Safe Space Policy Draft

Objective

This policy is designed to establish a workplace that prioritizes inclusivity, respect, and psychological
safety for all employees. The company is committed to providing an environment where everyone feels
valued and can contribute their best work.

Scope

This Policy applies to all employees, contractors, and individuals associated with United Philippine Lines,
Inc., including temporary and part-time staff.

Responsibilities

1. Employees
 Adhere to company policies and procedures.
 Treat colleagues, superiors, and subordinates with respect and professionalism.
 Report any incidents of discrimination, harassment, or unethical behavior.
2. Managers and Supervisors
 Ensure fair and unbiased treatment of all employees.
 Support the professional development of team members.
 Address employee concerns promptly and confidentially.
3. HR/Personnel Office
 Oversee the implementation and enforcement of policy.
 Provide guidance and support to employees and managers on HR-related matters.
 Investigate and address employee complaints and concerns.

Implementing Guidelines:

1. Respectful Conduct
All employees are expected to treat each other with respect and courtesy. Avoid any form of
discrimination, including but not limited to race, gender, age, religion, disability, or sexual
orientation.
2. Inclusive Practices
Embrace diversity and create an inclusive atmosphere. Encourage open dialogue and the sharing
of diverse perspectives.
3. Anti-Harassment
Harassment of any kind, including verbal, physical, or visual, will not be tolerated. Report any
incidents promptly to HR for thorough investigation.
4. Confidentiality
Respect the confidentiality of colleagues' personal information. Refrain from gossip or sharing
sensitive details without proper authorization.
5. Mental Health Support
Recognize the importance of mental health. Provide resources and support for employees facing
mental health challenges.
6. Training and Education
Conduct regular diversity and inclusion training for all employees. Keep the workforce informed
about evolving best practices.
7. Continual Improvement
Establish a confidential channel for employees to provide feedback on the workplace
environment. Use feedback to continuously improve policies and practices.
8. Zero Tolerance for Retaliation
Employees should feel secure reporting concerns without fear of retaliation. Retaliation against
individuals reporting violations is strictly prohibited.
9. Accountability
