Non-Federal Role Management: Entity Information

Non-Federal Role Management Overview


Non-Federal administrators can perform role management and assign roles directly from the User
Directory located on your Workspace page. The User Directory allows entity administrators to manage
users across entities to review and edit users to ensure correct controls and access for all
entity-related data.

Roles and Permissions: Entity Registration


● Entity Administrator: You can administer viewer, data entry, and administrator roles; manage
hierarchy registration requests; deactivate, view, and update active and expired registrations;
delete, view, and update dra registrations; and register entities.
● Data Entry: You can view and update active and expired registrations; delete, view, and
update dra registrations; and register entities.
● Viewer: You can view active and expired registrations and view dra and submitted
registrations.

Role Invitation and Role Requests


The User Directory in your Workspace enables you to search for users associated with your entity and
assign roles by role invitation. To assign a role, sign in to SAM.gov and navigate to your Workspace.
Select the “Assign Role” button on the User Directory Widget.

Enter the required information and select “Send Invitation.” When you assign a role to someone who
doesn't already have a role with your entity, the system sends them an email with instructions on how
to create an account on SAM.gov, sign in, and review the role request. If they already have a user
account, the system prompts them to review the role invitation when they next sign in to SAM.gov.

To request a role, sign in to your SAM.gov account and follow the steps below:

1. Go to the profile section in your Workspace, and select the “Roles” link.

2. Your current roles and role history are displayed.

To request a role, select the “Request Role” button from your profileʼs “My Roles” area. You can also
request a role from your Workspace. In your Workspace, scroll to the “Request A Role” widget located
near the bottom of the page.

To complete your role request, select your requested role from the dropdown menu, then use the
checkbox to verify your business need for this role. Select “Request Role.”
