DEFINING THE PROJECT

The project management process becomes more challenging when dealing


with multiple small projects or a large complex project. To effectively manage
these projects, a structured approach is needed to collect and organize
information throughout the project's life cycle. This approach involves creating a
work breakdown structure (WBS), which is a hierarchical outline of the project's
tasks and deliverables.

These steps can ensure that projects are well-defined, organized, and effectively
managed, leading to successful outcomes.

Step 1: Defining the Project Scope


In this step, the project's objectives, goals, and constraints are clearly
defined. This helps in planning, resource allocation, and managing
expectations. A well-defined scope is crucial for project success and
prevents misunderstandings between the project manager and
stakeholders.

Step 2: Establishing Project Priorities


Project success is determined by meeting cost, time, and performance
expectations. Project priorities are established by determining the relative
importance of these factors. This helps in making informed decisions and
trade-offs when necessary.

Step 3: Creating the Work Breakdown Structure


The WBS breaks down the project into smaller work elements. It starts with
major deliverables and progressively divides them into subdeliverables
and work packages. This helps in organizing and structuring the project's
work, allowing for better planning, scheduling, and resource allocation.

Step 4: Integrating the WBS with the Organization


The WBS is integrated with the organizational structure to assign
responsibilities to the appropriate units or teams. This ensures clear
accountability and coordination throughout the project. It also facilitates
project control and monitoring.
Step 5: Coding the WBS for the Information System
The WBS is coded using a numbering system to organize and consolidate
information. This coding system helps in reporting, tracking project
performance, and communication among team members.

Responsibility Matrixes
Project success is determined by meeting cost, time, and performance
expectations. Project priorities are established by determining the relative

offs when necessary.Responsibility matrices (RMs) are useful tools for assigning
and clarifying responsibilities in a project. RMs identify tasks and the individuals or
groups responsible for each task. They help in organizing and coordinating
project activities, ensuring that everyone understands their roles and
responsibilities.
Project Communication Plan
A project communication plan outlines how information will be shared among
team members, stakeholders, and other relevant parties. It identifies what
information needs to be communicated, who will receive it, how it will be
communicated, and when. A well-developed communication plan promotes
collaboration, transparency, and ensures that everyone has the necessary
information to perform their roles effectively.
