TERMS AND CONDITION 1.1
These policies will be strictly applied. We made it as clear as possible.

CANCELLATION POLICY
You may cancel your booking by notifying the Tour Operator. Cancellation fees, if any, will be determined with
reference to the date on which notice of cancellation is received by the Tour Operator.

CANCELLATOIN OF SLOTS POLICY:


Cancellation of slot/s 15 Days and up before the travel date
Cancellation slot/s in 15 days, and up before departure, the full deposit of the canceled person/s can be used or
applied to the remaining participants in the group. The remaining person will be rated based on the total
headcount. Rates per head will be revised accordingly.

Cancellation of slot/s 14 Days before the travel date


If you decide to cancel or remove a participant from the original booking 14 days before the travel dates, we
can refund the reservation fee of the canceled person, subtracting it from the total amount due on the
departure date. However, please note that the per-person rate will remain the same, and we will collect the
same total amount as initially planned, but with a deduction of P1,000 for the canceled person's reservation
fee. Additionally, the originally pre-booked rooms and room arrangements that were discussed earlier will
remain unchanged and will be provided as agreed upon.

Cancellation of slot/s ONE DAY UP TO SAME DAY OR LAST MINUTE CANCELLATION:


Confirmed reservations are strictly non-refundable for last-minute cancellation but are considered transferable
to the third party designated by the client with the same number of person/s otherwise if the guest doesn’t
meet the same number of participants ONE DAY before the departure date, the group/person will be
responsible for the payment of canceled person/s remaining balance or the amount to be collected on the
departure date will be the same amount stated on the tour voucher.

ENTIRE GROUP CANCELLATION:


Entire group cancellation refers to the situation where all members of a travel party, typically booked under a
group reservation, decide to cancel their planned tour or trip. This means that no individuals from the reserved
party will be participating in the previously scheduled travel, and the entire booking is voided.

31DAYS BEFORE THE TRAVEL DATES:


More than 31 days before departure: Groups may cancel their booking more than 30 days before the departure
date without any penalty, and a full refund of the deposit will be issued.

20DAYS TO 30DAYS BEFORE THE TRAVEL DATES:


Cancellations made between 20 to 30 days before the departure date will incur an administrative fee of
P1,000. The remainder of any deposits paid will be refunded.

9DAYS TO 19DAYS BEFORE THE TRAVEL DATES:


For cancellations made 9 to 19 days before the scheduled departure, 30% of the total reservation amount will
be forfeited. The remaining balance, if any, will be refunded.

8 DAYS BEFORE THE TRAVEL DATES:


All reservations made by the group 8 days before the travel dates shall forfeit 50% of the group’s total
reservation.

1-7 DAYS BEFORE THE TRAVEL DATES:


All reservations made by the group 1-7 days before the travel dates shall forfeit 100% of the group’s total
reservation.
TERMS AND CONDITION 1.2
SAME DAY OF THE DEPARTURE DATE:
The group shall forfeit 100% of the total full reservation cost.
The entire group is responsible for paying the remaining payment that should have been collected for the
entire group.
This serves as a penalty for not informing us about last-minute group cancellations.
The funds collected will go toward the booked hotel and slots that were reserved for your group, as it may
not be possible to find a replacement on such short notice.
Therefore, the group is accountable for covering the entire tour cost.

RE-SCHEDULING POLICY:
You may re-schedule your booking by notifying the Vantrippers Travel and Tours thru messenger. Re-scheduling
fees, if any, will be determined with reference to the date on which notice of re-scheduling is received by the
management

14 days before the date of travel, you may re-schedule your trip, with a change in travel destination allowed
- subject to availability.

5 days before the date of travel, you are not allowed to cancel or reschedule your tour or divert it to another
destination if you will, in which case we will forfeit 50% of your reservation.

2 days before the date of travel up to same date, guests cannot reschedule their tour within 2 days up to
same of the scheduled travel date. At this point, our arrangements for your tour are finalized, and we cannot
accommodate changes without incurring significant expenses. The down payment made at the time of
booking is non-refundable. This payment secures your accommodation and for the van and is used towards
preliminary arrangements for your tour. Guests who reschedule their tour within 2 days up to same of the
travel date are required to pay the remaining balance of the tour cost. This balance must be paid in full.

RE-SCHEDULING WITH CANCELLATION OF SLOT/S


If your group decides to reschedule the tour for any reason, and some of your companions are not available on
the new chosen travel dates, the reservation of those canceled individuals can be used by the remaining
participants. Furthermore, if VanTrippers Travel and Tours implements new published tour rates, the new rate for
that tour will apply to your group. Your voucher will also be revised to reflect the new rates.

LOCK DOWN & TESTING REQUIRED


If the tour destination has implemented a strict guideline for lockdown, requires an antigen test, or swab test we
suggest you reschedule. Most of these guidelines will soon be relaxed and local tourism will soon be allowed
without testing required. If you choose to re-schedule, we'll always be here to help you out. Your reservation will
stay as payment until you can finalize the new date, and then we'll revise your voucher according to those dates.

PHOTOS & VIDEOS


Vantrippers Travel and Tours reserve the right to use photographs/videos taken during the services or tours
without further consent or written permission from the individuals captured in these images. These
photographs/videos may be used in various media materials, including brochures, websites, social media content,
and more.

To protect the privacy of individuals, we will not identify them using full names or personal information without
written approval from the individuals themselves, their parents, or legal guardians. If you do not want your image
recorded for distribution, please inform us.

By participating in our services or tours and failing to notify us, after receiving this tour voucher, of your desire to
keep your photograph/video from being used by Vantrippers Travel and Tours, you are agreeing to allow us to
use these images. You also release, defend, hold harmless, and indemnify Vantrippers Travel and Tours from any
claims related to the use of your picture or likeness.
TERMS AND CONDITION 1.3
ADDITIONAL ROOM CANCELLATION
All rooms have been pre-booked before the travel dates if your additional room request has to be
canceled for any reason the group will still pay for the additional room regardless of the days
before the travel dates.

Any rooms that are not used during the stay will not be refunded.
Additional rooms aside from the pre-booked are subject to availability

RULES AFTER CHECK-IN AT ACCOMMODATION (EVEN EXCLUSIVE TOUR)


After checking in at accommodation and during free time, any activities/destination desired by the
guest using the van as transport is prohibited since it’s not part of the itinerary and already the
end of the tour for that day. Guest/s can ride a jeep/tricycle or any transportation from
accommodation to the town proper or any desired sites. Any “pasuyo” is not allowed after
checking in, all necessities should already be purchased before checking in.

UNSATISFIED GUEST
While we will not provide a refund if you're not satisfied due to unavailable circumstances like:
1) when there are too many people on the tour and you can't take pictures or
2) when there is a high heat index and you choose to skip a specific tourist spot or you’re unable
to take pictures because of the missed itinerary, please keep your expectations reasonable as we
are located in a tropical country.

ACCOMMODATION:
The accommodation quoted is not operated by or owned by VanTrippers but was carefully
selected though classified as a budget hotel, not a 1-3 star hotel. Vantrippers will not be held
responsible for any refund, either fully or partially, of any amounts paid due to unsatisfactory
services by the concerned establishment.

MINIMUM OF 7PAX IN A ROOM POLICY


A room must have a minimum of 7 people. If any in your group request a room upgrade for a
couple's room, a triple room, or an additional room for any division, additional payment will be
asked for; a minimum fee of P1,000 per person and per night applies and should be included in
the computed amount to be collected on the departure date. All beds are occupied by two
persons; those who would like to be in a solo bed will be asked to pay an additional fee per person
and per night.

2PAX IN A BED POLICY


All beds are double beds, and 2 people should occupy each bed. If you want 1 person per bed, we
have additional rates per person.

TERMS AND CONDITION 1.4
TOUR COORDINATOR'S ROLE DEFINITION
Please be advised that the tour coordinator's role is different from that of a tour guide. While the coordinator
will not provide historical information about each destination, they will:

1. Assist you throughout the tour at each location.


2. Accompany you and help take group or solo photos.
3. Act as the primary point of contact between the agency and the guests, addressing any needs or
concerns you may have.

If you desire historical insights at each location, we can arrange for a professional local guide in Ilocos
/Baguio at a cost of ____/day. This fee would be paid directly to the guide.

ITINERARY
Our aim is to follow the itinerary described; however, unforeseen events, traffic conditions, or any other
external circumstances beyond our control may necessitate changes in the sequence of the scheduled
activities or miss certain tourist spots. If any of the mentioned itinerary's visits are missed, we do not provide
a discount or refund. We will not be responsible for any missed or canceled flights due to the
aforementioned circumstances. It is not the responsibility of the booking client to take appropriate measures
so that his/her flight will not be in conflict with our itinerary.

BAGGAGE POLICY
o We do not permit joiners participants to bring luggage, even if it's within the size limits for hand-carry
items. This policy is due to our van's capacity, which is calculated based on the number of passengers and
available seating. Unfortunately, our vans do not have compartments to accommodate luggage. We kindly
request that you bring only duffel bags or backpacks that can fit under the van's seats.
o Tour participants should be responsible for their own belongings.
o Vantrippers will not assume responsibility for any misplacement, losses, or damage to their belongings.

VAN DETAILS AND PICK UP TIMES


We sometimes adjust the pickup time to 30 minutes earlier or later than the original commitment time or in
rare cases, we change the van in case the original van provided had an emergency case. Our policy is to
provide only the final departure details on the day of your departure to avoid any last-minute changes, which
would cause delays or confusion.

TOURS BOOKED DURING WEEKDAYS AND HOLIDAYS:


We are unable to make a guarantee that all tourist locations, pubs, restaurants, food parks, and cafés will be
open throughout the week due to the fact that some of these businesses are closed on weekdays and
holidays. In the event that we are unable to visit any of the destinations described or any of the tourist
attractions that are included on the itinerary, we will not issue a refund or give any other kind of
compensation to the participants. This is due to the fact that we are unable to control the hours that any
establishments are open or closed throughout the week and during holiday, and the tour operator is not to
fault for this predicament.
