Abstract

Technology today has made life much easier as access to information can

be done anywhere, anytime. As technology improves in the area of wireless

facilities and mobile computers, mobile computing has become feasible. A

variety of advanced mobile devices, some mobile wireless systems and

mobile computing applications already exist (Hahnemman, 2003). Digital

information is an electronic information; the result of computer processing. Every

type of job relies upon getting data, using it, managing it and relaying information

to others. Computers enable the efficient processing and storage information

(Tomlinson, 2009).

The logistical problems associated with distributing, collecting, grading,

and the difficulties in ensuring fairness and consistency in grading tend to

increase non-linearly with the number of students. One of which is used by

educational institutions to disseminate information electronically via a secure

platform or websites. Grading System is designed to provide incentive for

achievement and assist in identifying problem areas of student of name of

school. Students’ grades are vital information needed in advancing to the next

grade/year level and ensuring accuracy is very important.

Chapter 1: Project & Its Background
Project Context

Grading System is the process by which educators evaluate the

performance of the students in exams on the standard particular scales which is

based on the points earned. Previously, marks and percentage were the only

ways of assessing the students in their exams but today, mostly all the nations

adopted this system of marking the students in the exams.

The use of the Grading Systems will help students in monitoring the grade

components submitted by the professors or teachers. This platform will be

developed using server-side scripting languages and graphic user interfaces

(GUIs) that can runs on almost all devices. Professors will be having a web-portal

to encode the grade components. The grades being entered can be viewed by

the parents and students using devices.

It also gives clearance to the learners and educators about the

performance of the students in the respective subjects and field of study for both

can able to do work on the weaknesses and achieve good results. It is the

important factor through which teachers determine the efforts of the students in

studies. Also, to motivate the students, grades put into the practice as students

make efforts to improve their ranking.

Statement of the Problem


This system aims to expedite the manual process used by the school to

calculate students’ grade with the use of current technologies. Manual process of

retrieving and releasing of records is an obsolete way and time consuming. Security

and organization of records is also a problem in the operation and lastly, the faculty

and students are forced to visit the registrar’s office to submit and request for grades

which entails transportation expenses.

Objectives of the Study

General Objectives:

This study aims to improve the manual submission of grades to the

Registrar’s Office and viewing of grades by developing and designing a

system that is secured and reliable in keeping the records.

Specific Objectives:

 To convert the manual process and into an online based application

 To provide computerized record and keeping of grades

 To provide an automated system letting the students access their

grades online

Significance of the Study


This study aims to help the process of submitting grades to the

Registrar’s Office and improve the system to provide fast and easy ways

for the students of Metro Dumaguete College, Incorporated to manage the

students’ grade.

The study is significant to the following:

Students. With the grade viewing features of the study. The

students can able to view their grades online and work with their areas of

opportunities.

Professors and teachers. Professors and teachers can able to

record and compute for the grades of their students faster thereby

lessening their workload.

School Administrator. School administrators will no longer have

to re-compute the grades of each student to check on their accuracy.

Reports such as grading sheets and class records can be submitted on

time.

Future Researcher. This online grading and grade viewing system

may serve as a reference for the future researchers for the improvement

of the system in the near future. It will also serve as training for the

proponents and to enhance their skills development and databasing.


Scope and Limitations

This system focused in the bonafide Diploma in Software

Engineering Technology students of Metro Dumaguete College,

Incorporated making it the respondents.

The result of this system may not hold true to other schools in

Dumaguete City and other higher institutions. Rest assured that the

respondents’ personal information and data gathered throughout this

course of action will be kept by the system, should be confidential and

only authorized individuals can access.

The system is limited to the following:

Faculty Portal. The faculty members will use their assigned email

and password to login to the system. They can manage the encoding of

the grade components and scores obtained by the students during

quizzes.

Maintenance Personnel. This module is used for file maintenance

in the system such as the subject teachers and their students together

with their subject description. The person to be assigned is for the school

administration’s discretion.
Definition of Terms

For better understanding of the study the following words are conceptually

and operationally defined.

Conceptual Definition

Average - it is derived by adding all the grades and every grading

component.

Computer - a machine used to manipulate data according to a list of

instructions.

Database - a collection of pieces of information that is organized so that it

can be managed and update

Encode - to put information of someone to database

Grade - the achievement of each student every subject

Internet - an electronic communication network that connects computer

networks and organizational computer facilities around the world.

Proponents - the name of the group who made the system, person who

advocates theory proposal or course of action.

Registrar - a person in charge of recording and maintaining student

information and grades.


Operational Definition

Windows computer – used as the operating system and platform for users

HTML (Hypertext Mark-up Language) – a set of algorithms used for

displaying content to interface via a mark-up language

PHP (Hypertext Pre-processor) – programming language used for back-

end

\server scripting

MySQL – an application software used design, manipulate, and manage

data in the database system

Google Chrome – an internet browser mainly used in displaying websites


Chapter 2: Review of Related Literature & Systems

Related Literature

The literature of this study is based on the available grade

monitoring systems used by other countries and the ones which are been

used by American universities.

Availability of Grading Systems

There are a number of grading systems which are being used by

various educational institutions across the board (Cromwell, 2016). Some

of these systems are:

a. GradeBookWizard – It is a web-based system that can be used by

teachers, schools and districts. Its features include grading monitoring

tool, attendance tracking and a class website solution. Its subscription

fees of $4.95 per month or $49 per year, per account registered.

b. TeacherEase – It is regarded as the easiest online gradebook and it

supports traditional and standards-based grading. It enables standards-

based learning by including learning targets, rubrics, assessments system,

and report cards. It also comes with a subscription fees which are based

upon the number of active employees using the system (teachers, staff,

administrators, etc.).
c. Gradelink – It is an integrated management, teaching and learning

tools. It is regarded as an online tool that allows users to login with any

device which is capable of accessing the internet. Some of the features it

contains are categorized into attendance, staff accounts, classes &

scheduling, student information, communications, discipline, teacher

gradebooks, districts, medical records and tuition & billing, etc. It is

standards service includes all features, automatic feature updates, support

and training.

The systems presented are integrated to a management system

and an e-learning tool. This makes cumbersome for the schools as only

the report management feature is required. It is however the facts that

these systems make use of a different grading system as well as the

financial burden attached to them that make them unsuitable to use for

local schools (Shannon and Weaver, 2018).


Local

Philippines is integrating into modernization with its transactions. Some

higher educational institutions now uses a modern system of dissemination of

grades with ease and convenience. Some of which known grading systems are:

a. ITS system – ITS system is one of the systems that are been used by

institutions to manage their information online. It is designed with self-service

application that allows students a direct access to their information through a

browser-based application known as Student iEnabler. All the assessments

that are recorded by the system are been used to compute the final grade of

students. System can only be accessed on Apple devices. Some universities

using this type of grading monitoring tool are Far Eastern University, De La

Salle University, and others.

b. Blackboard system – It is regarded as a virtual learning environment

developed by Blackboard Inc. Its main functions are categorized into two

components, namely communication and sharing content. Communications

consist of announcements, chat, discussions and mail. While sharing content

consist of course content, calendar, learning modules, assessments,

assignments, grade book, and media library. The grade book focuses on an
e-learning where lecturers may post grades on blackboard for student to view

them.

Synthesis

The Grading System gives attention in grade transparency which enables

the students to know and get aware of their academic performance and evaluate

themselves unto what subject they are good at.

The development of a system that will monitor the students’ grades of the

students is expected to contribute to the development of the school’s information

system. The awareness of the students to their grades will serve as a reliable

reference to them to improve their studies to attain high grades. The existing

grade monitoring system prove that monitoring student’s performance will

contribute to the student’s education.

Grade is important for every student for it serve as a basis in evaluating

their performance in school. The grades of the student must be accurately and

fairly given to the students to reflect their standing in their academic

performance. The study showed that the online grading system met the of the

Foreign

A study entitled “Grade Monitoring System: A Prototype for Thulamela

Secondary Schools” by Ramazhamba, et. al., (2018) at Limpopo Province,

South Africa states that schools require parents/guardians to collect the reports

in person. Some parents or guardians usually come across situations whereby it

is not feasible to collect the report on that specific date due to unavailability due

to work, lack of transportation, poor health conditions etc. In order to address the

ongoing challenge, researcher’s proposed the use of technology in the form of a

system that will allow parents or guardians to monitor learners’ performance

which is assessable in an easier and more efficient manner. The study was

based on secondary schools which are situated around Thulamela Municipality.


Local

A local research entitled “Online Grade Encoding and Inquiry System

via SMS Technology” by Bella, et. al. (2016) in San Mateo Municipal College

(SMMC) has determined an increased in student’s population at the same time

the number of works of the registrar and student’s grades to be processed has

also increased.

The researcher stated that the general problem faced by the San Mateo

Municipal College is the manual encoding, submission and distribution of

student`s grades. Thus, it is time consuming, costly, long process of inquiry,

students need to be onsite, and instructors encountering errors during encoding.

Knowing these situation, the researchers developed an Online Grade Encoding

and Inquiry System via SMS Technology for San Mateo Municipal College that

will lessen the registrar`s tasks in encoding of grades. Researcher used

descriptive method of research, using questionnaires and also conducted

interviews to gather data.


Chapter 3: Technical Background

Technologies to be Used

This section provides tools that are used to develop the propose system. There

are various tools that can be used, but this study used PHP: Hypertext Preprocessor as

the programming language, XAMPP (Cross-platform, Apache, MariaDB, Perl, and PHP)

as the Database Management System server. PHP acts as the controller for the

proposed system, while XAMPP acts as a storage environment for the proposed system.

Hypertext Markup Language (HTML) and Cascading Style Sheets (CSS) were also used

to render the information to browsers interface. JavaScript is also used for feature

functionality of the website.

Functionality of the Software Project

System functionality is accomplished by physical entities that form part of

the physical system. The entities in the system, in the aggregate, comprise the

system product entity structure. Grade monitoring and performance system is

highly developed to assess in students’ holistic development. Its ultimate goal is

to improve student learning. Integrating with 21 st century technologies, grade

monitoring and performance systems made possible in easier way and

convenience.
Chapter 4: Methodology

This section presents the chronological listing of steps and

procedure/s used by the proponent/s. Methods used for gathering data,

laboratory and field experiments, theoretical and/or conceptual frameworks, as

well as techniques employed in the analyses of data.

Environment

Location

Negros Oriental is a province located in the region of Central

Visayas, in the Philippines. Dumaguete is the seat of government and

capital city, also known as the “City of Gentle People” and for its being a

university town. It has higher education institutions including Metro

Dumaguete College Incorporated, Silliman University, St. Paul University,

Negros Oriental State University, Foundation University, and Asian

College.

This study is undertaken at Metro Dumaguete College,

Incorporated located in E.J. Blanco Drive Extension, Daro, Dumaguete

City. It is a private school founded and owned by Mr. Wilfredo S. Manila

and his beloved wife Dr. Delma P. Manila on August 13, 2002. It started
as an Internet Café and registered as a private, non-stock, non-profit

educational institution in 2006. The school envisions being the school of

choice in 2030. True to its vision, it is now one of the fast growing schools

in Dumaguete City with over 1,000 students and more than 100 faculty

member.

Metro Dumaguete College, Incorporated started its humble

beginnings in August 13, 2002 which is located by then Gemini Building,

Real Street, Dumaguete City. The school is now located in its ambience

location for learning in E.J Blanco Drive, Daro, Dumaguete City. The

higher institution offered courses in Information Technology, Computer

Sciences, Business and Management, and Tourism Courses. It also offers

3-year diploma courses – Diploma in Software Engineering Technology,

Diploma in Tourism Technology, and Diploma in Digital Arts Technology.

MDC’s Diploma program in Software Engineering Technology is a

three-year TVET courses embedded program that teaches students to

design, develop and maintain software systems while benefitting from

industry experience prior to graduation. Students learn modern

programming languages, design and algorithm concepts and data

management tools.

The Software Engineering Technology courses in this program

emphasize object-oriented software design methodologies, user-oriented

interface design, software testing, and QA, C#, Java, Java EE, Oracle,

MS-SQL Server, Unix/Linux, Microsoft’s .NET, HTML5/JavaScript/XML,


Ajax and rich Internet. A National Certification of the three TVET

embedded courses namely .NET, Oracle, and JAVA programming can be

earned by students after passing the TESDA assessment.

Population of the Study

The respondents of the study are the bonafide students enrolled in

Diploma in Software Engineering Technology (DSET) of Metro Dumaguete

College, Incorporated of the academic year 2022 – 2023. It has a total of 392

enrolled students in the course.

4.3 System Architecture

The following are the hardware and software requirements for the development

and target platforms that the team used in making the capstone project. The platform is

the targeted materials that is going to be used upon the implementation of Students’

Performance and Grade Monitoring System.

4.3.1 Hardware Requirements

Table 1 shows the developing platform hardware specifications that will help the

group to develop the Students’ Performance and Grade Monitoring System. The group
proposes to use the abovementioned hardware requirements. The following are the

commonly used hardware specifications:

Intel Core i3 processor is used in order easily integrate the processing of data.

The memory requirement is using at least 8 GB to optimize the system capabilities. The

used of solid state drive (SSD) as permanent storage of information for fast access in

case of system downtimes. Monitor specification is 1092 X 1080 @ 72 pixels and input

devices used are Universal Serial Bus 2 (USB 2) unpluggable.

Table 2 shows the development platform software specification which the used to

develop Students’ Performance and Grade Monitoring System. Some of the software are

system built-in and others are portable/installers. Developers used Windows 11 Home

64-bit (10.0, Build 22621) operating system, Sublime Text version 3 as text editor,

XAMPP Server as the web browser, Localhost as the hosting platform, Apache TomCat

as apache used to run MySQL database management, HyperText Markup Language


(HTML) and Cascading Style Sheet (CSS) as framework for development of front-end

user interface, Adobe PhotoShop 2022 as an image editor.

4.3 Cost & Benefit Analysis

This section estimates the cost of software, hardware, and labor required by the

application of the project. In addition, analysis of Return of Investment (ROI) and payback is

also being showed.

This type of analysis also shows how the expenses of the company will turn out as a

future benefit upon maintenance of the system.

Table 3 shows the hardware expenses during the course of system development.

It sums up to total of 57,552.21 pesos with Video Card (Intel Graphics 3000 HD Display)

is the most expensive part that range to 12,783.00 pesos. Please refer the table above

for a detailed price.

Table 4 shows the software expenses during the course of system

development. It sums up to total of 29,000 pesos with Image Editor (Adobe PhotoShop

2022 – Package Installer) is the most expensive part that range to 17,000 pesos good

for 5 years. Please refer the table above for a detailed price.

Table 5 above shows the miscellaneous cost of the system development

that includes electricity, labor cost, internet, and system maintenance personnel.

System maintenance personnel should be an Information Technology

knowledgeable that should maintain, and fix any bugs of the system and should

be paid every quarter.

Table 5 above shows the total cost of all the resources used during the

course of system development and it’s implementation on future. The total expenses is

93, 652.21 pesos which the hardware components are the most expensive that costs 57,

552,21 pesos. Please refer to the table above for detailed description.
Chapter 5: Conclusions and Recommendations

5.1 Conclusions
Grading systems are an essential part of any education. It used to evaluate

and provide feedback on student work. In this way, instructors communicate to

students how they are performing in the course and where they need more help

to achieve the course's goals.

Tests ensure that that the student is learning what the teaching is and

identify areas that may need improving. The results from grading systems also

show future employers or schools a glimpse of the kind of worker that a student

will be.

It is to streamline the assessment and grading process, enhance

communication between teachers and students, and facilitate data-driven decision-

making. By utilizing this system, educators can easily input and calculate grades,

generate reports, and identify areas where students may require additional

assistance or enrichment.

5.2 Recommendations

Due to limitation of the study, the developers recommend to future

researchers and developers to further the study and improve the system in other

areas of educational fields or specialization. Furthermore, it is likewise

recommended to explore in other higher educational institutions and the systems

of their grading evaluation they are using and integrate systems that would fit not

only to a specific organization.
