Part I

1. Introduction

Gada Transport and Logistics S.C vehicles and equipment are representing Oromia Regional
State Government investment that is critical to mission success and staff safety and security.
These properties must be kept in peak operating conditions to keep them on the road and
operating efficiently. Accordingly, Vehicle maintenance and service is a proactive approach to
preserve and maximize the performance of a vehicle. It is performed by vehicle servicing
technicians or fleet managers of the company to preserve unexpected vehicle breakdowns that
my lead to vehicle incidents, which results jeopardize human life or properties.

Thus, Vehicles and equipment need maintenance from time to time. Like humans are required
to maintain hygiene, similarly they also need to be kept clean. Vehicles have to run on dirty
roads and in a polluted environment. They run on uneven roads with potholes and other
obstructions, and are therefore subjected to loads which damage them. Therefore, there is a
need for regular maintenance and servicing of vehicles, which is usually done in auto
workshops or auto service stations of the company. Workshop managers, mechanics and
drivers are expected to read and use this manual, as it is procedural tool for Vehicle
Maintenance and Servicing. It has been noticed that regularly providing maintenance, repairing
and servicing vehicles, increases the longevity or life of the vehicles to a great extent. Vehicle
maintenance and servicing is carried out when the vehicle completes certain kilometers or
duration of time on its normal running or when the vehicle does not give proper performance.
These all can be achieved where there is well structure working procedures and guide lines. To
this end this document entails the necessary steps to maintain the health of the company’s
vehicles.

2.General

2.1 Title-Gada Transport and Logistics S.C vehicles maintenance, repair and servicing manual

2.1.1 Objective- To outline the Proper Procedures for Care and Maintenance, service and
repair of the company’s Vehicles ( equipment) so as to regularly keep them on the road and
operating efficiently.

2.1.2 Scope- Applicable to Gada Transport and Logistics S.c Vehicles and equipment

3. The Importance of the manual
a. To ensure that technicians are using the right procedures, tools, and
specifications for the specific vehicles
b. To ensure that safety should always be a top priority when working on
vehicles. Essentially safety information, helping operators to avoid accidents
and injuries during repairs.
c. To ensure that proper guide to maintenance and repair can extend the lifespan
of the vehicle, ensuring it runs smoothly for years to come

Part II. Periodic (Time and distance based) maintenance

Periodic maintenance is a system that helps managers and operators (mechanics/technicians)


to manage replacement parts, repairs, and other maintenance activities. These can keep
vehicles running smoothly by regularly checking the following items:-

 Engine light-flashing engine lights is a sign that the electric control system has run into
problem that needed immediate attention
 Brake pads -They are rubber made to wear. The rate of wear depends on the driving
habits and conditions. In general brake pads last around 40,000 to 50,000 kilometers. So
they need replacement around every 2 to 3 years. The service mechanic checks the
brake by pushing the pedal. If there is need of servicing, the service mechanic informs
accordingly. Or manually test brakes if there is a spongy feels or if it takes more pressure
to apply the brakes than normal. If they making screeching noise, or brake bite feels
sluggish while performing poorly, then get brakes checked immediately. Note that
vehicle brakes not only fail because of failing brake pads but also worn-out brake rotors
and leaking brake fuel. It should also get checked getting vehicle maintenance. Check if
you can hear a strange sound.
 Tires- Tires are subjected to the most wear and tear. Despite that a good pair of tires
last between 3 to 4 years. However, depends on the type of roads the vehicles are
driving on as well as the manner of driving. Gravel road more often wear tires down
more. Worn-out tires are not just bad for maintaining grip, but lack of grip also reduces
braking ability and greatly sacrifices stability on roads. They also cause the wheels
misaligned due to uneven wear. Not only is it risky to drive with misaligned wheels but it
also causes excessive tire wearing. Both of which put driving safety in jeopardy. This is
why it is important to get tires and wheels checked regularly and have them replaced
when necessary. Maintaining the correct tire pressure will help to extend the life of your
tires, improve vehicle safety and maintain fuel efficiency. To maintain proper tire
inflation the mechanic at the service station examines the tires by checking correct tire
pressure, and also checks whether there is any external damage. Check if the tire

pressure light is “on” and inspect if the pressure is in a normal range. Visually investigate
for a possibility of tire holes. Also consider this tire tread depth scale-
1) New tire tread depth = 11/32’’ or 10/32’’
2) Good tire tread depth =9/32’’ to 5/32’’
3) Time to replace tire=4/32’’
4) Legal Requirement for Replacement = 2/32’’(minimum legal tire tread
depth)
Thus, replace if the tire tread depth is 2/32’’ or less.
 Light- Test for busted lights including the head, tails, parking, brake, and signal lights.
 Wiper- Check wiper blades for any signs of wear and tear and replace them if necessary.
In the monthly base windshield wiper fluid should be go through the level and top off if
needed.
 Engine oil- in the monthly base check the difference between the “low” and “full”
markings using a dipstick. Replenish the engine oil if below markings.
 Coolant- The technician checks the cooling system by topping up the coolant. The
cooling system should be refilled with the correct coolant, and not with water alone. In
the monthly base verify the level at the reservoir and fill up the coolant up to normal
level.
 Automatic Transmission Fluid- After every 5000 kilometers check the level of
transmission fluid, if it is low, add the appropriate transmission fluid type.
 Power Steering Fluid-After every 5000 kilometers inspect the system for leaks,
especially if topping off becomes frequent.
 Engine Air Filter-They are needed to replace regularly. Both cabin and engine make sure
both are not contaminated-free air to breath. Over time filters get dirty and clogged due
to all the pollutant and germs they have filtered, cutting off the air flow entirely. Not
only is that unhealthy for the vehicle if not getting any fresh air to breath due to a
clogged cabin air filter, but the vehicle engine will also suffocate if the engine air filter
gets clogged. This will cause the engine to run richer, burning a higher ratio of fuel over
air resulting in less fuel efficiency and overheating. To avoid this, engine air filters need
to be regularly replaced. So after every 5000 kilometers replaces the air filter if it is dirty,
full of debris, or having discolorations.
 Battery- It is a very important component of a vehicle. A standard vehicle battery is a
12-voltage battery that should produce between 12.4 v-12.7v when fully charged. Not
having enough voltage means that the vehicle battery is below 100% which is alright if
the vehicle has been sitting around. Battery gets heated due to the hot engine running
beside it. Having a hotter battery indicates a fault charging system. If battery find older
or fault, it is recommended to change immediately. Otherwise a risk of either –
circuiting the entire electric due to high voltage output or failing to run anything

because of a dead battery. It should be checked regularly. Battery electrolyte (distilled
water) is checked by removing the battery caps and looking inside. If the level is low, it is
topped up with distilled water. Nowadays, batteries are maintenance-free which means
they have sealed caps and require no checking. But, some batteries though said to be
maintenance-free, do have removable caps. These should be checked in the usual
manner. After every 5000 kilometers check the battery if mounted securely and free
from corrosion.
 Belts check-up- Checking of belt is very important. If it is loose or broken, then it needs
to be replaced immediately. Then after every 5000 kilometers replaces frayed or worn
V-belts and serpentine belts.
 Hose- After every 5000 kilometers check if hoses are brittle, have leaks, or cracks then
replace accordingly.
 Exhaust- After every 5000 kilometer listens to exhaust system and check if there is a
strange noise. Check for leaks or damage.
Every 6 months or 6000miles or equivalent to 10,000 kilometer
Bad driving habit such as excessive braking, speeding and poor tire care results in an
increase in operating costs. Findings show that poor driving behavior can contribute as
much as 30% to increased fleet costs. Thus to manage tire( rotation, balancing and
alignment) when 6000 miles is reached or after 6 months movement, whichever
comes first, rotate tires or extend their service life. Also, check the following items:-
 Engine oil and filter- Change engine oil and filter as it accumulates tiny bits of metals,
dirt, and carbon over time that can cause excessive wear on engine.
 Chassis, steering, and suspension system- Lubricate these parts as needed.
 Break System-Inspect the whole system including brake fluid, break lining rotors, and
pads.
 Spark Plugs- Look for busted plugs and replace them if necessary.
 Shocks and Struts-Check if there is a decrease in smoothness or loss of control when
driving.
 Air conditioning- The service mechanic checks cooling and heating by examining if the
airflow is coming from all appropriate vents.
 Oil Filter- Oil change is something that is first in any vehicle maintenance, but what
come next is oil filter replacement. These are the filters that continuously clean the
engine oil so the oil can keep the engine contaminant free. This also helps in reducing
friction inside the engine as the clean oil keeps all parts of the engine lubricated. But like
all filters the oil filters also get clogged after months of cleaning dirty engine oil. When
that happens the engine becomes sluggish as the oil inside is not getting cleaned
anymore. This resulted in increasing friction, high engine temperature and poor engine
performance. In order to keep the engine oil healthy and clean, oil filter need to be

replaced regularly. The general (average) frequency for which 8000km or 6 months
whichever comes first.
 Grease-Can help minimize the squeaks and groans that typically hear from inside of the
vehicle. Grease can delay the permanent wear and tear of vehicle components. Critical
components requiring frequent greasing include the kingpin, drag link, tie rod ends,
spring pins and spring shackles, the clutch or transmission etc, each component requires
present mount of grease at specific interval. Ideally most tractor trailers should be
manually greased at all lube point around 12,000 to 24,000 miles or approximately
20,0000 to 39,000 kilometers respectively and more frequently the fifth wheel.
Automatic lubrication system provide consistent lubrication on a more frequent basis,
taking the guesswork out of determining greasing intervals and reducing the risk of
over- and under-greasing critical components of a truck. Automatic lubrication provides
a safer method of supplying the right amount of grease to pins, ball joints and other
lubrication points while the truck is moving. This helps keep your truck where it’s
needed: on the road.
NB:- Unless and other wise for the special cases permission is given by the authorized
management (team) all the company’s Vehicles maintenance ,repair and servicing is
generally done at the Company’s vehicle service Centre (Mojo Workshop) by service
mechanic(technician) staffs.

Part III. Basic Tools for Vehicles Maintenance, Service and Repair

Using the right tools when working on repaired vehicles will make the job easier. A technician typically
has hundreds of common and specialty tools to work on a variety of vehicles. Every vehicles service
should have right hand tools and safety equipment to perform periodic maintenance and minor repairs.
Thus, the following table incorporates important items of maintenance and repairing tools that applied

Part IV. The safety rules
4.1 Why safety is the first priority?
A. Tools and Equipment: Ensure that you have the necessary tools and equipment for the
job. Follow safety guidelines and wear appropriate protection gear.
B. Knowledge and Skills: Be honest about your knowledge and skills. Start with simple
task and work your way up to more complex repairs as you gain experiences.
C. Take Your Time: Rushing through a repair can lead to mistakes. Take your time to
understand the instructions and complete each step carefully.
D. Dispose of Waste Properly: Dispose of old parts, fluids, and other waste materials
following environmental regulation.
E. Seek Professional Help: For complex or critical repairs, or if you are unsure about a
procedure, it is always a good idea to consult a professional mechanic.

The safety rules to be followed during servicing of vehicle include: (i) Always select appropriate tools for
a specific job. An inapt tool could damage the part being worked on and could cause one to get hurt (ii)
Keep tools and equipment under control (iii) Wipe excess oil and grease off hands and tools so that one
can get a good grip on tools or parts (iv) Work quietly and with full concentration (v) Keep jack handles
out of the way. Stand the creeper against the wall when not in use (vi) Do not put sharp objects, such as
screwdrivers, in one’s pocket. One could cut oneself or get stabbed, or could damage the seat (vii) Make
sure that the technician’s clothes are right for the job and one wears full leather safety shoes (viii) If oil,
grease, or any liquid spills on the floor, clean it up to avoid falls (ix) Always wear eye protection when
using a grinding wheel or welding equipment, or while working with chemicals, such as solvents (x)
While using a jack, place it properly to avoid slip (xi) Never run an engine in a closed garage or service
station that does not have proper ventilation system. The exhaust gases contain carbon monoxide, a
colorless, odorless, tasteless poisonous gas that can be toxic.

Part V. TIPS to extend the Life of a Vehicle

Care and maintenance keep a vehicle running in good condition. The following suggestions help
in better maintenance of a vehicle, and must be observed in day-to-day life. (i) Drive the vehicle
with care every day (ii) Be patient during the accident or breakdown of a vehicle, call helpline
number of vehicle (iii) Buy petrol from reputed and trustworthy service stations (iv) Do not fill
up fuel if your vehicle is parked around an oil tanker (v) Car keychain should be light (vi)
Preserve the car during long-term storage (vii) Clean the inside too (viii) Clean dash gauges
carefully (ix) Preserve door and window seals (x) Do not carry too much load (xi) Use upholstery
cleaners on soiled seats (xii) Place a towel under baby seats (xiii) Protect car paint from the sun
by parking it in a spot that is out of direct sunlight. You can also apply high-quality wax as it
prevents sun damage to car paint from ultraviolet radiation (xiv) Maintain proper tire inflation
(xv) Check for uneven wear (xvi) Rotate your tires (xvii) Get wheel alignment checked (xviii) Top

also Some important check-ups are done for better maintenance. These include:- (i) Topping of
oil level (ii) Proper tension of belt (iii) Battery for cleanliness and level of electrolyte (add only
distilled water for topping of electrolyte water) (iv) Brakes (v) Topping up of coolant, if required,
in the coolant reservoir vi) Checking the serviceability of cooling system hoses (vii) Proper tire
inflation pressure (viii) Air conditioning.

In general Oil Levels Service mechanic, with the help of a measuring stick, checks the engine oil, coolant,
brake oil and water. During routine check-up, oil, water and coolants are topped up or otherwise they
are changed.

VI. Maintenance Program

This section tells the importance of proper preventative maintenance as a vital part of a safety
program.

In addition to ensuring that workers use the tools and equipment properly, it is vital that tools and
equipment be properly inspected, maintained, and kept in good working condition. This will reduce the
risk of injury, damage and lost production.

Maintenance Personnel Qualifications

The qualifications of maintenance personnel are key to the success of a maintenance program. All
individuals who perform maintenance work will have the appropriate skills, accreditation, and/or
certification. This certification applies both to company employees and to contracted maintenance
services

Operator Qualifications and Training

All individuals who operate in the workshop and vehicles, etc. will have the appropriate skills,
accreditation, and/or certification. This applies to both company employees and contracted equipment
services.

The approval process includes the following:

1. Possession of a valid driver’s license, operator’s certification, or adequate training


appropriate to the type of vehicles or equipment.
2. Successful completion of a practical operating exam and demonstration of skills test
administered by competent and authorized personnel.
3. Successful completion of a vision test to meet the appropriate standard. Vision tests must
be conducted by competent and authorized personnel.
4. Successful completion of a hearing test (with or without a hearing aid) that is adequate for
the specific operation. Hearing tests will be conducted by competent and authorized
medical personnel.
5. No history of epilepsy or of a disabling heart condition or any other physical disability or
impairment that cannot be accommodated.

6. Training in the following:
 their responsibilities to operate the vehicles or equipment in a safe manner
 familiarity and comprehension of safety requirements for the piece of mobile
equipment which they will operate
 manufacturer's operating and maintenance procedures
 how to communicate to maintenance personnel when there is a problem
with a specific piece of equipment
 hand signals and/or other requirements as set by the company
Records

The maintenance program must contain a record keeping system. Part of this system is made up of
inventories and schedules. In addition, the recording system will document what maintenance work was
done, when, and by whom.

Recording is an important sheet used to record the inspection status made during the
maintenance check operation. The record check items include the following:-

steering wheels linkage and gear box oil etc. The status and remarks for all the items mentioned
above are indicated on the check list sheet during the maintenance operation.

Monitoring

The monitoring functions in a maintenance program fall into two areas.

1. The people responsible for operating and/or maintaining equipment must monitor their
equipment to ensure that appropriate checks and maintenance are done.
2. Management should monitor the entire program to ensure that it is functioning in
accordance with company policy.
Scheduled Inspections and Maintenance

All mobile equipment is to be inspected and maintained according to the following Equipment
Inspection Schedule as a minimum. Records of all inspections and maintenance are completed
and maintained for review and approval.

Maintenance of equipment, release of lubrication fluids, etc., is performed only in approved


areas. Spills and leaks from equipment are cleaned up promptly.

Pre-Operation Checks

Walk-around checks (i.e., circle checks) on all pieces of mobile equipment are necessary to ensure that
the unit is safe to operate, both from the personnel standpoint and for the equipment; that is, all fluids
must be at the correct level and all components must be intact.

A. Check for personnel in the cab area and around the equipment.

Before the operator commences the pre-start checks, the operator should check the
surrounding area for other operators and others who may be working around the
equipment.

B. Visual check
The operator should walk completely around the equipment and look underneath the
equipment, in the engine compartment, and in the cab.

C. Brake Lines
Visually check the brake lines for leaks. Check for moisture on the brake line. Report any
leaks to maintenance for repair as soon as possible. DO NOT operate vehicles or
equipment with brake leaks.

D. Steering Assembly

 Check the tie rod ends, pins and keepers, bell cranks, drag links, ball joints, steering
rams and hydraulic hoses.
 Check that all the joints are tight.
 Report any faulty conditions to your supervisor.
NOTE: Never operate a truck with faulty steering.

E. Front Tires
Conduct the following checks on the front tires:

 Visually check the tires for deep cuts, separations, and embedded rocks, nails, or
any other foreign material.
 Check for tire bulges at the road surfaces, which indicate low air pressure.
 Check the rims for cracks and breaks.
 Check the valve stems for wear and cuts.
F. Front Wheel Lugs
 Check the front wheel lugs each day.
 Report any loose or broken wheel lugs.
 If there are broken or loose, DO NOT operate equipment.
 Report the condition to your supervisor.
G. Front Suspension
Check the front suspension for bottoming out and check that all fastening devices are in
place.

H. Fluid Levels
Check all the fluid levels at the beginning of the shift with the equipment on a level
surface. Refer to the manufacturer's requirements to ensure the proper procedure is
followed.

If the fluid level is low, notify your supervisor. Do not operate the equipment until the
appropriate fluid level is brought up to operational level.

I. Fluid Leaks
Look for fluid leaks while checking the fluid levels. There may be fluid lines or gaskets that
are leaking.

Make a visual check to see if fluid is running down the side of the engine block or any
other areas while the engine is running.

J. Fan Belts, Blower Belts, Alternator Belt etc.


Check that all belts are in place, tight, and in good condition,

K. Air Tanks
Check the following air tanks:

 The Main Air Tank


The operator should drain the tank twice a shift during the winter months and at the
beginning of each shift at other times. Take caution when draining air tanks because
of the sludge and water that comes out. The tanks should be drained until clean air
is visible.

 Front Air Application Tank


The operator should drain the tank twice a shift in the winter months and at the
beginning of each shift at other times.

 Rear Air Application Tanks


The operator should drain the tank twice a shift in the winter months and at the
beginning of each shift at other times.

All air lines should be checked for any damage or deterioration during the check on air
tanks.

L. Hoist Rams
Visually check the hoist rams to ensure that the hoist anchor pins and keepers are in
place. Check the condition of the hydraulic hose and look for leaks. Report any concerns to
your supervisor.

M. Main Frame
Visually check the main frame for cracks and report any problems to the supervisor.

N. Lights
Turn on all equipment lights to see they are working properly including; headlights,
clearance lights, and back-up lights.

Replace all faulty lights prior to using equipment.

O. Glass

Check that the windshield, windows, and mirrors are clean and free of cracks.

P. Handrails and Ladder


Check the condition of the handrails and ladder and look for loose handrails or rungs.
Report any unsafe conditions.

Q. Wheel Chocks
Ensure that the truck is equipped with two wheel chocks mounted in a readily accessible
place.

R. Seat Belts

Check that the truck has functional seat belts. It is mandatory that the operator should use
them.

S. Fire Extinguishers
Every piece of equipment must be equipped with adequate fire extinguishers in good
condition. Faulty fire extinguishers must be replaced immediately.

T. Back Up Alarm
Check that the backup alarm is working correctly.
