Objectives
By the end of class, learners will be able to do the following:
 Format a blank document
 Create a document from a template
 Insert clip art

Introduction
Microsoft Publisher is desktop publishing software. It handles text
boxes and graphics in much the same way as PowerPoint. In
most instances, you will use a template that can be modified.
Before you begin, please click Help/ Publisher Tasks and
review the material on the left screen by clicking the blue text.

Accessing Publisher

Publisher still uses the Menu Bar instead of the Fluid


User Interface a.k.a. the Ribbon.

2. Scroll down the page until you see the appropriate paper size,
for example, Letter (Portrait) 8½ x 11.

Adding Addition Toolbars to the Publisher Screen

1. Click View/Toolbars.
2. Toolbars with checkmarks already appear on the Publisher
screen. To view a toolbar click, it until a checkmark appears;
to remove a toolbar, click it until the checkmark disappears.

Changing Objects on a Toolbar


You can select which objects to display on a toolbar.

1. Click the down arrow at the end of a toolbar.


2. Select Add or Remove Buttons from the drop-down screen.
3. Click the name of the toolbar, for example, Formatting.

4. All the tools are listed. To add a tool, click until a checkmark
appears; to remove a tool, click until a checkmark disappears.

Creating a Customized Toolbar

1. Click View/Toolbars.
2. Click Customize.

3. Click from the Toolbar tab.


4. Type a name for the new toolbar, for example, Favorites.

6. A blue window appears on the right side.


7. Click the Commends tab.
8. Scroll through the commands on the left. When the commands
appear on the right, drag them on top of the blue window. You
can also rearrange the commands by moving dragging and
dropping them.

You can edit this toolbar. See page 10.

Hiding the Task Pane


If you wish to see more of your document, hide the task pane.

Click the x on the Task Pane to close it.


To view the Task Pane, click View/Task Pane from the
Menu Bar, or hold down the Ctrl key from the keyboard
and tap the F1 key.

1. Click View/Boundaries and Guides, or Baseline Guides.

Changing the Size of the Baseline Guides


You may want to change the Baseline Guides to coincide with the
point size of the text you are using.

Accessing Layout Guides

1. Click Arrange/Layout Guides.

2. Change the top and side margins.

3. Click the Grid Guides tab.

4. You can add columns and rows and increase the spacing
between them by using the up and down arrows, or typing a
number.

Turning on Ruler Guides


Ruler guides do not print and are used to layout a document.
They are especially helpful when you are placing pictures along
with text.

1. Click Arrange/Ruler Guides.


2. You can either add horizontal or vertical ruler guides. Click
either from the drop down menu.
3. To move the guides, position the cursor on the line until the
cursor looks like 
4. Hold the left mouse button down and drag the line up or down.
To add more lines, position the cursor on the ruler until
it looks like . Hold down the left mouse button and
drag it down to the page. You can do the same with the
vertical ruler.

Using the Side Bar to Store Design Elements


If you are going to be using an element on multiple pages, like a
logo, you can copy it to the sidebar. It will then be available for
all pages of your document. Make sure that the element does not
touch the white of the screen, that is print area, or it won’t be
available for all pages.

1. Click the Tint tab.


2. Select a by clicking the down arrow and clicking a color. Click
More Colors to see more options.
3. Click the tint saturation you prefer from the color blocks at the
top of the screen.

Creating a Text Box


You cannot type in Publisher until you create a text box.

Object
Toolbar

1. Click from the Object Toolbar.


2. Drag the cursor on to the paper. The cursor looks like a plain
black cross . Hold down the LEFT mouse button and drag the
mouse to draw the text box.
3. Release the LEFT mouse button. A light frame appears around
the text box. The frame will not print.
 To rotate, position the cursor on the green dot. Your
cursor should look like a circling arrow. Hold down the
LEFT mouse button and drag the mouse.
 To enlarge or decrease the size of the text box,
position the cursor on one of the handles. The cursor
looks similar to  Drag the cursor in and out with
the LEFT mouse button.

Inserting Borders and Backgrounds

1. You can add a background color to the text box by clicking the
down arrow next to Color.
If you click Fill Effects, you’ll be able to add the
textures, etc., that you used to add a page background.
See page 24.
2. To add a border, select a color, style, and weight.

Turning on AutoFit

To zoom in, click the F9 key on the keyboard.

Exercise 2: Adding a Page Background and Creating a Text Box


 Add a page background to a document.
 Draw a text box.
 Copy and paste text into the text box.
 Format the text box so that the copied text fits into the text
box.

2. Notice that the Task Pane has changed. Click in the box under
Search for.
3. Type a keyword, for example, cat
4. After the task pane is populated, scroll down the screen and
click on a picture.
5. When the picture appears in the workspace you can make it
smaller and rotate it just like a text box.

diagonal handles.

Bringing Objects Backward and Forward

1. Click either the text box or a picture.


2. Click Arrange/Order.
3. Click either Bring to Front, Send to Back, Bring Forward or
Send Backward from the drop down menu.

Grouping and Ungrouping


Grouping objects makes the object into one object. Use this if you
always want captions to stay with graphics, etc.

1. Select page objects by holding down Ctrl from the keyboard


and clicking with the LEFT mouse button.
2. Click Arrange/Group.

To ungroup, click the object, and click Arrange/Group.


Select Ungroup from the drop-down list.

Creating Word Art

1. From the Objects Toolbar, click

7. WordArt is a graphic. To make it bigger or smaller, position the


cursor on the diagonal handles and drag the left mouse button.
To rotate the picture, position the cursor on the green circle,
hold down the left mouse button, and rotate the mouse. To
change the way WordArt looks, use the WordArt Toolbar.

Exercise 3: Adding a Page Background and Creating a Text Box


 Add a page background to a document.
 Draw a text box.
 Copy and paste text into the text box.
 Format the text box so that the copied text fits into the text
box.

Renovating

Using a Template
Publisher contains many templates and more can be downloaded from
Microsoft’s website.

1. There is a list of publication types on the left side of the


screen. Popular templates appear in the middle of the screen.
Publications that you have created are on the right side of the
screen.
Click Brochures from the left.

2. Scroll down the middle of the screen to see all available


designs.

Adding Business or Personal Information to a Template

1. To automatically add business or personal information to a


template, click on the business contact information text box.

2. The business contact tool appears click it.


3. From the drop-down menu, select Edit Business
Information.

4. Enter all pertinent data. You can even upload a logo. Note:
Your publication will default to this information. You can save
more than one Business Information Set Name.

4. Scroll down the middle screen to see all the designs.
5. Click on a design.
6. From the right side of the screen, decide if you want to include
a graphic, and how many lines of text you wish the logo to
have.

If you want to make the graphic bigger or smaller, you’ll


have to ungroup the logo. Click Arrange/Ungroup
from the Menu Bar and click on the picture and drag
from the diagonal corner. After you’re finished resizing,
click the graphic and click Arrange/Regroup from the
Menu Bar.

Using Pack and Go


This is a nice feature. You can send your publication to a zip file.
The file includes all graphics and all type used.
Creating a Pack and Go Zip File

1. Click File/Pack and Go from the Menu Bar.


2. Select Take to Another Computer or Take to a
Commercial Printing Service.

Opening a Zip File

1. Click from the Task Manager at the bottom of the screen.

2. Find the file that was zipped. It will have the extension .zip.
You may have to click the folders and drives on the left side
of the screen to find it.

If you just saved the file, click Recently Changed from


the left side of the screen.
