Subject: Formal Communication Guidelines
Dear Parents/Guardians,
At The City School, PAF Chapter, our commitment to maintaining a structured and transparent channel
of communication is paramount. It is our priority to ensure that every communication meets the highest
standards of clarity, consistency, and promptness.

Emphasis on Formal Communication Channels:

We understand the importance of keeping parents informed about the academic progress, events, and
important updates related to your child. To streamline this, we emphasize the use of the following
formal communication channels:

 Circulars: These are periodically sent out to provide important updates, announcements, and any
relevant information parents need to be aware of.
 Homework Diaries: Teachers consistently update the homework diaries, ensuring parents are kept
abreast of home assignments, upcoming tests, and any pertinent academic observations.
 MS Teams: We are leveraging digital platforms to keep communication seamless. Every student has
been equipped with a Microsoft Teams account. Over the next few days, they will receive tutorials
and guidance on how to access and navigate their accounts effectively. All official communications,
notices, emails, and virtual meetings will be conducted via MS Teams Microsoft Teams Class groups.

Phase-out of WhatsApp Groups:

We value the ease and immediacy that comes with using platforms like WhatsApp. However, to ensure
that communication remains organized and aligns with our formal communication standards, the
teachers’ WhatsApp groups will be phased out shortly and the class groups will be transitioned into
Broadcasting Groups which will be directly managed and moderated by the School Leadership Teams,
ensuring that you receive only the most pertinent and timely information.

We urge all parents to ensure that they are regularly checking the aforementioned formal channels of
communication to stay updated.

Please note that the Broadcast WhatsApp Groups run by Section Heads will also be eventually be phased
out transferring all communication to MS Teams.

New Initiatives:

The school Principal and Vice Principal would like to have a dialogue with parents on Wednesdays
between 9:00 a.m. – 11:00 a.m. Parents are welcome to freely visit us and discuss matters of concern.

helpline 021-34544106-9 between 7:30 – 3:30 p.m.

Class Parent Coordinators (CPC) will be nominated this year based on parent’s affiliation with the school.
In the coming year you will nominate yourselves. Please note that the CPCs will be responsible for
building a well knitted PAF community. We will meet them regularly to understand common matters of
interest.

We understand the importance of adaptability and we appreciate your cooperation and support as we
transition and emphasize these formal communication channels.
