIES GAINED.


Knowledge and skills acquired during the course of my attachment forms the
bedrock of my future career development. The strategies learnt in keying in, issuing
health insurance cover packages and the entire activities will go a long way in
ensuring my application of the knowledge and skills in any entity and undertaking
that I may find myself into.
Therefore, I am confident in applying the knowledge I have learnt in any company
that may give me an opportunity to offer my services in my career.
The profile of skills gained include:
 Interpersonal skills
Throughout the internship, I gained the ability to be able to relate well with others
while getting job done. I was able to interact with other staff, the managemrnt
committee and people from the external environment.
 Communication Skills.
The ability to be able to listen carefully and give feedback was achieved through ;use
of communication channels, communicating through sending emails and use of
various social media.
 Analytical Skills.
Among the tasks I was assigned, almost all of them needed close and careful
collection of information and ability to analyze it. I was able to solve minor and
complex issues in the most effective way of my knowledge.
 Computer Skills.
These skills were achieved through different tasks such as using the core banking
system, printing and preparing reports, scanning and typing documents.

2.6Activities in which I applied my skills for the benefit of the organization


During all my attachment period, I didn’t hesitate using any skill that I learnt in
school whenever there was need to.
Some of the skills that I used are as follows;
1. Proficient in filing- I was able to do filing at a very short period of time.

2.Communication Skills: Using the communication skills that I had learnt in first year,
I was able to confidently answer customers questions and also communicate
efficiently with other attachees and the nhif staff.

3. Customer Service Skills: Customers are the most important individuals in a an


entity.If customers are satisfied, they will be willing to use the services of an entity
for a long period of time.At the customer care desk,I confidently addressed some
clients who came to our desk for assistance. And answering to their questions till
they felt satisfied.

4.Attention to Detail:A meticulous approach is ingrained in my work style. This


attention to detail is vital for identifying and rectifying any discrepancies in financial
records, maintaining accuracy and compliance with established standards.

5.Time Management:I managed time very well and completed tasks assigned to me
before deadline.I also arrived at the organization very early and left at the stipulatec
time.

6. Leadership skills: During the first week it was a requirement of all the attachees to
work at the customer care desk. During that week I was able to use my leadership
skills gained while in school and asked individuals who came to the nhif office to
maintain order incase there was any problem that arose and they would listen.

7.Adaptability: I was able to adapt into the office system very fast and learnt most of
the activities of the organisation after a few days. Because of this I was the one who
guided my fellow attachees who had not yet adapted to the system.I was also able
to learn most of the activities of the organization apart from those I had learnt in the
accounting department and with this I offered a helping hand when those other
deparments needed some help.
2.7. Strategy for utilization of the contacts established during the attachment.
During my attachment at NHIF, I was Lucky to establish contacts with the following
Key personnel
•General manager
•Finance Manager
•Human Resource Manager and other staffs in the office
They were friendly; I was indebted for their help and assistance during the industrial
attachment period. They were very kind and they politely corrected me whenever I
made a mistake.
I also consulted them when I encountered an issue beyond my level of knowledge.
CHAPTER 3
3.0Analysis
Through my attachment, I have gained some new experiences in issuing all types of
NHIF insurance packages and checking member card’s validity, printing and
assembling policy documents. I have also learnt how to frank and dispatch policy
documents to clients, have improved my interpersonal skills by interacting with
clients and also have improved on social life through interaction with the colleagues.
3.1Observation
From the exposure I got from insurance organization, I learnt the essence of
insurance companies. The burden of hospital bills are no big deals for those who
choose to get themselves insured.
I noted that the organization used an open office layout.
Communication between the staff was efficient and team work
was highly enhanced.
The connection of computers established in the office was a
star connection since all nodes were connected to a hub.
Professionalism in the employment of communication skills
matters a lot for the clients’ satisfaction.
I noted the branch manager subdivided labor amongst his staffs which make work
easier, efficient and effective.
3.2Critique
Though the branch manager was much committed to make things work well in the
office, some things here and there opposed his efforts.
They include the following;
•Some staffs were always late for the work and sometimes
never showed up.
•The systems were ever slow since the computers in the
office were old modeled leading to delay in the serving of
clients.
•Some staffs were rude when addressing
•the clients making them feel dissatisfied.
•There was shortage of materials such as printing papers in
the office.
•The employees were never motivated, there morale for
work was very low.
CHAPTER4
4.0 SUMMARY
Based on the above report and skills gained, I believe will be
perfect bedrock for my future career. My work-related learning
period at NHIF really transformed me into a responsible person who is capable of
completely working in an industry. It really gave experience of the real working
environment. I was able to familiarize myself with new ideas and aspects in the
Organization. Now I have finalized my attachment period, I will be able to balance
between theories I learnt at school with the practical experience that I gained in the
Organization.
The theory that I learnt at school has been transformed to a valuable resource by my
time at NHIF. I will have a different stance to the modules that I learnt at school
because of the knowledge that I have on the expectation of a Graduate in the
society. I have also been transformed personally by the challenges that I faced during
my time in the organization as well as the responsibilities that I was given during my
time of attachment. I am able to critically analyze situations and make
rational decisions. I am now capable of being a leader and this is acquired through
being accountable in some tasks, which the management delegated to me. As I
accepted the responsibility, it meant that I would devise means and ways to
accomplish assigned tasks effectively thereby enhancing my leadership
qualities and skills. Regularly reporting to the branch manager,
attending meetings and communicating with other
management especially the staffs of the organization boosted my communication
skills.
As a student I noticed the way the branch manager addressed other staffs under
him. I am now able to carry out duties without constant supervision taking my
responsibilities with caution and perfectness hence I have become self-initiative. I
now know a good employee does not knock-off but I give myself a target on day such
that even if knock off time I stay behind to carry out what has been left.
During my time t NHIF, I was also groomed to e initiative. I was trained to be original,
creative and came up with new ideas. This will have a significant impact in my work
environment since I will try as much to be creative with knowledge that I obtained at
school.
4.1 CONCLUSION
At the first the attachment period was not enjoyable sice I had to familiarize with the
staff,fellow attachees and the working environment. As time went by it turned out to
be very fruitful. I gained experience and skills which are required in the accounting
department. I could approve clients claims,capture the clients data and feed it into
the system,I authorized claims, then authorized the batch and then proceeded into
the teraterm system. I gave approval to the discharge of patients who had stayed in
the hospital for long after being given valid reasons, I dealt in ensuring that patients
contributions into the nhif system were right and dealt with those that there
contributions didn’t reflect in the system.With the help of my supervisor I was
involved in the payment of money to the kenyatta hospital for services they offered
to patients who had nhif cover and many others. I also learnt to appropriate that
theory without practice is dead, to be patient and being tolerant. I am now a better
person due to the attachment experience both at work and personal level.
The background, vision, mission and values of nhif have been explored in great
detail. It takes upon its self to do its best in environment and in its social
responsibility endeavors in its day to day operation.

4.2 RECOMMENDATIONS.
The management should increase the number of printing papers to the underwriters
so that work can be made easier.
The employees should be often motivated to increase their morale for work.
The management should buy modern computers with more efficient features so as
to increase the rate at which work is perfomed.
