Remarks: The above requirements will subject to final approval of management team.
2.1 (a) In order to keep the staff personal record confidential, Human Resource Dept
request to have an enclosed working area for 10 staffs with access card
control system and close to CEO Office.
2.1 (b) According to CIRC requirement, Finance Dept would like to have an enclosed
working area for 25 staffs with access card system. They would also like to
place the safe box in their working area. So the floor reinforcement support in
the office area has to install.
The model of this existing safe is:
1) Chubb Europa Grade 1 size 2 safe
718mm(H) * 668mm(W) * 663mm(D), 467Kg
2.1 (c) According to clause 33 of CIRC rule, there should be an enclosed cell room to
be used as a dealing room with access card system where the dealer will
execute the trade & confidentiality can be maintained to be compliant. The
room is used as trading room with size 12sqm for 2 staff, it must be located
within the office near the Investment Dept.
2.1 (d) In order to keep clients’ record and Policy information confidential, Life
Operation Department request to have one Filing room with rolling cabinet
which the size is around 18sqm & one Scanning room with size 20sqm. Both
rooms are requiring access card system and must be located near the Life
Operation Department.
2.1 (e) In order to keep the company’s record confidential, Internal Audit Dept request
to have an enclosed working area for 6 staffs with access card system.
2.1 (f) Call centre requests to have an enclosed working area for 8 staff with fax
2.1 (g) Branch office (IBO) would like to have an enclosed working area for 12 staffs
with access card system. This office is best to near the reception area and
have the cashier function with 3 cashier counters near the reception. The
counters need to have the glasses in front of the counters. One of them shall
be bullet proof glass.
2.1 (h) Legal Dept would have an existing safe box. So the floor reinforcement
support in the office area has to install.

3.2 What is the preferred size of the meeting rooms in See 3.1
terms of seats? remarks.
(1) One Board room with access card system, projector, screen, video conference (VC)
system (model: Tandberg VC 3000MXP wheel Base), AV system, conference call
machine, white board and conduit point for PC & telephone. The size of the board
room should be available for 20 seats.
(2) We need to have complete segregation of customer accessible area such that
customers must go thru manned security control if they need to access our internal
office area. Then may be we have the toilets in the customer pubic area.
(3) For item 3.1, IBO needs 1 special meeting rooms for VIP customer & 1 general
meeting room, which are close to VIP waiting area with the following requirement:
For VIP customer:
a) decoration follows HBCN Premier account
b) 1 manager table & chairs, 2 guest chairs
c) IT network / 4 in 1 printing machine / hidden alarm system
d) enhanced effect on sound insulation
e) scrub paste for protecting customer privacy
(4) One training room for 40 staffs with projector, screens, DVD / LCD, more web access,
white board and Conference call facilities.
Remarks: The above requirements will subject to final approval of management team.
We have to print the Life Insurance Policy for client and its
operation could be quite disturbed to others, so it needs to have
an enclosed printing room 10sqm with access card system. The
model number & the brand of the equipment is HP4250, in which
the printers are all on desk top.
4.3 (a) We want to have 3 storage rooms, 20sqm each with access card
systems. Each room should have the racks with locker, the
conduit point for PC & telephone. One of them has to close to the
Office Administration Dept and the other is closed to Direct sales
Dept. The 3rd one is for Finance Department.
We want to have : 44 HIGH CABINET(1000W*450D*1980H), 55 MID

4.4 How does your department handle administrative issues – mail,
cleaning/maintenance, employee’s meal, etc.?
For General customers waiting area: It’s open area but must close to IBO meeting room
Use our existing sofa and tea table.

5.3 Are there any areas requiring air conditioning beyond
regular working hours (08:00am – 07:00pm)? Please
provide justification?
5.4 (a) Upon the users’ require to provide the air conditioning
on weekends, such as Training room for the training
course to the sales and bank staff.
5.5 (c) Legal Dept would like to have their own printer, copier
& scanner, for they will receive or issue their official
documents as management and Board level meeting
preparation.
5.5 (d) Internal Auditor would like to have their own printer.

6.1 Relocation to the new ifc South Tower will be done in phases. Does Y
your Business Unit have any relocation time restriction? If yes,
please specify which month(s) to avoid moving.
