1. TUJUAN
Cargo damage is a shortage/discrepancy exceeding a stated limit or a quality discrepancy or any form of
damage (water, heat, incorrect stowage, collision, and inadequate separation) or any combinations of the above.
The procedure of cargo damage handling is make sure that the clients are informed throughout the case and not
only the client that seems to take major interest.

2. PROSEDUR

 Record name of insurance companies.


 Discuss with the client whether it is advisable to inform the insurance company
 Establish contact. State with who contact has been established and what has been decided.
 Collect all necessary information and copy all load port papers including eventual letters of protest issued at
load port and other relevant documents.
 State previous cargoes. Investigate whether possible contamination is caused in the vessel / shoreline /
shore tank / warehouse or any other reason.
 Record quantity of water and test (each tank) whether the water is salt or sweet.
 State which analyses: other inspection companies, suppliers, load port, discharge port.
 All claims, including potential claims, are to be reported immediately to clients.
 Investigate damage and immediately issue Letter of Protest to the appropriate party.
 Advise client on which actions to take and costs involved.
 Inform all parties of relevant situation and figures, both verbal and in writing. (Loss explanation)
 Take photographs of physical damage or cause (after agreement of vessel’s master or Installation
supervisor). Preferably use a camera that records time and date of the photograph taken.
 Specify and make comparison with original quality? (e.g. density, dissolved water, high pour point –
clingage). Where applicable discuss the matter with a laboratory specialist.
 Investigate the source of the damage and record all relevant information.
 Recall measurements and issue L.O.P otherwise issue L.O.P. for unknown quantity to relevant parties.
 Record actions taken and state reasons.
 Specify where damage is located. (tank by tank sampling and analysis)
 Try to obtain the relevant previous analysis via client.
 Analyze cargo as a whole or tank by tank as applicable and compare.
 Measure all relevant parcels and report segregation measures, test whether the water is salt or sweet. What
is the condition of the hatches, butterworth holes etc.
 State source of inert gas. Investigate what caused the damage.
 Investigate type of coating, state of coating and compatibility coating / cargo.
 Record relevant parcels, investigate segregation measures, and obtain relevant analyses. Collect (copies of)
cargo stowage plan.
 Place samples in separate storage, make clear note in the file, and inform all clients.
 Specify amount, type and source and collect them. If collected by others, state by whom etc.
 Specify quantities and explain.
 Report stated differences to all clients (per tank if available).
 Confirm off-spec cargo by re-sampling and analysis.
 Make sure that documented evidence is obtained of the re-sampling operation.
 Record name of the company that performed this analysis.
 After completed inspection, the full report should be issued less then 2 x 24 hours.
