CHAPTER ONE

BACKGROUND AND PROFILE OF THE ORGANIZATION

1.0 Introduction

This chapter focuses mainly on the introduction, definition of internship, objectives of internship,
Background and profile of the organization, Name of the organization, Objectives of the
organization, structure and Achievements of the organization.

1.1 Background and profile of the Organization


5Star is a private company that has founded in 2012 by a group of entrepreneurial minds. Mr.
Ikilai Isaac the key brains behind this company initially this to be a craft and design business.
But peering through the great need of the community, Mr. Ikilai together with his friends had
thought to tackle the problem of computer illiteracy in the community. In addition;

They also wanted to offer quality computer related services especially to the students of Kumi
University and a community as a whole.

Since 2012, 5Star has served thousands of individuals as well as a number of organizations such
as Kumi University, IDI, Nyero Local government, Nyero Health Center, Schools around the
locality and many other organizations both within and outside Teso Sub Region. In 2016, 5 Star
became number one company in computer related services according to the Local public
opinion’s polls.

1.2 Objectives of the Organization.


To set up, establish, carry on and otherwise undertake the trade of procurement, supply of
computers, goods and ICT services, works, chattels and supplies on behalf of and for any
individual, company, statutory body, government agencies and international organizations.

a) To set up, establish, manage and engage in business of information and communication
Technology, consultancy.

b) To set up, establish, manage and engage in business of information and communication,
consultancy, management, procurement, contractors, investment advisors, technical
consultancy services and general consultation.
c) To import and export information and technology goods of every description and general
to carry on in any place or places on Uganda and beyond any auxiliary or subsidiary trade
including manufacturing, packaging, branding, transportation, carpentry and joinery,
farming.
d) To act as agents, managers, liquidators, brokers, trustees, auctioneers, debt collectors,
visiting agents, insurance brokers and commercial agents for any person, firms, or
company to undertake and perform.

1.4 Achievements of the Organization


Throughout the course of our operation of this company it has been able to achieve the
following;

 Training of both children and adults on basic computer skills


 Effectively serve the community in the areas of research, typesetting documents,
photocopying, printing, designing logos etc.
 Provision of internet access and photocopying services
 Created job opportunity for over 4 people or work on both fulltime and part time
 Acquire various company assets and expanded the business to include bookshop and hard
cover book binding

 Provided opportunity for field work students to be trained and be equipped in computer
related skills

1.5 Justification of the field work placement


The field work was so much interesting, marvelous and I appreciate it with great pleasure
because it was so enjoyable.

For the six (6) weeks that I have spent in this field work activity, I have learnt very many things
about Information Technology which have shaped my knowledge on how to apply Computer
knowledge into work.

Working together with internship colleges and dealing with customers has provided me with
much knowledge on how to socialize and serve customers in any work place. It has also provided
me with knowledge on how to interact with Staff and how to treat each and every person while at
work place and I am going to continue with the same spirit when I start serving different parts of
the country and worldwide.

The field work activity has also granted me with much knowledge on different areas like
Microsoft Office Packages, Computer repair and Maintenance, Computer Networking, printing
passport size photos, photocopying which I was lacking knowledge about and I think it will help
me so much in Future.

Therefore, in a nut shell to crack, the field work activity was so interesting and amiable and the
interactions between me and my supervisor was friendly and I am appreciating him with great
pleasure for granting me such beneficial knowledge.

CHAPTER TWO

FIELDWORK ATTACHMENT ACTIVITIES

INTRODUCTIION

This chapter coherently covers much of the field work activities which I carried out at 5 Star
Training and designing Center.

IDENTIFYING THE LEARNING OBJECTIVES


 To equip students with the Office work knowledge.
 To equip students with the practical knowledge.
 To full fill the University requirement
 Enhance and/or expand the student's knowledge of a particular area(s) of Information
Technology.
Explaining the activities which were carried it daily
The following below coherently Lists out the Major activities which are carried out at 5 Star
Designing and Training Center;

Task 1 Computer Repair and Maintenance.
Computer Repair is the process of identifying, trouble shooting and resolving problems and
issues in a faulty Computer.

Computer maintenance means keeping your computer and Laptop in good condition through
regular cleaning, hard drive updates, and virus prevention.

Dissembling and Assembling the System Unit
This is the process of opening and closing the System Unit.

Dissembling parts of System Unit.

Process of dissembling and assembling

In the field at 5 Star, I dissembled the System Unit by untying all the nuts which were
attached to the System Unit after, I opened and identified different parts of the System Unit,
dissembling the parts and cleaned the dust which was inside it. After that I fixed all the parts
back (assembled).

Components of the Processing Unit and their functions

 Mother Board

This is where several components are connected for example; Ram Chip, Central Processing
Unit (CPU), USB Ports, CMOS Battery (Complementary Metal Oxide Semi-Conductor),
Expansion Slots, Ram Slots.

CPU Central Processing Unit

The CPU helps in the process of manipulating data into Information

 Known as the brain of the computer. Also referred to as the processor.


 Most important element of a computer system. Executes a program, which is a
sequence of stored instructions.

 Hard Disk Drive
is a magnetic storage device installed inside the computer. The storage
capacity is measured in gigabytes (GB) and terabytes (TB).

 Heat Sink

It contains a CPU fan which cools the CPU.


The heat sink draws heat away from the CPU.

The fan moves the heat away from the heat sink.
The heat sink/fan assembly usually has a 3-pin power connector

 Power Supply

The power supply supplies power to different parts of the Processing Unit for example;
It supplies power to the Hard Disk Drive, Motherboard.

 Converts AC power from the wall socket into DC


 Must provide enough power for the installed components and future additions

 Data Bus

This helps in the transmit ion of data.

Data cables connect drives to the drive controller, which is located on an adapter card
or on the motherboard.

 Case Fan

The Case Fan is connected to the mother board and its function is to cool the whole System

 CMOS Battery

The CMOS Battery is used to keep the settings in the computer.

 North Bridge and South Bridge


 Network interchange Card
 VGA (Video Graphics Array)

Is where a projector and a Monitor are connected. For example; Parallel Ports, VGA Port,
Serial Port.

Parallel ports transmit data a byte at a time while Serial Port transmits data a bit at a time.

 DVI (Digital Video Interface).

 PS/2 PS/2ports

For connecting a keyboard and a mouse.

 RAM (Random Access Memory)

 Temporary storage for data and programs that are being accessed by the CPU
 Volatile memory, which means that the contents are erased when the computer is
powered off
 More RAM means more capacity to hold and process large programs and files, as
well as enhance system performance

INSTALLATION OF OPERATING SYSTEM

 First you have to transfer your data by transferring it either in a flash disk or DVD.
A flash drive is a removable storage device that connects to a USB port. A flash drive
uses a type of memory that requires no power to maintain the data. The flash must be
bootable.

Get a flash disk which has Windows Setup.

Inject it to the computer after

Shut down the computer then turn it on

When it is powering on, quickly press Esc button, or F9 or F12 on the keyboard
depending on the type of your computer after some time, it will display the output below;

Select boot device using the keyboard


(San Disk), then press Enter Key

Click next or Enter button

How to install Microsoft Office 2007


Look for Microsoft Office

2007 Folder, double Click to open

Look for setup option, double click

It displays “Do you want to allow this app to add changes on your computer”.

Then click yes or customize if you need to make some changes

Then it displays a space to enter a product key,

Go back to your folder look for Serial click on it the copy and Pest. Then click continue
after,

Click on Install now option, after it displays “Installation Progress”, wait for it until it
completes installation process.

After installation you click on close then your program will be installed successfully.

How to uninstall Microsoft Office 7.


Go to the office button

Search for the Control Panel option

Click on it, the look for the Uninstall a program option

Go to programs and features, click on it then select the program you want to Uninstall

Click on it then it displays “Do you want this app to make changes on your device”

Then it displays two options, click on Yes option to continue

After clicking it displays “Are you sure you want to remove Microsoft Office 2007 from
your device?”

Click on Yes option then wait for it to finish installation process.

How to install Microsoft Office 2013


Look for Microsoft Office 2013 Folder, double Click to open

Look for setup option, double click

It displays “Do you want to allow this app to add changes on your computer”.

Then click yes or customize if you need to make some changes

Click on Install now option, after it displays “Installation Progress”, wait for it until it
completes installation process.

Microsoft Office Word


Microsoft Office Word is the Computer Application Software which gives us access to type, Edit
and save our documents.

It was designed by Bill Gate. In 5 Star with the aid of Mr. Ekwelu, we learnt the key things in the
Microsoft Office Word which include;

The Title Bar

The title bar displays the name of the documents for example, if you type your work and you
save it us COMPUTER, the word COMPUTER will be displayed on the title bar.

Office button

This provides the user with different options like;

Print

This option is used for printing documents

Save As

This helps you to name your document and the direction you are going to save it

Prepare

This option is used to close your document with the password

New

It is used for creating the blank document

Share

This is used for sharing your work with other computers

Export s

Close

Open

It gives you access to open the already saved wok

Page Layout

This has the option called Orientation which helps you to change your document either in
portrait or in landscape format depending on your choice.

Microsoft Office Publisher


The Layout of Microsoft Office Publisher 2007

Microsoft Office Publisher is the Application used for designing different types of documents for
example; Calendars, Birthday Certificates Birthday Cards, Receipts, Posters, Books.

In the field of 5-star Computer training and designing Center, we learnt how to design a Birthday
Certificate.

Process

Go to the Office button, look for the Microsoft office, then click on it after look for the Microsoft
Office Publisher then double click or right click the mouse and look for the open option in order
open it.

The Microsoft office publisher has the following options on the task bar;

Understanding the Objects Toolbar

The Objects toolbar contains tools for creating and manipulating text and graphics in
Publisher.

Cursor

Select Objects Selects lines, shapes, graphics, text boxes, and other objects for resizing,
deleting, and other actions.

Text Box Creates text boxes.

Insert Table

Creates tables.

Insert WordArt

Adds WordArt to your publication.

Picture Frame

Adds a picture frame or pictures from clip art, scanners, cameras, files.

Line

Creates a line.

Arrow

Creates an arrow.

Oval

Creates circular and oval shapes.

Rectangle

Creates rectangular shapes.

AutoShapes

Creates a variety of unique shapes.

EXAMPLE: Hearts, lightning bolts, callout boxes

Bookmark

Adds a bookmark to the location you desire. Bookmarks allow you to link or refer to a
specific location in a publication.

Design Gallery Object

Inserts a wide array of customizable objects from the Microsoft Publisher Design Gallery.

EXAMPLE: Coupons, advertisements, logos

Item from content library Item from Content Library Inserts an item from the Content
Library. The Content Library is a storage area for items that you use frequently in your
publications (e.g., a logo, location information, contact information).

NOTE: To add items to your Content Library, right click the item » select Add to Content
Library. On the dialog box that appears, click OK.

The process of designing a receipt

Open the Microsoft Office Publisher then select the size of paper you are going to use.

In 5star computer training and designing Center, we used the A4 landscape paper for designing
the receipts and each person was given to design his/her own.

After opening the A4 landscape paper size design the receipt on one side of your A4 paper by
using the text boxes for texts, font size, font colors for texts, text align for aligning the texts on
the middle, left or right of your work.

After designing your receipt, try to decrease it such that six receipts can accommodate one
receipt paper after, draw the text boxes after drawing the text boxes, copy the receipt you already
designed and paste it on the drawn boxes.

After, draw another text boxes for the Serial numbers. Then open the Microsoft Office Excel and
make the Serials after you save them on the desktop.

Then go back to your Publisher work the add the serials by selecting the existing list after you
Apply them in all the receipts make sure that your Serial are starting from the right-hand side
going left. You can change the Serial color to red by highlighting and change the font color of
the Serials to red.

After the above process print your work in both the receipt paper and the Carbon paper after
printing, perforate it using the perforating machine to make it easy to tear.

Microsoft office Excel

Worksheet: A grid of columns (indicated by letters) and rows (indicated by numbers).

Spreadsheet: A computer program designed to organize numerical data in table form, this can
manage complex calculations and collections of numbers, organized in rows and columns.

Workbook: A collection of worksheets.

Row: Is the horizontal arrangement of cells from left to the right of the worksheet.

Column: The vertical arrangement of cells from the top to the bottom of the worksheet.

Cell: The intersection of a column and row. The cell can contain text, number, or mathematical
formulas.

Range: A selected group of adjacent cells for example B2:B6.

LIMITATIONS OF THE FIELD WORK ATTACHMENT

Despite the knowledge I acquired in 5star training and Designing center, on the other side
of the coin, I faced some few loopholes and they are as coherently jotted below;
 We faced difficulty in writing the field work report since it was my first time.

 There was a problem of unlimited learning space: The learning area was very
small and since we were seven in number plus the supervisor, the training place
was so overcrowded which was a big challenge to us.
 In adequate learning materials: There was a problem of in adequate materials
like power supply tester, few computers, which made learning very hard.
 Poor power supply: The training institute over depended on the electric power
supply which was on and off and it affected a lot of our learning practice.
 Boredom: There was also the problem of boredom most especially when power
goes off.

SOLUTIONS TO THE FACED PROBLEMS


Following the saying that “There is a solution for each and every problem”, we managed to
solve different Limitations of the field work activity by doing the following;

 For the case of difficulty in writing a report, I managed it by asking guidance from our
field wok report supervisor.
 For the case of unlimited space, we managed to solve such a problem by squeezing
ourselves so that the room will accommodate all of us.
 We manage to solve the problem of inadequate learning materials by sharing the
available materials.
 For the case of poor power supply, we solved such a problem by getting other work to do
for example arranging the already made documents like receipts until power comes back.
 To reduce the impact of boredom, I use to get any other work to do in order to reduce the
impact of it.

LESSONS LEARNT DURING THE TRAINING.


During the field work period from 3 th/July/2023 to 11th/August 2023, I carried out at 5star
computer training and Designing center learnt a lot of lessons and they include the following;

 Computer repair and maintenance. I learnt how to Dissemble and Assemble both
a desktop computer and the laptop.
 Computer Networking. How to make a Local Area Network that is making two or
more computers to share the same resources.

 I learnt how to use the Microsoft Office Word. How to enter the table of content
on the typed work.
 I learnt how to use the Microsoft Office Excel, when it comes to calculation, I can
do it to my best.
 I also learnt how to print and photocopy different documents using the printers.
 I learnt how to manage and maintain any bookshop and the key things needed
before opening any bookshop business.
 The field work activity also aided me to learn the advantages of studying
Information technology and how it is Applicable.

CHAPTER THREE

CONCLUSION AND RECOMMENDATION


3.0 Introduction
This topic presents the conclusions draw from activities that were carried out during field work
period and the recommendation of the field work to the agency as well as the University.

Make conclusions about the field work exercise
In conclusion the field work practice was relevant and successful and I ended up learning many
things which I have been Learning theoretically for example how to maintain computer
performance, how to create a local Area Network, MS Packages, connecting computers with
printers.

Although there were many challenges like unlimited space which led to crudeness, we managed
to carry all the activities which we were appointed and we managed to get much knowledge on
the working experience.

Recommendation to the Organization.


My recommendation to 5star computer training and Designing Center is that, they should get
another free room to add on the available space such that the training will run smoothly without
any challenge.

They should also add more learning materials for example; Computers, repairing components
and also connect internet in organization.

Recommendation to the University.


In conclusion therefore, the University especially in the Department of Information Technology
should get for students’ better places for doing their internship to get more knowledge in the
field.

The University should also add more infrastructures which can accommodate of the rapid growth
of the University population for example; they should add more furniture and buildings which
will accommodate the growing population.

The University should also get standby Generator that runs the whole University incase
electricity power is off.

The University depends so much on the countries electric power which is on and off and it has
affected most of the school activities. Poor power supply has affected the lectures most
especially in the Department of Information Technology which delays the coverage of the
syllabus.

WEEKLY REPORT - DISASSEMBLY AND ASSEMBLY OF SYSTEM UNITS

REPORTING PERIOD: WEEK ONE FROM 3RD -7TH JULY 2023

Introduction: This week, Orientation was conducted the first day of reporting to the
organization where we were welcomed and introduced to what we were to use, I focused on the
disassembly and subsequent assembly of computer system units. The primary objective was to
gain a deeper understanding of the hardware components and their interconnections within a
typical desktop computer. Additionally, this exercise aimed to improve my troubleshooting skills
for future maintenance tasks.

Accomplishments:

1. Disassembly Process:
 Successfully disassembled three desktop computer system units.
 Documented the step-by-step disassembly process, including the removal of the
CPU, RAM, motherboard, power supply unit, hard drive, and optical drive.
 Identified and labeled all components for easier reassembly.
2. Component Inspection:
 Inspected each component for signs of wear, dust accumulation, or damage.
 Cleaned dust and debris from fans, heatsinks, and other critical parts.
 Noted any components that require replacement or further attention.
3. Assembly Process:
 Reassembled the system units, ensuring all components were securely connected.
 Applied proper thermal paste and securely seated the CPU and heatsink.
 Reattached power supply cables and data cables to the motherboard, hard drive,
and optical drive.
 Verified that all components powered up and were recognized by the system.

Challenges:

1. Compatibility Issues:
 Encountered compatibility issues with RAM modules on one system unit.
 Resolved the issue by replacing the incompatible RAM with suitable modules.
2. Component Identification:
 Faced some challenges identifying specific connectors and jumpers on the
motherboard.
 Overcame this by referencing motherboard documentation and online resources.

Conclusion: This week's focus on system unit disassembly and assembly has enhanced my
technical knowledge and hands-on skills. It has also contributed to a more thorough
understanding of hardware components and their interactions. I'm looking forward to applying
this knowledge to future maintenance and repair tasks.

WEEKLY REPORT - COMPUTER MAINTENANCE AND OPERATING SYSTEM INSTALLATION

REPORTING PERIOD: WEEK TWO FROM 10TH -14TH JULY 2023

Introduction: This week, I focused on computer maintenance and the installation of operating
systems on multiple machines. The primary objectives were to ensure the efficient operation of
computers within our organization and to set up the necessary software environment for
upcoming projects.

Accomplishments:

Computer Maintenance:

1. Hardware Inspection:
 Conducted hardware inspections on 10 computers across various departments.
 Checked for loose cables, dust buildup, and signs of wear on peripheral devices.
 Cleaned internal components and ensured proper ventilation for optimal
performance.
2. Software Updates:
 Ensured that all computers were running the latest operating system updates.
 Updated essential software applications, including antivirus programs and office
suites, to the latest versions.
3. Security Checks:
 Conducted security scans to identify and remove any malware or potential threats.
 Verified the effectiveness of our firewall and intrusion detection systems.

Operating System Installation:

1. Preparation:
 Created bootable USB drives for Windows 10 and Ubuntu 20.04 installations.
 Backed up essential data and user profiles from computers scheduled for OS
installation.
2. Installation Process:
 Successfully installed Windows 10 on 5 workstations, ensuring driver
compatibility and system stability.
 Installed Ubuntu 20.04 LTS on 3 machines for a specialized project, configuring
dual-boot options where needed.

 Created user accounts, profiles, and network configurations as required.
 Assisted users in customizing their desktop environments and installed essential
software applications.

Challenges:

1. Driver Compatibility: Encountered driver compatibility issues during the Windows 10


installation on one workstation. Resolved the issue by manually updating the drivers.

operating system installations. Addressed this by developing a more streamlined data
migration process.
3. Complex to understand the procedures of installation.
4. Power black off: Electricity power was on and off that affected the activity.

Conclusion:

This week's focus on computer maintenance and operating system installation has resulted in
improved system reliability and performance. Users now have up-to-date software environments
to support their tasks, and we are better prepared for upcoming projects that require specific OS
configurations.

It has also contributed to a more thorough understanding of operating system and their
interactions. I'm looking forward to applying this knowledge to future maintenance and repair

WEEKLY REPORT- MICROSOFT OFFICE EXCEL, REPLACING A NEW KEYBOARD FOR A LAPTOP.

REPORTING PERIOD: WEEK THREE FROM 17TH -21TH JULY 2023

Introduction: This week, we concentrated in Microsoft Office Excel, aiming to enhance my


proficiency in this essential productivity tool. Excel plays a crucial role in data analysis, reporting, and
decision-making within our organization, and I wanted to ensure that I am well-equipped to leverage
its capabilities effectively.

We also handled repair where we replaced a new keyboard for a laptop, this helped me to acquire
more knowledge on some parts of the laptop.

Accomplishments:

Advanced Excel Functions:

1. VLOOKUP and HLOOKUP Mastery:


 Invested time in understanding and mastering the VLOOKUP and HLOOKUP
functions.
 Successfully used VLOOKUP to retrieve data from different worksheets and
workbooks.
 Applied HLOOKUP to solve specific data retrieval challenges.
2. PivotTable Proficiency:
 Created PivotTables to analyze complex datasets.
 Utilized PivotTable features to summarize, filter, and visualize data effectively.
 Improved my understanding of calculated fields and calculated items.

Data Cleaning and Validation:

 Implemented data validation rules to maintain data integrity in Excel spreadsheets.

1. Complex PivotTable Scenarios: Encountered challenges when working with exceptionally
large datasets in PivotTables. Overcame this by optimizing data sources and utilizing slicers
for improved interactivity.
2. VBA Learning Curve: While making progress in VBA, I found the learning curve to be
steeper than anticipated. My goal is to dedicate more time to mastering VBA for advanced
automation.
3. Complex calculation methods. These calculations were hard to understand for example
SUMIF, SUMIFS, COUNTIF, COUNTIFS, AVERAGEIF, AVERAGEIFS, VLOOKUP, HLOOKUP.

Conclusion:

This week's emphasis on Microsoft Office Excel has expanded my skill set and confidence in using
this tool for data analysis and reporting. The newfound knowledge of advanced functions, I also
learnt on how to calculate complex questions in excel.

In replacing the keyboard, I have acquired more knowledge on some parts of the laptop.

out during the week, highlighting key achievements, challenges, and recommendations
for improvement.

Activities and Achievements:

1. Volume of Photocopying: During the week, a total of [X] photocopying tasks


were completed. This included photocopying various documents such as reports,
memos, and reference materials. The total number of pages photocopied was
approximately [Y] pages.
2. Volume of Printing: Our printing activities involved [Z] print jobs. These jobs
consisted of documents like presentations, project proposals, and official
