ADMINISTRATIVE DIVISION

REALLEN C. SADANG – Supervising Administrative Officer


Brief Description of the General Function of the Position
 Prepares Annual and Supplemental Budget Proposals, coordinates with the local budget
on budget matters affecting the office.
 Supervises records, personnel and correspondence management and disposals.
 Prepares drafts of correspondence, messages, reports and special orders.
 Ensures proper dissemination of administrative issuances coming from different
government agencies.
 Supervise monitoring and updating financial records of office.
 Gathers data relative to personnel matters, consolidates and tabulates statistics for
reference and analysis.
 Supervises Annual Procurement Plan.
 Handles other administrative and other related services.

1. FLORENCE B. RAMOS – Administrative Officer V
Brief Description of the General Function of the Position

 Updates/reproduce Service Records of officials and employees;
 Reproduces Administrative forms;
 Ensures proper preventive maintenance and protection of the computer machines.
 Documents all progress properly and must be stored in the secured files.

3. MELYNDA S. ABUENA - Sr. Administrative Assistant I (Data Controller IV)


 Prepares/checks/tally application for leave, DTRs in the logbook, pass slip, travel order
and compute undertime of employees.
 Maintains/updates leave card, 201 files of employees.
 Encodes/process/initials/routes/file Job Order, Office Order, Application for Leave,
Certificate of Overtime Credit, Travel Order and Pass Slip.

4. DOMINGA L. DELA CRUZ - Sr. Administrative Assistant I (Data Controller IV)

 Undertake reproduction of printed and other administrative forms through the use of
reproduction machine such mimeographing machine copiers and the like;
 Conduct regular check-up of reproduction machine to ensure their effective
operationalizations;
 Does other tasks assign by the immediate supervisor.

municipalities;
 Consolidate and bind all memoranda, incoming and out going communication, and
other communication letters and the like
 Bind all vouchers/payrolls, RIVs and other financial documents every given year;

 Examines such claims before presenting to the Governor for proper signature/action;

 Drives official vehicles carrying elective officials, chief of offices, materials and
commodities under direct request of immediate supervisor
 Checks brakes, tires, mechanism, gasoline, oil/lubricants before usage;
 Keeps the vehicles clean, perform minor repairs and preventive maintenance;
 Submit reports on fuel consumption and distance travelled;
 Does other related works.

 Plans legislative activities and studies regarding validity and legality of ordinances and
resolutions; Undertakes research of proposed legislative ordinances and resolutions to
determine its effect on the province;
 Drafts documents such as ordinances and resolutions, rules and other legal forms;
 Examines and recommended action on contracts and other legal documents entered
into by the provincial government to ensure that its rights are amply safeguard;
 Checks out pertinent facts on various legislative matters;
 Others as necessitated/ordered.

2. JOSELYN C. ELIANG – Local Legislative Staff Officer III


 Manages legislative records services;
 Plan activities for legislative records management;
 Recommends activities and strategies for a more effective and efficient legislative
records management;
 Supervises effective records keeping of all ordinances and resolutions enacted or
adopted by the sanggunian, with the dates of passage and publication thereof;
 Keep all on-confidential records therein open to the public during the usual business
hour;
 Take custody of the local legislative archives
 Perform other administrative functions as the immediate supervisor may direct;

3. JINKY V. INOCIAAN – Local Legislative Staff Officer I


 Drafts documents such as ordinances and resolutions, rules and other legal forms
 Plans legislative activities and studies regarding validity and legality of ordinances

 Prepares/encodes agenda, action taken, summary of referrals, endorsement letter;
 Assists in the preparation of minutes of hearings and meeting per hearings;
 Prepares scans/xerox per referral and other documents for the conduct of sessions,
hearings and dialogues;

4. JAIMA G. NATIVIDAD – Translator I


 Responsible in the translation of the dialect used by the majority of the inhabitants
on all general ordinances and certain resolutions immediately;

 Assists in planning, legislative activities and studies regarding validity and legality of
ordinances and resolutions to determine its effects on the province;

 Undertakes research on proposed legislation, ordinances and resolutions to determines
its effect in the province;
 Undertakes studies regarding the validity and legality of municipal ordinances and
resolutions and prepares appropriate comments and reports;
 Perform other related functions as immediate supervisor may direct;

2. FE M. MIGUEL – Sr. Administrative Assistant I (Stenographic Reporter I)


 Takes dictation through the use of shorthand, stenotyping, speedwriting, typewriting
machine;
 Transcribes correspondence, memoranda excerpts, minutes records on the materials;
 Encodes a variety of materials including excerpts, reports, memoranda, forms, names,
notices etc. from handwritten typed mimeo or shorthand note;
 Proofreads over transcribed or typed materials for accuracy and completeness;
 May perform clerical duties when works necessities;

 Disseminates/Receives, sorts, and files communication
