Lesson 6: Using Relevant Technologies (URT)

Do you ever wonder what makes technology in business so important? The answer
is simple and easy. Technology saves your time and effort, and on top of that, it
enhances the security of your organization. Numerous factors determine the
importance of technology in business because the role it plays is crucial for the
operations to run smoothly and efficiently.

The corporate world cannot undermine the benefits technology provides to

businesses as most of the tasks nowadays depend on the latest technological
equipment. To keep the workflow streamlined, businesses need to implement
advanced technology – tools that tech-developers have designed specifically
for business operations.

What is Technology?

Technology is referring to all components of informational technology used in

the delivery of educational or administrative materials which includes, but is not
limited, to software, hardware, and internet applications or activities. We apply
technology in almost everything we do in our live, we use technology at work, we
use it to extract materials, we use technology for communication, transportation,
learning, manufacturing, creating, securing data and so much more. Human
resource leaders and facility managers are feeling the brunt of these rapid changes
and are especially vulnerable to this impact. Keeping a workplace up-to-date and
profitable requires technological tools to help business leaders stay relevant by
using technology in an effective way.

Office Technician perform basic administrative office task such as taking office
inventory, scheduling travel arrangements and even making photocopies. In most
business, applicants will need more than a high school diploma, but having strong
word processing and interpersonal skills will put them ahead of their competition.

industrial technician analyzes the various methods used in a company's production

process and then develops a plan for improving the overall efficiency of the
operation. Their research often involves studying statistics, interpreting diagrams,
and analyzing the requirements involved in production. An associate degree is
typically the required education needed for this career, while a certificate can
sometimes be sufficient.

9
Information Technology (IT) specialists work in positions using computer-based
information systems. They work with both software applications and computer
hardware. Entry-level positions require demonstrated computer knowledge and
skills. Experience with multiple programming languages and diverse software and
hardware is often expected.
Duties of an information technology specialist can include network management,
software development and database administration. IT specialists may also provide
technical support to a business or an organization's employees and train non-
technical workers on the business's information systems. Advanced information
technology specialists may design systems and assess the effectiveness of
technology resources already in use or new systems that are being

Management is required in all kinds of organizations whether they are manufacturing

computers or handlooms, trading in consumer goods or providing saloon services
and even in non-business organizations. No matter what the organization is or what
its goals might be, they all have something in common – management and
managers. Successful organizations achieve their goals by following a deliberate
process called ‘management. Management consists of a series of interrelated
functions that are performed by all managers. Let us understand the concept of
management.

Concept of Management

Some of the common definition of management given by famous writers and thinkers
are:

• According to Harold Koontz and Heinz Weihrich, Management is the process

of designing and maintaining an environment in which individuals, working
together in groups, efficiently accomplish selected aims.
• According to Robert L. Trewelly and M. Gene Newport, Management is
defined as the process of planning, organizing, actuating, and controlling an
organization’s operations in order to achieve coordination of the human and
material resources essential in the effective and efficient attainment of
objectives.
• According to Kreitner, “Management is the process of working with and
through others to effectively achieve organizational objectives by efficiently
using limited resources in the changing environment.

Management can be defined as a process of getting things done with the aim of
achieving goals effectively and efficiently. Some important terms in this definition are:

1. Process: Process means the primary functions or activities that management

performs to get things done. These functions are planning, organizing,
staffing, directing, and controlling.
2. Effectiveness: Effectiveness is concerned with the result. It basically means
finishing the given task. Thus, Effectiveness in management is concerned with
doing the right task, completing activities, and achieving goals
10
3. Efficient: Efficiency means doing the task correctly and with minimum cost.
Management is concerned with the efficient use of input resources which
ultimately reduce costs and lead to higher profits.

it is important for management to achieve goals (effectiveness) with minimum

resources efficiently as possible while maintaining a balance between effectiveness
and efficiency.

One way to analyze management is to think in terms of what a manager does. Using
this approach, we can arrive at the management process which describes the work
of any manager.

1. Planning
2. Organizing
3. Directing
4. Controlling

Principles of Management:
Followers of Fayol gave other principles of management such as universality of
management, control by exception, equality of authority and responsibility, power
and accountability and co-ordination.

By introducing two modifications in Fayol’s concepts, we could easily install

the foundation of modern management theory:

11
1. Management is the planning, organizing, command, co-ordination, and control of
technical, financial, commercial, accounting and security activities.

2. It is not command but motivation which can help us to understand why men and
women work and how to secure from them maximum productivity.

When your job hunting, employers are going to want to know about your computer
skills. That is because no matter what the position is, computers will almost certainly
be involved. Just think about how ever-present computers are, from smartphones to
cash registers to the ordering systems at restaurants.

Many traditional jobs are going away in favor of new, technologically driven jobs.
Some of those jobs require highly specialized skills, such as computer programming.
Others merely help an office run better, such as email management.

What Are Computer Skills?

The name itself may seem obvious, but the truth is that most people are too
overwhelmed by the vastness of technology to know what an employer might mean
when the job description simply says, “computer skills.”

12
For most jobs, employers will expect applicants to have at least some basic
computer skills. You need more advanced skills and certifications for many
technology positions.

That means that employers are interested in candidates who are quick to pick up on
how to use new programs and technology, as well as candidates who are familiar
with current programs.

Types of Computer Skills

This list of computer skills is organized by category to help you know what employers
might be looking for. Read job descriptions carefully looking for as many specific
computer skills as possible, and then highlight those skills during your application
process.

❖ Productivity Software

Any office professional must know how to master some of the basics of productivity
software. If you are reading this article right now, you obviously know most of the
computer basics. For more computer skills popular among administrative or clerical
jobs, here is a list.

• Microsoft Office
• Microsoft Excel
• Microsoft PowerPoint

to reorganize the information quickly to answer new questions, or even conduct
certain kinds of data analysis and processing. A spreadsheet can handle anything
from payroll accounts to lists of all the characters (and all their characteristics) for a
novel. You also must know which spreadsheet or database program to use and how
to structure it for any given project.

Skills useful for spreadsheet and database management include:

• Data Analytics
• Microsoft Excel
• FileMaker Pro
• Numeracy
• Object Oriented Database Management Systems (OODBMS)

IT Troubleshooting

Using computers is one thing. Being able to fix them is another. Basic IT skills begin
with knowing how and when to do routine maintenance and how to cope with frozen
programs or damaged USB ports. Thorough familiarity with the software and
hardware of many different types of computer systems, including all lesser-known
features, is key. IT troubleshooting skills include:

• Backup Management
• Client Server Management
• Client Support
• Configuration
• Diagnostics
• End User Support
• Help Desk
• Implementation
• Installation
• Issue Tracking Systems (ITS)
• Modem Hardware Troubleshooting
• Router Troubleshooting
• Systems Administration
• Tech Support

Cybersecurity

Computer hackers can disrupt major infrastructural functions if companies and

governments do not take their cyber security seriously. Among the most important
cybersecurity skills are:

• Intrusion Detection
• Virus Protection Software
• Malware Analysis
16
• Malware Reversal
• Software Programming
• Risk Management
• Operating Systems
• Information Management
• Data Encryption

At some point (after a great deal of planning and even more hard work), the new
computer technology will be up and running-the prospect of which sounds good but
can be worthless. Is life in the organization perfect now? Probably not. Is it better
than it was before? Probably so. But for this to be true, the technology must be used,
maintained, and supported properly. This includes all equipment, software, and
network connections. Moreover, ongoing training and support must be provided to all
user groups. Once these activities have been instituted, it is more likely there will be
a dramatic difference in the way the organization operates.

Here are 10 Reasons that Demonstrate the Importance of technology in

Business
1. Technology help improve communication
2. Technology improves efficiency.
3. Protection against attacks
4. Employees need technology to work efficiently
5. Unlimited supply of knowledge
6. Increase employee engagement
7. Explore new markets for growth
8. Technology in business is necessary for expansion
9. Technology increase the capacity of the business
10. Technology brings cryptocurrency into being

Considering Maintenance Service

When discussing the maintenance of the physical aspects of the technology

throughout its life span (generally 3-5 years for most equipment and applications), it
makes sense to think seriously about what maintenance requirements entail. The
term "maintenance" refers to those preventive, diagnostic, updating, replacement,
and repair procedures that an organization undertakes to keep its technology
working effectively and efficiently. Maintenance can be provided either by persons
who are employees of the organization or through outside contractors. Maintenance
items might include:

17
• replacing wear-and-tear parts and consumable supplies
• repairing or replacing faulty components
• cleaning equipment
• monitoring the condition and functionality of networks and equipment,
including testing website access and links
• redeploying equipment
• updating or upgrading hardware and software, including installing new
versions of the operating system
• adding or deleting users from a system, or modifying user rights and
properties
• backing up stored files
• documenting trends and patterns in the use of applications or equipment
• removing and disposing of equipment and applications

Maintenance agreements are like insurance policies. One needs to weigh the
relative and absolute risks to the organization before making an informed decision
about buying into an agreement.

Maintenance Software

If the organization's computer system includes a commercial software package, it will

probably come with a maintenance agreement from the product's vendor. Product
maintenance agreements should be negotiated at the time of initial purchase or at
the time that the software application is being developed. Such agreements usually
are scheduled to "begin" either when the software is purchased or when the system
is initiated if the vendor continues to receive the stipulated monthly or annual
maintenance fee. In return for this fee, the client organization typically receives
application changes, additions, fixes, and other basic support. Maintenance
agreements can also provide for copies of new release.

Upgrading Software

When dealing with commercial software packages, vendors typically offer a stream
of new releases of their product on a semi-regular cycle. "New" releases are more
recent versions of a software application that the developer has published, either to
enhance features and functions or to correct problems in an earlier release.

Replacing and Re-deploying Equipment

In addition to upgrading application software, upgrading hardware platforms on

which the applications run is also a key part of system maintenance. Computer
hardware follows a life cycle that is perhaps best described as "rapid, planned
obsolescence" which refers to the fact that hardware will be overtaken within three
years by new models that are better, faster, and (adding insult to injury) cheaper
than existing models. This is especially true of desktop and laptop computers,
although it applies to printers, servers, modems, and other peripherals as well.

Developing and Maintaining an Acceptable used Policy

18
The development of an Acceptable Use Policy (AUP) is a critical component of
technology planning. An AUP is important for all system users, including
administrators, teaching staff, other staff, students, parents, the community, and any
other persons who will have access to the system and its contents. Once developed,
the AUP should be reviewed periodically by the Technology Oversight Committee,
the Instructional Technology Committee, and other bodies responsible for oversight.
The AUP should address the following areas:

• individual rights concerning access to the system

• individual responsibilities regarding the system, its contents, and any
connections established through the system
• organizational rights relating to system oversight and monitoring
• organizational responsibilities regarding the system, its contents, and any
connections established through the system

Protecting the privacy of sensitive information maintained within the system is

essential. Security and ethical standards also remain important if the system is in
operation. Both legal and technical staff should review the Acceptable Use Policy to
ensure that appropriate protections are in place.

Monitoring Regular use of the system

Another aspect of supporting computer technology is keeping track of how, how

much, and by whom the technology is being used. For instance, if a school has a
goal to increase technology use in the classroom, it is important to review the
amount of time students are using the technology and what applications they are
using, as well as routine teacher usage patterns.

Lesson 7. Developing Roster Staff (DRS)

B. Write True if the statement is correct and False if not.

_____1. Plan the roster before adding individual names.

_____2. Share schedule options with the entire staff.

_____3. Fill busy shifts with the most experienced and skilled staff.

______4. Automatically handle availability and time-off online.

______5. Show wage cost as you build the staff roster.

20
What is Roster?

Roster is a list of names of people involved with some organization or assignment. It

can be a list of people and additional information like the times when they are
required to work or a list of employees. The term roaster is often used to described
participants of an events
Roster Staff has become more than a simple way to list the hours your employee’s
work. Based on hours of operation and job duties, the type of roster that you use has
become a productive business tool. It is referring to as workflow.
Its once singular use has now expanded to ensure each shift has enough employees
available and on the job. This helps to keep operations running smoothly so you can
meet customer demand and business goals.
Working with an efficient staff roster system can be a powerful solution to attracting
smart employees.
The more efficient alternative is to use a real time decision support tool designed for
roster creation. Known as a workforce management solution, these systems manage
labor costs by establishing and automatically applying comprehensive payment
rules. They allow companies to design rosters, model costs, and easily compare
actuals to planned expenditure.

Displaying costs while developing the roster assists managers to take control of their
labor costs and enforces a budget responsibility before finalizing rosters. The ability
to model also allows managers to simulate, understand and manage labor variables
such as costs for overtime, casual staffing, subcontractors and leave.

But the biggest difference between a workforce management system, the

spreadsheet and even pen and paper, is the system's ability to offer automatic award
interpretation. This facility not only calculates labor costs according to your industrial
agreement; it automates payroll data entry, bringing greater accuracy to the process
by removing the potential for manual error that could lead to over- or under-payment.
Designing a roster will always be a headache due to the human element. You can
never please everyone all the time. But, with the right real time tools, you can
achieve significant benefits by reducing administrative time, simplifying the design
effort, delivering more certainty in rosters, and creating lowest-cost rosters that
deliver substantial savings for the business.

21
How Roster Process Works?

Types of Roster

• Duty Rosters. This type is used by some managers to avoid scheduling more
employees than needed on the same shift with the same duties. For example, a
duty roster might work for a hotel manager who usually schedules employees
based on the number of occupied rooms.
• Flexible Rosters. For some industries and positions, the option of working a
flexible schedule is directly related to the needs of the company. In practice, this
would-be allowing work schedules of 8:30 a.m. to 5 p.m., Monday thru Thursday,
and on Friday from 8 a.m. to 12 noon.
• Staggered Rosters. Companies that experience fluctuations in customers
throughout the day often prefer a staggered roster. An example of this is when
restaurant managers schedule more employees for lunch and dinner hours than
lunch.

Example of Monthly Duty Roster

22
Advantages of Making a Duty roaster:

Planning a duty roaster in advance helps to ensure:

• The exact number of staff required to be on duty at any given occupancy.

• That staff working hours are as per their employment contract.
• That regular off days are availed for enhancing productivity.
• Knowledge of which employees are present on the premises in instances of
emergencies.
• Accuracy in attendance and payroll reports.

Tips for Creating a Staff Roster

1. Plan the roster before adding individual names.

2. Share schedule options with the entire staff.
3. Fill busy shifts with the most experienced and skilled staff.
4. Automatically handle availability and time-off requests online.
5. Show wage cost as you build the staff roster.
6. Begin the roster week on a busy day.
7. Make sure everyone receives two days off.
8. Allow your staff to check their roster.
9. Give your staff enough time to plan for obligations outside of work.

Key Things to Consider Building an Effective Roster

The appropriate scheduling technique can increase efficiency with low payroll costs
and turnover rates. Familiarity with state and federal labor laws ensures hours,
breaks an overtime pay does not violate regulations.
