Academic Regulations

Registration

Course Registration
Before the beginning of each semester, students must officially register (in person or through the
student’s portal) and pay the full tuition fee(s).
Note: Credit will not be earned for work done in any course for which a student is not officially registered,
even though the student may have entered the course with the approval of the instructor.

Late Registration
Students who register after the designated registration dates will be subject to a late registration fee.

Academic Credit Exchange

ESLSCA graduate diploma’s students who wish to pursue their academic studies can register to the MBA
program after meeting the following criteria:
- Successfully complete 24 credits (8 subjects)
- Minimum of a GPA standard of 3.00 out of 4.00
- Obtain financial clearance
- Adheres to the current structure of the MBA program
- The MBA specialized track must be the same specialization of the acquired
postgraduate diploma
Note: After the successful completion of the MBA program, a transcript will be issued to graduates showing
the subjects of the graduate diploma then the MBA subjects.

Audit Courses
ESLSCA University Alumni are allowed to further pursue their degrees and studies at the University with
special scholarship (percentage is determined at the beginning of each academic year).

Alumni are allowed to audit a course (attend classes but not turn in/participate/attend any of the course
assessments such as assignments, projects, exams…) Students are required to pay 60% of the course fee.
Registration of an Audit course is subject to availability. Auditors are subject to all conduct, academic
integrity, and academic regulations of the university.

The grade of an audited course is given at the end of the semester; students do not receive academic credit
for the course. However, they are granted a certificate of attendance.

Repeat Courses
Students are requested to repeat the same failed course if it is a core course, a specialization course, or the
business seminar course. While having the freedom to replace a failed elective with another elective.

6
Students may retake a course in which a low passing grade was received (C+ or C) if the desire is to strengthen
knowledge or improve the grade. The higher grade received will replace the lower grade on the official
academic record and will count in the calculation of the grade point average (GPA). The credit will, however,
be counted only once towards the degree requirements. A course may be repeated only once. Students are
allowed to retake a total of 3 courses throughout the whole program.

Student Course Loads

The normal course load of the master’s degrees is 4 courses per academic semester unless otherwise
specified in the program’s bulletin (available at the student’s portal). Students who wish to register for more
courses than the maximum specified in the program’s bulletin, are required to obtain the approval of the
Program Director.

Class Attendance
Absence and Missed Work
Students are required to attend at least 75% of course hours. If a student reaches the maximum absence
allowance (25% of course hours), a Warning Notice of Excessive Absence will be sent to the student through
the portal account. The student is then subjected to forced withdrawal without being notified in the case of
not having a valid excuse (along with documentation) for reaching the maximum absence allowance.

Punctuality
Students are expected to arrive on time for all classes and will be considered late if they enter class after the
start of the session.

Class Dismissal
An instructor may dismiss from class a student whose behavior is disturbing and who creates an environment
that disrupts learning for other students.

Assessment and Examination

Students are assessed throughout the course by tests, quizzes, assignments, projects, exams, or other means
of evaluation. Continuous assessments are used to monitor the progress of learning to ensure that the course
learning outcomes specified in the course syllabus are accomplished.

Students who are enrolled in the MBA program are assessed at least three times during the course at regular
intervals (formative assessment) in addition to a final assessment at the end of the course (summative
assessment). The percentage of the formative and summative assessments are determined based on the
nature of the Intended Learning Outcomes (Knowledge, Skills, and Attitudes).

7
Below is an example of the assessment weights of an MBA course:
Participation/Activity/Assignment 15%
Quiz/Activity/Assignment 15%
Midterm Exam/Project/Report/Case 30%
Final Assessment (Exam/ Project) 40%
Total 100%

ESLSCA University believes that providing feedback to students on their assessments serves the objective of
ensuring that the course ILOs are achieved, accordingly, all professors and instructors will be providing regular
feedback to students on each assessment in a timely manner to enable them to understand where they went
wrong, advise them on the steps to be taken to improve their learning curve, and develop their capabilities
to monitor, evaluate, and regulate their own learning.

In ESLSCA’s MBA program, students who score 60% or above out of 100% pass the course only under the
condition of them attending the final exam; yet if they did not attend the exam, they fail even if their score
is 60%. Students that score below 60% out of 100% in total receive a final grade of 'F' (Fail).

Grading System
Students enrolled in the MBA Program will receive one of the following grades per course, and the
corresponding grade points. Grade points are assigned for each unit of the credit value of a course and are
used to compute a student’s grade point average (GPA).

Grade Points Range

A 4 90: 100
A- 3.7 85: 89
B+ 3.3 80: 84
B 3 75: 79
B- 2.7 70: 74
C+ 2.3 65: 69
C 2 60: 64

The minimum GPA for graduation is 3.0

In addition, occasions arise that necessitate assigning symbols that fall outside the standard range. These are
(V) and (I) as explained below:
 Waiver (V): The (V) is used for credit transferred from other institutions. The maximum number of core
courses that can be waived are only two courses during the entire program. Students seeking waived
credit should provide course description, course outline, course requirements, grading criteria, and
official transcript noting earned credit for the course to be approved by the Program Manager. Waived
course work is recorded as (V), waiver, on the academic transcript and is not included in the calculation

8
of GPA. Waiving elective courses is not permitted. The (V) is not applied on credits transferred from
different programs within the University. Waived courses are valid for maximum 3 years from completing
the waived course(s) as indicated in the official transcript.
 Incomplete (I): The (I) indicates that students have attended at least 75% of classes and satisfactorily
met all course requirements except the final assessment due to circumstances beyond their control.
In such cases, students must present sufficient documentation to the Head of Students Affairs and
a makeup exam should be scheduled within three weeks of the original assessment date for final
exam. An (I) may be removed by taking a makeup exam within 30 days of the original exam date.
The maximum allocated grade for such assessment will be of grade (B). Failure to change an
incomplete grade during the above-mentioned periods will automatically result in converting the
grade to (F). A student is only allowed 5 incompletes in the whole program.
For missing midterm exams or alternative assessments due to circumstances beyond control which
must be approved by the Head of Student Affairs and supported by evidence or proof documents, a
make-up exam should be scheduled within two weeks of the original assessment date for midterm
exam. Failure to take the midterm exam within the allowed period of two weeks, will automatically
result in Zero grade for the missed midterm or assessment.

Grade Point Average

The GPA is used to determine students’ academic standing. It is computed at the end of every academic
semester by multiplying the number of credits taken by the grade points earned. The figure is then divided
by the total number of credits completed. The cumulative GPA is computed in an equivalent manner for all
coursework completed and is used to determine eligibility for graduation. The GPA does not include
coursework transferred from other institutions except for exchange partner institutions.

Examinations
Professors/Instructors explain the course assessment tools and grading criteria on the first day of classes.

Final Assessment
Final examination/assessment is given during designated times at the end of each semester as listed in the
Academic Schedule.

Students are not permitted to take a final examination/assessment before its regularly scheduled
time. When genuinely serious conditions exist, students, with the consent of the course
professor/instructor, may be allowed to postpone the final examination/assessment after the regular exam
period. Students must submit a request for makeup to the Head of Students Affairs with supporting
documentation for approval. If the request is accepted, students will be assigned a grade of (I)
(check the incomplete section).

9
Cheating in Exams
Cheating is not acceptable in an institution dedicated to learning. Cheating includes giving or receiving
information during an exam, using unauthorized material during an exam, and other acts of academic
dishonesty including plagiarism.

If a student is caught cheating during any exam or quiz, the paper confiscated together with any cheating
materials. The student is asked to leave the classroom. If the student has cheated or plagiarized on a project,
the instructor/proctor must provide documentation. The instructor/proctor will then fill a report on the
cheating incident and send it to the Examination Unit along with all relevant documentation. An investigation
will then determine the action to be taken according to the University policy.

Cheating Cases Guidelines:

- Proofed cheating cases in any exam, whether in-class or online, the student shall be penalized and
assigned an “F” grade in this course and will lead to an obligatory course repetition.
- The University administration reserves the right to impose further disciplinary actions according to
the investigation on a case-by-case basis.

Appeals of Course Grades

Students typically review their coursework grades throughout the semester with the course professor/
instructor.
In case of any issue related to the course final grade has been raised, the student can request a grade review
meeting with the course instructor and pay the designated fee within one week from posting the grades on
the student’s portal.

When meeting with the instructor, students should have evidence-based using assignment prompts,
rubrics...etc. to support why they deserve a higher grade.

If the instructor decided to change the grade, based on the meeting conducted with the student, the
approvals of the Program Director and the School Dean are required. No grade can be changed after it has
been submitted to the Registrar Office without justification and without the approval of the Director of
Program and the School Dean. In case of a Grade Change, the final grade review fee will be refunded to
students.

Grade change also happens when an (I) is replaced by a regular grade. Grades may be changed within two
weeks of reviewing the grade. After which they become a permanent part of the academic record.

Graduation Requirements
Academic Credit Requirements
The minimum number of credits required to graduate from the MBA program is 48 credit hours.

10
Time Limit for Completion
Students must complete all the program’s requirements within the allowed duration of the program. The
time limit for part-time students to complete a graduate diploma is three years, a master's degree is five
years, and for a doctorate degree seven years. Approved Leave of Absence is counted in the time allowed for
the completion of the degree program.

Leave of absence
Students are permitted to take a leave of absence from the University’s academic programs. However,
the leave of absence is not recommended as it interrupts the course of study that may cause problems
in the continuity of the course work in future.
Common reasons for leave include short-term job opportunities, family crises, pregnancy, and sustained
ill health. Students who wish to take a leave of absence must discuss their excuse with the Head of
Students Affairs and complete a request for leave of absence at the Student Affairs office with submitting
supporting documentation.
Students can take a leave of absence for no more than two academic semesters and return to the
program without the need to reapply.
Students on leave are not eligible for the use of any school facilities normally available to registered
students.
Any student who leaves ESLSCA University program without having obtained formal permission is
recorded as having been dismissed. A student who has been dismissed is not automatically readmitted.
A student wishing to apply for readmission must complete a new Application form and pay the required
Admission fee.

Academic Eligibility

Academic Standing and Satisfactory Progress

All students enrolled in one of ESLSCA graduate programs are expected:
1. To maintain a good academic standing at all times defined as a cumulative grade point
average of at least 3.00 on all work undertaken toward a degree
2. To make satisfactory progress towards their stated degree. Progress is measured from the
first course and is defined as:
a. A minimum grade of (C) in all courses attempted to receive graduate credit. Work
graded (C) is not acceptable for credit toward any degree program.
b. Student's grades must exceed a minimum defined by the following "Academic
Demerit Point" (ADP) system. An ADP system is utilized by ESLSCA University to
encourage students to maintain a satisfactory level of academic performance:

11
- For each grade of (C+) and (C), in any course, 1 ADP is assigned
- For each grade of (F), in any course, 2 ADPs are assigned
Students whose academic performance is less than satisfactory are reviewed by the Academic
Standards and Discipline Committee and subject to probation or dismissal.
*The ADP system is one that links student misconduct to GPA. Increase in ADP is reflected on a
decrease in GPA (see ‘misconduct’ section).

Probation
Students are placed on probation in either of the following cases:
- After the second semester, if their cumulative grade point average falls below 3.00
- They earn academic demerit points above the permitted thresholds
- They failed in their seminar research project
Probationary students will be notified by the Academic Standards and Discipline Committee that
they have been placed on probation.

Probationary students must meet with the Program Manager, acting on behalf of the Academic
Standards and Discipline Committee, in the first week of a probationary term to draw up an action
plan for improving their academic performance. The probation plan may specify requirements
agreed on by the student and the Program Manager, limitation of credit load, limitation on work,
registration in personal skills classes, etc. The action plan should be acceptable to the Academic
Standards and Discipline Committee, for the student to continue in the program.

Academic Dismissal
Students become academically ineligible and are subject to dismissal in either of the following:
- Fail to satisfactorily complete a probationary term
- Earn academic demerit points beyond the permitted thresholds
- Fail the seminar research project for a second time

Reinstatement
Students who have become ineligible may submit a petition to be re-admitted in a subsequent term. The
appeal must contain documentation as to why circumstances have changed, to allow for successful
completion of the degree. The Academic Standards and Discipline Committee will examine all
information relevant to the student's appeal, consult with faculty who had the student in their courses,
have the option to interview the student, and decide to support or deny the request.
If any reinstated student fails to demonstrate a noticeable improvement in performance, the student
appeal will not be accepted.

Graduation Ceremony
Students who successfully completed their requirements are eligible for graduation after completing the

12
online graduation application form and paying the obligatory graduation fee. The graduation fee covers the
cost of the certificate and transcript, administrative expenses, and registration in ESLSCA’s Alumni
community. Students are required to pay the graduation fee before the announced deadline.

In addition, ESLSCA University conducts a commencement ceremony to give the chance to students to share
this special moment and celebrate their achievement with colleagues, family, and friends.
The University conducts only one commencement ceremony each year. Attending the ceremony is optional.
Students who wish to celebrate their success and attend the ceremony are requested to pay the
commencement ceremony fee that covers the cost of the ceremony, cap and gown, guests’ invitations…etc.

Dean’s Honor List

ESLSCA University recognizes continuous academic excellence by awarding students who successfully
completed their academic degree and scored minimum of 3.98 GPA in each program a certificate of
recognition and an award to be presented to them in the graduation ceremony, in addition to a special
scholarship rate for future ESLSCA University programs.

Issuance of Certificates and Official Documents

To receive their degree certificates, graduates must:
- Pay all financial dues to the University in full.
- Complete their program required credit hours.

Continuous Improvement
Evaluation
By the end of each course, the University gathers students’ feedback on the whole learning process for
continuous improvement purposes. Students’ feedback is gathered via course evaluation sheets where
students evaluate the course material, instructional effectiveness, teaching methodology and the facility.

The evaluation questionnaires are anonymous, and the findings are analyzed and confidentially reported to
the Program Director and the School Dean. The Program Director sends the average evaluation score to the
instructor/professor after the completion of the course. The Program Director may discuss the areas for
improvement with the course instructor/professor for future courses.

By the end of the program, an Exit Survey is sent to students to gather their feedback about the whole
program and suggestions for improvements.

The results of the Exit surveys and course evaluation sheets are considered when updating and enhancing
the program by the Program Development Committee.

13
Complaints and Grievances
If a student has a serious and pressing concern, they are asked to convey it to the Program Coordinator, who
is available to help students with their inquiries, facilitates any obstacle that may face them, and handles
their concerns with care. If their concerns are not resolved, students can submit their complaints via the
student’s portal. The complaint is forwarded to the department concerned and is to be handled within 5
working days. A formal response will be sent to the student within one week of submitting the complaint.

14
Financial Regulations
