What is asana?
asana is a cloud based project management tool which enables teams and
organizations to plan/collaborate/organize/track their work. Being a cloud
based tool enables the teams to access the tool over the internet enabled
environments.

Overall, asana aims to simplify project management, enhance team


collaboration and improve overall productivity by providing a
comprehensive platform for organizing and executing work.
What are the features of asana?
● Task management. Users can create tasks, assign them to team
members, set due dates and relevant details.
● Collaboration and communication. Team members can collaborate by
leaving comments on tasks, mention each other for better notification
and have discussions within the platform.
● Project tracking. asana provides tools for tracking the task work
progress, times on them and etc. out of box.
● Automation. Team members may find the automation feature called
“rules” useful which helps with automating repetitive tasks. The rules
can trigger defined set of actions based on events/conditions thus
saving time and manual effort.
What are the features of asana?
● Integrations. Out of box, asana integrates with a wide range of third
party applications for communications, such as Slack, and for file
sharing purposes Google Drive may be used.
● Reporting and Analytics. Team members can use the mentioned
feature for measuring their progress, track performance and soften the
bottlenecks which they might experience during the project.

Task management
As soon as a project is created and team
is formed, you can create tasks and
assign them to team members and add
collaborators. As seen on the
attachment, you can add task name,
assign it to a member, set due date, add
collaborators, set priority, add detailed
description, create sub tasks for better
management and etc.

In the attachment, you may find the
changes history which was made on the
corresponding task “Draft project brief”.
Assignee “Jovhar Isayev” has made
changes on the task such as assigning it
to himself, changing status by moving
the task among the status columns and
mentioning “Agil Verdiyev” so that he
can elaborate for better understanding.

As it is seen on the attachment, the first
task on the top, labeled as “Draft project
brief” is set to have span of 3 days which
starting on 26th of May and ending on
28th. The blue vertical line indicating
current time and how long until set due
date for the task. Noticed the curved
arrows coming out of preceding tasks?
We’ll talk about it in the next slide.

Noticed the dependencies? Well, as it is
seen, it has two parts “Blocked by” and
“Blocking”.
“Blocked by” points to the preceding
task which is “Draft project brief” in this
case. It means, task is waiting for the
preceding one to be completed first.
“Blocking” points to succeeding task
which is “Share timeline with
teammates”. As you probably guessed, it
is blocking the latter one from being
handled by assigned member.

In asana, automation is done through
adding rules at desired status columns,
such as “To do”, “Doing” and “Done”.
Note: Those mentioned statuses are
provided by default and can be
changed/removed/added at any time.

In the attachment, you can see some
points like “ When all of these triggers
happen”, “Add trigger”. You may change
the condition for the triggers to fire up
the “actions” (seen in next slide) when
all or any of them is met.

Under “Actions” tab, users may take
advantage of provided options, such as
moving the task to different project,
changing assignment, changing priority,
creating additional tasks/subtasks,
leave comments on them etc.

In the picture attached, under external
actions, you might have noticed already
that, it is possible to notify team
members/non team members by
sending message over Slack, MS Teams
or sending email over their email
addresses.

During task creation, you may attach files
from 3rd party providers like “Dropbox”,
“Google Drive”, “Box” and
“OneDrive/SharePoint”.

From “rules” creation step, users may
benefit from sending direct messages
over Slack/MS Teams channels, send
SMS texts, manage incidents on 3rd
party platforms like PagerDuty and etc.

Reporting and Analytics
By going to “Reporting” page from the
left menu, asana will generate a default
dashboard (named “My First
Dashboard”) view for for the first time.
Users may get an insight over their
projects as shown in the attachment.
Additionally, users may add other kind of
charts by clicking on “Add chart”.

Mobile accessibility
asana offers mobile apps both for iOS
and Android devices which allow team
members to access and update their
tasks and projects while away ensuring
the feedbacks/updates/progress on the
projects/tasks are consistent.

asana offers different pricing plans
alongside a free tier which is advertised
under “Basic” which comes with basic
functionality. Additionally providing
access to most of functionality with free
trial for 30 days.
