Our history
The idea of Limos4 began in 2010, when Dr. Vojkan Tasic, an ETH Zurich PhD student at the
time, wanted to bring together his two passions – for information technology and ground
travel. Having realized the problems of the modern business traveler as well as the
transportation provider, Vojkan felt the need to upscale the industry. As an end result of his
expert knowledge in both areas, a self-developed turn-key dispatch and booking system has
been created, the most advanced of its kind today. It has paved the way for founding Limos4.

Limos4 is a sub-brand of Energius GmbH, enabling travelers to reliably arrange their journeys
throughout the world in minutes, whatever chauffeured vehicle type they wish to use.

We have a unique process implemented to select our suppliers in every city

Limos4 has developed and implemented a unique Quality Assurance process to establish and
maintain its supplier network worldwide.
The Quality Assurance process is a standard operating procedure that describes the steps taken
to locate, select, control, evaluate our suppliers across the globe. The process lasts at least 12
months, and some phases last indefinitely.

The goal of this process is to:

standardize the service in all cities,


supervise the service performance in all cities,
evaluate the overall quality of service in all cities.
Our specialized supplier relations team, led by an Affiliate Manager, determines and finally
onboards a potential supplier through the Quality Assurance process in 5 phases:

I Vetting phase
Numerous actions are made to obtain the highest-level mandatory requirements from the
potential supplier, such as business registration certificates, general liability and vehicle
insurances, solvency, the drivers’ criminal and driving records, their appearance and manners,
level of English.

II On-boarding phase
The phase consists of actions taken to impose and incorporate the highest standards of our
industry into the business of potential suppliers. The synchronization and unification are
reached by intensive negotiations with the potential supplier and, eventually by signing the
contract between two parties.

III Auditing phase


This phase is actually a “trial” period, during which our specialized supplier relations team
conducts numerous on-site checkings, usually invisible to the supplier, such as frequent “ghost
rides”. Thus, we have a comprehensive insight into the supplier´s quality of performance. The
auditing process lasts at least 3 months and it is a decisive milestone for further collaboration.

IV Evaluating phase
The supplier`s responsiveness, compliance, flexibility, complaints and drivers` performance are
monitored by recurrent quality control audits. All these categories are rated separately to form
the final score which qualifies the supplier for further deployment or not. Thus, we ensure the
highest quality of service is constantly delivered and performed without any quality decrease.
This phase lasts indefinitely.

V Extension phase
This phase consists of the actions intended to improve already established quality of service
and bring more value to the business, through our technological innovations, customer-
orientated approach implementation and counseling about new trends and challenges in our
industry.

Get an insight into some of the most common MICE & event transportation questions

Until when should I advise all event ground transportation service details?
The sooner, the better. Event transportation is the most complex aspect of ground
transportation, and timely preparations are crucial for successful execution. Therefore, we
expect the service details at least one week before the start of the event. There are huge events
that affect general availability, so we kindly advise early actions when organizing events.

Are your chauffeurs professional and do they speak English?


All our chauffeurs have undergone the necessary training and possess valid licenses required to
provide the chauffeur service. We also conduct the Quality Assurance Program to ensure that
our chauffeurs meet our stringent standards and requirements. It includes reliability, safety,
professional appearance, language skills and kindness. Our chauffeurs speak English as well as
the official language of the country where they provide services.
Can I get the chauffeur details 10 days in advance (ID, criminal background check, etc)?
Yes, we can provide the details 10 working days before the service. However, all users of
Limos4 service must not process any personal data of Limos4’s chauffeurs for any purpose
other than service execution purpose. The users must take all technical and organizational
security measures to protect the personal data provided by Limos4. The users are not entitled
to use the chauffeurs’ data for any marketing purpose and they agree and accept that the
privacy policy rules are valid and binding for an indefinite period of time.

Can the chauffeur be the same for the whole trip?


If preferred, we would assign the same driver for the whole trip. The exceptions would be made
only if the driver has already been assigned another job in the meantime, is on an annual leave
or has health issues.

Will the chauffeur wait if the dinner/meeting is prolonged?


Yes, the driver will wait for the passengers as long as needed. However, after the grace waiting
time, every starting hour of additional waiting time will be charged at the rate of hourly service
for the assigned vehicle.

What if the flight is cancelled / delayed / early?

We can provide every booking reservation separately but also a list of the bookings, if
preferred. We actively use manifest forms as an efficient way of exchanging information with
event planner due to numerous modifications before and during the event.

How can I keep track of all the service details?


As the details of the service constantly change, even during the event, we always keep solid
track of all changes and gladly share them, either per manifest or comprehensive reports at any
moment.
Can I get a completely detailed report on what happened day by day?
Yes. According to your needs, we provide detailed reports that present the service
chronologically.
Is your cancelation policy flexible?
Due to the larger number of bookings, we are eager to negotiate a more flexible cancellation
policy.

Do you accept and charge short notice changes and what is the lead time?
We gladly accept change, but despite all our efforts, Limos4 sometimes cannot guarantee short-
term changes. Any modification, additional stops or service that differs from the originally
booked service may result in additional costs. Generally, the lead time is 60 minutes, but it can
vary from city to city and depends on the availability caused by the season or any current
events in a particular city.

Do I have to cover expenses for the coordinator’s accommodation, food, trip?


Generally, the on-site coordination service is organized by Limos4 but the expenses are fully
covered by the event/project organizer. If preferred, the coordinator’s accommodation, food,
trip, etc. can be organized by the event/project organizer as well.

Can you arrange a chief coordinator and a project manager to be available 24/7?
Yes, and in such cases we highly recommend that our on-site coordinator(s) are accommodated
at the same or close location to your onsite event/project organizer for efficient and close
communication.

What are the payment options?


In general, all major credit cards are accepted for payment (Visa, Mastercard, American
Express), and bank transfer as a payment method is also possible. We only do not accept cash
payment. However, to support you better, the payment options can be discussed and defined
by the event ground transportation service agreement between your company and a Limos4
event manager.

How and when can I pay additional costs?


The final report on additional costs would be presented not later than 5 workdays after the last
service along with the payment link or invoice.

Can I get a discount or a number of complimentary transfers?


Discounts or complimentary transfers basically depend on the volume of service and can be
negotiated with a Limos4 representative and strictly defined by the event ground
transportation service agreement.

In case the vetting process is completed successfully and a high standard of service
implementation is well-negotiated and confirmed by an Affiliate Manager, a supply agreement
for ground transportation services is signed by authorized representatives of both parties.
Thus, the relationship between Limos4 and the supplier is legally formalized and made official.

The auditing phase is a trial period during which we conduct multiple on-site performance
checks. It implies that the initial vetting and onboarding phases have already been successfully
completed.

This process takes place on site, at least once a year, according to the annual auditing plan,
created by an Affiliate Manager.

A person responsible for on-site auditing is the Quality Assurance Officer (QAO), but it can be an
Affiliate Manager or other responsible person from our company (CEO, GM, or Event
Coordinator).

QAO books the service anonymously, performing a “ghost ride”, of which the supplier is
unaware, and exercises an extensive control of the following:

knowledge, grooming standards and general behavior.

Interviews potential supplier’s subcontractor, subcontractor’s drivers and examines


subcontractor’s vehicles.

After the auditing process is completed, the QAO fulfills the Quality Evaluation Sheet,
evaluating the supplier for each relevant category.
The categories are rated separately, from 1 to 5, and then multiplied by the weight factor which
determines the importance of each individual category, as they are not all equally relevant.

All these rates form the final score, which presents a solid and definite set of information
enabling the Limos4 Management to make the final decision about further deployment or not.

As a trial period, the auditing phase is only the beginning of the next, indefinite evaluating

A customer care rep must reach the driver and determine the driver’s position and then
forward the information to all interested parties and usually arrange another meeting point and
make sure the driver meets and greets the passengers.
It always used to be the worst-case scenario.

Nowadays, when technology plays multiple roles in service innovation, our in-house IT team
uses its scientific knowledge for practical purposes to fulfill all expectations of our clients.

And when it comes to clients, there’s no such thing as over-communication as the clients feel
more comfortable when they know what’s going on.

We see that not only our passengers want to know where their driver is positioned, but also
booking agents and personal assistants who need to know where their client or the assigned
driver is.

About Limos4's ride statuses

The result is real-time ride status notifications, indicating the exact positions of the driver or the
client aboard.

The ride status notification system is integrated with the Limos4 livery booking system and lets
all interested parties know the situation of the ride at a particular time.

It allows Limos4 extensive and complete service reporting as soon as the service has been

Having in mind the human error occurrence, when for example, the driver has missed to
designate the position or has not selected the proper ride status, as a backup solution, our
livery system immediately sends alert notifications to the Limos4 dispatch team rep on duty
who contacts the driver, reminds him/her to follow the ride status protocol properly and
designates the ride status instead of a driver.

points along the route, the driver would select the “On
stop” status when the passenger exits the vehicle, and select the “Passenger on board” when
the passenger returns to the vehicle and the trip is
resumed. The driver can use this combination as many times as there are stops.

What exactly do you do to ensure all the CEO transportation service details are correct and
everything is in order?
Our Reservations Team attentively monitors the communication, checks if all the necessary

booking request and reacts quickly to any amendments.

I am not sure if the change of the pickup time is possible. If possible, will it cause additional
charges?
The pickup time changes are possible and free of charge. Additional charges would only apply if
a change is requested at the last minute or if the driver is already on the way to the pickup
location.

How long in advance can I modify a booking?


The booking modifications can be made at any time but some modifications that are different
from the originally booked service may result in additional charges. The last-minute
modifications are usually accepted but cannot be guaranteed by Limos4.

Are your drivers professional and do they speak English?


All our chauffeurs are licensed and always smartly dressed in a suit, shirt and tie. Each of the
drivers is fluent in English and has comprehensive local knowledge.
The driver would engage in conversation only if addressed by the passenger, respecting their
privacy. The chauffeur would keep the conversation in general terms, avoiding discussing
personal circumstances.

Can the driver be the same for the whole trip? Can you appoint the same driver for the next
trip?
If preferred, we would assign the same driver for the whole trip and for the next one as well.
The exceptions would be made only if the driver has already been assigned another job in the
meantime, is on an annual leave or has health issues.
Can you provide a specific brand of water for my manager?
Yes, we can and we will do our best to meet all your onboard preferences.

Will the driver wait for the guests who are late?
Yes, the driver will wait for the passengers as long as needed. However, after the grace waiting
time, every starting hour of additional waiting time will be charged at the rate of hourly service
for the assigned vehicle.

The passengers arrive on different flights. What's the procedure?


When the passengers, arriving on different flights, share the same vehicle, the driver who
monitors both or more flights, meets and greets the passengers who arrive first and kindly ask
them to be patient and wait for the other passengers to arrive. Once the passenger list is
checked, the driver escorts the passengers to the vehicle.

Can I keep the car longer than booked and do I need to pay for it in advance?
Yes, without paying for it in advance. A call, an email or just a message would do and no pre-
payment is needed. The final report on additional costs would be presented after the service
along with the payment link or invoice. Please note the modifications cannot be arranged with
the driver but with Limos4 Customer Care Team only.

What if I need the car shorter than booked?


As the service can end earlier than previously booked, the passenger would only pay the
minimum hours of service or as many hours as used. Our Reservation Team agents would
always point out the minimum hours of service when submitting the price offer.

What happens if there is an incident?


We devote utmost attention to preparation and prevention. However, as in any line of work,
there are circumstances that occur independently of us and that cannot be foreseen. If there is
an incident, our prompt 24/7 reaction will follow in order to avoid or mitigate the
consequences. All incidents are automatically reported to the Limos4 incident management
that will take all necessary actions leading to satisfactory solutions and indemnities for the
clients.

What are the payment options? Can I have a credit note for future bookings?
All major credit cards are accepted for payment (Visa, Mastercard, American Express). A bank
transfer as a payment method is also possible. We only do not accept cash payments. As a
regular client, you can request to receive monthly invoices, instead of paying on a ride-by-ride
basis. A credit note option is also possible for future bookings.
How can I get discounted rates?
Discounted rates are available for regular clients. As we promote a client-oriented approach,
discounted rates would gladly be offered to all clients who book larger volumes of services or
organize an event with Limos4.

Can our employees book the service by themselves?


Yes. The company with such a request would be given a special promo code and clear
instructions for its employees, enabling them to book the service by themselves in a quick and

Can you charge my employees' credit cards?

Yes, it is possible to make a short-notice booking. However, due to reduced availability, we

Do you accept last-minute changes?


We do accept last-minute changes, but sometimes, despite all our efforts, we cannot accept
such changes due to reduced availability which can be caused either by current events in the
city or by a tight booking schedule that cannot be changed. Please note that such modifications,
additional stops or service that differs from the originally booked service may result in
additional costs.

Can we have a preferable chauffeur (for a particular city)?


We would always assign a preferable chauffeur in a particular city or for particular passengers.
The exceptions would be made only if the driver has already been assigned another job in the
meantime, is on an annual leave or has health issues.

How can we be sure that the chauffeur will show up?


We make sure the chauffeur is never late. Our chauffeurs are always timely dispatched and
they are at the pickup location at least 10 minutes prior to the booking time. Even with the help
of traffic monitoring and travel guidance, unexpected delays may occur in rare instances.
However, our advanced ride status notification system enables us to monitor the chauffeur’s
movement from the garage to the pickup point allowing our dispatch team enough time and an
opportunity to react if there is a slight doubt the chauffeur would arrive in time. Finally, to
reassure you, we would provide a free ride if our chauffeur was proven to be late.
Will the chauffeur wait if the client is late?
Yes, the driver will always wait for the passengers as long as needed. However, after the grace
waiting time, every starting hour of additional waiting time will be charged at the rate of hourly
service for the assigned vehicle.

What happens if there is an incident?

Can you charge the end client’s card and can my commission be included?
For your convenience, we can charge the end client’s credit card.
Also, we can charge the end client’s credit card with your commission included, and pay you off
according to your instructions and preferences. We might request a credit card authorization
form to be completed in order to avoid eventual disputes.

Can you send us price lists for all destinations in advance?


Yes. We would be glad to provide prices and share all relevant general and service information

Do you offer discounts?

How do I know you won’t steal my customers?

How and when do you check your partners?


We do it all the time and we do it for real. Our Quality Assurance Procedure is established to
maintain the quality of service of our suppliers.
This procedure applies the standards during 5 phases, and some phases last at least a year or
even indefinitely.

1. Vetting phase – we check business registration certificates, solvency, general liability and
vehicle insurances, the drivers’ criminal and driving records, their appearance and manners,
level of English;
2. On-boarding phase – imposing standards through synchronization and unification by
intensive negotiations and, eventually, by signing the contract between two parties;
3. Auditing phase – a “trial” period, during which our specialized supplier relations team
conducts numerous on-site checks, usually invisible to the supplier, such as frequent “ghost
rides”;
4. Evaluating phase – the supplier’s responsiveness, compliance, flexibility, complaints and
drivers` performance are monitored by recurrent quality control audits;
5. Extension phase – improve already established quality of service and bring more value to the
business, through our technological innovations, customer-orientated approach and counseling
about new trends in our industry.

What languages do your chauffeurs speak?


The drivers speak English as well as the official language of the country in which they provide
services.

Are your chauffeurs code-dressed?


Our strict requirement is that chauffeurs wear a well-tailored dark suit, a white or light blue
shirt, a dark tie and dark shoes that match the suit. A black coat is allowed in cold weather. For
women chauffeurs, we require dark outfit with a scarf and dark shoes, with heel size for safe
driving. We request no perfume and minimum of jewelry. In hot regions, such as the Middle
East or South Asia, we allow our chauffeurs to wear white shirts, dark trousers and dark shoes.

How much waiting time is included in the price for airport arrivals and private locations?
Our chauffeur will wait for the passengers from 30 to 90 minutes after flight arrival time,
depending on the size of the airport. Thereafter, every started hour of additional waiting time
will be charged at the rate of our hourly service for the assigned vehicle. With the flight or train
number given at the time of booking, our driver will be able to track the time of arrival and
adjust the pickup time for delays and early arrivals, where possible. If there is a very long delay
and the driver is not able to wait, our customer service team will contact you with an
alternative solution. For a standard pickup (i.e. from a hotel or private address) our driver will
wait 15 minutes. Thereafter, every started hour of additional waiting time will be charged at the
rate of our hourly service for the assigned vehicle.

What is your cancellation policy?


For sedan and business van/SUV vehicles: If the service is cancelled up to 24 hours prior to the
pickup time there is no cancellation fee. If the service is cancelled within less than 24 hours to
the pickup time, the cancellation fee is 100% of the agreed amount for the booked service. For
minibus and coach vehicles: If the service is cancelled up to 5 days prior to the pickup time
there is no cancellation fee. If the service is cancelled between 5 and 3 days prior to the pickup
time, the cancellation fee is 50% of the agreed amount for the booked service. If the service is
cancelled within less than 3 days prior to the pickup time, the cancellation fee is 100% of the
agreed amount for the booked service. For all vehicles: In case of cancellation or rebooking
while the chauffeur is already on the way to the pickup location and/or there is less than an
hour remaining until the start of the journey the full fare is to be charged. If the distance or
number of hours is less than originally booked, the price remains unaffected.
Do you charge a night fee?
A night fee of 20% applies to the service between 21.00 and 07.00.

Can you charge our corporate credit card or I can pay by invoice?
We may charge a corporate card although we prefer to send a payment link. If we need to
charge a corporate card, we will ask you to fill out a credit card authorization form to avoid
disputes. It is also possible to pay by invoice at least 7 workdays before the date of service.
Instead of paying on a ride-by-ride basis, you can request an open account option for monthly
invoice billing by contacting us at invoices@limos4.com or info@limos4.com. Once the open
account is set up, the monthly invoices will be sent out within the first 3 workdays of each
month, covering all rides in the previous month.

What is the minimum booking time?


Online reservations should be requested 24 hours prior to your scheduled transportation
service to confirm the availability. Scheduling a service by phone requires a notice of a
minimum of 4 hours.

Do you accept short-notice bookings?


We do accept last-minute changes, but sometimes, despite all our efforts, we cannot accept
such changes due to reduced availability which can be caused either by current events in the
city or by a tight booking schedule that cannot be changed. Please note that such modifications,
additional stops or service that differs from the originally booked service may result in
additional costs.

Can I get a payment link?


Yes. A payment link would be sent as soon as our offer is accepted by phone, email or other
communication channels.

Can I pay after the service?


To be billed after the service, please contact us at invoices@limos4.com.

How will commission be paid to us?


The commission will be paid to you upon completion of the service by a bank transfer to the
bank account you have designated.

What if I need the car shorter than booked?


As the service can end earlier than previously booked, the passenger would only pay the
minimum hours of service or as many hours as used. Our Reservation Team agents would
always point out the minimum hours of service when submitting the price offer.
