SOP PROCEDURE FOR SMP

1.0 Purpose
To provide framework by which all OHS objectives and targets as well as OHS hazards
and associated risks are converted to SMP.

2.0 Scope
This procedure applies to all the objectives and targets covered in the OHS hazards for
effective implementation of OHS in Havmor Ice Cream Pvt. Ltd.

3.0 Responsibility & Authority


 Functional Heads are responsible for preparation of SMP to fulfill objectives.
 Top Management is responsible for ensuring that resources are assigned to
achieve objectives and related targets.

4.0 Procedure
4.1 TL communicates the objectives and targets to respective Functional Heads. The need
for preparation of SMP / basis for the identifying the SMP are from the one or more of
the followings ;
 Objectives And Targets,
 Audit Results / Outcome Of Management Review Meeting
 Non–Compliances, Corrective And Preventive Actions
 Accident / Incident data
 Safety audit / Factory inspector’s comments
 Outcome of workers meeting
4.2 SMP is to be prepared by the respective Functional Heads as per identified objectives
and targets of the organization.

4.3 SMP should be prepared as per the following methodology.


 Identify the activities required for achieving a particular OHS Objective and target.
 Assign responsibilities to concerned person or department for completion of
activities.
 Fix the time frame for completion of activities.
 Identify the performance indicator for verifying completion of activities.
 Estimate the resources required for completion of activities.
 Tabulate the information in logical sequence.
 There shall be an SMP corresponding to each target.
4.4  Functional Heads will communicate the proposed SMP to TL for review.
 TL will review the SMP and submit to Top Management for approval.
 Top Management returns the SMP to TL after approval.
 Functional heads reviews the SMP as activity progresses considering time frame
and responsibility and records the details in SMP Progress report.
4.5  TL shall monitor the progress of implementation of SMP Once in Six Months and
report to the Top Management.
 Based on modification in department wise objectives and targets Functional Heads
shall prepare new SMPs and above procedure is implemented as per steps listed
above.
4.6 After completion of SMP following parameters will be reviewed before closure of the
SMP ;
 Revised OHS impacts / risks,
 New OHS impacts / risks,

4.7 Frequency Of Identifying New SMPs
 Identification of need for New SMP is reviewed during the Management Review
meeting (Atleast Once In a Six Months) considering the status of present SMPs and
further opportunity for the continual improvement.
 Also during review of Objectives and targets, need for new SMP is identified and are
prepared accordingly and are followed as per the procedure mentioned above.
