NFCC Appointment Letter – Sample Template

Introduction and how to use

The NFCC is aware that each service is uniquely different whilst also recognising that there is a
commonality of challenges that unites the sector.

This document is being provided as an example of an appointment letter and as a starting point
for good practice, however, each service should review their own recruitment approach and
consider their whole suite of candidate comms before using and issuing to new employees.

This document is being provided in a modifiable format so that each fire and rescue service can
amend and modify as they require to meet their specific needs. Fields that require
amendment/choices have been highlighted in red text for ease of use.

Human Resources – Appointment – Wholetime Firefighter

I write to offer you the appointment of Wholetime Firefighter with effect from [date/month/year]

In so far as there may be any inconsistency between the provisions of this letter and the
attached Statement of Particulars and what may have been represented to you verbally, the
Authority reserves the right to rely upon the provisions of the written documents. You should
sign the attached copy of this letter indicating your acceptance of the appointment on the terms
and conditions stated and return it to me as soon as possible. A copy of the Job Description
applicable to your appointment is attached. [Delete if not using the NFCC Job Description]

This offer of employment is made subject to an express condition that you will be both fit and
able to perform your duties as a (trainee) Wholetime Firefighter at the commencement date
set for your training course. If you are not fit or unable for any other reason to commence the
training course on the scheduled date, then this offer of appointment will be
withdrawn/terminated. At the absolute discretion of the Authority, you may be offered an
appointment to start on a later training course. In that event you will not be paid until you are
fit and able to commence the later training course.

You will be paid as a trainee Wholetime Firefighter, at the rate of £23,833 per annum for the
duration of your training, and once successfully completed and having passed your
development, you will be paid as a competent Wholetime Firefighter, at the rate of £31,767
per annum.

I confirm that it will be necessary for you, in the first instance, to attend a 15-week Trainee
Firefighter Course. This course is based at [Add in location details here] and is non-residential.
You will be expected to attend Monday to Friday, from 8.00am to 6.00pm. Your first station
posting will be arranged later and you will be advised of this during your trainee course.

Dietary Requirements
If you have any dietary requirements, please let me know at the earliest opportunity as we will
provide meals whilst attending the course – further information regarding this will be discussed
later.

Reasonable Adjustments
If you require any reasonable adjustments, and have not previously informed us of these,

Pre-Course visit to Headquarters


To assist you in preparing for the forthcoming course we would like to invite you to attend [Add
in location details here] to give you an insight into the training and to meet some of our staff in
an informal setting. You will be contacted shortly by a member of our Training Department when
a date and time has been confirmed. We would encourage you to make every effort to attend
this event as this should provide you with a useful information and insights prior to commencing
your Trainee Firefighter Course.

Uniform Sizing
To ensure you have the correct uniform and kit prior to your course starting, please contact

uniform sizing as soon as possible. Dates will be available to do this between [add dates in
here] (weekdays only). Appointments can be made for 9:00,11:00 and 14:00, please allow 2hrs
for this appointment. When you make contact, please supply your full name and service number
which is provide on the front page of your contract.

First Day
Please ensure you arrive in good time for a prompt 8.00am start. Report to Reception upon your
arrival and you will be met by one of the Training Instructors. It is recommended that you arrive
in civilian clothes and then change into your uniform. You will need to bring gym clothes with
you as you will undergo fitness testing.

Maintaining Pre-Course Fitness


You will be physically tested on the first day of your course, therefore it is imperative you
maintain a high standard of fitness. To help you achieve/maintain that standard we have
attached a guide for your information.

Please return the following documents as soon as possible, either by post or in person:

1. Signed Acceptance letter


2. Income Tax form P45, or HMRC Starter Checklist if you do not have a P45
3. Bank details – Form 200 (REV04/06)
4. Notification of Personal Details – Form FS206
5. Secondary Employment Form

Having formally accepted our offer of employment, you may now give notice to your present
employer at your own convenience ensuring that the notice period is sufficient for you to
commence the Trainee Firefighter Course on the date provided.
