Museum Expansion Final Project

By Cynthia M Gonzalez
Shareholder & Stakeholder Letter

Dear Shareholders and Stakeholders,

As the newly appointed Project Manager for the Museum Expansion I have a few notes and
changes to the project that will allow it to be successful and fit inside the new time allowed for
completion. First and foremost I noticed two things right off the bat. The obvious one, we have
gone from 89 days to complete the expansion to only 81 days. The second thing I noticed was
each are was done after the completion of the last are. Framing and drywall for all rooms can be
done concurrently, this will allow it to be done much quicker. Because we are now needing the
team to do all areas instead of one at a time my recommendation is to crash this particular part of
the project. By allowing our framing and dry wall team to increase it will allow the work to be
done much quicker. It is also my recommendation to crash and reschedule the flooring for all
areas. Again by doing the work simultaneously and expanding the team this will save us time.
Because the framing, drywall and flooring all require quality work it is necessary to expand the
team. Without crashing these parts of the project the team will run into stress, burn out and the
quality of the work the deliver would decrease substantially. Moreover, once the completion of
the flooring is completed it will need time to set. Regardless of tile, hardwood or any other
material it will mean allowing a few extra days to not work on the project at all. Therefore it will
be necessary to have the necessary size team and skillful workers to get ahead as much as
possible. The original budget for this project was $30million however, the expansion the drywall
and flooring team to crash these two activities is estimated to cost $2million. This would be
budgeted in employee salaries, and rush procurement of necessary supplies. The rush on
materials will allow us to avoid anymore delays than necessary. My contingency plan comes
with some gaps in understanding the importance of certain deliverables. For example, the
millwork and casework in the Store/Cafe/Kitchen area. As well as the masonry on the stairs in
the Lecture Hall. Because of this I propose in a worst case scenario leaving these two
deliverables out or delayed till after opening. This would allow the project to be completed on
time and still budget. However, if it is still needed there would be an option for completion by
having the team come in at night when the Museum is closed and working on the project over 18
days. It would also been expanding the project $1million in employee wages as it would be after
hours and would accrue overtime. It is my professional opinion to crash the project and allow
additional recourses to the teams necessary. This will allow the project to be completed on time
and with all deliverables.
If there are any questions, or needs for clarity of the project plan, please feel free to contact me
via email.

Personal Reflection

This class has been nothing short of a challenge, to say the least. From a lack of communication
to certain parts of the class not working it was very difficult to navigate. I do not feel I have
understood material as much as I should. Although I understood the material in a relative sense I
do not understand it in a practical sense. For example making a Gantt chart, I understand the
concept how it works and the importance. I do not however understand how to make a Gantt
chart. My quiz scores were well as the videos and reading felt verbatim to the questions in the
quiz, but when it came to doing my projects I do not feel I understood the concepts at all. Even
now finishing this class, I feel like I did no more than watch a YouTube how-to video and hope it
was informative enough for the real world. I was excited to take this class, and learn in a deep
way how to approach time management within the scope of the real life projects. If I am able I
might re-take this course with a different instructor after graduation and just pay for the one
class. I feel the things I was supposed to learn I did not and will have a hard time in my future as
a project manager.

Best,
Cynthia M. Gonzalez
