ON THE-JOB TRAINING EXPERIENCE AT KRYLSAM ADVERTISING INC.

MALUMOT, PANAPAAN VII, BACOOR CITY, CAVITE

INTRODUCTION

OJT or On-the-job training according to Imed Bouchrika, Ph.D., it is a “set of

programs (OJT) strengthen your skills in preparation for the job role. For fresh

graduates, OJT programs are a ticket to gaining work experience.” in other words

OJT or Internship makes a student to experience what was to be on a corporate

world. OJT is a glimpse of corporate or industry world that awaits for a student when

he or she graduated. It is important for a student to take a internship or OJT that is

related to his or her course, in order to enhance and expand his or her skills learned

from the academic institution where he or she takes his course. OJT can also unlock

more opportunity and new discovery to a student skills and knowledge. OJT also

called Practicum, according to The Britannica Dictionary practicum “is a course of

study for teachers, doctors, nurses, etc., that involves actually working in the area of

study and using the knowledge and skills that have been learned in a school.” where

during the entire period OJT hours required to be completed to a student taking this

program, he or she expected to apply all of the learnings and skills he or she

acquired during the entire course or program he or she takes at the academic

institution he or she belong. The trainee will conduct a total hours of hours of OJT at

Krylsam Advertising Inc Malumot Main Branch located at km #17, Aguinaldo

Highway, Barangay Panapaan VII, Bacoor City Cavite. This company offer services

such as Digital Billboards and Large-format Print, Signages, Desktop Prints, Offset

Prints, Corporate Solutions, Event Solutions. At this company the trainee will work as

Graphic Artist during the entire perion of OJT Hours

Objectives of the On-the-Job Training

The On-the-Job Training aims to provide students the capstone experience

of the necessary competencies on the operational aspects of the linkage

establishment. Specifically, at the end of the training, the trainee should be able to:

1. Identify and fully understand the section's or department's standard operating

procedures and methodologies;

2. Connect key positions within the selected organization and its connected

operations to the corresponding duties and tasks;

3. Accomplish the designated tasks that are necessary in the sections or

department;

4. Assess the assigned section's or department's operational practices;

5. Suggest a acceptable plan of action to enhance the specified processes;

6. Acquire the interpersonal and other communication skills necessary for

success in the institution's designated sector or department;

7. Understand the significance of effective operational policies and procedures

in regard to the administration of the establishment's relevant areas as a

whole.

Significance of On-the-Job Training

OJT is not just a program or units in college that requires a student to

complete for his or her academic requirements but OJT also has a advantages for a

student. This program is a fastest way to develop skills, the more a student immerse

him or herself on a specific task in relate to his or her course, it will help them to

develop more set of skills they need when they are working on a company. It will help

also the student to develop his or her confidence, to communicate with his or her

teammates or co-workers, because communication and coordination is one of the

most important thing to apply let’s say for example on a project or a task that require

more people to accomplished, poor coordination may results to poor quality or work

or worst, failed output. OJT help’s student to gain more knowledge about industry,

according to Ellie Richards(May 10 2023) “The students can perform their daily tasks,

participate in meetings, work as a team, and attend industry-related seminars. As

they learn about their roles and responsibilities, they gain a closer insight into the

industry.” it will make a student learn the importance of their role on a company

where they take their OJT, importance of time-management, quality of works, and

listing down every detail needed to accomplished their task or project on a company.

Time and Place of On-the-Job Training

The OJT period of the trainee started on April 3, 2023 until June 21, 2023,

and will work for 8:00 AM to 5:00 PM every Mondays to Saturdays at the office of

Krylsam Advertising Inc Malumot Main Branch located in KM#17 Aguinaldo Highway,

Barangay Panapaan VII Bacoor City, Cavite, 4102.

The Linkage Establishment which is the Krylsam Advertising Inc Malumot

Main Branch where the trainee will conduct the On-theJob Training shown from the

figure above will located at KM#17 Aguinaldo Highway, Barangay Panapaan VII

Bacoor City, Cavite, 4102.

Background/Profile of the Established

The Krylsam Advertising Inc. was established in year 2007, as a single

branch in Cavite providing different printing services to several clients. Through the

years, the company grew expanded and now currently has four branches Krylsam

has a broad history of clients varying from small scale independent businesses to

huge and well known companies, Krylsam plans to expand its services more in the

future to further provide more creative options in advertising.

Vision and Mission Statements of the Establishments

Vision

Krylsam Advertising’s vision is to continually grow and improve in order to

consistently exceed our customers’ expectations not only in size and scope, but in

quality and profitability.

Mission

The mission of the company is to deliver the best solutions for our

customers and potential customers signs and graphics need. We believe our

knowledge and expertise means that we are in the unique position of being able to

provide the best possible service and products throughout the Philippines.

Goals and Objectives of the Establishment

Krylsam plans to expand its services more in the future to further provide

more creative options in advertising. Our vision is to continually grow and improve in

order to consistently exceed our customers’ expectations not only in size and scope,

but in quality and profitability. Our aim is to deliver the best solutions for our

customers and potential customers signs and graphics need. We believe our

knowledge and expertise means that we are in the unique position of being able to

provide the best possible service and products throughout the Philippines.

Organizational Structures of the Establishment

The Krylsam Advertising Inc is led and owned by Mr. Francis Perez which is

the President and Owner of the Company, followed by the Vice President Mrs Evelyn

Perez. The Admin is the one who’s incharge for entertaining the clients for the

inquiries, creating a sales report, coordinating or handing down the task to the

graphic artist, fabricators, and printer operator. Graphic Artist are the incharge for the

customers graphics and layout needs. Printer Operator is the one who’s in-charge

for Large Format Printing for Bill Boards, Panaflex, Stickers and Tarpulins.

Fabricators are the one who fabricates the products need by the clients such as the

sinages, stainless steel built-up, kiosk, acrylic built up, banners, billboards and all the

other products offered by the company that are needed to fabricate. All the operating

procedures and instruction and decisions will come from the company president.

THE TRAINING AREA

Department Function

The trainee was assign in the office and in-charge for the role of graphic

artist. The trainee should meet the graphic needs of the client. All informations, ideas,

and detail for the design and layout will be instructed by the client directly to the

graphic artist. The graphic artist or the trainee incharge to this role will create a

output based on the instruction of the client, and when the output done, the graphic

artist need to seek the approval of the client. If there are revision needed, the graphic

artist will work for the changes of the layout until it meet the client’s needs. Then the

graphic artist will give instruction to the printer operator at the printing department or

the fabricators at the fabrication area for the physical output of the product. This area

is designated for transaction making, price quotation, walking queries, office works,

and graphic works.

Organizational Structures of the Department, Functions and Responsibilities

Krylsam Advertising has three department or working area, Office, Printing

Department, and Fabrication Area. The people assigned in Office are the President,

Vice President, Admin, and Graphic Artist. This area is designated for transaction

making, price quotation, walking queries, office works, and graphic works. President

are assigned for entertaining a big transaction with big clients such as companies,

government and private institution for a big projects, Vice President will overtake the

role if the President is not present. The Admin is incharge for entertaining the walk-in

clients on the inquiries, small transaction, creating a sales report, coordinating or

handing down the task to the graphic artist, fabricators, and printer operator. Then

the Graphic Artist is incharge for the client graphic design needs. The Printing

Department is the area designated for producing a large format printing for tarpaulin,

billboard, sinages, panaflex, and large stickers. The personnel in this area is the

printer operator who operate the large printing machine for large format printing. All

of the instruction and task given to the printer operator will come from the office. The

Fabrication Area is an area designated for fabrication work and weldings such as the

signages frame, stainless steel fabrications, acrylic built-ups, and other services

provided by the company that is needed to fabricate. Fabricator are the people who

work in this place and it is lead by the master fabricator.

Facilities

The following figures shown are the facilities or department inside the

Krylsam Advertising Inc. and the function of each facilities or department.

Office is the area designated for transaction making, price quotation, walking

queries, office works, and graphic works. It composed of work table and computers

for the admin, vice president, and graphic artist, printers for each workers inside the

office, and a separate printers for pigment printing and sublimation printing. This is

also the area for the production of offsets printing such as calling cards, pvc id,

document printing, invitation cards, flyers, lanyards, and stickers.

Printing Department is a facility designated for the production of large print

format and a storage room for large print media such as the tarpaulin, panaflex,

stickers(frosted, porporated, glossy vinyl, matte vinyl), and blackout tarpaulin. This

area composed of a large printer used for large format printing and a computer that

controls the printer. People who entered and operate to this department are highly

required to wear facemask due to the strong odor of the ink used in tarpulin printing

which is the konika 94PL Solvent Ink.

The Fabrication Area is the facility designated for different fabrication

services such as the stainless steel fabrications, acrylic built-up, kiosk, standees,

signage fabrications, weldings and other services offered by the Krylsam Advertising

Inc that requires fabricated output. This area composed of different tools such as

steel cutters, weldings, carpentry tools, crafting tables, and many heavy duty tools

and machine used by the fabricators.

Storage Room is the area designated for storing the stickers, acrylics, sintra

and versa board, LED Lights used in lighted sinages product samples, product

outputs, and other spare equipments such as the pc monitors, system units,

keyboard, monitors, and other small machine that are rarely used such as the mug

heat presser, laminators, and simming machine.

Equipments

The following are the equipments used in the Krylsam Advertising Inc for
their services.

Computers are the primary equipment used in this establishment, because

with the help of computers, employees can do their assigned task to them such as

answering all queries of clients from facebook pages, gmail, and viber. This

equipment also used for storing soft copies of documents such as the sales reports,

quotations, graphic layout and designs, softwares used for graphic works and office

works. And it is also used to operate the Large Format Printer, Cutting Plotter, and

Printers with special inks for offset, digital, and document printing.

Printers are used for printing a hard copy of sales reports, delivery reports,

quotations, mock up layouts, digital printing, and offset printing.

Cutting Plotter is a machine used for sticker cutout, and dye cutting. This

machine is operated with the help of computer and a specific software for cutting.

Large Format Printing Machine is a heavy duty printing machine located in

printing department used for tarpaulin printing, panaflex printing, and sticker printing.

It is operated with a help of a computer.

Fabrication Tools are the tools used by the fabricator such as the welding

machine, simming machine, grinders, drill, carpentry tools used for making sinages,

acrylic and stainless steel builtups.

There are other equipments used for the production of other services

provided by Krylsam Advertising Inc. such as the laminating machine, cutting board,

heatpress, mug heat press, and pvc id puncher.

Standard Operating Procedures

The Krylsam Advertising Inc. is open at 8:00AM to 5:00PM every Monday to

Saturday. Employee should come at office on or before 8:00AM, 15 mins grace

period are aloted for those employee who can't come on time. After 15 mins of grace

period automaticaly will considered as 1 hour late and with a tardiness deduction on

salary. No work no pay policy are also implemented. Employee shouldn't have 3

consecutive lates. Every attendance and time in/time out are monitored and recorded

via biometrics scan. Overtimes payment will depend in the aporoval of office

president. When it comes on entertaining and dealing with customer, admin will

entertain the client. then informations and details for the client needs' will be gather

by the admin and then will handle it down to the graphic artist. Client can talk to

graphic artist directly for the instruction of layout after the deal between the admin

and the client. client can fullpay the cost of the product or the services, pay the

product and services as the production completed, or give atleast 60% downpayment

and the rest will be given after the production finished. The time waiting for the output

of a product will depend on the type of product or services need by the client. For

tarpulins, if the client already have the layout and sended it to the graphic artist for

checking, then the product will be printed after checking and the customer or the

client will be informed via sms, call, messenger or email if all of the tarpulin needed

by the client is finsihed. If the client doesn't have the layout, the graphic artist will

layout out for the client, and the client will give instruction to the client, this will cost

an additonal charge from the price of tarpulin. If the client approved the layout then

will proceed on printing. The same process will hapoen when it comes to Digital

Printing such as calling card, invitation card, brochures, stickers, and other digital

printing. When it comes to sinages, acrylic built-up, stainless steel built-up, kiosk,

billboards, and other services that are needed to fabricate, the production will last

7-10 working days as the client send the layout or approved the layout. Client can't

refund the payment after paying. Acknowledgement Reciept are issued after the

payment, client also can request for the OR or Official Receipt.

THE TRAINING EXPERIENCE

OJT Experience

The trainee at first, experiences difficulties on finding a company for his

internship when it comes to location, job responsibility, and expenses. Trainee aim’s

to fid a company which is near, and the task will assign to him are related to his

course. In order to find a suitable company where he will conduct his internship for

486 hours, and apply all of his learnings from the academic institution during his OJT

Period. He browse a several company that hire a intern through online, social media,

and he also email those companies, sended his application letter and resume.

Several Companies responded but considering the location, task and responsibilities,

and expenses, he choose the Krylsam Advertising Inc., located near where he

reside.

The following day, the trainee went to the company where he will apply as

OJT to submit his resume and application form. Then the company ask for the

trainees MOA or Memorandum of Agreement. The trainee took weeks until he

submitted his MOA to the Linkage Establishment, and as he submitted his MOA, Mrs

Marlene Tauro, the Admin Officer of Krylsam Advertising Inc. entertain him and

checked his requirements. Then after checking Mrs Marlene endorsed the Trainee

Applicant to the Companies Vice President then rechecked his requirements he

submitted. The Company Vice President, Mrs. Evelyn Perez tell the trainee his

availability for interview via call. After Two Days, Mrs Evelyn make a phone call to the

trainee and interviewed him about his skills when it comes to graphic designing. After

the phone call interview, Mrs. Evelyn Perez said to the trainee that he can start on

Monday, April 3, 2023, and instruct him to come at 8:00 AM at Krylsam Advertising

Inc. as a Graphic Artist Intern.

Task Performed

During the entire OJT Period, the trainee actively did his task ask a graphic

artist, such as on tarpulin layouting, PVC ID desigining and production, business card

layouts, invitation card layout, sinages and panaflex layouts, sticker designing and

cutouts. The trainee also participated on a big projects such as the Stainless Steel

Built-up signage with Logo Sinage for the Bureau of Fire Protection Imus, AA Logo

pattern and cut out for Baranggay Medicion 2 D, 2D and 3D design of Lighted

Stainless Steel Built-up on ACP(Alluminum Composite Panel) of Directional for the

Grand Park Place, Cool Martin Resort Billboard, FPJ Insurance Tarpulin Layout and

Print of 94 Feet Fence Banner, and a lot of countless sinages layouts, designs, and

productions for shops, offices, and big companies. The trainee also learned to

manage the store, entertain the clients, make a transactions, and recording all of the

sales alone, when the Admin Officer absent due to personal matters. And when it

comes to PC Troubleshoot and maintenance, the trainee also handle those matter

due to his skills and knowledge on computers.

Observed Strengths and Weaknesses of the Training Area

The strength of the training area observed by the intern are the

coomunication towards co workers and boss, they are approachable and available

even they are not on work via phone calls or messenger. Everytime the trainee

cannot understand the task he’s doing, he can easily approach the admin, vice

president and the president of the company for the advises and further instruction of

the assigned task to him. Another strength is all of the gmail and facebook account of

the company is logged-in on all of our computers, so when it come to file transferring,

it done via gmail, same as sending tarpulin layout for print to printing department,

there is a gmail designated to printing department, where the graphic artist will send

the layout and instruction of printing. Then by having a complete necessary

equipment both for graphic layout and production, and fabrications, the Krylsam

Advertising Inc. provides a good quality of products and services due to the

availability of all tools and equipments needed.

However the weaknesses of the company is by having a few numbers

fabricators that causes a slow production of the product and services such as the

sinages, and built-ups, internet speed, the performance of the Tarpulin Printing

Machine due to its old model, and the impact of covid19 pandemic to its sales and

customers before that almost bankrupt the company.

Insight

Problems Encountered

The trainee experienced a various problem, such as when the regular

graphic artist resign, where the pc for cutting plotter, and the another pc for graphic

artist cannot be open due to he changed the password. So the trainee with the help

of his knowledge and skills as a IT Student, he did bypass and changed the

password of both PC Unit without the need of reformatting the units. The second

problem encountered by the trainee is when he was the only graphic artist available

after the resignation of the regular graphic artist, for two weeks until he finds a

replacement, the trainee need to accomplished all of the pendings including the task

left by the former graphic artist. Another problem encountered by the trainee is when

the facebook account of the company was hacked and the internet connection had a

problem, it severely affect not just the Trainee quality of work but the entire process

and sales of the office.

Suggestions for Self-Improvement

For the self-improvement of the trainee, communication and coordination

skills should be more developed to lessen the risk of rejected output of the product

and to improved the quality of work and services. Another improvement is to listing all

of the assigned task to make sure all of the task are accomplished to to monitored

the progress. And lastly is the stress-management and time management.

SUMMARY

OJT is not just a program or units in college that requires a student to

complete for his or her academic requirements but OJT also has a advantages for a

student. This program is a fastest way to develop skills, the more a student immerse

him or herself on a specific task in relate to his or her course, it will help them to

develop more set of skills they need when they are working on a company.

The trainee Carlos David Q. Miciano, a student taking BSIT at Cavite State

University - Imus Campus took his On-the-job training at Krylsam Advertising Inc.

Malumot Main Branch, located in km#17 Aguinaldo High Way, Barangay Panapaan

VII, City of Bacoor, Cavite. Throughout the training period, the intern had a chance to

use and at the same time enhance his skill on graphic designing as he was assigned

to become a graphic artist in the company. The trainee also had a chance to apply

not just his skills on graphic designing but all of the knowledge he learned from the

academic institution he studies. And lastly the trainee also had a chance to improved

his communication skills, self confidence, stress management, time management,

and gained knowledge about the industry and corporate world. The trainee

experience several problems and challenges during his OJT Period, but this

challenges helps the trainee to become more knowledgeable on problem solving and

gain more self confidence.
