2.0 Legal & Corporate Compliance

2.1 Please list specific operational compliance requirement related to your


Business Units / Departments (example Chinese Wall, adjacency with other
HSBC Subsidiaries, etc):

2.1 (a) In order to keep the staff personal record confidential, Human Resource Dept
request to have an enclosed working area for 10 staffs with access card
control system and close to CEO Office.

2.1 (b) According to CIRC requirement, Finance Dept would like to have an enclosed
working area for 25 staffs with access card system. They would also like to
place the safe box in their working area. So the floor reinforcement support in
the office area has to install.
The model of this existing safe is:
1) Chubb Europa Grade 1 size 2 safe
718mm(H) * 668mm(W) * 663mm(D), 467Kg

2.1 (c) According to clause 33 of CIRC rule, there should be an enclosed cell room to
be used as a dealing room with access card system where the dealer will
execute the trade & confidentiality can be maintained to be compliant. The
room is used as trading room with size 12sqm for 2 staff, it must be located
within the office near the Investment Dept.

2.1 (d) In order to keep clients’ record and Policy information confidential, Life
Operation Department request to have one Filing room with rolling cabinet
which the size is around 18sqm & one Scanning room with size 20sqm. Both
rooms are requiring access card system and must be located near the Life
Operation Department.

2.1 (e) In order to keep the company’s record confidential, Internal Audit Dept request
to have an enclosed working area for 6 staffs with access card system.

machine and access card system.
This centre must have effect on sound insulation.
Close to Life Operation Department.

2.1 (g) Branch office (IBO) would like to have an enclosed working area for 12 staffs
with access card system. This office is best to near the reception area and
have the cashier function with 3 cashier counters near the reception. The
counters need to have the glasses in front of the counters. One of them shall
be bullet proof glass.

IBO is planning to purchase a small safe box in the office area.

2.1 (h) Legal Dept would have an existing safe box. So the floor reinforcement

We’re not allowing to sharing the office area with the other HSBC entities. We should
have our own entrance door.

face of the receptionist.

Meeting Room - Additional Comment:


We also want to have the following:

(1) One Board room with access card system, projector, screen, video conference (VC)
system (model: Tandberg VC 3000MXP wheel Base), AV system, conference call
machine, white board and conduit point for PC & telephone. The size of the board
room should be available for 20 seats.

(2) We need to have complete segregation of customer accessible area such that
customers must go thru manned security control if they need to access our internal
office area. Then may be we have the toilets in the customer pubic area.

(3) For item 3.1, IBO needs 1 special meeting rooms for VIP customer & 1 general
meeting room, which are close to VIP waiting area with the following requirement:
For VIP customer:
a) decoration follows HBCN Premier account
b) 1 manager table & chairs, 2 guest chairs
c) IT network / 4 in 1 printing machine / hidden alarm system
d) enhanced effect on sound insulation
e) scrub paste for protecting customer privacy

For General customer:


f) a round table with 5 seats.

(4) One training room for 40 staffs with projector, screens, DVD / LCD, more web access,
white board and Conference call facilities.

4.0 Printing, Storage & Administrative Amenities Y/N

4.1 Is an enclosed printing room required? If yes, please provide Y


justification and size requirement.

We have to print the Life Insurance Policy for client and its
operation could be quite disturbed to others, so it needs to have
an enclosed printing room 10sqm with access card system. The
model number & the brand of the equipment is HP4250, in which
the printers are all on desk top.

4.2 Is it acceptable to share the printing room with other N


departments?
CIRC require a separate & independent area.

4.3 What is the storage requirement for your department – high Y


cabinet, low cabinet, fire proof cabinet, compactus, etc.? Please
indicate total storage area required.

4.3 (a) We want to have 3 storage rooms, 20sqm each with access card
systems. Each room should have the racks with locker, the
conduit point for PC & telephone. One of them has to close to the
Office Administration Dept and the other is closed to Direct sales
Dept. The 3rd one is for Finance Department.
We want to have : 44 HIGH CABINET(1000W*450D*1980H), 55 MID

Mailing will be handled by us. If possible, we want to share the


maintenance & security with HBCN.

We don’t want to require a dedicated room for them.

We would like to have a pantry with size 25sqm for 30 staff.

Printing, Storage & Administrative Amenities - Additional Comment:
We would like to have separate waiting area for VIP & General customer.
For VIP customers waiting area: (It should be enclosed area & closed to IBO meeting room
)
4 single person sofa. Tea table, Distilled water machine & coffee machine, TV/DVD and
rack for newspaper. (the style should be same as HBCN)

For General customers waiting area: It’s open area but must close to IBO meeting room
Use our existing sofa and tea table.

5.6 Does your department require a dedicated IT 30sqm.
Equipment Room? If yes, please provide justification
and room size requirement.

According to CIRC requirement, we should have the


independent IT room. We have 8 sets rack in our
server room which including several servers, PABX &
network equipment. Also there should be the 7* 24
A/C which can control temperature & humidity, fire
control system with gas & UPS in the server room. IT
also need security monitoring system in IT room and
keep the tape for 2 months.
The racks for the new IT room shall be no more than
10(only 1 rack is 600*1000mm, and others are
600*600mm). We shall use CRAC and gas fire
fighting system for the new IT room.
Our IT room shall be on our own floor due to CIRC
requirement.

Electrical & A/C - Additional Comment:


Our UPS of IT room is Galaxy 3000-20KVA (380V 80A). If we need more than one floor, another
5KVA UPS is need for another floor.
The model of the current UPS shall be hold the line in the new IT room, but if possible, we would like
to share the UPS with HBCN, otherwise, we plan to buy a new one.

6.0 Relocation Y/N

6.1 Relocation to the new ifc South Tower will be done in phases. Does Y
your Business Unit have any relocation time restriction? If yes,
please specify which month(s) to avoid moving.

No earlier than 15 April, 2010. It is because of the restriction of the


current lease contract with the existing Landlord.
