TELEPHONE USE POLICY

PURPOSE

The purpose of this telephone use policy is to establish guidelines for the appropriate and efficient
use of telephones within an organization.

It aims to ensure that telephone resources are utilized effectively, maintain professional standards,
and promote efficient communication.

SCOPE

It applies to both landline and mobile telephones provided by the organization or used for work-
related purposes.

ELIGIBILITY

This policy applies to all white-collar and blue-collar employees, contractors, and anyone who has
access to the organization's telephone systems or resources.

GENERAL GUIDELINES

 During office hours, employees are encouraged to use mobile phones largely for business
purposes including making and receiving work-related calls, sending and receiving work-related
messages, and conducting official communication.
 Employees are required to minimize personal use of mobile phones, ensuring that such usage
does not interfere with their work responsibilities.
 Employees to ensure that mobile phones are set to vibrate mode during working hours to
minimize disruptions and maintain a professional environment.
 Employees are encouraged to use personal phone calls during designated break times.
 Employees are advised not to play games, do online shopping, and surfing of social media, etc. on
their mobile phones during office hours, failure to comply with the above guidelines will result in
disciplinary action.

 Mobile phone use is prohibited during meetings etc.


 Use of any headphones, earbuds, or hands-free devices is prohibited while on duty, except for
taking necessary calls.
 Even in such cases, it is advised to keep the usage brief and restricted to a single ear, preferably
when seated in a stationary position.
 Walking in the plant while using a Mobile phone or portable communication device (PCD) is
prohibited.
 Employees are required to inform HR and their Reporting Manager if they need to listen to audio
content. Furthermore, they should utilize designated cabins or their assigned seats exclusively for
this purpose.
 Employee to ensure that the mobile phone must not be used while an employee is operating any
instrument on the shop floor.
 The MAT Group strictly prohibits the use of mobile phones in areas where their usage could pose
a safety risk, such as the HSD area.
 Any employee found using a mobile phone in such areas will be subject to disciplinary action.
 Use of mobile phones while driving on company premises is strictly prohibited.
 Employees should not disclose confidential or proprietary company information over the
telephone unless authorized to do so.
 Employees should not use their mobile phones to take photos, record videos, or audio without
proper authorization, especially in sensitive or confidential areas of the company like EDD and
other production areas.
 Employees should respect the privacy and confidentiality of others when using telephones and
should not engage in any unauthorized monitoring or recording of conversations.
 If an employee is found in violation of the mobile phone policy, appropriate disciplinary actions
may be taken, ranging from verbal warnings to suspension or termination, depending on the
severity and frequency of the offense.
 The company does not hold any responsibility for the loss or damage of an employee's mobile
phone brought into the workplace.
 It is solely the responsibility of the employee to keep the phone at a safe and private location to
prevent loss, theft, or unauthorized access to sensitive company and personal information.
 Employees to ensure that their mobile phones must be password protected to prevent a breach
of security.

MANAGEMENT DISCRETION

The Management reserves the right to alter/amend/discontinue the policy at its sole discretion.
