The Library Management system is a web-based application. A library is a place where all types of books
are available. This system has a list of all the books and allows remote users to access it simultaneously
from anywhere on campus. However, to do so, users must first register. Students submit requests,
which the server and admin process and use to extract data from databases before returning the results

to the client. This system has a separate user interface and login for students, and the librarian will have
access to alter databases. There are many purposes for the Gardner College Diliman Senior High School
students' library management system. The librarian has the privileges of organizing, removing, marking,
and adding books. Students will be able to utilize the system to read, assess a book's vacancy, and give it
a review. The system is created to provide solutions for the issues that the school librarian is currently
having. This system seeks to make it easier for students to find the book immediately. And the librarian's
time and effort will be reduced because of this system.
The first chapter which is the introduction part of the study which includes the presentation of the
statements of the problem in which it introduces the general and specific objectives. It also includes the
current state of technology and the scope and limitation of the proposed system. The second chapter
provides the related literature studies of the proposed system. The Library Management System for
students of Gardner College Diliman was made to easily monitor and find books inside the library and to
reduce the Librarian’s time and effort, and Students’ will be able to utilize the system to read, assess a
book's vacancy, and give it a review.

THE PROBLEM AND ITS BACKGROUND

INTRODUCTION
A library is a place where books are stored, watched for, and substantiated. A library is a force of
knowledge that stocks a collection of books, both reference and general, but in this generation, virtually
every library is embracing technology to make their work royal, so we decided to design a system that
reduces the librarian's time and trouble. In this system, you only need to join in with your dispatch
address, search the title of the book you want, or browse the orders, and it'll show you its position as
well as the book's references.
Computer technology has continued to advance and is now regarded as one of the fastest expanding
diligence, with no suggestions of decelerating down. Every nanosecond, computer technology evolves
and is streamlined in terms of overall operation and functionality. How would a Librarian manage and
keep track of the books and scholars in the library? train conservation Module provides a wide range of

Library Management System would be helpful. Library Management System is a software that's
designed to manage all the functions of a library. It helps librarians to maintain the database of new
books and the books that are espoused by members along with their due dates. This system fully
automates all your library’s conditioning. The stylish way to maintain, organize, and handle innumerous
books totally is to apply a library operation system software. A library operation system is used to
maintain library records. It tracks the records of the number of books in the library, how numerous
books are issued, or how numerous books have been returned or renewed or late fine charges,etc.
(iitms.co.in, 2011) The Library Management System is used for multiple purposes. Organizing and
arranging books for the librarian, who has the executive boons of adding, deleting, and marking books.
While the scholars will be suitable to use the system to adopt, read, see the books ’ vacuity, and review
a book. Preliminarily, libraries used card registers to mark their effects, but computers made it possible
to efficiently automate the process.

Background of the problem


Computer technology has become increasingly incorporated into our daily lives as our planet has
modernized. Because it analyzes data reliably and consistently in a few seconds, computer technology is
a crucial resource in many industries, including business, education, school, and virtually any
organization or institution that remains. Computer technology is increasingly widely used in academic
institutions due to its efficiency in data processing. It is a handy tool for keeping track of information,
archives, and records of student profiles, as well as tracking student profiles. Modern programmers are
always approaching new ideas and establishing various solutions that benefit the academic system.
A library management system attempts to reduce the strain on librarians and students when it proceeds
to locate the book they want to borrow, to assist the librarian in maintaining a database of newly
released books, in addition to the books that members have borrowed and their due dates. This system
completely automates every activity in your library. A library management system is software designed
to manage all aspects of a library. Maintenance and upkeep issues have existed within libraries. Libraries
are facing a number of issues in the modern era, including a lack of space, ineffective staff, and poor
management. Most libraries give readers the impression that they are highly disorganized in the
absence of a good system. Maintaining and preserving historical documents and materials requires
rigorous attention to detail. Lack of funding is another issue libraries deal with when trying to collect

General Problem
How to create a Library Management System for Senior High School students of Gardner College Diliman

The students are the only ones that are allowed to borrow books from the library. To find the
book that they want to borrow, They will need to browse through the bookshelves first, as there is still
no completed list of books accessible in the library, and then go to the librarian to submit their library
card, write their name, section, and the date they borrowed the book.
We will use technology to construct a library management system that will house student and
teacher data. The Library Management system is an automated system that a single click will reduce

librarians' labor. It will coordinate, manage, and organize student and instructor files. Also, assist the
librarian in adding, browsing, deleting, and updating materials.

Specific Problems
 How to create a module that will help the students find the books they want to get.
Gardner College Diliman senior high school students are having difficulties in finding the book
they wish to borrow in the library. In the present approach, students must browse the bookshelves on
their own. Once they have found the book they want, they must go to the librarian with the book and
surrender their library card, and also write their name and section on the book card located at the back
of the book.
The process of borrowing a book usually takes an approximate of 5 minutes, however, finding the books
may take a while because sometimes, a book they want to find isn’t in the library’s records or might not
yet be recorded as the librarian handles many different books manually.
 How to design a system that will lessen the time and effort of the librarian
The librarian faces many challenges in managing the library in many different ways being flexible in any
time given. The librarian won’t be able to execute his/her duties manually as he/she can be occupied by
one task. While the librarian is assisting a student, the librarian cannot perform any other work other
than accommodating one individual at a time. It generally takes the librarian 5 minutes to serve one
student. However, if the book is exhausting to find, it may take the librarian 10 minutes, assuming that
other students are waiting for the librarian's assistance, which makes it very laborious.
 How to create a module that will notify the librarian when a student hasn't returned a book that
was borrowed using the system.
Throughout the libraries at Gardner College Diliman, Due to a lack of staff, they struggle to manage the
libraries and fail to notice instances where a student misses to return a book by the deadline. With this
system, the librarian will be alerted the moment a student misses to return a book and will warn them
to return it right away.
In the current process, the librarian will know immediately when a student hasn't returned a book if he
looks at the record of due dates and book’s availability. But sometimes, someone gets away with not
returning the book at the right time because sometimes there are too many records to process. If a
student still hasn't returned a book to the library, the librarian will have to scan the records to know
whether a book was returned or not, then when a student passed the deadline of returning the book, a
penalty will be held to remind the students that they have a responsibility and chance to return the
book before the due date.
 How to construct a module that will track the students that enter the system.
Throughout the libraries at the Gardner College Diliman, The librarian cannot properly monitor the
students every time they enter the library since it is managed manually and each student enters one by
one with each of them presenting their library card to access the library. The library card is a must for a
student to be able to access the library, this is a way to track the students that want to enter the library.
In the current process, the way to track or monitor the students that enter the library is to get their
library card first which is a verifier of a student’s proof of identification.
 How to create a module that will categorize the books to make the use of the system easy for
the students and the librarian.
Due to the thousands of books in the libraries, there is an approach that the students might struggle to
find the book they want or need, and if the students request the librarian for assistance, the librarian
may also struggle because they are unsure of its placement. A librarian faces challenges in managing a
library and one of those is managing the new books obtained with the same author and genre. The
librarian will need to gather the works of the same author to make sure that a mark or pattern isn't the
same as others.

In the current process, the librarian will first read the summary of the book that the library has
purchased and has been given for school usage. After examining the freshly obtained book, the librarian
will look for the book's Dewey Decimal as well as the Cutter or Author's note to indicate and identify the
group and author the book belongs to. The librarian will next type and print all of the information to be
marked on the side of the book to be categorized. If by any chance that there are books which have the
same author and genre already stored within the library, the librarian will add a trace beside the
author's note to distinguish works of the identical genre published by the same author. Lastly, the
students might get confused while finding the book they want to borrow as they cannot distinguish the
right category of the book and would need the librarian’s assistance.
 How to create a module that will display the student's account details to the librarian when
borrowing and returning a book.
If a student wishes to return or borrow a book, the librarian must be aware of the specific information or
account data. The borrower of the book must be recognized in order for the librarian to contact the
student and remind them to return the book as soon as possible. This is required since students have a
propensity to forget to return the borrowed books before the due date. In the current process, a library
card must be shown as a proof by the student to prove that he/she is verified to enter the library and is
registered to the records of the library. The library card shows that a student is certified for library use
and can borrow books within the library as well.
 How to create a module that will let the students create an account to log in for the system.
In the current process, to keep the students verified to enter the library, the librarian would
provide a request paper to make a library card for the new student, it would be a paper that contains
their personal details, section, grade and affiliation. The request will be processed by the librarian to
commission a library card for the student to be able to access the library. The senior high school
students of Gardner College Diliman cannot enter the library if they don't have a library card that’s
needed to access the library. If they don't have a library card yet, they must first issue a request to the
librarian to get a library card to use.
 How to create a module that will help the students express their opinions on a book that they've
returned.
It's useful to know what other people thought of the book. so that they will be given any consideration if
they have any suggestions for improving the book or if they tell out any problems.
In the current process, to express the student's opinions in the Gardner College Diliman, the librarian
would provide a paper where the students can express their thoughts and opinions about the book they
returned. On the paper, it should have the book title, date of reading, reactions or experience while
reading the book, and lastly the recommendation and the things they learn. Knowing these things will
surely be effective to know if the library provides learning to the students. They can know what is the
help of the library and in that way, they can be motivated to provide more learning materials.
 How to create a module that will notify the user when his/her account is not registered to the
system
It is critical at a library to know who will check out the book. Nowadays, some people can cause havoc,
thus there are times when a complete stranger goes to the library showing a fake library card to mess
with the librarian’s duties and cause misunderstandings. In the current process, a library card is needed
for the students to show to the librarian. Using the library card will make the verification of a student
fast, the librarian will easily notice students that doesn’t have a library card based on the records,
however, stolen library cards proposes a problem that can damage a student’s moral as the stolen
library card might be used by someone to take a book from the library and never return it back.

Overview of the current state of the technology
Gardner College has two branch libraries and sixteen sections on its campus. Each
section/branch has a diverse assortment of print and non-print materials depending on the courses
offered by the institution. There are tables, seats, and space for students who like to be alone or require
a quiet location, all of which are offered to facilitate improved learning. The two library branches have a
total of 1000 volumes. Meanwhile, there aren't enough employees to run the two libraries. There are
not enough librarians to adequately administer the libraries or assist other students who seek
assistance. The staff suffers since there are several volumes with various categories, and the students
struggle as well because there are multiple books and they are unsure where to go for what they need,
despite the fact that they have labels on them. Some pupils might not have enough time to swiftly
examine the library section. As a result, we devised the idea of developing a system.
Although most libraries have grown or transitioned towards integrated systems, some
subsystems, such as management systems, are still available as specific systems in their claim. Although
it is easy to believe that every library will or has converted to integrated systems, there are particular
tiny libraries, mainly small special libraries, which cannot afford to implement a library management
system. The automated library frankly is critical because the library management system is immensely
becoming more than just a tool for controlling physical information resources. It's an integral part of the
huge electronic library and is to evolve to the standards that support that larger information
environment.

A library management system is what the researchers will implement for Gardner College Diliman.
Based on how they operated in their previous library, a student who requests to borrow a book must
swiftly search every shelf to determine whether it is still available. To find out if the book they want to
check out is still available, they could also speak to the librarian personally. The librarian will next decide
whether to look for the book herself or check the library cards to verify whether or not it has already
been taken out by someone else. If the book is available, the borrower must first write their name and a
few basic information about themselves. Along with the book's title, students must include the time
they will borrow it and the date they will return it.
A library management system is constructed with components that interact jointly to achieve a shared
goal. When a library management system is employed, its modules will work together to help manage
the library's information resources, including acquisition, representation, and circulation. A library
management system is a software meant to manage all of a library's functions. It assists the library in
maintaining a database of new books besides those borrowed by Gardner College students, along with
their due dates. An example of an information system is a library management system. A computerized
or non-computerized information system is a system that represents items in a physical system.

Objectives of the study

In this subchapter the proponents will discuss the goal of the proponent’s system and the module that
will be built inside the system.
General Objectives
To create and implement a Library Management System for Gardner College Diliman Senior High School
students that will allow both students and the librarian to easily access and manage the library in an
efficient and dependable manner of the processes of searching, updating, deleting, and handling books.
The proposed system intends to make it easier for the librarian to administer and monitor the library, as
well as for students to find the book they want to borrow. The library customer can look for the
availability of the book they want to borrow. If they find the book and it is still accessible, they must go
to the shelf where the book is kept and take up the book for further transactions. After selecting the
book they will then need to deliver the book to the librarian along with their library card in order for the
librarian to confirm that a borrower is authenticated. The system will then record both the student's and
the book's data. The system will save the data into the database as well as a secret duplicate of the data
for backup reasons if the library system requires maintenance. Following that, the student will be
permitted to take and borrow the book for a maximum of 1 week. The system will alert the student
through email a day before the due date of the book to be returned that they need to return the book
on the agreed due date, the student is reminded of their responsibility to return the book, and the
librarian knows which book will be returned by which student.

Specific Objectives
 To create a module that will help the students find the books they want to get.
This module allows users to check whether the book they want to either has already been checked out
by another library user or is still available. The computer system will display the user's search criteria
and the book's location.
 To create a module that will notify the librarian when a student hasn't returned a book that was
borrowed using the system.
The librarian will be notified when a student hasn’t returned a book past the due date issued to him/her.
This way, the librarian can manage the library in an efficient way to easily know when a book isn’t
returned yet past the due date and needs to be reminded and acquired immediately.
 To construct a module that will track the students that enter the system.
In this module, the librarian will be able to see the users who will login on the system, which would
make the tracking easy as the librarian will see the user’s information through their account details.
 To create a module that will categorize the books to make the use of the system easy for the
students and the librarian.
In this module, books will be categorized by using the dewey decimal system, a method of categorizing
books in a library by subject matter. It is a numerical system using groupings of ten — i.e. there are ten
major classes, each of which has ten divisions, each of which has ten sections — and books are placed on
the shelf in numerical order. (languagehumanities.org, 2022) The dewey decimal system will help the
librarian to efficiently categorize the books with the system that the researchers will implement.
 To create a module that will display the student's account details to the librarian when
borrowing and returning a book.
In this module, the librarian will be able to have the privilege to see the details of a student’s account to
enter the system, this will help the librarian to identify students who will enter the system using the
accounts they made with their emails.
 To create a module that will let the students create an account to log in for the system.
In this module, the students will be able to create an account to use for entering the system. The
creation of an account contains the personal and academic information of the student to make sure that
he/she is affiliated to the school and a verified student.

 To create a module that will help the students express their opinions on a book that they've
returned.
In this module, the students will have a way to express their comments, opinions, and reaction after
returning the book they’ve borrowed using the system. This would be optional as not all students have
the will to leave an opinion to the book they’ve read and it might be forcing them if it’s not optional.
 To create a module that will notify the user when his/her account is not registered to the
system.

In this module, when attempting to log in to the system, there will be a sentence that will display if the
account is registered or not. If a student fails to log in using the student's email, they must create an
account first, and then the student will know if the email is already registered to the system as they
might’ve forgotten their password which they need to recover.

Scope and limitation of the Study


Scope
 Monitoring Module
In this module, the system will monitor the student’s actions while using the system, the system will be
able to send a notification to the librarian when a student does something unnecessary while doing the
system or causing inconvenience.
 Inventory Module
To further illustrate, the system will be able to store and manage the data, information, and details
related to books, students, and academic information. An effective and comprehensive tracking
database will be of benefit to the system, providing a good foundation.
 Report’s Module
The system will generate monthly reports in this module. Concerning the number of students who log in
to the system, including the times they log in and log out, the students' identities, and the books they
borrow. Students who have not returned their books will also be included in the reports. The system will
also be in charge of producing the librarian's monthly reports.
 File Maintenance Module
The librarian is the only individual in this module who has the ability to add, update, and delete data
from the database. Customers are not permitted to contribute, change, or delete data contained inside
the system, and they may only search for books using the system.
 User management module
In this module, the system will have a detailed database of users with their name, ID, login and
password. This aids in tracking the member's library usage. A multi-user environment also assures that
multiple users may use the program without experiencing performance or access concerns.
 Fee management module
In this module, the system will keep on track with the student fees and manage individual student
accounts. When books are not returned, lost, or damaged, the program calculates the fee owed by the
student by automatically calculating days from the due date. Following that, notify the student of the
fee and ensure that the student's use of the library's resources is restricted until the fine is paid.
 Online Public Access Catalog (OPAC)
In this module, students can look for books, e-resources, and journals from anywhere and are not
restricted to the library's grounds. To access the catalog, students must input their login credentials and
password over the web. Students might be given direct electronic access to the materials or their
physical location in the library based on the search results.

Limitations

Only the students are allowed to use the system for reading, borrowing, returning, and rating.

Meanwhile, the Librarian is the admin for the system with the privilege to confirm, inform, add

books, remove/delete books, and categorize the books. And since outsiders aren't part of the

school's institution, they're not allowed to use the system nor create an account to access the

library’s resources.

offers an overview of the categorization of works into many categories that are relevant to the

research we are proposing. Some of the related studies are not quite identical to our planned

study, but they do have some commonalities.

Foreign Literature, Studies, and Systems

Moran & Morner (2018) states that, multitudinous operation ways that began in business,

assiduity, and government have been espoused by libraries and other information- ferocious

companies. A duly run library is vastly superior to one that's not. Effective businesses must

prioritize quality and customer pleasure above resting on their once successes. (Managing in

moment's Libraries, runner 7) The most successful businesses make use of their coffers to stay

ahead of the competition. Libraries used to have a near-total monopoly on the distribution of

knowledge and were patronized because they were seen as a" public good," but in the current

environment, they must contend with other associations for public support. As a result, libraries

are being forced to borrow practices analogous to for-profit associations. The quality of the

product being offered, effectiveness, responsiveness to client wants, and invention in terms of

continuing to meet new request demands are frequently the criteria used to illustrate a

competitive advantage. Libraries may now offer particulars that were preliminarily unattainable

due to digitization, and guests find these particulars to be relatively charming.

In 2015, the Library of Congress had a budget of over$ 631 million. The Library of Congress is one of the
largest libraries in the world, so its substantial budget isn't typical. nonetheless, directors in all types of

budgets, and anyhow of the size of the budget, understanding how to secure and manage finances is
pivotal to any institution's success. The utmost library moments are far more productive than they were
in history, negotiating further with smaller staff members, getting more client- acquainted, and
responding snappily to the demands of their druggies. All libraries have improved as a result of the new
focus on quality, effectiveness, and client service. The significance of effective operation has increased
over time as libraries have gotten bigger. Major public, university, and public libraries act as major for-
profit enterprises in numerous ways. Inescapably, library directors who were constantly academics in
the past — are evolving into principal administrative officers (CEOs).

According to Zhixiang Song and Lingwei Dang (2022), An important area of development in international
libraries and organizations is the generation of personal data for digital libraries. According to the law,
users ranked search engines second only to email in 57.9% and 65.0% of cases, respectively. Decision
support systems and information management systems have quite diverse approaches to the
processing, organization, and management of data. As the central location for gathering, processing, and
maintaining information resources, the library has accumulated a vast collection of information sources.
The database system at the library can be used to successfully realize data entry, querying, and
statistical functions. Modern information transfer is based on computer network technologies. It
continues to grow and develop quickly in all spheres of life thanks to its strong capabilities and quick
speed. In the social information system, library information plays a unique position and role as a
significant information resource. The American government created the first digital libraries at the start
of 1990, followed by those in France, Britain, Italy, Japan, and Germany. Zhang offered a practical
solution to the problem of describing user information by using ontologies to collect user-specific data.
Information management in libraries should make more use of computer network technology. Zhang et
al. were the first to use the term "computer network." Zhou and Nie believe that the process of making
scientific conclusions will be greatly aided by computer network applications. The most valuable source
of mathematics knowledge in the network era, in the opinion of Zeng and Peng, is massive educational
data.

On the Internet, a library is not just a single physical book, rather, it is a collection of goods, services, and
resources. Users can access stored data at any time and from any location. Users of personal library
services receive information, content, and features tailored to their individual needs. Bill Clinton, the
recently elected US president, coined the phrase "highway information" in 1992. Generally speaking,
libraries have evolved from antiquity to the current period. When it comes to funding operations, the
majority of state money is used to create literary and informative resources. Research on personalized
service is mostly theoretical rather than technological in China's libraries and information circles. Over
one third of articles, many of which are repetitive and repeating, introduce and advocate personalized
services. The majority of the remaining conversations center on how reader service and reference work
are impacted by personalized service. There is a low tide in research on personalized service support
technology. The foreign personalized system is in a stable operating phase, which is the fundamental
explanation. For instance, 2002 is the usual year for system updates at Cornell University. Even now,
North Carolina State University is still using the system version from 2001. The funding for libraries in my
nation has increased recently, and the network and servers, as well as the storage and preservation of
library material, have all seen advances. A data management network should choose its leader in order
to better understand its business and data environments.

Local Literature, Studies and Systems


According to a local study by Bernardo and Perez (2018), the academic institution of which they are a
part is what sustains academic libraries. They base their mission, vision, goals, and objectives on the

parent organization's mission, vision, goals, and objectives. They create activities that are consistent
with academic plans. Additionally, they help faculty members and students in the academy with their
academic and research needs. According to Budd (1998), "everything that impacts higher education also
affects academic libraries since the academic library is part of the politics, part of the culture, and part of
the response of its parent institution". Then he lists the adjustments academic libraries must make, such
as adjustments to funding, adjustments to programs and courses, and adjustments to student
demographics. Additionally, it is safe to say that advancements in technology and the explosion of
information have an impact on how academic researchers conduct their work and, naturally, how
libraries provide their services.

There are now many new information sources and formats thanks to digital technology. Additionally, it
has altered how data is used, sent, and analyzed. A bigger problem facing academic libraries today, aside
from organization, storage, and retrieval concerns, is "on how to remain relevant in the digital era,
cognizant of low finances and hostility on the part of institutional administrators" (Anunobi & Okoye,
2008, p.1). Some people appear to believe that the growth of the Internet will cause libraries to
disappear in the near future. According to later research by Van Reenen (2001), the declining purchasing
power of academic libraries, a rise in library borrowing, and the ongoing pressure from inflation on
library budgets were the causes that led to changes in library practice. Troll (2002) also went into great
detail on the aforementioned changes that would affect academic libraries and emphasized that it is
unclear why these changes would occur because some factors were missed during the process of
detecting the changes. Traditional performance indicators for libraries, he noted, "do not fully
encompass the scope of how libraries are changing or explain why these changes are occurring". In
order to have a better grasp of the changes in the library setting, he advocated that conventional library
performance measurements should be combined with in-depth research of the environmental elements
that affect library use. Academic institutions have undergone transformations akin to those we see
today, as history demonstrates. History also demonstrates that standards for judging performances and
services have evolved. The standards created by library associations and accrediting agencies are
included in the brief overview of library standards in the US provided in the section that follows.

Similarly, Mama & Sarangani (2019) stated in their study that obtaining information online has
become a daily habit in today's information-driven culture. Professionals with a variety of e-books,
articles, and dissertations that they have downloaded from the Internet include teachers, support staff,
librarians, and even students. It's difficult to manage these resources, whether they are in your
possession or are found in a library. Students and professionals in LIS who are having trouble managing
their E-resources and the data generated by the procedures and processes inside the process should
find this paper to be helpful. Their study could serve as a guide for how other academic libraries could
arrange their internet resources.

Librarians would assess their positions in the academic community and position themselves as
information producers in order to be relevant and flexible to the changes brought on by modern
technology (Singh, 2001). To be more successful, librarians must collaborate with other professionals,
such as faculty and staff from other departments of the institutions, in order to collect, organize, and
make e-resources accessible to a larger reading population. They get relevant information online by
using data on social challenges, advancements, and trends on a local and global level. They should be
aware of the problems that surround their field of study and job because it may have an effect on their
lives. Which is why they conducted their research on Library and Information Center Management to
help the difficulties in managing information inside the library.

CHAPTER III

LIBRARY MANAGEMENT SYSTEM FOR SENIOR HIGH SCHOOL STUDENTS OF GARDNER COLLEGE
Overview of the Project
The proposed system aims to improve the library’s current way of managing books, keeping on track of
the borrowed books, security of the books, notify the student when they haven't returned a book, make
an account for logging in, and ease the librarian’s work. In this Chapter, the following will explain the
processes and the step by step procedures that the system will do for the process it is programmed for.
Diagrams, Tables and Charts will be used to show the process flow of the system and to further
understand as to how the data will flow from one process to another with the use of Hierarchy Chart,
System Flow Diagram (SFD), Context Flow Diagram (CFD), and HIPO Chart. A Hierarchy Chart (also
referred to as a structure chart) depicts the relationship between various modules. Its name derives
from its general application in displaying the organization (or structure) of a business. System Flow
Diagram (SFD) is a diagram that visually displays interrelated information such as events, steps in a
process, functions, etc., in an organized fashion, such as sequentially or chronologically. The Context
Diagram depicts the under consideration system as a single high-level process and then demonstrates
the system's relationship with other external entities. System entities include organizational groups,
external data stores, and so on. The HIPO Chart or model is made up of a hierarchy chart that graphically
represents the program's control structure and a series of IPO charts that describe the inputs, outputs,
and functions performed by each module on the hierarchy chart.

The system requirements for this system is not very intensive and can run on most
modern pc platforms. The minimum requirements for the system to run on a pc is a CPU should have an
AMD A4 5300 or an INTEL CORE I3 and up processor (3.0 GHz or higher), a RAM of 2000GB or 4000GB, a
Windows 7 Operating System or Higher, a Screen Resolution of 1366x768 and up and a 1GB FREE DISK
SPACE. With these minimum requirements, the system can perform properly and smoothly.

Software Requirements
 Java
Java is a high-level, class-based, object-oriented programming language that is designed to have as few
implementation dependencies as possible. It is a general-purpose programming language intended to let
programmers write once, run anywhere, meaning that compiled Java code can run on all platforms that
support Java without the need to recompile.
 NetBeans
NetBeans is an integrated development environment for Java. NetBeans allows applications to be
developed from a set of modular software components called modules. NetBeans runs on Windows,
macOS, Linux and Solaris.
 XAMPP Control Panel
Xampp Control Panel is a free and open-source cross-platform web server solution stack package
developed by Apache Friends that includes the Apache HTTP Server, the MariaDB database, and
interpreters for PHP and Perl scripts. Because most actual web server deployments use the same
components as XAMPP, it is possible to transition from a local test server to a live server.
 Eclipse
Eclipse is an integrated development environment used in computer programming. It contains a base
workspace and an extensible plug-in system for customising the environment. It is the second-most-
popular IDE for Java development, and, until 2016, was the most popular.

CHAPTER IV

RESULTS AND DISCUSSIONS

In this Chapter , the results of the survey questions that were handed to the 20 respondents will be
shown and discussed. All of the results will be presented with graphical presentation and analysis
reports. The results of the survey will contribute to the development of the proposed system. The goal

of this discussion is to ascertain the target demographic's expectations for the proposed system and to
use the results for further developments. The data that will be used came from the survey which was
done by using an online platform to be able to get the respondent's answer through the internet.

Multiple category choice is a decision process in which an individual selects a number of goods, all of
which are non substitutable with respect to consumption. Choices can be made either simultaneously or
sequentially. The Key feature of multiple category choice is the treatment of the choices as interrelated
because each item in the final collection of goods contributes to the achievement of a common
behavioral goal. We discuss current and potential applications of psychology, economics and consumer
choice theory in developing models of multiple category choice. (Russell, G., Bell, D., Bodapati, A. et al.
1997)

The rating that is used in our survey is The Choice of Categories, in this way the respondents can choose
answers between the 3 choices that were presented. The survey consists of 3 choices, those choices are
Always, Seldom, Never. We've gathered 20 respondents which are divided by 10 Professionals and 10
Non-Professionals. 12 of them are Females and 8 are Males.

These are the 3 choices that were made for the respondents to choose, both Professional and Non-
Professional with their own equivalence with the range of Excellent to Poor.

In the first (1st) question, it shows that 1 respondent chose Always, 18 respondents chose Seldom, and 1
respondent chose Never. Dividing them into Professional and Nonprofessional. 18 of the respondents
rarely visited a library before. It's the 9 Professionals and 9 non-professionals that answered seldom. 1
Professional has always visited a library before and 1 Non-professional has never.
The 12 respondents in the second (2nd) question rarely have libraries nearby. It's the 5 professionals
and 7 non-professional that answered seldom, 4 professionals have a library near their location, and 3
non-professional and 1 professional has never.
16 respondents said in response to the third (3rd) question that they are often satisfied with the services
provided by libraries, it's 8 professionals and 8 non-professionals that selected seldom, 1 professional
responded that he is never satisfied with the libraries' services, whereas 2 non-professionals and 1
professional claimed they are always satisfied.
The 13 respondents to the fourth (4th) question rarely found what they were looking for in the libraries
they visited, it's 6 professionals and 7 non-professionals answered seldom, 1 professional and 1 non-
professional said they could always find what they needed at the libraries they went to, whereas 3
professionals and 2 non-professionals claimed that they could never find what they needed in the
libraries they went to.
In the fifth question (5th), 7 professionals and 6 non-professionals said they rarely planned to visit a
library, while 3 professionals and 4 non-professionals said they always had plans to do so.
In response to the results of the sixth (6th) question, 6 professionals and 8 non-professionals said they
rarely find what they are searching for when they visit a library, 3 professionals and 2 non-professionals
said they always find what they are looking for, and 1 professional said they never do.
In question seven (7th), 9 professionals and 9 non-professionals agreed that a library is a good place for
students to conduct research and finish their assignments, while 1 non-professional and 1 professional
were rarely selected.
The 8 professionals and 9 non-professional respondents on eighth (8th) question always agree that
libraries are helpful, and 4 non-professionals and 1 professional often see libraries to be helpful, while 1
non-professionals never consider libraries to be useful.
The 9 professionals and 8 non-professional respondents on the ninth (9th) question believe that a library
can be a place where you can feel welcome and at home, while 1 professional and 2 non-professional
respondents rarely have this opinion.
For question number ten (10) 12 of which had to provide their identification to the librarian in order to
gain entry to the library. In those 12 responses were 6 professionals and 6 non-professionals who chose
always, 1 professional and 5 non-professionals chose Seldom which means they rarely show the librarian
their IDs, and 2 professionals never did so in order to gain entrance to the library.
In question number eleven (11), the respondents believe that using a system to log in is preferable to
keeping a logbook. In the results of the survey of the 20 respondents, 15 of them indicated that they
always believed that logging into a system was preferable to writing in a log book. Those 15 consist of 6
professionals and 9 non-professionals that answered always, while 2 professionals and 3 non-
professionals are selected rarely.
In question number twelve (12), 12 of the respondents seldom think that the library is way more
accessible than the internet to study, those 12 respondents were 4 professionals and 8 non-
professionals that answered Seldom, 3 professionals and 3 non-professionals chose always and 1
professional and 1 non-professional chose never. Which means that the library is way more applicable
for our study than the internet.
In question number thirteen (13), there's 12 responses who always, in response to E-Books as way more
accessible than physical books, we have 7 professionals and 5 non-professionals, and 2 professionals
and 6 non-professionals who answered seldom.

In question number fourteen (14), 4 professionals and 9 non-professionals answered seldom in
preferring using the school library than the internet and 4 non-professionals and 2 professional's chose
always. While 3 professionals and 1 non-professional never chose to use the school library over the
internet.
In question number fifteen (15), there are 12 respondents that chose seldom, in thinking that studying in
a library is better than studying at home. In that 12 respondents there's 4 professionals and 8 non-
professionals who chose seldom. 2 non-professionals and 3 professionals chose always, and 2
professionals and 1 non-professional chose never. That studying at the library is better than studying at
home.
In question number sixteen (16), there's 6 professionals and 6 non-professionals who answered Always
which means that they believe using google to search is easier than using a library to read a book. 3 non-
professionals and 4 professionals seldom think, and 1 non-professional never thinks that using google is
much easier than using a library to read a book. 12 to Always, 7 to seldom and 1 Never.
In question number seventeen (17), 6 professional and 7 non-professionals always believe that using
google to conduct a search is easier than using the library, while 4 non-professionals and 3 professionals
seldom believe.
In question number eighteen (18), 6 professional and 4 non-professionals chose always in thinking that
the internet offers more information compared to the school library. 6 non-professionals and 3
professionals seldom think that, and 1 professional who chose never.
In question number nineteen (19), 7 professionals and 5 non-professionals always believe that a library's
system will be easier than a traditional library, while 5 non-professionals and 3 professionals often
believe the same thing.
In the results of question number twenty (20), 8 professionals and 5 non-professionals frequently
believe that establishing a management system in a library will be better than using traditional libraries,
whereas 2 professionals and 5 non-professionals seldomly believe.

Interpretation:
In conclusion There are a total of 185 results in Always being chosen as their answer to the
corresponding questions. 187 in Seldom and 25 in Never. This shows that having a library management
system always has an effect on schools and the traditional libraries, while they seldom think and Never
think about it.

CHAPTER V

CONCLUSIONS AND RECOMMENDATIONS

The general objective of this study is to create a Library Management System for Senior High School
Students of Gardner College Diliman which is carefully fulfilled and finished. After receiving the results of
the survey from the 10 Professionals and 10 Non-professionals (a total of 20 respondents) and analyzing
it. The results show that both the Professionals and Non-professionals agree that having a Library
Management System will be a huge help for the librarian, students, and to the school itself. With the
Library Management System being added to the school library, it will be a great help to ease the
librarian’s duty and efficiency in recording books, adding books, returning books, and faster process.
Also, the students being able to have access to the library with their accounts will make them have a
fast-paced transaction in the library, having them be monitored through the system by the librarian
would also be a huge help in managing the library.

The Library Management System is now completed and can be now recommended to other researchers
as an example by testing the performance in implementing it to the school library. To further enhance
the system, more experiments and research must be conducted for effectiveness and usefulness of the
system. We recommend that with the Library Management System, Dewey Decimal will be helpful in
recording specially for counting the books and categorizing..

LIBRARY, YOU MUST HAVE A USERNAME AND PASSWORD. CURRENTLY, THE PASSWORD FOR YOUR
ADMIN ACCOUNT IS "GARDNER123" AND YOUR USERNAME IS “GARDNER@GMAIL.COM” AND YOUR
RECOVERY QUESTION IS "PUTE" YOU CAN CHANGE YOUR PASSWORD UNDER THE FORGOT PASSWORD?

2.2 REGISTER
THIS IS THE REGISTRATION MENU FOR STUDENTS, WHERE THEY MUST ENTER ALL THE DATA THAT
REGISTRATION HAS ALREADY GIVEN THEM. ONE ADMIN ACCOUNT IS NEEDED; THE ADMIN CANNOT
CREATE ADDITIONAL ADMIN ACCOUNTS. ONLY STUDENTS MAY USE THE REGISTRATION FORM.

2.2.1 RECOVERY QUESTION


THE RECOVERY QUESTION MUST BE ANSWERED ONCE THE STUDENT HAS GIVEN THEIR INFORMATION.
THE ONLY WAY FOR THE STUDENT TO GET THEIR ACCOUNT BACK IS TO ANSWER THE RECOVERY
QUESTION. THE THREE RECOVERY QUESTIONS ARE AVAILABLE FOR THEM TO SELECT FROM, AND
THEY MUST SELECT ONE AND PROVIDE AN ANSWER. THE RECOVERY QUESTION CAN BE MODIFIED,
PLEASE CHECK SECTION 3.5 FOR DETAILS. FOR THE PURPOSE OF CHANGING THEIR PASSWORD IN THE

RECOVERY QUESTION, YOU CANNOT CHANGE YOUR PASSWORD. PLEASE SEE THE SECTION 2.2.1 FOR

2.3.3 CHANGE PASSWORD


THE LAST WINDOW WILL OPEN AFTER THE RECOVERY QUESTION IS GIVEN, ALLOWING THE STUDENT

HERE YOU CAN ADD, REMOVE, AND UPDATE BOOKS IN THE BOOK CATALOG. THE OPERATIONS, WHERE
YOU ENTER THE INFORMATION FOR YOUR BOOK, ARE TO YOUR LEFT. WE HAVE THE BOOK TITLE,
AUTHOR, PUBLISHER, CATEGORY TO WHICH THE BOOK BELONGS, QUANTITY, AND SHELF ON WHICH

A USER CAUSES THE LEFT-SIDE TABLE TO DISPLAY THE BOOK'S DETAILS. THE STUDENT WILL BE
REMOVED FROM THE LIST OF BORROWED BOOKS IF THEY YOU CLICK THE "RETURN" BUTTON, THIS
WILL MARK AS THE BOOK IS RETURNED ON THE SYSTEM.

THE PENALTIES. THE PASSWORD CANNOT BE DISCOVERED ANYWHERE ELSE BUT THE DATABASE; IT

3.3 PENALTY
YOU CAN BAN OR UNBAN USERS WHO BROKE THE LIBRARY'S OR THE SCHOOL'S POLICIES USING THE

TABLE AND THEN CLICK "BAN." PLEASE TAKE NOTE THAT THE PROHIBITED STUDENT WILL BE VISIBLE IN
THE "INACTIVE USERS" TAB ON THE RIGHT.

3.3.2 INACTIVE USERS


THE SYSTEM'S BANNED USERS ARE ALL LISTED IN THIS PART. TO UNBAN THEM, SELECT A USER'S NAME
IN THE TABLE, THEN CLICK "ACTIVATE" TO REACTIVATE THEIR ACCOUNT. THIS WILL ALLOW THEM TO

IF A BOOK HAS ISSUES LIKE DAMAGE, LOST PAGES, VANDALISM, ETC., YOU CAN CHARGE THE STUDENT
HERE USING THE CHARGE BUTTON AT THE TOP OF THE TABLE ON THE LEFT. YOU CAN TYPE THE PRECISE
AMOUNT DEPENDING ON THE DAMAGED BOOK. THIS SECTION OF THE FEES MENU WILL DISPLAY ALL
THE STUDENTS WHO HAVE BORROWED A BOOK ON THE SYSTEM. YOU CAN ALSO PROVIDE THE
EXPLANATION IN THE TEXT BOX TO PROVIDE THE BORROWER WITH MORE SPECIFIC INFORMATION
ABOUT WHY THEY ARE BEING CHARGED. IF THE USER HAS ALREADY PAID FOR THE BOOK, YOU CAN

3.5 MAINTENANCE

ARE. TO BORROW A BOOK, THE USER MUST FIRST CLICK THE DESIRED BOOK THEY WANT ON THE LEFT
SIDE OF THE TABLE WHERE THE BOOKS ARE ALL DISPLAYED ON THE LIBRARY SYSTEM. NEXT, THE USER

THE USER CAN SEARCH FOR A CERTAIN BOOK THEY WANT BY ENTERING THE SEARCH FIELD AT THE TOP
OF THE LIST IN THIS SECTION'S BOOK LIBRARY, WHICH DISPLAYS ALL OF THE BOOKS ON THE LIBRARY
SYSTEM.

4.3 FEED BACK
THE STUDENT CAN GIVE FEEDBACK ON THE BOOK THEY BORROWED IN THIS SECTION'S "FEEDBACK"

SECTION SIMPLY DISPLAYS THE BOOKS THAT HAVE BEEN BORROWED.
