DUTIES AND RESPONSIBILITIES


OFFICE SECRETARY

Job Description
To provide the Company full secretarial support. To work as an integral part of the
team and to ensure the smooth running of the Office of Oro Dy Construction
and Equipment Rental INC. The job holder will be providing a range of
administrative services within the department as well as providing a central point
of contact within the Field.
Responsible to: The Company

KEY RESPONSIBILITIES
1. SECRETARIAL SUPPORT
● Set reminders of payables towards the Company’s clients
● Liaising with relevant organizations, companies, and clients.
● Handle all phone calls, mail and email as required by the Board of
Directors screening as appropriate to ensure their time is used efficiently
● Check frequently the levels of office supplies and place appropriate orders.
● Prepare the payroll of employees
● Ensure that the production of typing, photocopying and emails are
accurately presented in a professional style and in line with company
guidelines
● Produce PowerPoint presentations as and when necessary
● Produce report packs as and when necessary
● Data entry on the sales and expenses acquired from the company
● Document expenses and hand-in reports weekly and monthly
● Cover reception when required
2. FILING
● Manage and maintain an effective filing system (manual) by ensuring that
filing is completed on a regular basis so everything is kept up to date
● Be competent in A-Site to access drawings and site documents when required
● Logging or processing bills or expenses
3. COMMUNICATION
● Issue Group information as required to the rest of the Construction Department.
● Monitor Heavy Equipments and Trucks on-site
● Sending of important files to the company’s group chat via messenger

4. WORKING RELATIONSHIPS
● Maintain good working relationships between employees within the
company whether office or site based.
● Maintain good working relationships Company’s key contacts in order to
maintain diary efficiency.

5. GENERAL

● Contribute to improving the business, protecting and enhancing the reputation of the
company, by putting forward new ideas and, when requested to do so, implementing
change.
